Now that you have secured your Wedding Venue with a deposit and signed contract this planning guide and handy checklist will help you stay organized and on-top of things during the planning process over the coming months.

Start making your Guest List Pro Tip: When making your guest list, start assigning everyone to tables. Write them down in groups of who would be sitting together on the day of. This will allow you to start planning your seating chart early on. By envisioning your floor plan at Club Roma early, this will also help keep you organized when you get back your RSVP's.

When you start getting within the year of your wedding date it is important to start with your "bigger ticket" items first... Pro Tip: Give the dress shop a date 2 weeks to a month before your real wedding date when you order. This will help to alleviate the stress of waiting for a dress to come it that may need some alterations as well as give some extra time if there are any problems.

Custom Suit NOTE: Custom can take just as much time to order in the fabric and make between fittings as the 's dress. When looking for that extra something special for him a custom suit can be an investment that is worn again and again.

Start making your Wedding Website and posting it on your social media for family and friends to see.

Make a gift registry and adding links to your Wedding Site Book and take your engagement photos TIP: We highly recommend booking your engagement photos with the same photographer you have booked for your wedding. This is your photographers way of getting to know you as a couple, how to pose you, your comfort levels and what you want out of your overall wedding photos. This also creates a level of comfort that carriers over to the day of the wedding. Your photographers will be with you all day. From getting ready, to your and into the wee hours of the night. You don't want to feel discomfort around them, it will show in your photos.

Design and send out your "Save the Date" Sort out your Wedding attire and fittings Hire an Officiant for your wedding day. TIP: Pick an officiant that listens to you as a couple and gets to know you. Don't let them take control of your ceremony. Wait to find the one you both click with. They are out there! Don't rush booking the first one you find. They are a BIG part of your special day. Make sure to book with one that helps reflect you as a couple in your ceremony.

Pro-tips when picking your wedding Florals

Floral Do's: Choose flowers that are in for your wedding as they will be hardier, more plentiful and less expensive. Do your research on the wilt times of the flowers your florist recommended. You want your flowers to stay bright and beautiful all day. Also make sure you go into your appointment with a clear and organized vision. Make your budget clear to your florist. You don't have to stick to tradition. There are many alternatives to fresh flowers. You can do 100% fresh, 50/50 or even only a small percentage of your flowers fresh. You can even cut fresh flowers out completely and look into silk flowers, other types of fake flowers, wooden flowers, feathers, using candy/lollipops, brooches or other bling. Trends are always changing. Pick what reflects you best.

Floral Don'ts: Do not believe everything you read or see online. Flowers can easily become the most expensive part of your budget next to your venue and food. Don't schedule your appointment too early into planning when picking your flowers. Book your wedding date 8-10 months in advance but wait till your 5-6 months out to pick your flowers. Don't forget about greenery! This is a great way to cut costs and make your flowers look fuller and brighter.

Here is what to look into 6-7 months out from your wedding:

Book a fitting for the Groomsmen/Person suits

Order your /Person If you decide to order online or from your local bridal shop, make-sure that you follow these tips: - Orders in bridal shops can take 3-6 months to come in. Make sure you ask for order times on all the dresses when going in to try on dresses. Different designers have different wait times on orders, you want your parties dresses to come in at the same time and in time for any alterations. - If you are ordering online; there's a few things to think about. Where are you ordering from? Is the site in Canada or the USA? What are their wait times on orders? (Most sites are a minimum 2-4 month wait for shipping). Will you be paying customs on the order?

#1 TIP: Make sure to order all the dresses in ONE ORDER! This will ensure the dresses come together, that they are made from the same fabric roll to colour match and this will save you on shipping and customs if ordered from the USA. Also put in an earlier Wedding Date then your Real Date if asked on the site.

Confirm the Groom's Custom Suit Order or Suit Rental

Book your Wedding Transportation. When booking: - You will want to look at transport for the bridal party to your ceremony separately, then together for photos and back to Club Roma for your reception. Make sure to account for all members of your bridal party when booking. - You might also want to look at transport for just the Bride and Groom for the end of the night to take you home or to your hotel safely.

Look into any other outside rentals needed for your wedding. For example: upgraded linens, hiring a photo booth, etc.

Talk to your DJ about your ceremony music. They will be able to help you figure out the atmosphere you want to create for your ceremony and find the perfect song to walk down the aisle to. If you are looking for live music they maybe be able to make some suggestions as well.

