The meeting was held on Saturday, March 2, 2019 at Fairfield High Preparatory School in Fairfield, AL. The presiding officer, Soror Manessa Wilson, and the secretary, Soror Miriam Blankenship, were present. The minutes of the February 2, 2019 meeting were approved with no corrections.

The meeting was called to order by Soror Manessa Wilson, Basileus at 9:30 am. The meditation was given by Soror Raven Moore, Chaplain. The agenda was adopted with the following corrections and additions:

1. Soror Karla Barnes will give the Scholarship announcement. 2. The Pillowcase Project Report will be read by Soror Michelle Sallie Lee.

There are 361 sorors on roll with 234 members present and 2 visiting sorors . See attached attendance list.

REPORTS OF OFFICERS Basileus: Summary of report filed as read: (C) Soror Manessa Wilson • Thank you for your cooperation in adjusting the February chapter meeting time to accommodate the Joint Founders’ Day Luncheon. Sorors Eunice Rogers, Patricia Staton, Venita Wesley, and Michelle Harris served in different capacitates at the luncheon, and therefore could not attend chapter meeting; they will receive credit for the February 2 chapter meeting. • Soror Tracey Morant Adams is currently attending Spring Directorate meeting and cannot be in attendance with us today; she will receive credit for today’s meeting. • The Founders’ Day Committee presented a program today at 8:30 am. Rededication followed at 9:00 am. Regional delegate training will take place immediately following the chapter meeting. • The 87th South Eastern Regional Conference will be held in Mobile, AL from March 7 - March 10. Please note the weekly announcements for information regarding the chapter dinner, service project, and other pertinent information. • Regular registration for AKA Day at the Capitol is now open. The cost is $45 through April 9. • Registration is now open for the 2019 Leadership Seminar, which will be held in Nashville, TN from June 26 - June 30. Registration is $295 through March 31, after which the cost will be $325 through April 15. • All end of year reports should have already been submitted. If you have any EOY books, please submit them to Standards as soon as possible. • All committee chairs please remember to provide ample meeting notice and an agenda to your committee members when scheduling a meeting. Also, provide two signed copies of your report when giving a report at executive board and chapter meeting. • A Philacter Ad Hoc Committee has been established. Soror Felicia Jolly will chair the committee. Committee members are Sorors Kiyana Bell, Veronica Ellison, Lori Harris, Angela Kirkwood, Michelle Sallie Lee, Elaine Mosley, Danielle Ridgeway, and Tareya Witt. • It is my recommendation that the chapter implement one additional ad hoc committee: Spiritual Oversight Committee: this committee will operate in compliance with the sorority’s International Spiritual Oversight Committee by providing assistance as needed to the chapter and Basileus. This committee would be chaired by our chapter’s Chaplain and would provide services such as an individual members’ prayer needs, as well as a monthly chapter prayer call. o Taken up in Executive Board report

