The meeting was held on Saturday, February 2, 2019 at Fairfield High Preparatory School in Fairfield, AL. The presiding officer, Soror Manessa Wilson, and the secretary, Soror Miriam Blankenship, were present. The minutes of the January 5, 2019 meeting were approved with no corrections.

The meeting was called to order by Soror Manessa Wilson, Basileus at 8:31 am. The meditation was given by Soror Raven Moore, Chaplain. The agenda was adopted with the following corrections and additions:

1. Soror Brooke Adams will give a Valley Pearls Service Foundation report.

There are 348 sorors on roll with 220 members present and 4 visiting sorors . See attached attendance list.

REPORTS OF OFFICERS Basileus: Summary of report filed as read: (C) Soror Manessa Wilson • A special thank you to the Membership Committee, Soror Tracey Morant Adams, and all other collaborating committees and chapter members who contributed to making our AKA Reactivation Day such a huge success! • The first inaugural South Eastern Region President’s Retreat was held on January 18 - 19. A plethora of information was shared for effective chapter operations. Upcoming dates of activities shared by the Regional Director were: . Undergraduate Roundup will be held September 6 - 7, 2019 in Birmingham, AL. All members of chapters’ Graduate Advisor Council will be allowed to register. . The 88th South Eastern Regional Conference will be held in Knoxville, TN. • The Joint Founders’ Day Luncheon is today at the BJCC. • Regular registration for the 87th South Eastern Regional Conference has ended; late registration ends on February 5. Newly reactivated sorors will be allowed to register, without incurring a late fee, if the corporate office has updated their profile status to active before February 5. • Sorors Venita Wesley, Michelle Harris, and Eunice Rogers are serving in co- chair capacities for the Joint Founders’ Day Luncheon and are at the BJCC preparing. They will receive credit for today’s chapter meeting.

Soror Michelle Sallie Lee made the motion that the 2019 late fees be due by February 15, to be in compliance with the corporate office’s extended deadline of February 22. Soror Tracey Morant Adams seconded the motion.

Discussion: Is this a contradiction to the bylaws? Our bylaws can not contradict the directives of the corporate office, so this motion will help the chapter conform to what the national office has asked. In addition, this is only a one time case.

(Action Required) Anti-Basileus/Program: Summary of report filed as read: (C) Soror Cynthia Todd • Target 1: HBCU for Life (TaShonda Lewis Taylor: chair and Rae-Ann Spears: co-chair) o The committee will be attending Senior Day at the Miles vs. Tuskegee basketball game on Saturday, February 9. o Please report any HBCU donations to Soror TaShonda Lewis Taylor. o All sorors are encouraged to donate $35 annually to the HBCU endowment, per our Supreme Basileus. o The Biggest Giver Fundraiser has been canceled. • #CAP (College Admissions Process) (Margie Curry and Miriam Blankenship: co-chairs) o The committee partnered with Carver High School on January 23 on their FAFSA Day of Assistance and on January 30 with the student workshop. • Target 2: Women’s Healthcare & Wellness (Jerri Haslem: chair and Jamie Bell: co-chair) rd o The committee supported the 3 Annual MLK Day 5K Drum Run on January 19. o The Pink Goes Red in support of Heart Health Awareness was held on February1 at Spare Time Bowling. • Care for the Caregivers (Moriea Lewis and Bettie Cogman: co-chairs) o The committee will participate in a birthday celebration for the attendees at the McCoy Adult Daycare Center on February 19. • Target 3: Building Your Economic Legacy (Jan Williams, Selena Rogers Dickerson, and Maria Flournoy: co-chairs) o If you are a business owner, please submit your information to Soror Jan Williams. The committee is in the process of putting together an Upsilon Eta Omega business directory. o UEO supported our very own Soror Iyishia Jones in a closed event at her Ishi? Boutique. • Target 4: The Arts! (Debborah Barnes: chair, Casi Ferguson and LaToya Jones: co-chairs) o The committee is planning an art competition for the Fairfield School System during Black History Month. • Target 5: Global Impact Sakeena Smith: chair and Kimberly Bishop: co-chair) o The committee will be partnering with the Literacy Council of Central Alabama on their ESOL Family Literacy Program on February 5 at CJ Donald Elementary School from 3 pm until 5 pm. • Pillowcase Project (Wanda Jackson: chair) o The committee held its second sewing activity on January 19. • Collaborations Committee (Veronica Ellison: chair and Sharon McGrue and Wendy Hicks: co-chairs) o The Dr. Martin Luther King, Jr. International Day of Service Community Impact Day was observed on January 21 at CJ Donald Elementary School. Over 100 sorors participated in packaging weekend meals for Fairfield City School students. • The 2019 UEO Program Book was distributed in the Weekly Announcements. • Dr. Jamie Bell gave a 2 minute talk on Heart Health: o The number 1 cause of death of women is heart disease. . 1 in 3 women will die due to heart issues. o Your blood pressure has two numbers: the top number should be below 140 and the bottom should be below 90. o Make sure to see a doctor, whom you can talk freely with, at least once a year. . Many women have no symptoms. . Know your body. o Love Yourself and Love Your Heart!

