This guide was created for a non- commercial purpose. 3 Welcome to Woodward Buildings, Imperial’s flagship development in and home for you and for over 800 other students as you embark on your university life! The hall consists of three different residential blocks: B, C, and D. Despite being the furthest hall from Imperial, we are closer to a tube station than any other hall, so getting to and from central London is simple and can be even faster than from the other halls! Kemp Porter Buildings, another large Imperial College student residence, are also just a few minutes’ walk away.

Woodward has a Wardening Team consisting of 2 Wardens, 12 subwardens and 27 seniors who are here to ensure you comfortably settle into student life, as well as organising events throughout the year for all to join. According to your residential block and floor, you will be part of one of our hall areas, which are each overseen by one subwarden and a couple of hall seniors and have an atmosphere and personality of their own. If you ever have any concerns, worries of simply need someone to talk to, don’t hesitate to approach any of the Wardening Team members – you can knock on their doors and they are always happy to help!

In the next pages we will introduce the Wardening Team, as well as provide more information about the area and some tips for living in London. It’s important for us that you are comfortable in your first year to ensure that you enjoy your time at Imperial and succeed in your studies. As usual, please respect the Hall Rules so that we can maintain a healthy environment in Woodward Buildings!

4 Wardens

There are three groups of people who work together to make Woodward the place it is: the Wardens, the Hall Seniors and Housekeeping

During term time, at least one of us will be on duty and on site between 7 pm and 8 am. During holidays, full cover is provided for the entire day. The person on duty is known as the duty warden and can be contacted on the duty mobile and by email.

Please note that calls at late hours (after 11 pm) are only for emergencies or if residents are being unreasonably loud during the quiet hours (11 pm to 8 am during term time, and 10 pm to 8 am during exam periods) – we need to sleep too! If possible, please come find us during office hour (7-8 pm everyday in term time), albeit remotely due to the current pandemic situation. During the day (8 am – 7 pm) your emergencies / enquiries will be redirected to Concierge / Reception, who are also trained to assist you.

Please note that the wardening team is a distinct body compared to ‘Residences’ and the Student Accommodation Centre, who look after room allocations, contracts, cleaning and repairs. Hi, I am Victor, one of the Wardens of Woodward Buildings. I live in block C with my lovely wife Maria. I am a Research Associate at the Department of Bionengineering, having also completed my PhD here. I work with computational neuroscience, trying to understand how our brain works. I am particularly interested in the brain’s unique ability to learn and form new memories. I am from Brazil, where I got my degree in chemistry and my master’s in physics. In my free time, I like to run in the park, cook and sculpt! I look forward to meeting all of you! (Warden) D8

Abi is one of the Wardens at Woodward, living with her partner Luke. She is a Research Associate in the Department of Materials, working on corrosion of metals. This mainly involves building corrosive atmosphere environments, breaking bits of metal and trying not to accidentally burn down or blow up the RSM. She has previously lived in Germany and Cyprus, and came to Imperial 6 years ago at the start of her PhD. You can usually find her either on or near a stage enjoying or performing musical theatre, baking, or spray painting furniture in an effort to upcycle because she saw a YouTube tutorial and it looked super easy. Abi can’t wait to meet everyone! 7 Subwardens

I’m originally from London (Watford), and did my undergrad at the Uni of Manchester. I’m now in my 3rd year at Imperial in the Department of Materials. I love to cook and explore cuisines and small restaurants. I also enjoy a wide variety of games from cards to League of Legends and Dungeons & Dragons. I‘ve spent a lot of time in amateur dramatics and have modelled for a number of different projects! I’m very outgoing and love nothing more than a cup of tea and a round of cards so feel free to come find me anytime as I’m always happy to learn some new games!

Nav is about to start the first year of his PhD in computational & experimental Fluid Mechanics, having just finished studying Mechanical Engineering at Imperial. He is initially from Newcastle and so, unsurprisingly, loves football, but also the gym, cycling, running, hiking and anything else outdoors really. Nav would like to say a massive congratulations for getting into Imperial, he looks forward to welcoming you to Woodward and helping you to smoothly transition into university life. Anastasiya studies Bioengineering and she is going into her second year of PhD at Imperial having graduated from the University of Edinburgh. Anastasiya is driven by direct social impact and aims to apply her research in synthetic biology in ways that will give a tangible output. Apart from the studies, she has many hobbies: dancing Salsa and Bachata, playing violin in her free time, drawing and occasionally attending photography workshops. She simply admires aesthetics and beauty in everything, so feel free to join her on socially distant strolls around London exhibitions – she is hoping to share her experience and passions with you! Mohammad is the best thing since sliced bread which, by the way, is totally overrated. He’s starting the final year of his PhD in data-driven fluid dynamics. That is a fancy way of saying if you have an easy enough linear algebra problem, he may be able to help. He has been at Imperial for the past 7 years, so he knows a thing or two about navigating the turbulent waters of student life. He’s into politics, economics and history. You may spot him listening to an audio-book or a comedy special while wandering around. Feel free to say hi, he can’t wait to welcome you here at Woodward. :-) 9 Subwardens