(NO Action Required) Anti-Basileus/Program: Summary of report filed as read: (C) Soror Cynthia Todd • Target 1: HBCU for Life (TaShonda Lewis Taylor: chair and Rae-Ann Spears: co-chair) o The committee supported HBCUs by attending the Miles vs. Tuskegee basketball game on Saturday, February 9. o All sorors are encouraged to donate $35 annually to the HBCU endowment, per our Supreme Basileus. As of February 19, the chapter has donated $155.05. o Please report any HBCU donations to Soror TaShonda Lewis Taylor. • #CAP (College Admissions Process) (Margie Curry and Miriam Blankenship: co-chairs) o The committee hosted additional FAFSA workshops at Carver High School on February 21 and February 25. The next FAFSA workshop will be held on March 7 from 8:30 am until 1:00 pm at Carver High School. • Target 2: Women’s Healthcare & Wellness (Jerri Haslem: chair and Jamie Bell: co-chair) o The Pink Goes Red in support of Heart Health Awareness was held on February1 at Spare Time Bowling. • Care for the Caregivers (Moriea Lewis and Bettie Cogman: co-chairs) o The committee participated in a birthday celebration for the attendees at the McCoy Adult Daycare Center on February 19. o The next committee meeting will be held on March 12 at the Southside Police Precinct at 5:30 pm. • Target 3: Building Your Economic Legacy (Jan Williams, Selena Rogers Dickerson, and Maria Flournoy: co-chairs) o Sorors Manessa Wilson and Cynthia Todd represented the chapter at the 15th Annual A. G. Gaston Conference and Sponsors Reception on February 12. o The next committee meeting will be held at SARCOR on February 28 at 5:30 pm. • Target 4: The Arts! (Debborah Barnes: chair, Casi Ferguson and LaToya Jones: co-chairs) o March is Women’s History Month. The Arts! Committee will spotlight UEO sorors that have made significant contributions in the local community in the areas of dance, sculpture, painting, literature, music, and performing arts. • Target 5: Global Impact (Sakeena Smith: chair and Kimberly Bishop: co-chair) o The committee partnered with the Literacy Council of Central Alabama on their ESOL Family Literacy Program on February 5 at CJ Donald Elementary School. o The committee will be collecting new or gently worn women’s, men’s, and children’s shoes to donate to Soles 4 Souls. In addition, the committee will also collect women’s, men’s, and children’s prescription eyeglasses and readers to donate to Lions Club International. For the March chapter meeting, sorors with the last names A - are encouraged to bring donations. • Pillowcase Project (Wanda Jackson: chair) o The committee held a “Sew and Chew” on February 9 at New Pilgrim Towers and a “Sew on the Road” on February 23. o The next sewing event will be held on March 16. o Please be reminded of the 20 dress quota that each committee is challenged to contribute to the Pillowcase Project effort. • Collaborations Committee (Veronica Ellison: chair and Sharon McGrue and Wendy Hicks: co-chairs) o The committee sponsored a free Mardi Gras Social for residents of the . Clyde Williams Terrace Facility on February 22. • Scholarship Committee (Jamesel Lewis: chair and Corvetta Vann and Joy Thompson Smith: co-chairs) o UEO and the Valley Pearls Service Foundation will sponsor a Scholarship Workshop on March 3 at Miles College. Students are encouraged to attend to learn interviewing tips, dressing for success, applying for Financial Aid, college application process, and much more. • Joint Founders’ Day Project o Chapter sorors participated in the Joint Founders’ Day Observance service activities on February 16 in partnership with Project Homeless Connect and Hands On Birmingham. • The 2019 UEO Program Book is available for viewing in the Weekly Announcements. • The Arts! Committee gave a presentation: o Soror Glenda Brown Wade read the poem “Black Rage”, an insert taken from a play Justifiable Force written by Soror Erika Wade. o Soror Doris Bentley sang “Trouble of the World” by Mahalia Jackson.

Recommendation # 1: Soror Michelle Sallie Lee recommends that the Basileus establish a Spiritual Oversight Committee.

Since the bylaws state that the Basileus can create ad hoc committees (Article VII, Section 5), there is no need for a vote. The committee will be chaired by Soror Raven Moore and have the following members: Sorors Kimberly Bishop, Kimberly Davis, Veronica Ellison, Michelle Huffman, Curtrina Jones, and Venita Wesley.

Recommendation # 2: The Budget and Finance Committee recommends approval of the 2019 Operating Budget Proposal Addendum 1.

Discussion: The standing rules need to be changed so that the Benevolent Fund money will roll over each year. The Constitution and Bylaws Committee will look into this.

Recommendation # 3: The Health Committee recommends the chapter implement a 6-month “Walking with the Supreme” health initiative, to take place March 18 - September 26, 2019, on Monday/Tuesday/Thursday of each week for one hour. AARP will sponsor bottled water and towels to promote this activity for the program’s entirety.

Recommendation # 5: The Pecunious Grammateus moved that 5 sorors who paid $345 before the January 15 deadline have $145 moved to Valley Pearls Service Foundation towards their 2019 assessment.

Soror Miriam Blankenship moved that we strike “one final” from the recommendation. The motion was seconded.