The Scholarship Committee recommends that the application be revised to state “ Eligible candidates must be a student in the last semester of high school. Candidates must have a 3.0 cumulative grade point average on a 4.0 scale, enroll in an accredited 2 year or 4 year College or University following graduation and attend a mandatory meeting.”

Soror LaKorya Jackson • February is EAF month. (EAF) • Please see Soror Rita Patterson to make your $10 EAF donation.

o Once you make a donation, you will be entered in a drawing to receive the first UEO Pearl Box (filled with a plethora of AKA paraphernalia and pink/green merchandise).

Soror Sakeena Smith • Collection of shoes and eyeglasses will begin in March and end in (Global Impact Committee) November. The collection dates will be based on last names. • Each soror is asked to bring 1 pair of shoes and glasses to the regional conference. Every other donation should be made through the chapter’s donation days.

Soror Nadine Reese • Thank you to everyone who helped make the Reclamation Day a huge (Membership Committee) success. • We reclaimed 111 sorors on January 15 and over 120 for the month of January!!!

• New Chapter Member Orientation is scheduled for February 24. More

details are forthcoming.

• Please make sure that everyone fills out their profile sheet.

• If you are new to the chapter, please see Soror Nadine after the chapter meeting to ensure your name is spelled correct. Soror Wanda Jackson • Each committee is challenged to make 20 dresses. (Pillowcase Project) • The next “Sew and Chew” will be held on February 9 at New Pilgrim Towers. You do not need any sewing experience.

Soror Cheryl Kidd • The committee has gained $22,000 in commitments from 3 sorors for the (Valley Pearls Service Foundation) Pink on the Green Golf Fundraiser.

o To ensure the fundraiser is a success, the committee is in need of graphic artists, PR specialists, social media specialists, and logistics specialists. Please contact Soror Cheryl at [email protected] to volunteer.

Soror Brooke Adams • If you want to buy or sell a Founders’ Day Ticket luncheon, please see Soror Brooke immediately after the chapter meeting.

Soror Michelle Sallie Lee • The Benevolence Fund has been created to help sorors who have financial (Basilei Council) struggles staying active. • Please consider donating to the benevolence fund. Although donations will be taken at any time throughout the year, February and March are the months designated for donations.

Soror Davita Jefferson King • There will be photos taken immediately after the chapter meeting of all (Ivy Leaf Reporter) reactivated sorors.

• The NPHC Pancake Breakfast will be held on March 2 from 7 am until 9 am Soror Alicia Tarver at Applebee’s. Please see Rita Patterson to purchase your $5 tickets. (NPHC)

1. Thank you for your cooperation in adjusting the February chapter meeting time to accommodate those who attended the Joint Founders’ Day Luncheon, and for the chapter participation shown through attendance at the luncheon. Sorors Eunice Rogers, Patricia Staton, and Venita Wesley, and Michelle Harris served in different capacities at the luncheon, and therefore could not attend chapter meeting; they will receive meeting credit for the February 2 meeting.