Hi – I’m Navneeth! I was born in India and lived in Singapore for around 12 years before moving to London last year. I enjoy learning about quirky, weird and mostly useless things and so I’m a PhD student in the Computing Department doing research on quantum information theory. Other than that, I love Formula One and you’re welcome to join me in watching a race on a Sunday afternoon. Finally, I’m wondering if I should have written all that stuff in the third person, but too late now!

Iuliana grew up in a small peaceful town in Romania before joining Imperial in 2012 for her undergraduate degree in Chemistry. She is now completing her PhD studies the synthesis of organic semiconductors and she has her viva in October. In her spare time, Iuliana enjoys travelling, experiencing different cultures and wandering around London’s museums and bustling markets. She is a big fan of eating out and trying new restaurants and bars, but you will also find her experimenting (and very often failing) in the kitchen. Iuliana also loves attending group fitness classes as iGym, so fell free to contact her if you would like to join her on a socially distant workout. She is looking forward to meeting you all! 10 Subwardens

Alexa is from Philadelphia, US and this is her fourth year on the Woodward wardening team and first year as a Tower Lead! She is doing her PhD in Health Economics at Imperial. Her research focuses on childhood obesity strategy and fiscal policy evaluations. Her academic background is in Epidemiology and Public Health. Alexa is extremely outgoing and excited to learn about the healthcare, culture, favourite foods and recipes that everyone has to share. So come and talk to Alexa about anything! Her main interests include travelling, wine, cooking and baking, gin and tonics and anything non- related to US politics =)

Sophie is originally from Kent in the South East of England and she had been living in London for the last five years, completing her MSci in Chemistry at Imperial. She was even a Fresher in Woodward the first year it opened! She enjoys swimming, running, baking and chilling out in front of the TV. She also loves travelling to new countries or exploring new cities and especially trying out the local cuisines. Sophie is very friendly and will always be an approachable person around halls should you need a cheerful chat or some advice! 11 Subwardens

Lewis is a 4th year Palaeobiology PhD student, focusing on the impacts of climate change on life in the past. Outside of his PhD, he enjoys scuba diving, travelling, hiking and the occasional Netflix binge. If hiking is also your thing, keep an eye of this year’s events for his annual hiking trip. Previous trips have included Snowdon, Wales and Three Yorkshire Peaks, Yorkshire Dales. Lewis has been around the block once or twice, living in Woodward for the past four years. If you have any questions about the student life, halls, or even the local area, he will be happy to help!

Maria is an Imperial Aeronautics graduate, currently in the final year of PhD in multifunctional composite materials. Having grown up in London, she looks forward to welcoming you to this beautiful city and has a ton of suggestions for gorgeous places to go for a stroll. Her interests include books, music, travel, photography, good TV, comedy and politics. Maria is always here to lend an ear – for the good, the bad and the in-between!

With a genuine affability coupled with a pinch of humour Paul is a friendly exponent of its kind — He started his journey in a rustic village in western Romania where he spent his early years, but he ended up in different places during each stage of his education, from village to city, bigger city and finally London, so he understands how daunting massive changes are for Freshers. Paul is much into sports, books, politics and travelling, but if the Fresher doesn’t share his interests, he will find an excuse to talk about hid PhD in Particle Physics or his (so far) 6 years of experience at Imperial! Sofia is a third year PhD student in Organic Chemistry, currently in her 7th year at Imperial, after having completed her undergrad here as well. She really enjoys life in London and is looking forward to sharing some of her tips to help you settle down easier. Food is one of her biggest passions (or soft spots!) and she likes learning about foreign cuisines. Besides food, Sofia also likes travelling, hiking, cycling (not in the busy London centre though!), attending gym classes, watching TV series and going to theatre plays and West End musicals. She always enjoys a tea and a chat and she’s looking forward to meeting you soon! 13 Seniors

Seniors are undergraduate students who have already lived in Imperial student accommodation. They are the chosen ones who will carry out various roles to fuel the hall’s social scene. Our senior team is 26 Strong, and collectively organise many events, form sports teams, produce newsletters, provide brunches and much more. Having already experienced the fresher’s life also makes them great problem solvers – you can knock on their doors for anything and they’ll be more than happy to help.