1. The 87th South Eastern Regional Conference was a huge success; congratulations to the following individual and/or chapter awards:

Martin Reactivation Award, Large Chapter 2019 Inaugural Reactivation Day Winner- Certificate of Excellence Chapter Recognition 2018-2019 Reactivation Best of the Best 2019 Educational Advancement Foundation Gold Level Recognition

Special recognition is also due to our very own UEO Step Team and the step show MC, Soror Bianca Moore, Soror Tracey Morant Adams, International Membership Chair, South Eastern regional staff members, Sorors Ayla Russell and Rukiya McClain, those who attained Financial, Graduate Advisor, and Parliamentary Institute certifications, and those who served as scanners, recorders, and conveners. And lastly, congratulations to our new Golden Soror, Soror Brenda Adams, and our new Silver Sorors, Sorors Kimberly Bates, Bridgette Jordan, and Mikki Skanes!

2. AKA Day at the Capital is April 23, 2019; registration is now open on the regional website under the online store tab; the cost is $45 through April 9.

3. The 2019 Leadership Seminar will be held in Nashville, TN, June 27-30, 2019. Registration cost is $295 and has been extended through April 15, with no late fees.

4. A Spiritual Oversight Ad Hoc Committee has been established; Soror Raven Moore will chair this Committee. Committee members are Sorors Kimberly Bishop, Veronica Ellison, Michelle Huffman, Curtrina Jones, Eunice Rogers, Deborah Thomas, and Venita Wesley.

5. The chapter picnic will be held immediately following the May chapter meeting, Saturday, May 4, 2019, at Black Creek Park, 900 Yarbrough Road, Fultondale, AL. Additional information will be provided in the weekly announcements from the Sisterly Relations Committee.

6. Although I most appreciate being chosen to submit an awards book for the Vanessa Rogers Long Humanitarian Award at the next regional conference, I must now respectfully decline and permit another soror the opportunity to submit. We will hold a special election in the May chapter meeting to select a soror for the Vanessa Rogers Long Humanitarian Award and the Omega Silver Soror of the Year, for the 2020 regional conference.

7. Lastly, we share in the loss and grieve with the families of two dynamic women who passed this week: Soror Angela Jenkins, 87th South Eastern Region Parliamentarian, and Ms. Lois Coleman, affectionately known as “Mama Lois”, founder of Grace House Ministries of Fairfield, AL. Let’s continue to pray for each other and these families during this time of bereavement and beyond.

1. Target 1 - HBCU for Life a. Soror Tashonda Lewis-Taylor (Chair) & Soror Rae Ann Spears (Co-Chair) b. As of March 18, 2019, HBCU donations for our Chapter total $5,098.55. c. SERC Chapter Delegates demonstrated their commitment to EAF - HBCU For Life through personal donations totaling $800. Many thanks to UEO delegates for answering the call of our Supreme Basileus! d. HBCU For Life Committee collaborated and participated in the #CAP FAFSA workshop program at Carver High School on March 3rd. e. Please continue to report any HBCU donations that you have made to our HBCU for Life chair, Soror Tashonda Lewis-Taylor – [email protected]. Donations include, but are not limited to, direct college donations, alumni association dues, car tags, etc. In addition, you may make checks payable to VPSF to cover your annual HBCU donation of $35.

2. #CAP (College Admissions Process) Signature Program: a. Soror Margie Curry and Soror Miriam Blankenship (Co-Chairs) b. The #CAP committee hosted a FAFSA workshop at Carver High School on March 7th from 8:30 am to 1:00 pm.

3. Target 2 - Women's Healthcare & Wellness a. Soror Jerri Haslem (Chair) & Soror Jamie Bell (Co-Chair) b. The Women’s Health Committee has planned a “Walking with the Supreme” chapter initiative at Railroad Park which began Monday, March 18th. The weekly schedule is as follows: i. Mondays 6PM - Soror Moriea Lewis ii. Tuesdays 6PM - Soror Sherrill Alexander iii. Thursdays 6AM - Soror Jerri Haslem Everyone (sorors & guests) is invited to join. Each session is one hour and you do not have to walk the entire time.