2. Soror Tracey Morant Adams is currently attending Spring Directorate meeting and cannot be in attendance with us today; she will receive meeting credit for today’s meeting.

3. The Founders’ Day Committee will present a program before chapter meeting on March 2, at 8:30 am, with Rededication to follow at 9:00 am. Please remember that Rededication is a ritual, and therefore no pants are allowed. Chapter meeting will begin at 9:30 am, and regional conference delegate training will take place immediately following chapter meeting.

4. The 87th South Eastern Regional Conference will be held in Mobile, AL, March 7-10, 2019. Please note the weekly announcements for information regarding the chapter dinner, service project, and other pertinent information.

5. AKA Day at the Capitol regular registration in now open and may be accessed through the South Eastern region’s website under the Online Store tab; the cost is $45 through April 9.

6. Registration is also now open for the 2019 Leadership Seminar to be held in Nashville, TN, June 26-30, 2019. Registration cost is $295 through March 31, after which the cost will be $325 through April 15.

7. All end-of-year reports should have already been submitted by now, however if you have any EOY books that are due in to the Standards Committee please remember to submit those as soon as possible.

8. All committee chairs please remember to provide ample meeting notice to your committee members when scheduling a meeting, as well as provide an agenda prior to the actual meeting. Also please remember to provide two signed copies of your report when reporting at the executive board and chapter meetings.

9. A Philacter Ad Hoc Committee has been established; Soror Felicia Jolly will chair this committee; committee members are Sorors Kiyana Bell, Veronica Ellison, Lori Harris, Angela Kirkwood, Michelle Sallie Lee, Elaine Mosley, Danielle Ridgeway, and Tareya Witt.

10. It is my recommendation that the chapter implement one additional ad hoc committee:

Spiritual Oversight Committee- this committee will operate in compliance with the sorority’s International Spiritual Oversight Committee by providing assistance as needed to the chapter and Basileus. This committee would be chaired by our chapter’s Chaplain, Soror Raven Moore, and would provide services such as individual member’s prayer needs, as well as a monthly chapter prayer call.

1. Target 1 - HBCU for Life a. Soror Tashonda Lewis-Taylor (Chair) & Soror Rae Ann Spears (Co-Chair) b. The HBCU for Life Committee supported HBCU’s by attending Senior day at the Miles vs Tuskegee basketball game on Saturday, February 9, 2019 at 3:00 PM at Miles College. Sorors and students enjoyed the event! c. Per request from Madam Supreme Basileus Soror Glenda Glover, all Sorors are encouraged to donate $35 annually to the HBCU endowment to reach our overall goal of $10 million. As of February 19th, our chapter donations equal $155.05 d. Please report any HBCU donations that you have made to our HBCU for Life chair, Soror Tashonda Lewis-Taylor – [email protected]. Donations include, but are not limited to, direct college donations, alumni association dues, car tags, etc. You may make checks payable to VPSF to cover your annual HBCU donation.

2. #CAP (College Admissions Process) Signature Program: a. Soror Margie Curry and Soror Miriam Blankenship (Co-Chairs) b. The #CAP committee hosted additional FAFSA workshops at Carver High School on February 21 and February 25. The next FAFSA workshop at Carver High School will be March 7th from 8:30 am until 1:00 pm. Committee members are needed to assist students inputting information and to make calls to parents to encourage them to fill out the FAFSA.

3. Target 2 - Women's Healthcare & Wellness a. Soror Jerri Haslem (Chair) & Soror Jamie Bell (Co-Chair) b. The Women’s Health Committee & chapter members supported Pink Goes Red in support of Heart Health Awareness on February 1, 2019 from 6:00 PM to 8:00 PM at Spare Time Bowling in Trussville. Chapter members turned out in record numbers to support this program target.

