Courageous Colony Bylaws

Introduction

Article I: Basic Information about the Courageous Chi Colony ​ Section 1.1 - Introduction ​ ​ Definition of ‘Courageous’: Not to be deterred by danger or pain; to be brave ​ Entity Location: Wichita State University, Wichita, Kansas ​ Courage has been displayed since the very beginning of our journey. Since day one, each and every member showed courage by ignoring the status quo and having the initiative of forming our own group from the ground up. We saw a need, greater than ourselves and decided that we would be the brave leaders that used vital strength to bring forth Sorority, Latinas Poderosas Unidas, Inc. onto Wichita State University. As Divas, we intend to uphold our mission of being nothing less than Courageous and help other Courageous woman become empowered.

Section 1.2 - Philanthropy: Children in Foster Care ​ ​

The Courageous Chi Colony’s philanthropy is Children in Foster Care due to the fact that Wichita has the greatest placement of children in foster care in Kansas. The Founding Hermanas could provide steady relationships with the children, as well as be role models and mentors to them. This topic needs more attention in our community by bringing more volunteering, funding, and awareness onto these children.

1 Article II: Active Membership ​

Section 2.1 - GPA Requirements ​ ​

A. Each Hermana within the Entity must have a minimum of a 2.5 cumulative ​ GPA. B. Each Hermana within the Entity must have a minimum of a 2.5 semester GPA. ​ C. If an Hermana does not meet the cumulative GPA requirements, she will fall under academic probation until her GPA meets said requirements.

Section 2.2 - Participation ​ ​

A. All Hermanas active within the Entity must attend a total of 2 events hosted ​ ​ by entities outside of the Courageous Chi Colony in the Midwest Region within ​ ​ ​ ​ a year. ​ ​ B. All Hermanas active within the Entity must attend a minimum of 2 events by ​ ​ other Greek Lettered Organizations on the Wichita State University campus within a semester. ​ ​ a. This only pertains to active Greek Lettered Organizations on the ​ ​ Wichita State University campus. b. Failure to provide proof of attending 2 greek events will result in a $5 fine. C. All Hermanas active within the Entity must attend a minimum of 2 events ​ ​ hosted by non-Greek Organizations on the Wichita State University campus ​ within a semester. ​ ​ a. Any non-Greek Organizations include Hispanic American Leadership Organization, Black Student Union, Student Activities Council, Shocker Hall Activities Council, etc. b. Failure to provide proof of attending 2 non-greek events will result in a $5 fine. D. All Hermanas active within the Entity must attend a minimum of 2 events ​ ​ co-sponsored by the entity within a year. ​ ​ ​ a. A permissible co-sponsored event would be: Example: MGC Informational, Springfest, Welcomefest, etcetera. E. All Hermanas active within the Entity are required to fulfill at least 6 hours of ​ ​ Community Service per semester. ​ ​ a. Must be submitted to Philanthropic Chair.

2 F. All Hermanas active within the Entity are required to go to every event ​ sponsored by the Courageous Chi Colony. a. Hermanas must RSVP to each event hosted by the Entity at least 72 ​ hours prior to the time of the event is scheduled to take place. ​ b. Excused absences may include emergencies due to: class, work, and/or family. c. If an Hermana does not show up to an event without any notice, she will be fined $10.00. G. The Entity is encouraged to have at least one representative to attend at least one event per every Greek Lettered Organization per semester. ​ ​ ​ ​ ​ a. This only applies to active Greek Lettered Organizations on the Wichita ​ ​ State University campus. b. A list of active organizations on the Wichita State University campus will be provided to the Entity on a yearly basis by the Event Coordinator. H. Acceptable events for the above requirements are a. Programs b. Fundraisers c. Community Service Events d. Parties i. Mandatory events must include a mix of these acceptable events but it must be two different types of events. 1. EXAMPLE: One party and one program, one fundraiser and one program, etc. 2. THIS DOES NOT APPLY TO THE 3 HERMANA EXCLUSIVE EVENTS. I. Acceptable amount of time being at an event a. The Hermana must be at an event for AT LEAST half an hour. ​ ​ J. Proof of being at an event a. The Hermana must take pictures at the event. b. There must be a picture of you interacting at the events, but the Hermana MUST identify herself or be identifiable at the event. ​ ​ i. Example: There can be a picture of you with the organization hosting the event, you with the audience at the event, etc. c. The proof of the picture of the Hermana at the event must be handed in to the Historian on a monthly basis, which will be administered by ​ ​ the Historian. i. Hermanas must keep a physical and computer file of the event

3 for their own records so there will be no discrepancies.