4. Care for the Caregivers a. Soror Moriea Lewis, Soror Bettie Cogmon (Co-Chairs) b. The Care for the Caregivers Committee hosted a Cookie Bake event on Tuesday, March 19, 2019 at Ronald McDonald House. Committee members baked Cookies for the House Guests to serve as the Caregivers’ evening snack. c. Care for the Caregivers committee will meet April 16, 2019 at 6:00 PM via Conference Call {Call # 1(319) 527- 3511, Pass Code 575989#}

5. Target 3 - Building Your Economic Legacy a. Soror Jan Williams, Soror Selena Rodgers Dickerson, Soror Maria Flournoy (Co-Chairs) b. Building Your Economic Legacy committee hosted VITA (Volunteer Income Tax Assistance) program at Trinity Baptist Church on Saturday March 30, 2019 from 8:30 AM to 12:00 noon. The committee greeted guests, provided snacks and assisted tax preparers with various tasks.

6. Target 4 - The Arts! a. Soror Debborah Barnes (Chair), Soror Casi Ferguson, Soror LaToya Jones (Co-Chairs) b. March was Women's History Month and The Arts! Committee spotlighted UEO sorors who have made significant contributions in the local community in the areas of dance, sculpture, painting, literature, music, and performing arts: i. Soror Bernadette Hudson featured for her contributions to Dance. ii. Soror Michelle Harris featured for her contributions to Art. iii. Soror Jolanda Green featured for her contributions to Music. c. The Arts! concluded the 2019 Lois Mailou Jones Black History Month Art Contest. This year’s theme was, “The Harlem Renaissance: A Social Documentary Through Art”. The winning entry will be on display at the April chapter meeting and the young artist will be awarded as well. d. The Arts! Committee will make pillowcase dresses at New Hope Baptist Church on April, 27 from 9 to 2pm. Sorors on the committee are asked to purchase some items and bring sewing machines.

b. The Global Impact committee is collecting new or gently worn women’s, men’s, and children’s shoes – heels, flip flops, sandals, and boots – to be donated to Soles 4 Souls to help empower women in developing countries. In addition, the committee will also collect women’s, men’s, and children’s prescription glasses and readers to be donated to Lions Club International. Please adhere to the donation schedule for the appropriate chapter meeting to bring items based on your last name. For the April 6th chapter meeting, last names G-K are encouraged to bring shoe and eyeglass donations. c. As of 3/20/19, our Chapter has collected the following: i. 65 pairs of shoes 1. Of which 24 were donated at our March Chapter meeting ii. 10 eyeglasses d. Our next International Community Impact day is Friday, April 12th – Global Impact Day and Sorority will host an international shoe drive to assist in this effort. Details are as follows: i. AKA has partnered with Soles4Souls to empower women in emerging nations with the opportunity to start and sustain small business to help them step out of poverty. For every pair of shoes sold, a woman entrepreneur can provide 5 meals for themselves and their family. ii. Through this partnership, the sorority has committed to donating 500,000 pairs of new and gently worn shoes over four years. iii. UEO will be hosting a local shoe drive in the metro Birmingham area with 3 drop off locations: 1. Downtown at the law offices of Tyree Hyche and Dixon located in the Historic Massey Building at 2025 3rd Avenue North (9 AM to 5 PM) 2. Hoover at CakEffect located in the Village at Brock’s Gap (4 PM to 6 PM) 3. Ensley at the Club House of the Lowriders Motorcycle Club located at 600 17th St (4 PM to 6 PM)

8. Pillowcase Project Initiative: a. Soror Wanda Jackson (Chair) b. The Pillowcase Project Committee held 3 sewing activity days since the March chapter meeting. c. On March 16th, the committee had a record breaking number of 27 sorors to assist in making dresses. d. The April 20th sewing date has been cancelled due the Chapter sponsored Easter Egg Hunt. e. The next sewing activity date is May 10, 2019 at New Pilgrim Towers from 9:00 am - 2:00 pm. All chapter members are welcome. f. The committee has completed approximately 100 little dresses so far!