4. Care for the Caregivers a. Soror Moriea Lewis, Soror Bettie Cogmon (Co-Chairs) b. Care for the Caregivers Committee hosted a Birthday Celebration for attendees at the McCoy Adult Daycare Center on Tuesday, February 19, 2019 from 2:30 PM to 4:00 PM. Sorors spent time getting to know each client and sang songs, including the famous "Happy Birthday." This will be a year-long event where sorors will gather quarterly to present cupcakes, ice cream, chips, and gifts as part of the Women’s Health Initiative. c. The Care for the Caregivers Committee will meet on March 12, 2019, at 5:30 PM at the Southside Police Precinct. The address is: 1320 19th St. South Birmingham, Al 35205.

5. Target 3 - Building Your Economic Legacy a. Soror Jan Williams, Soror Selena Rodgers Dickerson, Soror Maria Flournoy (Co-Chairs) b. Upsilon Eta Omega's Basileus, Manessa Wilson, and Anti-Basileus Cynthia Todd represented the chapter at the 15th Annual A.G. Gaston Conference and Sponsors Reception on Tuesday, February 12, 2019 in Birmingham, AL. This year's theme was, "Bringing the Discussion of African-American History, Politics, and Quality of Life to the Forefront." The purpose of the conference was to promote the legacy of business icon Dr. Arthur George Gaston and to promote strategies that lead to black economic empowerment, one of the five program targets for Alpha Kappa Alpha Sorority, Incorporated. c. Building Your Economic Legacy Committee will meet Thursday, February 28, 2019, at 5:30 pm at Sarcor, LLC - 2112 12th Ave. N, Birmingham, AL

6. Target 4 - The Arts! a. Soror Debborah Barnes (Chair), Soror Casi Ferguson, Soror LaToya Jones (Co-Chairs) b. March is Women's History Month and The Arts! Committee will spotlight UEO sorors that have made significant contributions in the local community in the areas of dance, sculpture, painting, literature, music, and performing arts. If you would like to nominate yourself or another soror to be featured, please send a short bio and photo to Soror Kristin Hogans at [email protected]. The deadline to submit entries is March 7, 2019.

7. Target 5 – Global Impact: Pillow Case Project a. Soror Sakeena Smith (Chair) & Soror Kimberly Bishop (Co-Chair) b. Global Impact partnered with The Literacy Council of Central Alabama on their ESOL Family Literacy Program on February 5, 2019 at CJ Donald Elementary from 3:00 to 5:00 PM. Committee members assisted by reading the book,

The Boy Who Harnessed the Wind, to the students, as well as assisted them with a craft activity. Refreshments were served to the students and parents, and each family received a copy of the book to take home. c. The Global Impact committee will be collecting new or gently worn women’s, men’s, and children’s shoes – heels, flip flops, sandals, and boots are all welcome. The shoes will be donated to Soles 4 Souls to help empower women in developing countries. In addition, the committee will also collect women’s, men’s, and children’s prescription glasses and readers to be donated to Lions Club International. Please adhere to the donation schedule for the appropriate chapter meeting to bring items based on last name. For example, for the March 2nd chapter meeting, last name A-F are encouraged to bring shoe and eyeglass donations.

8. Pillowcase Project Initiative: a. Soror Wanda Jackson (Chair) b. The Pillowcase Project Committee held a "Sew & Chew" on Saturday, February 9th at New Pilgrim Towers from 9:00 AM to 2:00 PM and "Sew on the Road" Saturday, February 23rd in Jemison, AL from 10:00 AM to 3:00 PM. Many thanks to all Sorors who participated! c. The next opportunity to everyone to participate on the Pillowcase Project will be March 16, 2019 at New Pilgrim Towers from 9:00 am - 2:00 pm. d. Please be reminded of the 20-dress quota that each committee is challenged to contribute to the Pillowcase Project effort!

9. Collaborations Committee a. Soror Veronica Ellison (Chair),Soror Sharon McGrue & Soror Wendy Hicks (Co-Chairs) b. The Collaborations Committee sponsored a free Mardi Gras Social for residents of the . Clyde Williams Terrace facility on Friday, February 22 from 6:00 to 8:00 PM. Committee members served refreshments, provided decorations, and engaged the residents with music, dancing, and fun!