Section 2.3 - Meetings ​ ​

A. All active Hermanas must attend all Entity meetings. ​ ​ B. An Hermana must give a 24 hour advance notice if she will not be attending ​ ​ a meeting. C. The Hermana MUST PERSONALLY notify the President if she will not be ​ ​ attending a meeting. If the President does not respond to the Hermana’s request within reasonable time, the Hermana MUST notify the Executive Board in terms of the Executive Board Chain of Command which is as follows: President, Vice President, Secretary, and Treasurer. a. If the Executive Board members do not reply, the responsibility falls upon the Executive Board, not upon the Hermana in question. b. Meetings can be attended physically or via telephone, but the phone conference MUST be approved 24 hours in advance. ​ ​ c. Hermanas must be completely present during telephone conference. D. During the school semesters, the Courageous Chi Colony will hold weekly ​ ​ ​ meetings. a. The time and location will be announced at least one week in advance ​ ​ of the meeting in question. b. The meetings must take place on campus in a meeting room. ​ ​ E. During the school breaks (winter and summer breaks) there will be at least 2 ​ ​ ​ meetings. a. The time and location will be announced at least one week in advance ​ ​ of the meeting in question. F. The Vice President must call the meeting to order 5 minutes after said start ​ time if the President is not there for any reason, at all meetings. ​ G. Any emergency meeting may be added to the schedule with at least 12 ​ hours prior notice. ​

Section 2.3 A - Minutes and Agendas for Meetings ​ ​

A. Any additional items can only be added to the Agenda at least 2 days prior to ​ ​ said meeting. B. Agendas must be sent at least 2 days prior to all meetings (with the ​ ​ exception of emergency meetings not put into the schedules at least 2 days ​

4 prior to said meeting.) ​ C. Minutes are to be sent for approval within 24 hours after said meeting. ​ ​ D. When minutes are sent, another form of communication (such as text message) must be sent letting the entity know that the minutes are sent for approval. E. At least half of Active Hermanas, along with the President, must approve the ​ ​ ​ minutes with the Secretary within 24 hours after the minutes are sent out for ​ ​ approval. F. If the Entity Secretary does not obtain any approval for said minutes within 24 ​ hours after said meetings, they are automatically finalized. ​ a. Changes wished to be made after the Hermanas who did not approve the minutes within 24 hours must be presented at the following meeting. G. If the Entity Secretary does not obtain any changes for said agenda 2 days ​ prior to said meeting, it will automatically be finalized. No changes will be ​ made. H. Agendas must be sent at least 2 days prior to said meeting and minutes must ​ ​ be sent at least 2 days after said meeting to the Entity Graduate Advisor. ​ ​

Section 2.3 B - Lateness and Fees Pertaining to Meetings ​ ​

A. An absence must be confirmed at least 24 hours prior to said meeting. ​ ​ B. Lateness must be confirmed at least 12 hours prior to said meeting. ​ ​ C. An Hermana is marked as late to a meeting if she arrives after said meeting ​ ​ time. a. The Hermana will be charged $5.00 for being late. D. Two unexcused latenesses will be charged as an absence. a. Hermanas will be charged both the initial late fee, plus an absence fee on top of it if there are two unexcused latenesses. b. Hermanas will always be charged for latenesses; there are absolutely ​ NO exceptions to this rule. ​ i. Unless it pertains to work, family or non family emergencies. E. If an Hermana has an unexcused absence, fines will be as follows: a. Hermana in question will be fined $10.00 F. After 3 excused consecutive absences, Hermanas in question will be fined ​ ​ $15 and said Hermanas will be placed on probation. G. If an Hermana is fined, the Hermana is to pay the fines within 14 days from the ​ ​ date it was given to the Hermana in question.

5 H. After the 14 days, an extra $1.00 is attached to the initial fee per day. I. Hermanas are placed on probation if the fine is not paid within the 14 days. J. If 28 days have passed and the fine is not paid, the Hermana will be placed on inactivity.