The Collaborations Committee held its 2nd Annual Mardi Gras Celebration in honor of the residents of W. Clyde Williams Terrace on Friday, February 22 from 6:00 to 8:00 PM. The Collaborations Committee promoted the sorority's heart health initiative (Target 2) through line dancing with the residents. c. The Annual Easer Egg Hunt collaboration with Omega Phi Fraternity Inc. will be held on Saturday, April 20, 2019 from 10:00 AM to 2:00 PM at Lawson State Community College. The Collaboration Committee is asking each Soror to donate one pre-filled Easter basket for this event. Collection of the Easter Baskets will start at our April Chapter meeting. 10. Scholarship Committee a. Soror Jamesel Lewis (Chair), Soror Corvetta Van and Soror Joy Thompson Smith (Co-Chairs) b. The Scholarship Committee along with Program Targets HBCU for Life and #CAP partnered with the Valley Pearls Service Foundation to sponsor a Scholarship Workshop on Sunday, March 3, 2019 at 4:00 PM at Miles College. Students received valuable information about the college application process, interviewing tips, dressing for success, applying for Financial Aid, and much more. c. Scholarship Awards Presentation and Reception will held on Sunday, April 28th at 4pm – Birmingham CrossPlex. Danny Carr, Jefferson County District Attorney will be our guest speaker.

The Executive Board met Thursday, March 21, 2019 at 6:15 p.m. at Birmingham City Hall.

• All officer reports received were filed as read. • The following committees gave reports: Budget & Finance, Global Impact, EAF, Scholarship, and 25th Anniversary • RECOMMENDATIONS: The following recommendations were made at the March 21, 2019 Executive Board Meeting:

Recommendation #1: The Global Impact Committee recommends two (2) events for the Global Impact Day:

1. The chapter implement a Letter Offering Campaign to raise awareness and concerns for World Hunger by writing Congressional Representatives. The letters will be mailed on April 12, 2019.

2. The chapter host a Community Shoe Collection for Soles 4 Souls on April 12, 2019.

Recommendation #2: The Scholarship Committee recommends $20.00 be assessed for Sorors and guests to attend the awards presentation and reception.

Technology Committee meeting report Held on March 27, 2019 6:00 p.m. via conference call Agenda:

The meeting was called to order at 6:04 pm. Prayer was given by Soror Kimberly White.

Meeting Logistics:

The need for additional assistance during chapter meetings was discussed. It was explained that a typical meeting does not call for a lot of work during the actual, since the bulk is done prior. However, when things come up and technology is needed in more than one place this will help. The following schedule was created for those that will assist Soror Kimberly during chapter meeting.

April Meeting: Sorors Kimberly White and Christina Lovelace

Sorors Kiyana Bell and Koneshia Timmons to assist with voting

May Meeting: Sorors Kimberly White, Koneshia Timmons. Kristin Hogans (request made via email)

June Meeting: Sorors Christina Lovelace and Kiyana Bell

June Meeting coverage:

Soror Kimberly White will not be at the June meeting and asked for Sorors to cover the meeting. Sorors Christina Lovelace and Kiyana Bell will cover the meeting. Soror Kimberly White will still create the PowerPoint. The covering Sorors will need to save the PowerPoint to a jump drive for use at the chapter meeting. They will get a run through during April and May’s meetings to ensure comfort.

Christmas Brunch Logistics and Equipment:

The Chapter Christmas Brunch will be held at the Marriott on 280. Technology will need to provide equipment (mic, projector, screen). A couple of options were presented.

Option 1. The Marriot allows us to bring our own equipment. We will use the chapter’s mic and projector. Using our own screen is in question. Not knowing the size and set up of the room it is not yet known if this will be sufficient.

The Marriott also offers several equipment packages as well. There are 2 that would fit our needs pending knowledge of room set up. At a maximum $250 would be spent with Marriot and at min of $170.

Option 2. Purchasing equipment. Whenever we are not in attendance at Fairfield HS. The chapter uses our own equipment. However, as the chapter has grown, it is often times not sufficient. The chapter could make a purchase of a second screen and a second projector to allow for dual projection and to have on hand to be used as needed.

2nd Projector $360, Wireless lan $110 (x2 preference), 2nd screen ($125-$200) =$595/$705 (if 2nd wireless lan is purchased)

Technology’s budget is $1500. The current items that come out of this budget are the website fees, voting, and chapter app fees. This leaves a remaining amount of $361.

A request for additional funding will need to be made to accomplish option 2.

A laptop is needed as the current laptop in use is Soror Kimberly’s personal. A request for funding will be made to make a purchase.

Voting:

To ensure that no one is able to vote outside of the parameters of chapter meeting:

• A file will be provided by the Philacter of those that have checked in by 10:00 am. Anyone arriving after 10:00 am will vote via paper ballot. • The Technology team will scrub the file and get it into the proper format to upload to the voting system. • An email blast will them be created going out to those in attendance with their voting credentials.

