GENERAL INFORMATION The Catering and Conference Services Department will coordinate all details of your event and will work closely with each of the departments within the resort to ensure proper execution of all events. So that our entire staff may prepare to accommodate your needs we ask that menu selections and meeting related details be arranged at least 45 days in advance. Our culinary staff uses only the freshest ingredients in preparing your . Due to market conditions, menu prices may change without notice, unless confirmed by a signed Banquet Event Order. Banquet event orders will be provided for review once menu selections and meeting details have been submitted to your catering representative. Once the banquet event orders are received, please review for accuracy, make any necessary revisions, and return with an authorized signature at least 3 weeks prior to your function.

GUARANTEES It is the responsibility of the group representative to provide the catering department with the number of guests expected for all meetings and banquet functions no later than 10:00 AM three business days prior to the function. This confirmed number constitutes the final guarantee and is not subject to reduction. If no guarantee is submitted, the expected number of guests listed on the banquet event order will be considered your guarantee. The hotel will set and prepare for 3% above the guarantee up to 25 guests where possible. Should the attendance exceed the final guarantee a surcharge of $10++ per person above the price will apply.

MEETING AND FUNCTION SPACE Function space is assigned according to the size and requirements of the group. The Resort reserved the right to assign specific function rooms based on your setup requirements and the need to maximize use of our function space.

FOOD & BEVERAGE To ensure the safety of all our guests and comply with local health regulations, neither patrons nor their guests shall be permitted to bring or beverage from an outside source into the banquet or meeting facilities, whether purchased or catered. Due to safety regulations, the removal of food & beverage from the meeting or banquet facilities is not permitted at any time. The Resort is responsible for the sale and service of alcoholic beverages as regulated by SC Law Enforcement Division. Our alcoholic beverage license requires us to (1) Request proper proof of legal age to consume alcohol. (2) Refuse alcoholic beverages service if the person cannot provide the proper identification. (3) Refuse alcoholic beverage service to any person who in our judgment appears intoxicated.

SPLIT ENTREES We request that all menu selections i.e. starter, entrée and be the same for all guests in attendance. We are happy to offer split entrees (limited to two entrées) for a minimum of 40 guests, however both entrees will be charged at the same rate whichever selection is higher. We ask the client/host to provide entrée cards which signify each guest’s entrée choice. A vegetarian option is always available regardless of group size.

SERVICE CHARGE AND TAX Food, beverage and service are subject to a 22% taxable service charge and 10.5% sales tax.

SIGNS, BANNERS, DISPLAYS & DECORATIONS In order to preserve the integrity of the resort and to comply with local fire codes, all signage, displays or decorations and their set up shall be subject to prior approval of the resort. All signs must be professionally printed. No signs are permitted on the exterior of the building or in the lobby areas without written approval from hotel management. Printed signs should be free standing or on an easel. Easels are available to rent at $15 each or you are welcome to provide your own. Items may not be attached to walls, doors, windows or ceiling with tape, nails or staples. Hotel staff must assist in hanging banners. Applicable fees may apply. Group is responsible for removal of all decorations at the conclusion of event.

LIABILITY The Resort does not assume responsibility for personal property or equipment sent, brought into or left in the banquet and/or meeting areas prior to, during or after your banquet or meeting. Security services are required to be contracted for all exhibit shows during times when materials/equipment are unattended.

OUTDOOR EVENTS In the best interest of your guests, the Resort reserves the right to relocate any event indoors in the event of inclement weather. This decision is to be made at least 4 hours prior to scheduled event and will be based on weather conditions obtained from the National Weather Service. Music at outdoor locations must maintain a reasonable volume and must conclude by 10:00 PM. No china or glass wear is permitted in close proximity to the pool areas. Disposable plates, cups, etc...will be utilized. The Resort has minimal lighting outdoors. After 6:00 PM, lighting may be necessary at an additional charge.

SHIPPING & RECEIVING Due to local fire regulations and limited storage space we ask that you route inbound/outbound freight for exhibit and conference materials through a Drayage Company. Otherwise, should packages be sent directly to the resort the following handling fees will apply: $10 per package, $20 per package over 50lbs, $150 per pallet. To ensure efficient delivery please label all packages with guest (recipient’s) name as well as the conference name and date. Conference materials will be accepted by resort no more than 3 days prior to arrival.

ROOM SETUP A $200 fee will apply when a change in setup is required to accommodate numerous events in one location on the same day. A $200 fee will be apply for any significant changes made to the room setup on the day of the event not previously included on the banquet event order.

AUDIO VISUAL SERVICES The Resort has an exclusive agreement with PRESENTATION SERVICES to provide all Audiovisual Equipment, Technical Services, Labor and Support within the Resort. Any Audio-visual Equipment, Technical Services, Labor and/or Support Provided by an outside Contractor, a Surcharge totaling 22% of the charges for such equipment and services will be posted to the Group's Master Account. To protect the quality and integrity of our in-house systems, outside audiovisual companies are not permitted to directly patch into our house sound system. Microphones and any other equipment patched into our house system must be rented through Presentation Services. Audio visual equipment is subject to a 22% service charge and applicable taxes. Any cancellation of equipment must be 72 hours prior to event, otherwise charges will occur.

Kingston Plantation does not allow for or provide any facility for built-in rigging, hang points or structural supports. Outside audiovisual companies are not permitted to hang any equipment from the in-house fly points or other structural supports built into the facility without contacting Presentation Services. Presentation Services will qualify and perform all rigging services in the hotel. A fee will be charged for the use of facility supports at a rate of $165 per hang point per day. Applicable rigging hardware, motors, lifts, qualified labor and miscellaneous accessories are to be provided by Presentation Services and billed at prevailing rates. Insurance regulations do not allow Kingston Plantation to provide usage of any internal equipment such as ladders or scissor lifts, etc...

EXIBITOR INFORMATION If a dedicated phone or modem line, hardwire internet service or electrical services are needed, exhibitors must submit and order form with a valid credit card number 21 days prior to arrival. Said forms may be obtained by your conference service manager upon request.
