ALPHA SORORITY, INCORPORATED 2017 Tau Chapter Constitution/Bylaws Pepperdine University, Malibu, CA

ARTICLE I- NAME This organization shall be known as Pepperdine University/ Tau Lambda Chapter located in Malibu, California of Alpha Kappa Alpha Sorority, Incorporated. The chapter shall be composed of Undergraduate Sorors as defined by the Constitution and Bylaws of Alpha Kappa Alpha Sorority, Incorporated.

ARTICLE II- PURPOSE The purpose of the Pepperdine University/ Tau Lambda Chapter is to seek out women who meet the standards of Alpha Kappa Alpha Sorority, who are interested in the pre-set goals and ideas of Alpha Kappa Alpha Sorority, Incorporated, to cultivate and encourage high scholastic and ethical standards, to promote unity and friendship among college women, to study and help alleviate problems concerning girls and women in order to improve their social stature, to maintain a progressive interest in college life, and to be of service to all mankind as stated in the Constitution and Bylaws of Alpha Kappa Alpha Sorority, Incorporated.

The members of this chapter must graduate within six (6) years from their date of admission to the first university/college of acceptance. If the Soror has not graduated after six (6) years of entering the university/college, the Soror must transfer to a graduate chapter as an associate member. Only the Supreme Basileus may give exception to this requirement.

ARTICLE III- MEMBERSHIP Section 1- Qualifications Membership in the Pepperdine University/ Tau Lambda Chapter requires an academic semester and cumulative Grade Point Average (GPA) of 2.3. Membership in the Pepperdine University/ Tau Lambda Chapter shall not conflict with any rules or regulations that are set by Pepperdine University.

Section 2- Financial Responsibility a) Membership in Pepperdine University/ Tau Lambda Chapter shall be contingent upon meeting all financial obligations established by Pepperdine University/ Tau Lambda Chapter.

(b)- The Annual dues shall be determined by a majority vote of members present

(c)- Annual dues for the upcoming year shall be paid by December 1st of the current year. All financial obligations must be cleared before new dues are accepted for the upcoming year.

(d)- Each Soror affiliated with this chapter shall pay chapter dues as determined by the body to be needed to implement the estimated budget of the following year.

(e)- A Soror generating a non-honored check shall be penalized ($25.00) twenty- five dollars.

(f)- A Soror who fails to meet all academic and financial obligations imposed by the membership shall not be eligible to sponsor any social event of the chapter, represent the chapter, chair a committee or act in an official capacity for the chapter.

Section 3- Rights of Membership (a)- Pepperdine University/ Tau Lambda Chapter is open to all women regardless of race, creed, religion or color.

(b)- No member, including officers and committee chairs, shall represent Alpha Kappa Alpha Sorority, Inc. in any manner without the proper authorization by the organization.

(c)- the International Constitution and Bylaws in Article IV and the International Manual of Standard Procedures under Members designate Rights of members.

Section 4- Resignations and Disciplinary Actions (a)- Officers and chairmen who fail to meet all requirements of the office as outlined in the Constitution and Bylaws shall be subject to reprimand. Should the negligence continue this individual shall be subject to removal from office and her successor appointed by the Basileus.

(b)- The removal of an officer who fails to comply with the Constitution and Bylaws shall be initiated by a recommendation from the Basileus, and Anti- Basileus, following any complaints brought by either officer. A two-thirds (2/3) vote of the members present shall be necessary for the removal from office.

(c)- Exception: If an officer or chairman fails to meet all requirements of the office as outlined in the Constitution and Bylaws due to a proven unforeseen or catastrophic event the officer may resign the position without penalty. i. The Basileus may immediately appoint a successor to the vacated office. ii. In the event that there are several candidates a special election and voting should take place by the chapter meeting following the resignation.

ARTICLE IV– OFFICERS/ ELECTIONS Section 1- Duties Order of Rank: Elected officers of Pepperdine University/ Tau Lambda Chapter shall consist of: Basileus, Anti-Basileus, Grammateus, Anti-Grammateus, Tamiouchos,

Pecunious Grammateus, Epistoleus, Parliamentarian, Chaplain, Ivy Leaf Reporter, Historian, Hodegos and Philacter.