10. Scholarship Committee a. Soror Jamesel Lewis (Chair), Soror Corvetta Van and Soror Joy Thompson Smith (Co-Chairs) b. Upsilon Eta Omega chapter and the Valley Pearls Service Foundation will sponsor a Scholarship Workshop on Sunday, March 3, 2019 at 4:00 PM at Miles College -- George T. French Student Activity Center in Fairfield, AL. Students are encouraged to attend to learn interviewing tips, dressing for success, applying for Financial Aid, college application process, and much more.

11. Joint Founders’ Day Project a. Chapter Sorors participated in the Joint Founders’ Day Observance service activity on February 16, 2019 in partnership with Project Homeless Connect and Hands On Birmingham at Boutwell Auditorium. ● Congratulations Soror Autumn! Soror Autumn attended the Black Legacy Luncheon for the Chapter of Phi Delta Kappa, Incorporated. There she received the Education Award of the Year for her work and strides in the field of education. Not only does this body recognize and award success in education and our community, they provide college scholarships for students majoring in education (which she received years ago). March 2, 2019

The Budget & Finance Committee met at the home of Soror Deborah Hawkins on Saturday, February 16, 2019 with 15 committee members in attendance. Mediation and prayer was provided by Soror Brenda Adams. A subsequent meeting was held, via conference call, on Monday, February 28, 2019.

The committee discussed the chairperson requests, activities and operational necessities for the remainder of 2019 for the purpose of preparing the adjustment to the 2019 budget at both meetings.

A subcommittee was formed to review and update the Chapter’s Financial Guidelines.

RECOMMENDATION: THE BUDGET & FINANCE COMMITTEE RECOMMENDS THE APPROVAL OF THE 2019 BUDGET PROPOSAL. (see attached)

Alpha Kappa Alpha Sorority, Inc. Upsilon Eta Omega Chapter Chapter Meeting Report Sisterly Relations Committee Meeting Saturday, March 2, 2019

The meeting was called to order at 6:06 p.m. by Soror Vergie Davis.

Prayer by Soror Beverly Graham

Adoption of the agenda was moved by Soror Manessa Wilson and properly seconded by Soror Doris Bentley. Soror Vergie Davis provided the purpose of the meeting and committee. The committee is to promote sisterly bonds that help bridge the gap and build sisterly relationships amongst all ages. We are also to provide love, support and to make all sorors feel welcome at all times. Warm greetings will help keep our members that were gained. Committee chair and co-chairs introduced themselves and greeted all members. Soror Vergie announced that we were in search to find a new venue after we were informed that the Hyatt was already booked for that date. She gave the floor to the Chapter President Soror Manessa Wilson to explain the breakdown of cost for each venue (The Harbert Center, Ross Bridge, Watermark Place, Marriott 280, and the Sheraton). After carefully discussing the details about the cost, parking, possible weather conditions, and food options. Ticket prices can range anywhere from $30 –up. We were reminded that the committee gift was the $15 ticket last year. It was brought to our attention by Soror Bianca that we should think about only sorors who purchase tickets for the brunch will receive a gift. A motion was given to accept, the Marriott 280 offer for the brunch because of the price, no down payment, and parking. The motion was carried by Soror LaToya Jones and seconded by Soror Doris Bentley. The picnic was the next order of business Sorors Latonya Hinton and Beverley Graham gave a report of prices and availability. Vestavia Park is available for May 4, 2019. Also Avondale Park is available we will have to give numbers of how many will attend before prices will be disclosed. Vestavia will charge $50 per hour with a minimum of 2 hours, both parks can only accommodate 100 people. Soror Doris Bentley suggested the Shields building off of Tallapoosa. She will contact them and disclose information to Soror Vergie. Soror LaTonya will also check Black Creek Park in Fultondale for accommodations as well. Also the person to contact for Birmingham City parks is Angie Thomas. The floor was given to Soror Nadine, Chair of Membership to discuss having a new members celebration, honoring charter members, and silver/golden sorors. The event for silver/ golden sorors and charter members will

be hosted together in the April chapter meeting. Committee members discussed having a luncheon to honor them after sorority meeting in conjunction with the celebration. Also committee members discuss ways to help promote sisterly bonds with sorors. Sorors who live in the same area will host a sisterly outing in their area for the entire chapter. A list of committee members and names were compiled for four areas Western, Northern, Eastern, and Southern. Dates for each area were made as well and outings. Outings will consist of Movie night, Dave and Busters, and Dinner and Riverboat ride and one undecided at this time. Therefore, the Sisterly Relations Committee recommends that our Christmas Brunch be held at the Marriot 280 on December 7th from 8:00 a.m.-12:00 p.m. Meeting was adjourned at 7:56 by Soror Vergie Davis.

