– THANK YOU – THANK YOU – THANK YOU – We'd like to recognize the myriad of people who have worked tirelessly to put this amazing event together! We started to write a list, but don't have room for everyone and we'd inevitably leave someone out This event wouldn't be possible without: ● The volunteers on the Auction Team who start work on the event months before, planning and executing all the behind-the-scenes work.

● The volunteers who help with set up and food preparation days before the auction, making sure that everything is ready when guests arrive.

● The volunteers who help during the event, making sure that everything runs smoothly to ensure that guests have a wonderful time and that our children are well cared for.

● The many individuals and groups who think up creative items and events to donate to the auction, ensuring that bidders will have much to bid on.

● The attendees who generously bid on items and events, knowing that every dollar they bid goes to help East Shore.

● The youth group who generously donate a valuable Saturday night to serve guests dinner and to watch the children as parents enjoy themselves.

● The staff who assist us in all things Auction from finances to printing to website management.

Thank you, thank you! The Auction is only possible when our community comes together in generosity. You all make our job easy and we are so grateful for each and every one of you! Beth Wilson & Amanda Strombom, Auction Co-Chairs

Online Auction Information - New this Year!

To make the auction more accessible to those who can’t attend on Saturday evening, this year we have included some items in an Online Auction. These can be bid on anytime between Monday Nov 4th, 9am, and Saturday Nov 16th, noon. To participate in the online auction, you’ll need to be registered and have provided your credit card number. Your credit card information is held securely and won’t be accessible to anyone else. You can register from the Auction page of East Shore’s website, esuc.org or go directly to the Auction website https://charityauction.bid/AllInForEastShore2019. There is no fee to register for the online auction, so anyone can participate – your credit card will only be charged if you win something! Before 9:00am on Monday, November 4th, all registered bidders will receive an email with a unique 8-character access code. You will need this to log in and bid. Four options for bidding:

● Click on the link to the Online Auction on the Auction page of East Shore’s website, esuc.org. ● Click on the link in the email you receive with your unique access code. ● Go directly to https://charityauction.bid/AllInForEastShore2019 ● Download the Auctria app to your Android or Apple iPhone, and log in using the access code emailed to you.

Once you’ve logged in with your access code, you will see the full catalog of items. You may need to click on the “catalog” tab. Points to note:

1. Select to look at only the online auction items and you can begin bidding. 2. For items such as a dinner, where you may want more than one seat, it’s necessary to bid on a separate item for each seat. You’ll see the same item repeated for the number of seats available. More seats will also be available in the Silent Auction. 3. A “Buy Now” option to ensure that you get that item is also available. 4. Bidding will be anonymous. 5. You will receive email notifications to let you know the status of your bid.

This is the first time we’ve offered an Online Auction, so bear with us if there are unforeseen glitches or further clarification is needed. If you have any questions, feel free to email Beth Wilson at [email protected] and she’ll try to help.

Silent and Live Auction Information

Family Friendly Logo: Look for this logo to indicate items that are particularly welcoming to children and families. We've placed this logo on items we believe would be especially attractive to families, although there are many items without the logo that are also quite family friendly (such as cheesecake!) Food and Drink: Steve Denison, Bob Weiss and an enthusiastic crew of volunteers are preparing an outstanding gourmet feast. The ESUC Youth Group will serve the meal; this is their major yearly fundraiser so please consider leaving a generous tip in the envelope provided to show your appreciation and support. Wine will be served (by adults). Silent Auction Notes: Bidding ends promptly at the assigned times. At the close of each Silent Auction, the silent bid sheets will be clearly marked with the winning bid number(s) and amount(s). Copies of the marked bid sheets remain posted for the duration of the Auction to confirm the winner(s). Please do not remove any bid sheets the evening of the Auction. You will be formally notified of your winning bid in your statement of purchases. Bid Sheets: To bid in the Silent Auction, simply write your bidder number clearly on the appropriate Silent Auction bid form. When bidding for multiples of the same item, write your bid number in as many squares as you need. For example, if you are a family of four and want to bid on a bike ride, put your bid number in four squares. See the Sample Bid Sheet on the next page, which illustrates how to bid and how multiple top bidders win. Physical Items: If you have been the successful bidder of any physical items, such as a basket or print, PLEASE TAKE HOME ANY PHYSICAL ITEMS YOU WIN before leaving tonight. Items will be available in the Administration Building. We do not have secure storage, and unclaimed items are in danger of being lost or damaged. Delivery of Items: You are responsible for contacting donors to arrange for delivery of the services or items you have purchased. You will receive an email statement summarizing your purchased items. All items are to be redeemed within one year of the auction. Payment: All purchases, including your entry to the auction and dinner, are to be paid by credit card. Your card will be swiped the night of the Auction, with charges processed after the final accounting audit, which is usually within a few days of the auction. Bidding if you can’t make it to the Auction: If you cannot make it to the Auction, ask a trusted friend to enter a proxy bid. You can register for a bid number even if you are unable to attend. You can also participate in the Online Auction. See Calendar of Auction Activities at the back of catalog to plan your year! 6

Sample Silent Auction Bid Sheet

Confused about how bidding goes on some of the Silent Auction Items when multiple bidders can win? You are not alone! Here’s the process. Below is a sample bid sheet for a Fabulous Dinner. There are six available seats at the table for this Fabulous Dinner. In this example, 103 will be the winner of 2 dinners for $30 each; 102 will be the winner of 1 dinner for $30, and 104, 105 and 106 will each win 1 dinner for $25. You probably understand why the $30 bidders won, but it can be confusing as to why 104, 105, and 106 won, and not the other $25 bidders. It is because 104, 105 and 106 were the FIRST to bid at the $25 level, not the last to write in their bid. It's like at a Live Auction: The first one to get their hand raised is the winner. Subsequent bidders need to go higher to win. At both our Live and Silent Auctions, the winning bid goes to the first person to bid at the higher amount. So be sure to write down your best bid!

15 – Fund-a-Need - Opening Doors for All How many times have you approached a building at East Shore with your arms full and struggled to open the door? Imagine how hard it is to open the door, or struggle to find someone else to do it for you, if you have limited strength or a physical disability. East Shore wants to be welcoming to all, but our heavy doors are a barrier for many. This year's Fund- a-Need will help East Shore on its way to becoming the radically inclusive space we aspire to be. Having doors that open with the push of a button will enable those with physical limitations of any kind to more easily enter our doors. This is one way to remove barriers that sometimes get in the way of being welcoming and inclusive. We already have quotes for installing automatic door openers on one door for each of our main buildings – the Sanctuary, the Admin building and the Education building (the estimated cost is around $10,000). 401 - Fund a Need - Opening Doors for All - Online Donations How many times have you approached a building at East Shore with your arms full and struggled to open the door? Imagine how hard it is to open the door, or struggle to find someone else to do it for you, if you have limited strength or a physical disability. East Shore wants to be welcoming to all, but our heavy doors are a barrier for many. This year's Fund-a-Need will help East Shore on its way to becoming the radically inclusive space we aspire to be. You can help East Shore become more inclusive by giving generously. In compliance with ESUC Board Policy 2.14, the collection of these Restricted Funds was approved by the ESUC Board on Oct 15, 2019, to be utilized for the purpose as stated upon. The ESUC Board reminds donors per its policy on Restricted Funds, contributions received in excess of project needs, or after the project is completed or is otherwise inactive, may be used for the general purpose of the church.