Section 2.4 - Fines ​ ​

A. All fines, for ANY reason are to be paid within 14 days of notification. ​ ​ ​ ​ B. There will NOT be any payment plans administered to fines unless it amounts ​ ​ to greater than $30. a. For fines greater than $30, said Hermana will have the option to request a payment plan by the Entity Treasurer. C. If the fined Hermana does not pay within 14 days of notification, she will be placed on Probation. D. If the fined Hermana does not pay within 28 days of notification, she will be considered Inactive. Section 2.5 - Dues to the Courageous Chi Colony and to the Hermandad ​ ​

A. Every Hermana is to pay a $100 due to the National Leadership of Lambda Pi Upsilon Sorority, Latinas Poderosas Unidas, Inc. per academic year. a. For more information regarding payments to the National Leadership, contact the current National Director of Finance. b. The Hermandad dues are subject to change. B. Every Hermana is to pay a $25 due to the Entity per semester. a. The Entity dues are subject to change. C. Entity dues are to be paid by the first week of the first full month of each semester. a. Spring semester: Due February 1-7 b. Fall semester: Due September 1-7 D. If an Hermana cannot pay the $25 by the first week of the first full month of the semester, the Hermana must go on a payment plan. a. If an Hermana wishes to go on a payment plan, she must notify the treasurer the week prior to the first full month of the semester. b. Regarding both the payment plan and paying the dues in full, a $5 fine ​ ​ will be added on to the total amount of the dues if dues are not paid according to schedule. E. If a total of $25 in Entity dues are not paid by the first week of December by

6 any Hermana, said Hermana will be placed on probation.

Section 2.6 - Probation ​ ​

A. Probation will be administered by the Courageous Chi Colony Executive Board on a situational basis. B. Probation will consist of an extra 4 hours of community service for the current semester (amounting to a total of 10 hours of community service for Hermanas placed on probation) in addition to: revoking of New Member Education privileges, attending events or anything deemed proper by the Courageous Chi Colony Executive Board. a. Probation time will depend on offense. C. Any Hermana on probation because of an outstanding financial balance will be returned to full active status once the community service hours are fulfilled and the remaining balance is paid in full.

Section 2.7 - Inactivity ​ ​

A. Hermanas of the Courageous Chi Colony are considered “Inactive” when: a. The Hermana declares inactivity b. The Hermana does not meet the 2.5 GPA (Semester or Overall) requirement. c. The Hermana is placed on probation two or more times in one semester. d. The Hermana fails to pay fines within 28 days of given notice. e. Inactive Hermanas will NOT: i. Participate in New Member Education ii. Pay dues iii. Hold and Run for position(s)

Section 2.8 - Alumna Members ​ ​ A. Every Alumna Hermana is to pay a $25 due to the Entity per semester. a. The Entity dues are subject to change. B. Entity dues are to be paid by the first week of the first full month of each semester. a. Spring semester: Due February 1-7

7 b. Fall semester: Due September 1-7 C. All active Alumna Hermanas must attend at least 2 Entity meetings per ​ ​ month and be in accordance with requirements as outlined in Section 2.3 - ​ Meetings. a. If active Alumna Hermana holds a position as outlined in Article VII, Section 1.0 – Positions, within the Chi Colony, member must attend all ​ meetings. D. All active Alumna Hermanas must attend at least two event per semester ​ ​

Article III: Voting and Elections ​

A. There must be a total half of active Hermanas + President of active Hermanas within the Entity present in order for anything to be voted on at any Entity meeting. B. An Hermana is considered present at a meeting if she is physically in the location of the meeting or through telephone conference. a. As stated previously, a telephone conference must be approved by the Courageous Chi Colony President 24 hours prior to said meeting. C. Any Hermana who is running for a Board Position must be physically present to deliver their proposal, if not, the nomination will be automatically revoked. D. Any Hermana who misses a meeting where Voting or Elections are taking place without proper prior notice will be fined $15. E. If there are any proposals to change Bylaws, half of active Hermanas + President of active Hermanas must be present to vote. F. In the event of a tie, the Graduate Advisor will be responsible for deciding on the Hermana who receives the Executive position.

Article IV: Emergencies ​

If an Hermana has a personal emergency, she must present her emergency to the Entity Executive Board. a. Half of the Entity’s Executive Board must agree that said excuse constitutes as an emergency and the Hermana may be excused. b. Approved emergencies will be completely excused from any penalties. c. Any unexcused emergencies will be fined. Said Hermana will be fined $5.00.