Requests from the Executive Board

The Executive Board met Thursday, February 21, 2019 at 6:00 p.m. at Birmingham City Hall.

• All officer reports received were filed as read. • The following committees gave reports: Budget & Finance, Health, Sisterly Relations, Founders’ Day, #CAP, and Global Impact

RECOMMENDATIONS: The following recommendations were made at the February 21, 2019 Executive Board Meeting:

Recommendation #1: Soror Michelle Sallie Lee recommends that the Basileus establish a Spiritual Oversight Committee - this committee will operate in compliance with the sorority’s International Spiritual Oversight Committee by providing assistance as needed to the chapter and Basileus. This committee would be chaired by our chapter’s Chaplain, and would provide services such as individual member’s prayer needs, as well as a monthly chapter prayer call.

Recommendation #2: The Budget and Finance Committee recommends the approval of 2019 Operating Budget Proposal Addendum 1.

Recommendation #3: The Health Committee recommends the chapter implement a 6-month “Walking with the Supreme” health initiative, to take place March 18- September 26, 2019, on Monday/Tuesday/Thursday of each week for one hour. AARP will sponsor bottled water and towels to promote this activity for the program’s entirety.

Recommendation #4: The Sisterly Relations Committee recommends that the chapter move the December Christmas Brunch venue to the Birmingham Marriott – Hwy 280.

Recommendation #5: The Pecunious Grammateus moved that Five (5) Sorors who paid $345 before the January 15th deadline have $145 moved to Valley Pearls Service Foundation towards their 2019 Assessment.

Pillowcase Project Committee Chapter Meeting Report March 2, 2019

The Pillowcase Project Committee has held three sewing activities this year. A challenge was issued to all of the chapter committees (Operating, Standing, and Program) to make twenty (20) dresses. This committee has discussed how to effectively achieve the one thousand (1,000) dresses and shirts to be donated to Haiti in the name of Upsilon Eta Omega. This committee is under Target , Global Impact and we feel one thousand dresses/shirts will have some small impact to the children in Haiti. How did the committee arrive at the number 1,000? At the time there were more than 340 sorors on the active roster for 2019. We determined that three dresses made by each chapter member would easily take us over 1,000. Now that we are more than 350 strong, it’s no doubt we will achieve that goal with each making three dresses. The three does not include the committee’s twenty. We invite all sorors to join us at our sewing activities to learn the process. By attending the activity, Sorors, you will learn how to make the dresses and be able to assist your committee in completing their twenty and your three. We know everyone does not sew, but you may know a family member or friend who may be willing to make them for you.

We have tried to make our sewing dates full of fun, good fellowship and bonding with a new soror. Our goal at each activity is to complete no less than twenty dresses. We are truly teaching non-sewing sorors how to make the dresses. Please don’t let these sewing dates be the only time you will sew. Invite your family and friends to bring their sewing machines and come out and sew with us. You will read in the weekly announcements of the next upcoming sewing dates and if a soror spontaneously wishes to host us as Soror Moreia Lewis did last weekend, we will try to make it happen. We were productive, had a ball and a great lunch. Thanks again, Soror Moe, for hosting us.

Thank you to Soror Jamsel Lewis for allowing us to use the activity room at New Pilgrim Towers each month and thank you to Soror Malera Traylor Wright for ordering the dress labels. The labels read “Lovingly Made by Upsilon Eta Omega.” We look forward to seeing you on March 16th from 9am – 2pm at New Pilgrim Towers.
