Main Responsibilities for HR and Administrative Executive:

Ensure renewals of all expatriate personnel official documents and permits Ensure completion, correctness and update of Personnel and Administration database on computerized information systems, as well as the proper archiving of documents Supervising and coordinating activities of administrative clerical staffs Co-ordinating with more than 15 branches (including overseas branches) for related for HR & Administration issues Colleting the attendance and leave records from different braches and updating the ERP as per procedure for timely preparing the . Preparing & Processing monthly (Payroll- ERP System) for 400 permanent employee`s, other temporary staff, and outside contracting company employees also. Timely updating the payroll system ( increments, Allowances, supplementary and overtimes) Co-ordination with branches for Personnel and Administration related works. Preparing Omani Employees` PASI and Reconciliation statements for monthly basis. Ensure rules for various allowances leave entitlement procedures etc, for all categories and ensure that employees understand and follow these rules. Coordinates with finance and accounts /Computer System Department for preparation of cheques / bank letters for leave salary, and advance salary etc. Keeping all Expatriate Employees Passport (for all Branches). Prepare & Process timely distribution of bonus, increment and salary slip, leave Salary, encashment and full & final settlement of employee’s. Accident: - provide timely information regarding an accident to concerned authorities immediately for claiming / settlement of benefit under Group Personal Accident insurance policy / Workmen. Checking monthly company vehicle`s fuel bills. Dealing with Travel Agents for booking air ticket & Hotel bookings. In coordination with PRO`s for manage the vis process for the new joiners such as Entry Permits, Residence Visa, and visa cancellation and ensure that all visa applications will be processed smoothly and will be sued on time. Ensure completion, correctness and update of Personnel and Administration database on computerized information systems, as well as the proper archiving of documents Maintain employee’s Insurance and medicals claim and follow up with accounts dept on timely. Prepare Cash Payment vouchers and purchase vouchers Monitoring and checking employee’s finger print and attendance daily basis all branches Organize timely renewal of all Company Licenses. Preparing manpower reports based on the requirements from all branches Preparing final settlement of resigned and retired company employees. Ensure that cards are received by all employees, assist with addition, renewal and deletion of cards. Coordinate visa requirements for staff traveling overseas on business.