8 Article V: Diva Etiquette ​

A. All Hermanas under the Courageous Chi Colony MUST abide by Diva Etiquette which includes: a. Absolutely NO drinking, smoking of any sort, acting foolish (drunk, etc.), or doing anything considered negative with the Lambda Pi Upsilon Letters on. b. Hermanas will NOT arrive to any New Member Education Events under ANY Entity under the influence of any type of substance. i. For the first offense of rules A and B, said Hermana will be warned. ii. For second offense of rules A and B, said Hermana will be fined. Said Hermana will be fined. 1. Hermanas will be fined $25.00 iii. For the third offense of rules A and B, the Hermana will be fined double of the previously administered fine and placed on probation. iv. For the fourth and final offense of rules A and B, the Hermana will be placed on Inactivity for the remainder of the Academic Year. c. No double Para. d. There will be absolutely NO discussion of New Member Education Process with any potential member or DIAT of the Chi Colony. e. Hermanas MUST dress appropriately to all Events. i. Per the Constitution, “the following are examples of what is considered ‘professional business attire’: 1. Business suit or dress 2. Blouse with dress slacks or skirt 3. Stockings 4. Dress shoes or heels ii. In general, all members are expected to use good judgment in reference to professional clothing.” f. No strolling first at another Organization’s Party and/or Event. g. No excessive chanting or calling after another Organization. h. No talking negatively about other Greek Organizations with other Greek Organizations - this is EXTREMELY unprofessional. i. Always do programs with a variety of Organizations, there will be no BIAS and Divas will NOT only host programs with Latino organizations.

9 j. Have fun at parties and mixers, but always be classy and represent yourself like a DIVA. i. For the first offence of rules C-J, the Hermana will be warned. ii. For the second offence of rules C-J, the Hermana will be fined. 1. The appropriate fine will be administered by the Courageous Chi Colony Executive Board. iii. For the third offense of rules C-J, the Hermana will be placed on Probation. 1. There will be no additional fines. iv. For the fourth and final offense of rules C-J, the Hermana will be placed on Inactivity for the remainder of the Academic Semester.

Article VI: Courageous Chi Colony Executive Board ​

Section 1.0 - Positions ​ ​

The positions on the Courageous Chi Colony Executive Board are as follows: A. President B. Vice President C. Secretary D. Treasurer

Section 1.1 - Voting ​ ​

A. Voting for the Courageous Chi Colony Executive Board will occur on the second to last Tuesday before Finals Week on an ANNUAL basis. B. All positions on the Courageous Chi Colony Executive Board will be served on a one-year term. C. ⅔ of the Courageous Chi Colony must be present for Elections for the Executive Board. D. Nominated Hermanas MUST be physically present for Elections into the Executive Board.

Section 1.2 - Responsibilities ​ ​

10 The responsibilities and powers of the individual members of the Courageous Chi Colony Executive Board are as follows: A. President: a. The President of the Courageous Chi Colony is the face and leader of the Entity. b. The President of the Chi Colony will be the Entity’s chief delegate. c. The President of the Chi Colony will preside of all transactions done in, by, or on behalf of the Entity. d. The President of the Chi Colony will conduct all internal affairs of the Entity. e. The President of the Chi Colony must approve all decisions, however small or large, before being put into execution. f. The President of the Chi Colony must preside over all elections with the Secretary including casting tally votes. g. The President of the Chi Colony will oversee all records and fiscal matter and is empowered to sign check requests in the absence of the Treasurer. h. The President of the Chi Colony will administer fines (outside of previously stated fines) if deemed necessary along with the approval of Vice President. i. The President of the Chi Colony shall be the chairperson and presiding officer to the Executive Committee. j. In the event that the President of the Chi Colony cannot continue as a member of the Executive Committee, the Vice President shall assume the office. k. The President of the Chi Colony will be responsible of the completion of the Rhatigan Standards of Excellence packet and handing it down to the next president to complete for the following year. l. Upon receipt of written questions for Chi Colony membership of non-Chapter members (DIATs) the President of the Chi Colony must review letters of good standing. B. Vice President: a. The Vice President of the Courageous Chi Colony is to be a main liaison between the Executive Board and the Board of Administrators. b. The Vice President of the Chi Colony is to organize and collect monthly update for the Executive Board and Board of Administrators to send to the Entity’s Graduate Advisor. i. The Vice President will administer a date where the Executive

