Dear Councillors I hereby give notice that a meeting of Chawleigh Parish Council will be held on Thursday 8 November 2018 at 7:30 pm in The Annexe, Jubilee Hall, Back Lane, Chawleigh, EX18 7HH. All members of the Council are hereby summoned to attend for the purpose of transacting the following business. PUBLIC PARTICIPATION SESSION Chair Members of the public are invited to make representations. Each member of the public is entitled to speak once only and shall not speak for more than three minutes. CHAWLEIGH COMMUNITY TRUST Chair To receive a verbal update report. The meeting will reconvene under Standing Orders 4. APOLOGIES Chair To receive apologies and to approve reasons for absence. CODE OF CONDUCT Chair To note any declarations of interest. 5.1 Register of Interests – Councillors are reminded of the need to update their register of interests. 5.2 Personal Interests – Councillors must declare any personal interest in items on the agenda and their nature. 5.3 Disclosable Pecuniary Interests – Councillors must declare any disclosable pecuniary interest in items on the agenda and their nature. Councillors with a prejudicial interest must leave the meeting for the relevant item. 6. MINUTES Chair To resolve to approve the draft minutes of the Council Meeting held on 27 September 2018 as a correct record and to note the action grid (Annex 6). FINANCIAL MATTERS 8.1 Receipts and account balances – To receive and note the list of Chair receipts and the bank account balances (Annex 8.1). 8.2 Payments – To resolve to approve the list of payments to be made as Chair on the list available at the meeting (Annex 8.2). 8.3 Financial Report Quarter 1 and Quarter 2 2018/19 – To receive Chair quarterly financial report for the period 1 April 2018 to 30 September 2018 and to resolve to approve the recommendations (Annex 8.3). 8.4 Training & Development – To resolve to approve attendance at Chair training and development events (Annex 8.4). 8.5 Armistice wreath – To resolve to approve the cost of £25 for a Chair donation to the Royal British Legion for the poppy appeal. 8.6 Lighting of the beacon on 11 November 2018 – To resolve to approve Chair a donation to support the commemoration of 100 years since the end of World War I. 8.7 Chawleigh Friendly Society event in 2019 – To resolve to Chair provide a donation up to £750 for the event to be held in 2019. 8.8 Citizens Advice – To resolve to approve a donation to support Chair Citizens Advice, Torridge, North Mid and West Devon. 9. PARKING IN FRONT OF JUBILEE HALL Cllr Cockram To consider the parking of vehicles in front of the barriers and to resolve to action any matters arising as appropriate. 10. MEETING DATES 2019-20 Chair To consider and agree the meeting dates for 2019-20 (Annex 10). 11. CORRESPONDENCE AND NOTICES RECEIVED Chair To receive the correspondence received for circulation and to resolve to action any matters arising as appropriate (Annex 11). 12. MATTERS RAISED BY THE CHAIR Chair To receive and consider items received after the publication of the agenda and to resolve to action any matters arising as appropriate. 13. COUNCILLORS’ REPORTS AND ITEMS FOR FUTURE AGENDA ITEMS Chair Each Councillor is requested to use this opportunity to report minor matters of information not included elsewhere on the agenda and to raise items for future agendas.