AND THEN THE FUN PART... Book your ! 6 months out, here are a few things you will want to look into: Set a budget (including flights, hotel and spending expenses). Research locations, hotels, read reviews and look for travel blogs done by other couples. Talk to a travel agent, even if you don't book through them. They are a wealth of knowledge. Make sure your passports are up to date and will not expire before or during your honeymoon.

Talk to your about Club Roma's on-site restaurant - La Terrazza Bar and Bistro special Rehearsal Dinner Packages NOTE: We love using our on site restaurant for rehearsal dinners as it gives a change of scenery and ensures you don't experience any part of your before your big day!

Confirm that evening with your Officiant

Other TO-DO's 4-5 Months before your Wedding:

Book your final wedding cake (or wedding cake alternative) design appointment with your Bakery. Including confirming delivery time to Club Roma for the day of the Wedding. NOTE: With so many new trends always popping up; couples have so many options to be different from the "norm" or to stay traditional. Just remember to let your whole wedding reflect you as a couple and your likes.

Look into booking your hair and makeup trials. Don't be scared about bringing photos of the styles you like for your hair and makeup artist to look at. Make sure your stylist know your over all vision for your wedding, and how you'd like your photos to turn out. They will help you pick the best style to complement you, your dress and your style! Put some trust in their suggestions also.

Only 3 months, 12 weeks or 90 days until your wedding!

You will want to start planning and checking these items off your list now:

Write your vows if you choose to say your own Tips to writing your wedding vows: Tell your love story and keep it about the two of you. Make a personalized promise to your partner. End with looking into the future as a couple. Apply for your License as they are only valid for 90 days once approved in Ontario. Order and send out your final wedding invites and RSVPs to your guests. TIP: Remember to put a date on your invites that your RSVPs have to be back to you by. We recommend a month before your wedding so you have time to sort out your seating chart. Choose your Wedding Favours or Gifts for your Guests. TIP: Think about doing something outside the box or making it personal with a story about the two of you. Doing a donation in lieu of a guest favour has been becoming more popular over the last few years with our couples and is great way to say "Thank You for celebrating with us".

Honeymoon Notes for 3 months before your wedding:

Apply for visa and get all the documents ready if needed Look into travel insurance & any necessary vaccinations Book your flights if you haven't already Book a hotel that fit your needs and budget Schedule airport and hotel transfers if not included in the package

NOTE: When you are about 3 months away from your wedding, the stress starts to build. And a few of these points are some of the most important ones on your to-do list for your wedding. Don't be scared to take some you time and relax! The next 90 days will fly by...

Its D.I.Y time!

We all know the hold Pinterest has on us. The hours spent pinning ideas, sharing projects and researching how someone else made their wedding look so perfect! The blackholes we have all entered into with Pinterest usually lead to a few D.I.Y ideas of your own. These can be a project for you to do as a couple, for a handy parent or family member to be tasked with or even a weekend Bridal Party Project. There is also a spot in your personal Virtual Bridal Suite to link your Pinterest board for your Wedding Coordinator to see.

2 months before your wedding:

Work on any Wedding D.I.Y projects you have started or want to make from Pinterest. Send out your wedding rehearsal invites Wedding party dresses and suit fittings

Get all the little things in order, so you don't have to worry about them closer to the wedding date:

Guest book Cake knife and lifter Extra flip-flops to keep the dancing going A Card box (unless using one of ours at Club Roma) Flower Persons and Ring Bearers accessories

NOTE: Please remember that 60 days out from your wedding date that 50% of the projected wedding balance is due to Club Roma.

30 DAYS!

You only have 30 more days until your wedding. Let the count down begin!

There are a few things that you will want to focus on over the next 30 days including:

Put together your final seating chart, track down friends and family members who have yet to RSVP.

Confirm all guest allergies and dietary needs

Put together your bathroom baskets for your guests Basket Notes: On the next page you will find a helpful list for putting together the perfect Washroom Baskets for your guests, as well as a few ideas for your Bridal Suite.

Assemble gift bags and favours if needed. This can be a project you can do together, or can hand off to a responsible family member or bridal party member

Call and book all your final appointments with your vendors and budget out your final payments for those appointments.

BREAK IN THOSE WEDDING SHOES!!

