Position : Project Manager for ‘Canfod y Gân / Discover the Song’

Canolfan Gerdd William Mathias has been awarded funding from Spirit of 2012 for an exciting new project, ‘Canfod y Gân / Discover the Song’, which will bring disabled and non-disabled people together to make music with the aim of improving mental health and wellbeing. Fortnightly music sessions will be held in three areas – Caernarfon, and – and several performances and special events will be held across . We wish to appoint an enthusiastic, organised and inspiring individual to manage this project.

Length of Contract : to start early in 2019 until the project end date (30.11.2021)

Hours : 22.5 hours a week. Working days and times to be confirmed but will include working some evenings as the Project Manager is expected to be present at the fortnightly music sessions held in the three areas. Will also be required to work weekends occasionally.

Salary: £22,000-£23,340 (pro-rata) therefore £13,200-£14,004 for 22.5hours a week. (Pension scheme includes 5% contribution from employer).

Workplace: CGWM’s office in Galeri Caernarfon. Will be required to travel to the fortnightly sessions and various other activities and meetings (mileage will be paid for travel which is additional to the usual commute).

Canfod y Gân / Discover the Song Project Manager Job Specification

A new part-time fixed term post (up to 30.11.2021). The person appointed to the post will work closely with Canolfan Gerdd William Mathias’ Director, CGWM administrative staff, ’s Learning Disabilities Team (partner in the project) and a team of free- lance musicians and volunteers. Answerable to the Director of CGWM.

Main Responsibilities of Canfod y Gân / Discover the Song Project Manager :

• Arrange the timetable for the project sessions and arrange locations, tutors, music leaders, performers, participants and volunteers. • Organise performance opportunities and showcase events. • Be present at the sessions held fortnightly in each of the three areas– Caernarfon, Pwllheli and Harlech – ensuring that the correct instruments and equipment are available at each session and that all activities run smoothly. (the fortnightly sessions will run from the end of April 2019 until the end of the project). • Work with Gwynedd Learning Disabilities Team who will refer individuals who have learning disabilities to the project. • Prepare contracts for tutors and artists. • Be the main point of contact for music leaders, tutors, participants and volunteers. • Recruit and coordinate a team of volunteers and tutors. • Work with CGWM’s Director to keep within the project budget and keep detailed financial records including use of internet banking. • Organise training for staff, tutors, leaders and volunteers. • Prepare and arrange distribution of advertising and marketing materials and update website (in collaboration with CGWM Administrator) and social media accounts. • Promote the activities in the press and media working with external PR company. • Develop and sustain partnerships with various agencies and organisations and music groups and inspire them to engage with the project. • Give presentations about the project to recruit participants and partners. • Work closely with external evaluators and ensure data and feedback is collected regularly and on time to feed into the monitoring and evaluation reports. • Prepare quarterly written and financial reports to the funder and provide feedback over the phone in monthly catch up meetings. • Organise regular team meetings and keep detailed minutes. • Ensure that all project activities keep within CGWM policies. • Carry out risk assessments on locations and activities. • Deal with any complaints and problems and work with CGWM’s Director to find effective solutions. • The successful candidate will be provided with First Aid, Safeguarding of children and Vulnerable adults, Fire Safety and Manual handling training and will be expected to be prepared to provide emergency first aid at CGWM activities if required. • Willingness to assist with any other relevant duties when required. • Be willing to identify and make in flight adjustments and changes as the project develops.

Personal Specification

Essential:

• A committed, eager, reliable individual with the ability to inspire others. • Excellent interpersonal skills. • The ability to communicate fluently in Welsh and English both verbally and in writing • High level of competence in administrative tasks including strong IT skills (Word, Excel a Power Point) and experience of using spreadsheets, programmes and collating data • Experience of keeping financial records and collecting data. • Experience of using and updating social media sites. • Ability to work efficiently and accurately, to devise and maintain effective systems of record keeping and reporting accurately. • A creative person who is willing to contribute to the artistic development of the project. • Knowledge of music and understanding of its ability to improve lives. • Previous experience of organising activities • Able to work independently, but also a good team member and willing to work flexibly as necessary to achieve the project goals. • Shares ‘Canfod y Gân / Discover the Song’s vision of enabling disabled and non- disabled people to take part as equals in music activities with the aim of improving mental health and wellbeing and strengthening communities. • Fully committed to Spirit of 2012’s vision for projects that they fund - www.spiritof2012.org.uk • The ability to deal with and solve problems. • Confident to lead discussions and deliver presentations • Use of a car with business insurance.

Desirable:

• Experience in PR and audience development. • Experience of volunteering and/ or managing volunteers. • Experience of matters relating to Safeguarding of children and Adults at Risk, Risk Assessing and GDPR (training will be provided).
