Job Title: Communications / Project Manager Department /School/Faculty: Department of Infectious Disease , School of Public Health, Faculty of Medicine Campus location: St Mary’s, Paddington Job Family/Level: Professional Services - Level 4 Responsible to: Professor Neil Ferguson and Dr Katharina Hauck Key Working Relationships Principal Investigators (PI), Departmental Manager (DM), research staff and students, departmental administrative staff, press office. (internal): Key Working Relationships Community Jameel outreach team, J-IDEA’s national and international partner organizations. Purpose of the Post

The post of J-IDEA Manager is a newly created post within Jameel Institute for Disease and Emergency Analysis (J-IDEA) at .

The Abdul Latif Jameel Institute for Disease and Emergency Analytics (J-IDEA) was launched to combat global disease threats. J-IDEA is an institute within Imperial's world-class School of Public Health in the College's renowned Faculty of Medicine, and it was officially launched in October 2019. Bringing together global health researchers in the School and drawing on Imperial’s expertise in data analytics, epidemiology and economics, J-IDEA will improve our understanding of diseases and health emergencies in the most vulnerable populations across the globe. The Institute will partner with governments, research institutions and communities to develop practical and effective long-term solutions, shape health policy and deliver better quality of life for all. J-IDEA was co-founded by Imperial College London and Community Jameel, a social enterprise organisation that operates a wide range of initiatives which promote and contribute towards positive societal change and economic sustainability.

The successful applicant will have a background in global health, a relevant master level qualification and significant experience working in a communications role.

External relationships The post holder will support the mission of J-IDEA and contribute to capacity building in epidemiology and analytics both globally and nationally with communications, managerial and administrative support to J- IDEAs researchers and affiliates. The post holder will be responsible for enhancing and extending collaborations and partnerships with major global actors such as the World Health Organization, GAVI the Vaccine Alliance, and the Global Fund, and partnerships with governments and NGOs in LMICs. The post holder will collaborate closely with Community Jameel and will enhance J-IDEAs collaboration with other philanthropic donors and national and international funding organizations. The postholder will organize meetings, workshops, manage external and international collaborations, and undertake managerial and administrative tasks related to these activities.

Communications The post holder will be responsible for managing the Institute’s Communications Strategy, in collaboration with Community Jameel’s and Imperial College’s central communications team, directing its programme of public engagement, communications and outreach activities, as well as keeping the Institute’s website up to date and managing its social media presence. The postholder will ensure that the communication and Job Description engagement strategy is coordinated with those of the other Institutes and Centres at Imperial College and may also support communication and engagement activities of other Institutes and Centres at the School of Public Health.

The post holder will also be expected to have an operational understanding of the Institute’s research goals, and the corresponding work streams. They will work closely with the Institute Director, Deputy Director, other communication managers at the School and Imperial College more widely and the Departmental Manager to be responsible for managing and coordinating activities, ensuring that they are carried out smoothly with milestones achieved and reported on.

The role requires the post holder to handle a varied workload, having excellent attention to detail, an understanding of international research collaborations, and the needs of academic staff engaged in global health programmes.

Key Responsibilities

External relationships

• Working closely with J-IDEAs academic team, to enhance and extend partnerships • Manage relationships and ongoing activities, including meetings or calls, training courses and workshops, with Community Jameel, J-IDEA’s partners and collaborators, and Imperial College’s communications and advancement teams • Provide logistical and operational support for all activities • Coordinate and manage the drafting of scientific and technical documents and reports with the J- IDEAs academic team • Assist in editing, compiling and writing manuscripts for publication • Prepare posters, slides and other materials for presentations, conferences and short courses, including for publication

Communications

• Manage and implement J-IDEAs Communications and outreach strategy, ensuring alignment with Community Jameel’s and central Imperial College’s strategy, and with the strategy of other funders including the Medical Research Council and the National Institute of Health Research, and working closely with the J-IDEAs Director, Deputy Director, Community Jameel, J-IDEAs academic team, and affiliates. • Manage an annual programme of public engagement events, communications and outreach activities; developing clear objectives, activities and targeted outcomes for each • Plan, prepare and deliver materials for public engagement, communications and outreach events and activities • Provide logistical and operational support for public engagement, communication and outreach activities • Develop measures to provide evaluation and reporting for public engagement and outreach activities • Manage and prepare scientific content for the Institute’s website, social media including LinkedIn and twitter and digital media • Manage and ensure compliance with social media, branding and style guidelines of Imperial College and Community Jameel • Manage media requests for interviews and advice • Contribute to the production of reports and brochures.

Reporting

• Prepare and maintain records of activities in close collaboration with J-IDEAs academic team to report against the Institute’s agreed milestones in all relevant areas: Job Description

Project management/Operations

• Work with the J-IDEAs management team to ensure activities are carried out within agreed budgets; provide budget forecasts and workplans, and maintain financial records as required • To be a point of contact in interactions with external partners and stakeholders, and be responsible for prioritising and directing external requests to appropriate research staff • Provide operational support to J-IDEA Institute activities, including travel and meeting arrangements • Manage the activities of, and participate as a member of the Institute to input on operational and logistical matters relative to overall department goals • Take responsibility for relevant day-to-day operations of the Institute • Taking minutes of relevant scientific meeting minutes • Coordinate responses to internal and external requests for information • Manage ad hoc projects as required

General administration

• Liaise effectively with the J-IDEAs staff and students at all levels • Maintain accurate project records, ensuring all paperwork is stored in accordance with the department’s file structures (both electronic and hard copy) • Other administrative tasks as required

Person Specification

Education • A master’s degree in a scientific area related to infectious diseases or public health E • A background in a global health role requiring substantial technical knowledge of a E scientific area • PhD, DPhil (or equivalent) in a scientific area related to infectious diseases D

Experience and Knowledge • Experience of administrative work ideally within a higher education/research setting E