11 Board and the Board of Administrators MUST give the Vice President their Monthly Reports. c. The Vice President of the Chi Colony must uphold Chapter representation and assume all functions, duties, and responsibilities of the President in case she is not present. d. The Vice President of the Chi Colony will administer fines (outside of previously stated fines) in concordance with the President if deemed necessary. e. The Vice President of the Chi Colony shall assist the President in any projects or activities f. The Vice President of the Chi Colony will generate committees, appoint chairpersons to these committees, and appoint representatives as the need arises. g. The Vice President of the Chi Colony is responsible for overseeing and upholding the academic standards and incentives for the Entity. C. Secretary: a. The Secretary of the Courageous Chi Colony is responsible for overseeing and maintaining all records of the Entity. b. The Secretary of the Chi Colony is to create and email Agendas for weekly meetings. c. The Secretary of the Chi Colony is to take the minutes at all general meetings. d. The Secretary of the Chi Colony is to send out the minutes to all general meetings within 24 hours of said meeting. e. The Secretary of the Chi Colony is to book general meeting rooms. i. The Secretary will only book Chapter Weekly Meeting rooms and Chapter Weekly Stroll Practice rooms. f. The Secretary of the Chi Colony is to review and make changes (if deemed necessary) to any and all letters sent out to anyone outside of this Entity. i. For example: Letters to National Leadership, to the Hermandad, to various Chapters, to the School on Behalf of the Organization, etc. g. The Secretary of the Chi Colony will maintain the Entity Meeting Book with precision, accuracy, and order. h. The Secretary of the Chi Colony will maintain a roster of all active members within the Entity. i. The Secretary of the Chi Colony will send a roster of all active members of the Chapter during the first full week of the first full

12 month and the first full week of the last full month of the semester. i. The Secretary of the Chi Colony will tally all votes cast in any Chi Colony Elections under the supervision of the President. D. Treasurer: a. The Treasurer of the Courageous Chi Colony will be responsible for all funds of the Entity. b. The Treasurer of the Chi Colony will maintain accurate and precise financial records of all monetary transactions of the Entity. c. The Treasurer of the Chi Colony will make bi-weekly updates and keep to the Entity Ledger, Entity Treasury Book, and Entity Treasury Box. d. The Treasurer of the Chi Colony WILL enforce ALL payments. e. The Treasurer of the Chi Colony will administer payment plans for dues. f. The Treasurer of the Chi Colony will administer fines (outside of previously stated fines) in concordance with the President if need be. g. The Treasurer of the Chi Colony will administer budget proposals for events and programs under the assistance of the Board of Administrators. h. Purchases i. Every purchase needs to be approved by either Treasurer, VP, or President . ii. All receipts must be submitted to Treasurer within 7 days of purchase.

Section 1.3 – Requirements ​

A. In order to run for a position for the Courageous Chi Colony Executive Board, the Hermana must have at LEAST a 2.7 Semester GPA and a 2.6 Cumulative GPA. B. The Courageous Chi Colony Executive Board must complete all tasks according to the Bylaws; if responsibilities and requirements are not met by an Hermana, said Hermana’s position(s) will be discussed for re-election. C. All Hermanas of the Courageous Chi Colony Executive Board must report to the Vice-President between the 20th and the 25th of each month. a. If this requirement is not met, said Hermana will be fined $5.00 by 11:59 pm on the 25th and $1.00 each additional day through the end of the month.

13 b. If said Hermana does not communicate with the Vice-President by the end of the month, she will be fined an additional $5.00. c. These fines are being put in place because the Vice-President MUST send a monthly report to the Entity Graduate Advisor.

Article VII: Courageous Chi Colony Board of Administrators ​

Section 1.0 – Positions ​ The positions on the Courageous Chi Colony Board of Administrators are as follows: A. Public Relations B. Event Coordinator C. Philanthropy Chair D. Fundraising Chair E. Historian F. New Member Education Chair G. Graphics Coordinator H. Director of Academics I. Multicultural Greek Council Delegate

Section 1.1 – Voting ​

A. Voting for the Courageous Chi Colony Board of Administrator will occur on the second to last Tuesday before Finals Week on an ANNUAL basis. B. All positions on the Courageous Chi Colony Board of Administrator will be served over a one-year term. C. Half of active Hermanas + President of the Courageous Chi Colony must be present for Elections for the Board of Administrators. D. Nominated Hermanas MUST be physically present for Elections into the Board of Administrators.

Section 1.2 – ​ Responsibilities

The responsibilities and powers of the individual members of the Courageous Chi Colony Board of Administrators are as follows:

