2019 SPRING CONCERT INFO PACKET

The Spring Concert is an annual production by Hyde Park School of , and every class from Creative Movement all the way up through our highest levels participate. HPSD is committed to providing an annual free performance opportunity for our students, and we invite all of our dancers in these levels to take part in this production!

Please read carefully the entire contents of this packet. You will be expected to know all of the information contained herein. If you have any questions, please contact the HPSD administrative office.

The Basics HPSD’s 2019Spring Concert will be held on Sunday, May 19 at the Museum of Science & Industry. The concert consists of three acts, and each act is treated as its own separate and complete performance.

All HPSD students may participate in the Spring Concert. There will be no workshop fees associated with this performance, and costumes will be provided for dancer use free of charge. While costume use and participation are free, all costumes will remain the property of HPSD, and anyone wishing to watch the performance will be expected to purchase a ticket.

Students will learn their Spring Concert in class, and the only outside rehearsal required to participate is a special dress rehearsal for dancers in Creative Movement, Pre-, and Boys’ Dance I (see page 8 for details) on Saturday, May 18.

All you have to do to secure your dancer’s place in the program is confirm that your dancer will be participating at www.hydeparkdance.org/springconcert.

May 4-17 Dress rehearsals for dancers in Ballet I-VI, Modern, Boys’ Dance II/III, Jazz, and Hip Hop Please note: dress rehearsals for these levels will take place during these dates in our regularly scheduled classes. It is very important that you make every effort to ensure your dancer is in attendance at all of his or her classes during dress rehearsal time. If your dancer must be absent, please contact the office prior to the missed class(es) to let us know.

May 18 Dress rehearsal for dancers in Creative Movement, Boys’ Dance I, and Pre-Ballet I-III This dress rehearsal for these levels will take place outside of regularly scheduled classes, at 5650 S. 2019 Spring Concert PERFORMANCE DAY PROCEDURES what to know for the big day

BEFORE THE PERFORMANCE:

 Note that no classes are scheduled for May 18, and the HPSD office will be closed. Please plan accordingly.

 Please consult your calendar for any scheduling conflicts prior to confirming your dancer’s participation in the Spring Concert. Dancers must remain backstage for their entire performance and will not be released early in order to attend another event or for any other reason. If you believe your child will be unable to remain backstage under the supervision of HPSD staff and volunteers for the duration of his or her assigned act/s, he or she may not be ready to participate, and should wait until next year to enjoy the performance experience.

 Please bring your dancer to the Museum of Science and Industry prepared to dance. Dancers should be wearing their class uniforms with hair done and stage make-up applied. (See page 7 for details.) Make-up for very young dancers is optional, but we recommend make-up for all dancers as stage lighting has the tendency to wash out faces.

 Enter the Museum of Science and Industry through the museum’s main entrance. For security purposes, we are unable to enter through any entrance other than the main entrance. MSI’s parking garage is free for up to 60 minutes, and $22 per vehicle after 60 minutes. These are MSI’s standard parking rates, and no validation is required of your parking ticket. If you choose to utilize street parking, plan for extra time to walk to MSI’s campus.

 Upon entering the museum, volunteers will direct you and your dancer to the restrooms and then through the museum to the auditorium. NOTE: There is a 10-15 minute walk from the museum entrance to the check-in area and theater, and we recommend using the restroom prior to proceeding to the check-in area. The restrooms nearest the museum’s escalators are the ones to which our group will be directed for the day. Please plan accordingly, arriving early enough to park, use the restroom, complete the walk, and check-in before your dancer’s call time.

 Dancers must be checked in by HPSD staff at designated check-in areas by their designated call time. You can find a complete list of call times on pages 3-4 of this packet. Please plan accordingly, taking parking and walking through the museum to the check-in area into account.

 Parents of dancers aged seven and under should keep their children’s street clothes, shoes, and bags with them as HPSD cannot be held responsible for items that are lost or stolen backstage. All items brought backstage with each dancer should be labeled clearly with the dancer’s name.

 For the safety and security of all, no one other than dancers, staff, and pre-designated volunteers will be allowed backstage prior to, during, or after the concert.

DURING THE PERFORMANCE:

 Dancers in multiple acts may either remain backstage between acts, or be checked out after one act and checked back in by their call time for the next act in which they are performing. Dancers will not be allowed to leave the backstage area without being checked out.

 Dancers who will be remaining backstage between acts should plan to bring a lunch and/or snacks that do not need refrigeration or microwaving as necessary. HPSD is unable to provide food. Please see the guidelines outlined in the included performance day checklist.

 During the performances, families may videotape only from designated areas at the rear of the auditorium, and no flash photography will be allowed, as it is dangerous to the performers. Families may not photograph or record video backstage.

 Audience members are expected to remain seated until the very end of each performance, as the noise and confusion caused by early departures in the house is disruptive to the dancers and other audience members.