BASILEUS- It shall be the duty of the Basileus to preside over all meetings, to enforce a due observance of the Constitution and By-Laws and to call special meetings. She shall appoint chairman unless specified otherwise, and have general management of the organization's affairs. The Basileus shall have the duty of assisting the presiding officer in the interpretation of the Constitution and By-Laws.

ANTI-BASILEUS - It shall be the duty of the Anti-Basileus to be general program chairman; to serve as chairman of the meeting in the absence of the Basileus or perform other duties of the Basileus in her absence.

GRAMMATEUS- It shall be the duty of the Grammateus to keep accurate and permanent records of all proceedings, proper minutes of all meetings, to keep a list of committee reports, keep a record of attendance at each meeting and to prepare all ballots.

ANTI-GRAMMATEUS- It shall be the duty of the Anti-Grammateus shall assist the Grammateus in the performance of duties and serve in the absence of the Grammateus.

TAMIOUCHOS- It shall be the duty of the Tamiouchos to receive all monies of the organization and to serve as the custodian of funds for all committees. She will deposit money in the bank to the credit of the organization, pay all bills signed by the Basileus and to keep accounts in a proper manner. When requested, she will exhibit resources, amount of receipts, disbursements, and keep a file of all bills. The Chapter Basileus and Graduate Advisor shall sign all checks.

PECUNIOUS GRAMMATEUS- It shall be the duty of the Pecunious Grammateus to receive and record all funds, maintain a journal/ ledger of each member’s account and issue receipts of all monies received.

EPISTOLEUS- It shall be the duty of the Epistoleus to check the chapter mailbox and present all the correspondences received to the chapter.

PARLIAMENTARIAN- It is the duty of the Parliamentarian to assist the presiding officer in the interpretation of the Constitution and Bylaws of the chapter and in properly adhering to Robert’s Rules of Order in all matters not provided for in the Constitution.

CHAPLAIN- The Chaplain shall formally open all meetings with prayer/ meditation.

IVY LEAF REPORTER- The Ivy Leaf Reporter shall be responsible for communicating the policies and activities of Alpha Kappa Alpha Sorority, Inc. as they affect the public

image of Alpha Kappa Alpha Sorority, Inc. in the local community. She shall gather all news and send it in promptly for publication to all news outlets.

HISTORIAN- The Historian shall compile and keep current the history making events of the chapter.

HODEGOS- It shall be the duty of the Hodegos to receive and introduce all visitors and act as the official hostess at all meetings. She is responsible for seeing that all courtesies are extended to Sorors and their families during of bereavement, illness, marriage, etc. She will keep a record of the gifts and courtesies extended.

PHILACTER- The Philacter shall guard the door, ascertain when the quorum has reached been reached and notify the Basileus.

In the event an elected or appointed officer is graduating from the University in the spring semester, a special election will be held during the final chapter meeting before the summer hiatus.

All elected or appointed officers are required to attend eighty-five percent of all scheduled meetings, eighty-five percent of all programs, and eighty-five percent of all events voted on by the chapter. With the exception of an unforeseen emergency or event, the officer is required to give the Basileus and Graduate Advisor twenty-four hours notification of the expected absence. In the event of an absence please notify the Basileus, Anti-Basileus and Graduate Advisor, and send necessary reports or documents needed to conduct the chapter meeting.

Section 2- Definition of Term All officers shall be elected for a one (1) year and their term of office shall begin in January.

Section 3- Elections (a)- Nominations of officers will be held during the first November chapter meeting.

(b)- Candidates for office shall be presented for election by nomination at the regular November meeting.

(c)- Candidates for office shall be submitted by a nomination committee; further nominating from the floor, shall be open at the this committee makes its report

(d)- Nominations shall be made at the first November meeting; and voting for officers shall be by secret ballot at the second November meeting. The candidate receiving the highest number of votes shall be elected. Installation of officers shall be in December.