14 E. Public Relations Chair a. The Public Relations Chair of the Courageous Chi Colony will be responsible for communicating information to the community about Lambda Pi Upsilon, Latinas Poderosas Unidas, Inc. b. Every idea or decision that is made by the Public Relations Chair of the Chi Colony must be approved by half of active Hermanas + President. c. The Public Relations Chair of the Chi Colony is to create and update all social media dedicated to the Courageous Chi Colony. i. These pages must be updated on a daily basis when an event is approaching and on a biweekly basis at all times. ​ ​ d. The Public Relations Chair of the Chi Colony must work with the Event Coordinator for dates, times, locations, etc. of events so that accurate information can be posted to these pages. i. The Events Chair is to book rooms for everything besides Weekly Chapter Meetings, Weekly Chapter Stroll Practice Meetings, and Informational Sessions. e. The Public Relations Chair of the Chi Colony is responsible for getting all flyers stamped by the Student Involvement Office with the assistance of the Graphics Coordinator. f. The Public Relations Chair of the Chi Colony is responsible for making sure that all flyers are dispersed around all sections of campus within at least 2 weeks of an upcoming event. ​ ​ Example: TV ads, Shocker Blast, RSO Newsletter, SI Cubbies. g. The Public Relations Chair of the Chi Colony is responsible with coming up with any necessary banners for any events with the assistance of the Graphics Coordinator and the Events Coordinator. h. The Public Relations Chair of the Chi Colony is responsible for composing and frequently updating a Courageous Chi Colony Events Book with the assistance of the Events Coordinator. i. The Courageous Chi Colony Events Book shall contain flyers, pictures for any and all events (including Philanthropic events). ii. The Events Book must be updated on the last meeting of every month with ALL and EVERY Courageous Chi Colony events hosted including, but not limited to: 1. Parties 2. Programs 3. Informationals 4. Community Service

15 F. Event Coordinator: a. The Event Coordinator of the Courageous Chi Colony will be in charge of overseeing all events sponsored by the Entity. b. Every idea or decision that is made by the Events Coordinator of the Chi Colony must be approved by half of the active Hermanas + President. c. The Event Coordinator of the Chi Colony will be responsible for providing letters of intent and/or proposals for any events not including informationals, fundraisers, whether in conjunction with another Organization (Greek or Non-Greek), any other Entity within the Hermandad, or to the Hermandad in general. i. These letters are to be approved by the Secretary and President of the Chi Colony. d. The Event Coordinator of the Chi Colony will be responsible for providing ‘Thank You’ notes to whomever it may concern. e. The Event Coordinator of the Chi Colony will maintain a calendar of important dates hosted by: i. The Entity ii. The Hermandad iii. Active Greek and Non-Greek Organizations on campus f. These calendars must be dispersed to the entire Entity on a monthly basis, at the start of each month. g. The Event Coordinator of the Chi Colony will be responsible for booking venues, and/or rooms, for all events not including informationals, fundraisers, and philanthropic events. h. The Event Coordinator of the Chi Colony is to assist the Public Relations Chair with obtaining accurate dates, times, locations, etc. for events to be posted on the Entity’s Facebook, Twitter, Instagram, and Personal Web page dedicated to the Courageous Chi Colony. i. The Event Coordinator of the Chi Colony will be in charge of any social events and provide a list of supplies that will be required to the Executive Board for review. j. The Event Coordinator of the Chi Colony will work with the Executive Board and Committees to obtain refreshments and provide assistance with decorations for any event under the Entity. i. Example: Informationals, bonding events, programs 1. ALL RECEIPTS MUST BE GIVEN TO TREASURER. k. The Event Coordinator of the Chi Colony is responsible for giving receipts to the Treasurer within 7 days of purchase.

16 l. The Event Coordinator of the Chi Colony will help create a designated budget with the Treasurer for events per semester. i. There will be a $1 fine for every missing receipt for events. 1. Must be a physical receipt or show the details of purchase ii. There will be NO reimbursement without a receipt. m. The Event Coordinator of the Chi Colony will assist the Public Relations Chair in composing and frequently updating a Courageous Chi Colony Events Book. n. The Event Coordinator of the Chi Colony must assist the Graphics Coordinator in creating flyers. o. The Event Coordinator of the Chi Colony is responsible with coming up with any necessary banners for any events with the assistance of the Public Relations Chair and the Graphics Coordinator. G. Philanthropy Chair: a. The Philanthropic Chair of the Courageous Chi Colony must administer any possible Meta to any and all events or programs being hosted by the Courageous Chi Colony. b. Every idea of decision that is made by the Philanthropic Chair of the Chi Colony must be approved by half of active Hermanas + President. c. The Philanthropic Chair of the Chi Colony must assist the Graphics Coordinator in any Philanthropic event being held at least 2 weeks before the event is to take place. d. The Philanthropic Chair of the Chi Colony will be responsible for booking venues and/or locations, for all philanthropic events. e. Must organize 1 event per semester for the Entity’s philanthropy: Children in Foster Care. f. The Philanthropic Chair of the Chi Colony must sign up all members of the Chi Colony for community service events and walks for a cause. i. Plan at least 3 community service events for the Entity each ​ ​ semester. g. The Philanthropic Chair of the Chi Colony must keep track of community service hours of all members of the Chi Colony. H. Fundraising Chair: a. The Fundraising Chair of the Courageous Chi Colony is responsible for raising funds for our non-profit organization. b. Every idea or decision that is made by the Fundraising Chair of the Chi Colony must be approved by half of active Hermanas + President. c. Without effective fundraisers, our organization will come to a halt - the Fundraising Chair of the Chi Colony must come up with unique ideas so

