Effective beginning with the 2020-2021 school year, Middletown Township Public Schools is migrating to Genesis SchoolFi for digital employee communication including contracts, payroll documents, employee forms, etc.

Logging in and Setting Up

Accessing the Employee Portal Obtain the URL for your employee portal from your local system administrator.

You will be given your login, which will be your email address, and a password, which you can change once you login for the first time.

Fill in your login and password and click the button:

This brings you into the Portal. The first location you should see is whatever is set to be your first location in your setup – see below “Set Your Login Location”. For now, assume your first location is the “Contacts” screen:

The set of ‘modules’ you have access to is listed at the top right part of the screen. The set of modules is configured for you personally by your district. In the example above, there are 6 ‘module’ (or ‘top’) tabs: Payroll, Evaluations, Documents, Contacts, Attendance and Security. To go to a module, click on its tab. For example, to see your pay check stubs, click on “Payroll”.

Initial Setup: Creating Your Signature The first task is to create your signature in the system.

Procedure to Set your Signature 1. To do this, click on the Security button ( ) at the upper right corner of the screen:

3. There are three panels on the Security screen. Locate the “Signature Setup” panel:

4. With your cursor, draw your signature in the blank space:

5. If you do not like your first attempt, click the button and try again. You can repeat this until you have a signature you like.

6. To save your signature, which will be your official signature, enter a “Signature Pin” that you will remember in the “Signature Pin” field ( ), then click . This stores your official signature:

You must remember your pin: you will need it to sign your Evaluations and also to change your signature, should you want to do so.

Changing Your Signature If you decide you do not like your signature and you wish to change it, do the following:

Procedure to Change your Signature 1. Go to the Security screen:

3. Click the button. You will be prompted for your pin:

4. Enter your pin and click . This erases your signature and redisplays the empty “Signature Setup” field:

You can now create a new signature.

Your Signature Pin You will use your pin to sign documents and to erase/recreate a signature.

What is a pin? It is a short, 4 to 8 character password. It can be letters or numbers. Pick a pin you will remember!

If I forget it, how do I look it up? Neither you nor your system administrators can look it up. If you forget it, contact your system administrator and have them reset your signature: the only thing they can do is erase your signature and let you enter a new one with a new pin. There is no way to “look up a pin”.

Be sure to remember your pin! Set Your Home Location Your ‘Home Location’ is the first screen you see when you log in.

The top panel contains your choice for your “home” or default screen:

To select your default or Home screen use the “Default Screen” drop down. There you will see a list of all of the screens you have access to:

Select the Home screen you want, then click the button to store your choice. The next time you login to the portal, this will be your starting screen.

Examining Attendance Totals If you have access to your attendance, an “Attendance” top tab will be available to you:

Interpreting Attendance Attendance information in the portal is “information only” – you cannot make changes to this information.

Attendance Balances Your Attendance balances are listed along the right side of the screen:

For each category: • The “Original” column lists how many of these days were available to you at the start of the school year’. • The “Used” column shows how many days were flagged as this type of day (the days will have the same color in the Calendar at left). • The “Balance” column shows how many of each type of day you have remaining.

Below the list of Attendance balances is a legend of additional color codes:

The Attendance Calendar The Calendar on the left side of the screen shows how each day of the school year has been flagged and counted for you:

Each day is color coded by its Attendance day type. For example:

All days in October, 2018 are coded as . If you place your cursor over a coded day, the tooltip will tell you how the day is coded.

Printing your Attendance Information To get a printout of your attendance information, use the button the top of the Calendar:

Prior Year Attendance Information If you have used SchoolFi for multiple years, you can retrieve prior year Attendance information by using the “Calendars” drop down to select the year (or an alternate calendar in the same year):

Viewing and Updating Contact Information Your Contact information appears on the “Contacts” screen in the Portal. You may have an unlimited number of contacts. Your personal contact information appears on the Contact at upper left (identified in the example by the red border):

To view the contact details, click the Details button. This brings up the “Edit Contact” screen:

• The Edit Contact Screen has four areas: o Contact Demographics – This specifies basic information about you:

Your name cannot be updated in the Portal.

o Email Addresses – There is no limit to the number of email addresses that can be on file:

Email addresses that you wish to receive broadcast messages sent by the District should have the “Broadcast” checkbox checked.

o Phone Numbers – There is no limit to the number of phone numbers that can be on file:

Phone numbers that you wish to receive broadcast text messages sent by the District should have the “Broadcast” checkbox checked and must have the Mobile Provider identified.

o Addresses Your official address is not editable in the portal, however, you can add addresses if necessary:

Adding Other Contacts To add a Contact, click the button at the top of this screen:

This brings up the “Add Contact” dialog:

Enter the individual’s name, select their relationship to you, and any identifying Note you wish to add, then click the button. This will bring up the “Edit Contact” screen:

The Edit screen will initially be essentially empty:

The Edit Contact screen has the same four areas as described above for your personal contact: • Demographics – This is the contacts name, relationship to you and any identifying note you wish to add:

• Email Addresses – Only add email addresses if it is important for the district to contact this individual by Email.

• Phone Numbers – Phone numbers are the most likely information the district will need to have for your additional contacts.

• Addresses – Only add phone numbers if it is important for the district to have addresses for this individual.
