MICROSOFT ENTOURAGE AND ENTERPRISE VAULT

What is ?

Entourage is the Outlook equivalent on the Mac and is required for Mac users in Exchange organizations to function properly with regards to normal groupware operations like calendaring, task tracking, etc.

In Entourage 2004, user e-, , address book, and task list are seamlessly integrated in one easy-to- use program. The Exchange server support available in Entourage 2004 provides features designed especially for who work in organizations running Microsoft® Exchange Server.

Entourage Functionality Highlights:

ƒ Scheduling Organizing a meeting? Find out when potential attendees in your organization are free or busy before sending invitations. ƒ Calendar synchronization Keep your Entourage Calendar in sync with the Exchange server. That way you can keep track of your schedule whether you are connected to the server or working offline. ƒ Directory service Quickly locate e-mail addresses by searching the Exchange global address list (GAL). ƒ Address Book synchronization Now you can synchronize your contacts with those in your Exchange personal address book, so you have full access to the people you need, online or offline. ƒ E-mail editing Text display in HTML-format e-mail messages is better than ever. Messages you receive from colleagues who use on a PC will look great in Entourage 2004. ƒ Support for multiple e-mail accounts Entourage 2004 lets you set up as many accounts as you want – IMAP, POP, and even MSN® Hotmail – so you can manage all your e-mail with one convenient program.

Note: Users with Exchange CALs ( Access License) can use one client for each owned. Microsoft email clients are Outlook for Windows users and Entourage for Mac users.

Why is Entourage relevant to Enterprise Vault?

With the comeback of Apple in the marketplace we see more and more MAC users using Entourage at our customers/prospects. In general MAC users are power users and/or executives within the organizations and have influence on the archive purchase decision. Due to this the demand to support Entourage has grown considerably over the last 12 months.

Entourage 2004 delivers built in support for Microsoft Exchange and gives end users a similar Exchange experience as Outlook users. It is important for Enterprise Vault to deliver the same transparent EV experience with Entourage as we deliver with the Outlook EV client in order for Enterprise Vault archiving to be accepted by the customer /end user.

Enterprise Vault support for Entourage will also be a competitive advantage as none of our competitors support Entourage as of yet.

How does Enterprise Vault work with Entourage today?

With Enterprise Vault we currently support Entourage via “Universal Shortcuts” which gives users access to the archived items and additional functionality like for example access to EV search which makes Universal Shortcuts a viable solution for non Outlook users. Universal shortcuts do not deliver the same ‘double-click” transparency to the end user as the Enterprise Vault client delivers for Outlook users.

So what are “Universal Shortcuts”?

Universal shortcuts provide a mechanism for , Mac users, etc to access Enterprise Vault archived data without an Enterprises Vault Client installation. When Universal Shortcuts are configured via the shortcut policy in the VAC (Vault Administrator Console), the shortcuts to the archived items hold links to the original item and attachments.

With Universal Shortcuts configured, Outlook users will experience no change in functionality; when they double-click a shortcut, it will continue to open the original item as at present.

By contrast for Outlook Express, Mac etc, users, the shortcuts will appear as normal messages as such clients are not aware of the Exchange Forms associated with Enterprise Vault archiving The only difference is that this shortcut will now contain a URL link to the archived item as shown in image 1.

When a user clicks this URL, it will download an HTML rendition of the archived item. It is important to understand that this is a HTML rendition of the original, not the genuine original message (as shown in image 2).

This is because most/all archived items are Outlook mail messages, and with the end user not having access to Outlook (by definition or they wouldn't see this interface) it means that the original message is no use to them. If the message contains any attachments, they can be separately downloaded in their native format, as long as the user has the correct tool for viewing them (eg Acrobat Reader for PDF files). The attachment(s) appear as separate links that the user can click to retrieve the item.

Universal shortcuts are a great alternative to the Enterprise Vault client as it delivers the majority of functionality when compared to the Enterprise Vault Client for Outlook.

By opening the message the user has the ability to access the following functionality by clicking the Enterprise Vault buttons. ƒ Access Enterprise Vault search ƒ Access Archive Explorer ƒ Download the message as a .msg file ƒ Restore the item ƒ Delete the item ƒ View settings ƒ Access Enterprise Vault Help.

It is important to note that Universal Shortcuts rely on the platform to function properly.

What are our future plans around Entourage?

It is our intention is to deliver the same type of transparent end-user experience to Entourage users as Enterprise Vault delivers today to Outlook end users. So what does this mean?

ƒ The ability to double click an archived item resulting in a view of the message in native format which can be forwarded, replied to etc. ƒ Integrated search and web based search functionality. This implies alternative browser support. ƒ The ability to manual archive. ƒ The ability to manual restore ƒ The ability to manual delete ƒ The ability to manual set folder policies.