17 that the Entity may progress in terms of finances. d. The Fundraising Chair of the Chi Colony will be responsible for booking venues and/or locations, for all for fundraisers. e. The Fundraising Chair of the Chi Colony is responsible for coming up with at least 5 ideas for a fundraising event per month. ​ ​ f. The Fundraising Chair of the Chi Colony must administer at least 1 ​ fundraising event every full month. g. The Fundraising Chair of the Chi Colony is to create a binder filled with each fundraising event, profits made, etc. I. Historian: a. The Historian of the Courageous Chi Colony is required to keep a frequently updated History Book and Entity Scrapbook. i. The History Book must contain every important Historical Documents. ii. The History Book must be both physical and kept on a computer file. iii. The History Book must be updated every 2 weeks. iv. The History Book must contain a biographical report and picture of every Hermana that successfully crosses into the Entity. 1. Template must be provided by Historian to Hermanas. v. The History Book must contain a biographical report and picture of every Line that successfully crosses into the Entity. vi. The History Book will contain any poem, letters, dedication composed by any member or potential member of the Courageous Chi Colony. b. Every idea or decision that is made by the Historian of the Chi Colony must be approved by half of active Hermanas + President. J. New Member Education Chair: a. The New Member Education Chair of the Courageous Chi Colony is to act as a liaison for all potential New Member Education Lines of the Chi Colony. b. Every idea or decision that is made by the New Member Education Chair of the Chi Colony must be approved by half of active Hermanas + President. c. The New Member Education Chair of the Chi Colony is to oversee any actions taken by any interested women. d. The New Member Education Chair of the Chi Colony is to attend all mandatory meetings pertaining to any interested women. e. The New Member Education Chair of the Chi Colony must schedule at

18 least one social per full month, when school is in session. ​ f. The New Member Education Chair of the Chi Colony will be responsible for booking venues, and/or rooms, for all informationals. g. The New Member Education Chair of the Chi Colony must schedule at least two events per semester, when school is in session. h. The New Member Education Chair of the Chi Colony must schedule at least one social per vacation session. ​ i. The New Member Education Chair of the Chi Colony is to give weekly updates on all interested women; weekly meetings when it is time to hand out DIAT apps, etc. j. The New Member Education Chair of the Chi Colony must provide any interested women with a list of all upcoming events that they can attend, they must be updated at all times. k. The New Member Education Chair of the Chi Colony must assist the interested members with all mandatory events, etc. in becoming a DIAT. l. The New Member Education Chair of the Chi Colony must review and send all DIAT applications to the current National Director of New Member Education. m. The New Member Education Chair of the Chi Colony must book rooms for informational sessions. K. Graphics Coordinator: a. The Graphics Coordinator of the Courageous Chi Colony is responsible for making all flyers for each and every event that is hosted by the entity. b. Every idea or decision that is made by the Graphics Coordinator of the Chi Colony must be approved by half of active Hermanas + President. i. Must be approved 4 weeks prior to the event c. The Graphics Coordinator of the Chi Colony is responsible for assisting the Public Relations Chair in getting all flyers stamped by the Student Involvement Office. d. The Graphics Coordinator of the Chi Colony must come up with one para design per semester for the Entity. i. The designs must be approved by the entire entity. e. The Graphics Coordinator of the Chi Colony is responsible with coming up with any necessary banners for any events with the assistance of the Public Relations Chair and the Events Coordinator. f. The Graphics Coordinator of the Chi Colony is responsible for making all PowerPoint presentations created by the Chi Colony look

