Sealed tenders on the prescribed format for ‘A’ above and on plain paper for ‘B’ above by giving desired details be sent latest by 3.00 P.M. of 28th November, 2014 to the Managing Director, Haryana Tourism Corporation, SCO17- 19, Sector-17/B, Chandigarh-160017 along with the EMD as specified in the tender / EOI Document by means of Demand Draft. Please note the following points while submitting the tenders:

1. Rates should be inclusive of all taxes/cess/levies wherever applicable. The payments would be made subject to the deduction of TDS at source, wherever applicable.

2. The rates so quoted would remain valid for three months.

3. Payment would be made after satisfactory performance of the desired service .

4. Copy of the Drawings/ Pictures regarding Flower Decorations may be obtained from the Architect Cell of HTC, Sector-17-B, Chandigarh.

5. Rates be quoted for item –wise as well as for the total quantity. Haryana Tourism reserves the right to increase or decrease the quantity as per the requirement. In case of the increase or decrease of the quantity , the payment would be made on the basis of the item wise rates and where the item wise rates are not available, the payment would be made on proportionate basis.

6. Earnest money in form of DD in favour of “Haryana Tourism Corporation Limited payable at Chandigarh” as mentioned above for each mentioned above is to be enclosed. The EMD of the successful applicants would remain as security and would be refunded at the time of final payment after the festival is over. The EMD of the others would be refunded in due course.

7. Interested parties for their own interest can visit Pinjore Gardens to see the scope of work as per terms & conditions before submitting the tender.

8. EOI / Tender without EMD would not be entertained.

9. The conditional EOI / Tender would be rejected.

10. Applicants for Compere ,Announcer would be called for screening. However, no TA/DA would be paid to candidates for screening.

5) Only those Agencies are eligible to quote the rates who have done at least two similar types of jobs either in hotel industry, HTC, in any Government Department or a big function of the Corporate Sector.

6) Main Evening programme to be recorded daily in CDs and recorded CDs to be handed over to Haryana Tourism Corporation on spot . No extra payment will be made for the supply of CDs.

7) Firm is liable to have all sufficient equipment to be provided at site if required extra.

8) Only the firm who deals in sound equipment may quote the rates. No event management company will be entertained

Good quality of flowers should be used and the firm shall get the samples approved of all types of flowers to be used for this job. 5. Tissue cloth decoration and Urli chowki decoration shall be quoted for one time installation as well as rent per day if retained for some days. 6. The H.T.C. reserves the right to increase or decrease the Scope of work and quantities may vary from time to time as per the instructions given by the authorities. 7. Note:-

The CDs / DVDs for the still photographs have to be given daily by 5.00 P.M. so that Press Note can be issued with the photographs. 3. High resolution digital photographs have to be taken. 4. After the Festival is over, full set of the CD/ DVD comprising still Photograps and Videography have to be given after proper editing. The Videography should be with suitable titles and details.

Item No. 10 COMPERE AND ANNOUNCER

COMPERE ( Male / Female)

1. The candidate has to conduct and manage the stage for the day time cultural programmes of the schools. Proficiency and flair of speaking in English and Hindi is required. 2. The candidate has to manage the stage for various competitions. 3. The candidate has to manage the stage for the evening formal cultural programmes. 4. The candidate has to manage the stage at the time of formal inauguration. 5. Candidate should have a command over spoken languages and experience of working as such in a similar functions of a Govt. Deptt. Or an undertaking of the Govt.

ANNOUNCER ( Male / Female) 1. The candidate has to make repeated announcement in English and Hindi about the schedule of the two days of the Heritage Festival. 2. The candidate has to create hype about the Heritage Festival. 3. To make such other announcements as intimated from time to time. 4. Candidate should have a command over spoken languages and experience of working as such in similar functions of a Govt. Deptt. Or an undertaking of the Govt.

Notes:

The participants would be provided staff meals free of cost during stay at Pinjore. Similarly, accommodation of sharing basis would be provided in nearby Dharamshala. Local transportation would be provided between Dharamshala and Pinjore. The outstation candidates would be paid to and fro transportation charges as agreed. Applicants would be called for screening but no TA / DA would be paid.