(e)- In the event of a tie, the successful candidate shall be determined by lot drawn either by the Basileus or Anti-Basileus not involved in the current election.

(f)-A Soror to be elected must be financial and in attendance of at least two thirds of all chapter meetings (6 out of 10 chapter meetings). She must have attended/participated in at least three chapter related events or activities. She must have attended at least one of the last Undergraduate Round-up, Cluster, Regional Conference or Boule.

(g)- The Grammateus shall supervise the voting, issue the ballot, see that they are deposited in the proper receptacle and count the ballots. The Grammateus will then report the results of the voting to the organization

Section 4- Graduate Advisor - It shall be the duty of the Graduate Advisor to serve as a liaison between the Lambda Chapter and Pepperdine University/ Tau Lambda Chapter, the Regional Director, and the Corporate Office. The Graduate Advisor shall assist the undergraduate chapter with her knowledge of correct procedure for Sorority business

Section 5 – Membership Expectation Members are expected to attend all scheduled meetings, programs and events sponsored by the chapter. With an exception of an unforeseen emergency or event, the member is required to give the Basileus and Graduate Advisor a twenty-four hour notice of the expected absence.

ARTICLE V – MEETINGS Section 1- Chapter meetings (a) ~There shall be two chapter meetings per month during the Fall and Spring semesters.

(b) ~Chapter meetings shall be held the first and third Sundays of each month, at the designated time voted upon by the chapter.

Section 2- Executive Board Meetings ~Monthly Executive board meetings shall be called at the discretion of the Basileus and the Executive Board.

Special Meetings will be needed for particular events and/or issues. Special Meetings will be scheduled when needed by the Basileus.

Section 4- Quorum No meeting shall be held without a quorum. A quorum shall consist of the majority of the active members, including three (3) major officers.

Section 5- Meeting notifications When a meeting is scheduled, it shall be the duty of the Epistoleus to notify the Sorors that will need to be in attendance.

ARTICLE IV – EXECUTIVE COMMITTEE Section 1- Recommendations The Executive Committee may bring recommendations to the body.

ARTICLE V – COMMITTEES

Archives Committee Eta Lambda Omega (ELO) Archives Committee shall help perpetuate the posterity of Tau Lambda’s history by collecting, storing, and organizing Tau Lambda’s documents, records, and scrapbooks. This committee has establish a process to keep all records organized. The ELO Archives committee serves as the final repository for the historical records of Eta Lambda Omega and Tau Lambda Chapter of Alpha Kappa Alpha Sorority, Inc. The primary purpose of the Archives committee is to collect, preserve, maintain and document the history of the chapter for years past and future years to come. In conjunction with the preservation of historical records, the ELO Archives committee is responsible for overseeing the offsite storage space and timely destruction of outdated records.

Eta Lambda Omega Audit Committee 1. It shall be the responsibility of the Internal Audit Committee to audit Tau Lambda’s books of the chapter’s financial officers during the summer hiatus—between the June and September meetings— and report to the chapter at the September meeting. 2. The Internal Audit Committee shall audit the Chapter’s books in Q1 for the previous calendar year Chapter at the April Chapter meeting.

BUDGET/FINANCE - The Budget Committee prepares an annual budget to be presented to the organization at the November meeting. This committee will hold its initial planning during the month of October, and reflect recommendations of the committee chairman. The Tamiouchos shall be chairman of this committee. The Chairman shall prepare a report in triplicate- submitting one copy to the Basileus, one copy to the Grammateus, and one copy for her

The following positions are bonded: Graduate Advisor, President, Vice-President, Treasurer, and Secretary.

PAYMENT FORMS – Square, Venmo, Cash, check, and Paypal are all forms of receiving/making payment for chapter activities. Venmo - is a free digital wallet that allows payments, donations and sales. Square – Magstripe credit card reader via your cell phone. Paypal – Credit card payments for donations and program events from the website. All electronic payment sources may provide an electronic copy of the receipt to the customer; therefore we only send electronic or paper receipts for cash and check payments.