19 appropriate. L. Director of Academics: a. The Director of Academics of the Courageous Chi Colony will be in charge of all active and inactive Hermanas in order to keep them in good academic standing. b. Must have a Cumulative GPA of a 2.6. c. The Director of Academics of the Courageous Chi Colony is responsible for collecting the schedules and syllabi at the beginning of every semester, at least 2 weeks into the semester. ​ ​​ d. The Director of Academics of the Courageous Chi Colony must create and oversee library hours. e. The Director of Academics of the Courageous Chi Colony will have weekly check-ins for grades. f. The Director of Academics is to abide by the Academic Initiative. M. Multicultural Greek Council (MGC) Delegate: a. Will be responsible for attending all full Multicultural Greek Council meetings. b. Provide the Chi Colony with updates on all Multicultural Greek Council communication(s) in Chi Colony meetings. c. If unable to attend Multicultural Greek Council meeting, must notify the entity 24 hours in advance and will be tasked to find an Hermana in ​ ​ their stead. i. Failure to not notify the Entity and/or the Multicultural Greek Council 24 hours in advance will result in a $5 MGC fine and $5 Entity fine. 1. Excused absences may include emergencies due to: class, work, and/or family. ii. Failure for Chi Colony Delegate to attend Multicultural Greek Council meeting will result in a $5 MGC fine. Section 1.3 - Requirements ​ ​ A. In order to run for a position for the Courageous Chi Colony Board of Administrators, the Hermana must have at LEAST a 2.5 Semester GPA and a 2.5 Cumulative GPA. B. The Courageous Chi Colony Board of Administrators must complete all tasks according to the Bylaws; if responsibilities and requirements are not met by an Hermana, said Hermanas position(s) will be discussed for re-election. C. The Courageous Chi Colony Board of Administrators MUST communicate EVERYTHING including, but not limited to: meetings, flyers, events, posters,

20 DIATs, etc. with the Executive Board who will then administer APPROVED notifications to the rest of the Entity, or send out notifications for voting or approval by the ENTIRE Entity. D. All Hermanas in the Courageous Chi Colony Board of Administrators must report to the Vice President by the 25th of each month if applicable. This pertains to any chair that hosts an event that month such as fundraising, philanthropy, community service, socials, meta events, study halls, and new member education. a. If this requirement is not met, said Hermana will be fined $5.00 by 11:59 PM on the 25th and $1.00 each additional day through the end of the month. b. If said Hermana does not communicate with the Vice President by the end of the month, she will be fined an additional $5.00. c. These fines are being put in place because the Vice President MUST send a monthly report to the Entity Graduate Advisor.

Article VIII: New Member Education ​

Section 1.0 - Orientation Trainer and Assistant Orientation Trainer Requirements ​ A. All potential Orientation Trainers and Assistant Orientation Trainers under the Courageous Chi Colony must have at LEAST a 2.5 Semester GPA and 2.5 Cumulative GPA. B. All potential Orientation Trainers and Assistant Orientation Trainers must be voted on after delivering a physical platform in a meeting where half of active Hermanas + President are in attendance. C. Any Orientation Trainer or Assistant Orientation Trainer under the Courageous Chi Colony must hand in all receipts pertaining the New Member Education to the Courageous Chi Colony Treasurer.

Section 1.1 - DIAT Requirements ​ A. All potential DIATs of the Courageous Chi Colony must be enrolled as a full time student at Wichita State University. B. All potential DIATs of the Courageous Chi Colony must have at LEAST a 2.5 cumulative GPA out of a 4.0 scale. C. All potential DIATs of the Courageous Chi Colony must have at LEAST: a. Completed 1 full time semester (12-18 credits) at Wichita State

21 University. b. First semester freshman may submit DIAT applications with midterm grades - first semester freshman must have a minimum of a C+ average to gain DIAT status; the entity must send official transcripts to the Director of New Member Education once the first semester grades are released to confirm 2.5 cumulative GPA was maintained. c. First semester freshman would not be allowed to begin New Member Education until the completion of their first full semester. D. All potential DIATs MUST fulfill the following requirements: a. Attend one (1) general informational session within the year for the Sorority. b. Attend (4) Greek functions: i. Two Hosted by LPiU - Not specific to Chi Colony ii. Two Must be non-social (should not be parties, happy hours, ​ ​ etc.) events c. Attend (3) community service events, excluding walks and/or donation drives, must be at an event for AT LEAST an hour. ​ ​ d. Fundraise a minimum of $100 per DIAT (application fee) i. Submit an application fee of $100.00 per DIAT to the Vice President of Finance. e. Join at least 1 social/cultural organization on campus f. Attend at least 1 social event hosted by a social/cultural organization on campus. E. Submit a DIAT application in its entirety with all supporting paperwork demonstrating the fulfillment of above requirements. Applications that are submitted with missing information, illegible handwriting, and inappropriate pictures and descriptions will not be approved. F. If there is a potential DIAT who meets the GPA requirements and has satisfied all other requirements, all active entity members will vote if she is to continue with the DIAT process. a. Half of active Hermanas + President must approve. G. Once the decision is made, the New Member Education Chair will notify the National Leadership and wait for the Director of New Member Education final decision.