Honeymoon reminders for 1 month out:

Finalize all the information needed regarding your flights, hotels and transfers. Collect any additional documents or copies of bookings to pack Look into planning some tours and activities together Make a packing checklist Shop for the necessities in travel sizes. Remember to pack light and leave room for any shopping and items your wish to bring back with you

These baskets are an added surprise to your guests on the day of your wedding. Pick and choose the items you feel are "essential" for your guests.

You may also want to look into a Bridal Suite Basket or Pack for your whole Wedding Party. These items will be your "emergency wedding kit".

Only 2 weeks left before your Wedding!

A few of the most important things to check off your TO-DO lists

Final Dress and Suit fittings Refreshing hair colours & cuts if needed Confirm your final wedding numbers and menu choices with your Club Roma Wedding Coordinator. Go over your final budget together Have final appointments with your Vendors and have final payments ready You might also want to talk to your jeweler about having your rings cleaned and booking an appointment.

Honeymoon reminders for 14 days out: Make sure to obtain your visa if needed, get your travel insurance in place, flight tickets printed and hotel confirmed. If you've booked with a travel agent; make sure to collect any discount coupons and/or honeymoon vouchers from your agent that may apply. Keep extra copies of all your documents and bookings. (have printed copies and a set on your phones) Have your emergency contact numbers in place and arrange a friend or family member to house/pet sit for you. If you decide to exchange cash before your trip, spread it out into various bags and pockets. Talk to your doctor or pharmacist about writing a letter to take with you if you have any special medications you need to keep on you at all times.

Only 7 days till the big day!

This is normally when most couples start to feel stressed and that they have forgotten something. We are here to tell you to relax, take a step back and have some "you" time. Self care and being together as a couple is the most important thing during this time. Don't be scared to take a night and turn off your phones and just be together.

With one week out we have a few things for you to do:

Get your nails, eye brows, pedicures done. Alone or with your Wedding Party.

Get your rings cleaned.

Take some time to write your partner a special personal note for the day of the wedding.

Pack up and drop off all your set up items, washroom baskets, favours along with set-up notes to Club Roma at the arranged day and time with your Wedding Planner.

Pack your "day of bag". This will be specific to you and different from your Bridal Suite Basket/Pack. TIP: These will be items you will need throughout the day of your wedding. Extra makeup to touch up, spray on deodorant, flat shoes to change into, a change of clothing for the end of the night if needed, any medications or inhalers, and even a little something sweet just for you!

Start packing for your Honeymoon!

Don't be scared to take a self care day. Whatever makes you happy!

TIP: The last few days leading up to the wedding day can sometimes get stressful for couples. Try planning a date night the week before the wedding to take a bit of time to unplug and spend some much needed quality time together. Stop and take the time to remind each other the reasons you are choosing to spend your lives together. Try to not talk about wedding related things and focus on the two of you.

Your Rehearsal

Rehearsal Notes:

Be on time and ensure your party knows you have a set time in the garden for your rehearsal. Stay on task and ask a family or wedding party member to take charge if others start straying away from the task at hand. You have enough to do. Listen to your officiant but also make sure they hear your ideas and vision for your ceremony. Traditions change all the time, don't be scared to be different. Assign a responsible family or wedding party member to be the holder of your Bridal Suite Key the day of the wedding. There is a $100 replacement fee if the key is lost.

The days leading up to your wedding:

Put all your "bring to Club Roma" items into your cars and ready to be dropped off to your coordinator on the set day and time before your wedding. Confirm your rehearsal time with everyone you have asked to attend and stress the importance of being on time. Stay off your feet and spend time together as a couple.

YOUR HONEYMOON IS ALMOST HERE! These are going to be some of last few things you will need to do before going on your Honeymoon

2 Days before: Check the weather of your selected Honeymoon destination. Inform your neighbors that your will be away and if someone will be house sitting. For those who suffer from any kind of medical condition; pack your medications on you along with a proper prescription or letter from your doctor or pharmacist for your flights into your carry-on. Carry a first aid kit with basic necessities. 1 Day before: Get lots of rest and sleep. Drink enough water and keep yourself hydrated during travel.

Have fun getting ready & enjoy the time with the family and friends you have chosen to be a part of your special day!

Have your rings and a copy of your ready with anything else you'd like for your photographer to capture for you at home.

Let your suits, dresses and the veil air out; steam if needed.

Read the letters you and your partner exchanged. We recommend they be read before make up is applied.
