General Information and Policies Guarantees – Please advise your Catering/Conference Service Manager of your final guaranteed guest count a minimum of 72 hours prior to your scheduled event. If we do not hear from you, the original number of guests contracted or the actual number served on site whichever is greater; will automatically become your guarantee.

Prices – All menu prices are subject to market fluctuations and therefore, prevailing rates will be determined and guaranteed a minimum of 60 days prior to your scheduled event. A 22% service charge and current state sales tax of 10% will be applied to all Food and Beverage.  All Food and Beverage must be provided by the Doubletree Hotel O’Hare-Rosemont.  The hotel enforces stringent practices in the handling, preparation and service of all Food and Beverage products to ensure quality. We cannot allow the removal of any Food and Beverage items from our property in the interest of guest safety and Illinois Health Codes.  Vegetarian and other menu alternatives can be made available to meet the dietary restrictions or religious observances of your attendees.  State of Illinois allows alcoholic beverage service only to those persons age 21 or older. Identification indicating proof of age may be requested of attending patrons. The Doubletree Hotel O’Hare-Rosemont reserves the right to refuse liquor service at our discretion.  Some menu selections are subject to minimum guest counts. Checks – Upon request, our Banquet Manager will present guest checks for your review for all event-related charges incurred. Your signature acknowledges receipt of these services rendered and assists us in preparing an accurate and expedient statement of your account.

Function Rooms - Function rooms are assigned according to the anticipated number of attendees and setup specifications. The hotel reserves the right to relocate your event upon notification.

 The group is responsible for the conduct of their attendees on site.  Please observe your contracted arrival and departure times to avoid conflict with guests scheduled prior to or after your program.  Multiple day events may be required to break down and store materials to accommodate scheduled evening functions.

Security – The hotel schedules 24-hour roving security coverage within our facility. Dedicated security personnel can be contracted through your conference service manager to directly monitor your event.  The group is responsible for any items left unattended  Due to limited storage space, shipping/receiving packages will not be accepted earlier than 2 days prior to your event. The following information must be included to ensure proper delivery: 1. Organization Name 2. Conference Name 3. Date of Event 4. Number of Packages forwarded ( i.e. 1 of 1) 5. Hotel’s name and address Large freight shipments should be coordinated through your conference service manager. Receiving dock is at ground level and couriers may need hydraulic lifts to off load heavy freight.