As an additional note

The chapter has grown to last count 366 members. Our voting package is set at the max of 250 electors. Any additional elector after 250 will be at a cost .67. This amount will be due at the time of an election.

There is not an upgrade, as we have the highest package. Anything above 250 is pay as you go. So, if/when we hit over 250, I will have to pay online the difference before the vote proceeds.

For example, if we have 260 people vote in our next election, that is 10 more than our package. I will have to pay an additional $6.70 at the time the vote is created. We will re-access if this continues to be the best voting option for the chapter.

Awards Committee Report March 21, 2019

The Awards Committee met on Monday, March 18, 2019 at The Installation at Uptown.

The meeting began at 5:40 with Prayer and establishing quorum.

We discussed that number of awards that could have been submitted (23) Graduate categories and 6 additional Program awards) versus the number submitted (7). The books that were submitted were:

2019 South Eastern Regional Conference: Award Title 1. Johnetta Walker Kelson- Basileus of the Year (Winner) 2. Delta Theta Omega - Basilei Council (Winner) 3. Ida K. Martin Reactivation (Winner) 4. Jean Tolbert-Newsletter (Winner) 5. Omicron Omega Golden Soror of the Year Award (Winner) 6. Velma Lois Jones New Soror of the Year Award 7. Walker-Rigsby Collaboration Award

The committee suggest focusing on the Overall Exemplifying Excellence Awards book and filter what is input into the other Program Awards books.

We also discussed encouraging our chapter members to become members of the NAACP and UNCF to maximize our chapter’s chances of submitting and winning those awards.

The committee will encourage the chapter and committee chairs to submit awards and continuously upload pictures to the shared Shutterfly account. Awards Committee members will closely watch the chapter’s social media accounts and newsletters to organize that information for use in awards books.

The importance of write-ups was emphasized as well as thoroughly reviewing the criteria that is sent. Although criteria are updated and sent in December, books should be created at the start of each committee’s activities and efforts for the year.

The committee plans to collaborate with other committees to have opportunities for creating awards books during their events. The Awards committee chair will attend the program chair meeting on Monday, March 25, 2019 to plan collaborative efforts.

The committee events will be announced after the next awards committee meeting. 2019 winning books will be displayed at the May Chapter meeting.

Your hard work and dedication was a wonderful representation of the outstanding service our chapter continues to provide and your creativity made us award winners at the 87th South Eastern Regional Conference.

Alpha Kappa Alpha Sorority Inc. Upsilon Eta Omega Scholarship Committee Meeting Minutes Wednesday, March 20, 2019, 5:45 p.m.

The Scholarship Committee meeting was called to order at 5:46pm.

The meeting was opened with prayer by Soror Margie Curry.

The Application sub-committee -Sorors Joy Smith, Karen Williams and Linda Nelson review application packets on Monday, March 18th. We received twelve application packets. Of the twelve, nine packets were complete. We received one application packet from a Hoover High student, which is not one of our recognized schools. Soror LaToya Jones has received more scholarship information via the P.O. Box. I will review this information to see if any of these application packets met the deadline of March 8th (posted marked) and are complete packets.

Student essays will be emailed to the sub-committee members – Sorors Wanda Jackson, Eunice Rogers and LaKoya Jackson for scoring by Friday, March 22nd.

The Interview sub-committee – Sorors Wanda Jackson, Margie Curry, Eunice Rogers and Lessie Rodriguez will set up interviews with the qualifying students at their designated school in the coming weeks. Once the interview process is completed the Scoring sub-committee will rate the finalist.

Scholarship Awards Presentation and Reception will held on Sunday, April 28th at 4pm – Birmingham CrossPlex. Danny Carr, Jefferson County District Attorney will be our guest speaker. The committee recommends $20.00 be accessed for sorors and guests to attend Awards Presentation and Reception.

The committee also decided, as part of the scholarship recipient’s award, we would present them with a chrome book along with the gift receipt. For those students who already have chrome books, they will be able to exchange them for something they need.

The meeting was adjourned at 6:17pm.