Credit Card – The chapter uses a credit card to pay conference fees, conference transportation, Program supplies, …etc. Vouchers are submitted and approved prior to credit card use.

CONSTITUTION AND BY-LAWS - The Constitution and By-Laws Committee shall propose all needed changes in the Constitution and By-Laws, carefully examine all proposed amendments from other approved sources, and formulate some form of circulation. The current Basileus shall be the chairman of this committee.

EVALUATION AND STANDARDS - The Evaluation and Standards Committee is responsible for working out a plan of evaluating the Sorority's programs; including special chapter endeavors, committee activities, membership interest and participation, and activities involved in carrying out nationally aspired themes. The evaluation committee reports annually at the end of each year, this serves as a guide in the framing and enriching of the following year's program.

HOSPITALITY - The Chairman of this committee is the Hodegos. She shall receive and introduce all visitors purchase gifts, flowers and cards, as necessary, and customarily in various organization courtesies.

MEMBERSHIP - The Membership Committee is responsible for seeing that all records of processing candidates are submitted to the Regional Director and to the Corporate Office in the proper sequence and on time. This committee shall carry out the activities of the Membership Intake Process in accordance with its Constitution and Bylaws and Manual of Standard Procedures of Alpha Kappa Alpha Sorority, Inc.

PROGRAM - The Anti-Basileus shall be the chairman of this committee. This committee shall be responsible for all regular and special programs of the organization. The program for the year shall be presented at the December meeting and should include proposed activities of all committees and service programs. The Chairman shall prepare a report in triplicate- submitting one copy to the Basileus, one copy to the Grammateus, and one copy for her records.

This committee shall inform the public and other organizations of chapter activities. The Ivy Leaf Reporter shall serve as chairman.

SOCIAL ACTION - The Social Action committee shall act as a liaison between the chapter and other organizations. It shall be the duty of this committee to be knowledgeable of all chapter interactions with other organizations.

STANDARDS – The Standards committee shall make a general survey of the chapter operations and develop chapter goals/ objectives (short and long term) and develop chapter guidelines for achieving goals/ objectives. The International Standards committee will establish the criteria and implement the evaluation of chapters.

CONNECTIONS – The Connection committee shall be responsible for implementing the special AKA Connection activities established by the International Connection committee.

WAYS AND MEANS - The Ways and Means committee is commissioned to raise the funds over and above chapter dues needed for the budget accepted by the chapter. The current Anti- Basileus shall serve as chairman for this committee.

YEARBOOK/ TECHNOLOGY - The Yearbook committee is responsible for compiling the chapter book, which is issued yearly and contains the names, addresses, birthday, anniversaries, etc. of each financial Soror. Time and place of meetings are also included.

ARTICLE VI – SPECIAL COMMITTEES The Basileus shall create committees as needed to facilitate the purpose and objectives of the chapter.

ARTICLE VII – PARLIAMENTARY AUTHORITY The governing documents will be used in said order: 1. International Constitution and Bylaws 2. Manual of Standard Procedures 3. Chapter Bylaws 4. The rules contained in the current edition of Robert's Rule of Order, newly revised

ARTICLE VIII – AMENDMENT OF THER BYLAWS (a)- Bylaws may be amended by a two-thirds (2/3) vote of the active members present at a meeting.

(b)- Any member or committee of Pepperdine University/ Tau Lambda Chapter may propose amendments to these bylaws.

(c)- Proposed bylaw changes must be presented in writing and circulated in writing to

ARTICLE IX– DISSOLUTION Upon dissolution of Pepperdine University/ Tau Lambda Chapter, its assets shall be distributed for one or more exempt purposes within the meaning of Sec 501(c)(7) of the Internal Revenue code or corresponding section of any future federal tax code, or for one or more exempt purposes within the meaning of Sec 501 (c)(3) of the Internal Revenue Code, or corresponding section of any future federal tax code, or shall be distributed to the federal government, or to a state or local government, for a public purpose.