AFTER THE PERFORMANCE:

 At the end of the each act, you may pick up your dancer from the check-in area. Please be aware that dancers will not be released to their parents or guardians until the entire performance is over, and they have gotten out of costume, tidied their backstage space, and been cleared to leave by HPSD faculty or staff.

 Audience members are welcome to explore the museum during its open business hours the day of the Spring Concert! Your HPSD Spring Concert ticket will allow you admission into MSI’s general admission exhibits on May 19th during their regular business hours of 9:30 am – 4:00 pm.

 Dancers in Ballet IVA and up who are performing in Act 3 will be expected to help strike the set, preparing props, costumes, and scenery for transport back to HPSD. If your dancer falls into this group, expect them to be required to stay an extra 15 to 30 minutes after the show.

A special Spring Concert dress rehearsal for all dancers in Creative Movement, Pre-Ballet I, Pre-Ballet II, Pre-Ballet III, and Boys’ Dance I, will take place on May 18 at 5650 South Woodlawn Avenue. How do I order tickets? Tickets will be sold in the HPSD office during open office hours beginning on April 8. To purchase your tickets, simply complete the included Ticket Order Form (page 11) and return it to the office. If seats are still available, tickets will be sold at the door 60 minutes prior to the concert. As there are no guarantees the performance will not sell out, it is strongly encouraged that you purchase tickets in advance.

Will there be photo opportunities? Non-flash photography will be allowed during performances, but there will be no opportunities to take posed individual photos of your dancers in costume on the day of the Spring Concert. Parents may take photos during designated times at each class' dress rehearsal. Creative Movement and Pre-Ballet dancers will have dress rehearsal on May 18 (see page 8 for times). All other classes will have dress rehearsal on a specific date during the two weeks prior to the performance; we will notify you via email and at hydeparkdance.org/springconcert once the dress rehearsal schedule has been finalized.

Can we video tape the performance? During the performances, videotaping will be permitted only in specifically sanctioned areas at the rear of the auditorium.

When does my dancer perform? Please see pages 3-4 for your dancer’s assigned performance time.

What will be provided and what do we need to provide ourselves? HPSD will provide costumes for dancers to wear during the performance. There is no fee for the use of these costumes. Costumes remain the property of HPSD.

Dancers will be required to wear their class uniforms under their costumes. Dancers are also expected to provide their own hair products and make-up. Dancers performing in multiple acts who intend to remain backstage between acts are encouraged to provide their own snacks and/or meals and water bottles. For a complete checklist on required and recommended supplies, please see page 7.

Are there separate rehearsals? Regular rehearsals and costume fittings for the Spring Concert will take place during dancers’ regular classes. There are no outside rehearsals for dancers in Ballet 1 and up, Modern, Jazz, or Hip Hop. Dress rehearsals for these levels will take place during regularly scheduled classes.

There is a separate dress rehearsal for dancers in Creative Movement, Pre-Ballet I, Pre-Ballet II, Pre-Ballet III, and Boys’ Dance. This dress rehearsal will take place outside of regularly scheduled classes. All dancers in these levels who will be participating in the Spring Concert are required to attend this dress rehearsal at 5650 S. Woodlawn Avenue on May 18 (the day before the performance). If my dancer is only in one act, do I have to watch all three acts? OR If I purchase tickets to see my dancer’s act, will I be able to stay in the audience for other acts? For the Spring Concert, each act is its own completely separate performance with its own separate tickets. However, if your dancer is in multiple acts, you need only pay for tickets to one act and HPSD will provide you with complementary tickets to the additional acts in which your dancer is performing.

I have multiple dancers in different acts. Will they be permitted to watch one another dance? HPSD will provide one complimentary ticket to each HPSD dancer who would like to attend an act in which they are not performing.

Where do I park at the Museum of Science and Industry? There is free street parking around the museum, or paid garage parking available (free for 60 minutes and $22 per car thereafter) at the museum. Can we explore the Museum of Science and Industry before or after my dancer performs? Yes! Your HPSD Spring Concert ticket will allow you entrance into MSI’s general admission areas on May 19th during MSI’s regular hours of 9:30 am – 4:00 pm. You may have the opportunity to watch your child perform from the wings, but if you are interested in watching the concert from the audience, please consider volunteering in a different capacity. We are seeking two backstage chaperones per class to assist the HPSD staff with the show day supervision of dancers. Backstage chaperones will assist with costumes during dress rehearsals, and during the performance it will be your duty to help the dancers stay calm backstage, assist them in getting into and out of costume, help make last-minute adjustments with hair and make- up, and help ensure they get to and from the stage when necessary. In order to participate as a backstage chaperone, you must be available to assist with your class’s dress rehearsal as well as be willing and able to oversee your assigned group on the day of the show until the end of their act, and to help with the check-out process once the performance is over.