Due to the Covid-19 pandemic, we have had to adjust what kind of activities and events the wardens and seniors will be providing. We ask for your patience and enthusiasm in these unprecedented times to help us try out new things to make your halls experience the best it can be. Rest assured that we have been hard at work thinking of social-distancing friendly activities and will be adjusting these throughout the year based on your feedback. Woodward Buildings consists of blocks B, C and D. The total student community of over 650 students is divided in subgroups / areas, each with around 50 students. Each subwarden is associated with one area and acts as the first point of contact for the students living there. Events are organised within the block to which the areas belong, and sometimes include inter-block competitions. Please note the subwarden for your area, bearing in mind that they may be on a different floor to you.

15 Housekeeping

The hall supervisors are responsible for the day-to-day running of the hall, which includes overall responsibility for the maintenance of the building and cleaning of rooms and communal areas in the Hall. Their office is located on the ground floor of C Block, behind the reception desk. If you have an urgent or emergency maintenance problem, please contact the hall supervisors during office hours or the duty warden out of office hours. 16 Much of this guide refers to the normal rules of hall life. However, during the current pandemic, some temporary but very important exceptions are in place. Please read these rules carefully as they are in place not only for your protection but those of your fellow residents, college-members and the wider London community.

No guests are allowed in any part of halls at any time, including guests from Imperial College but outside Woodward. You will be notified when these rules can be changed. In addition, the hall will be split into zones, and residents must not visit rooms and kitchens in different zones. That’s the bad news. The good news is that residents of the hall who are not self-isolating will be able to socialise together in hall communal areas such as the common room and games room and use the laundry room, study room, their zone kitchen etc., providing safety precautions are followed. These are: • Always wear a face covering while in communal areas, including while preparing food in the kitchen., unless you are exempt from doing so. • Do not enter a room that is at the maximum capacity shown on the door. • Remain at a distance of 2 metres from others where possible. • Practise excellent personal hygiene including regular washing of hands. Kitchens will be provided with cleaning supplies with which we ask you to sanitise surfaces and appliances after your use. Do not move or remove these supplies and, if they are missing, please notify the wardening team. 17 I am self-isolating because…

If you need to book food, you may need to ask for the help of a buddy in the first 24 hours. Please contact the wardening team if you have problems. 18 Your room will be furnished and an inventory of the items will be in your welcome pack. Please complete the inventory form on eHalls as soon as you have moved in. You will need your own bed linen and towels but, if you haven't brought any, you can go to nearby shops including Asda, IKEA and Argos. If you've pre-ordered a linen pack from UnikitOut, you can pick this up from reception. You will have your own telephone to make free internal calls, and access to the college network over wifi and a wired connection in your room, giving you fast broadband in the region of 50-100 MB/s. However, be sure to comply with college network usage policy as otherwise your access may be revoked; see http://www.imperial.ac.uk/ict for more information.

19 You and your neighbours will share the kitchen nearest to your room. The kitchens are equipped with microwaves, toasters, kettles, hobs, fridges and a freezer. You should bring your own cooking utensils, pans, cutlery and crockery, or you can visit local shops to purchase them. You will have a private locker space which can be locked. Typically, there will be 6-8 of you per kitchen

Kitchens are a great place to cook, hang out and catch up but, in order that they remain as pleasant as possible for everyone to use, please be considerate when you use them. The kitchens here at Woodward all come with a large TV, sofa seating area, communal tables and doodle writing wall. Please make sure you don’t use permanent markers on doodle walls and be considerate – no rude words or insults. Please also be mindful of your neighbours – no noise should be audible from from outside the kitchen after 11 pm; if you wish to hang out after this, please make use of the large common room! At Woodward, we try to recycle as much waster as we can. As such, please take note of the bins in your kitchen: there is a food waste bin (solely for food waste – no packaging!), a recycling bin (please make sure all contents are clean and dry) and a waste bin (fore everything that can’t go in the others).

Finally, guests are allowed in the kitchens only if they are accompanied by the assigned residents of the kitchen, and are few in number. The idea is that everyone can use their own kitchen when they need it. NO NOISE AFTER 11 PM!

20 - Two common rooms, one located between blocks B and C (containing a pool table, table football, table tennis, TV and lots of seating areas), and one in the Costume Store (with TV and table football) - 5 music rooms with 2 pianos & 1 electric organ - A games room kitted out with a TV, XBox, sofa & more - A multi-faith room - 2 quiet study rooms - An outdoor space with 2 BBQs (these are only for operation by the Hall Wardens during set events) - Roof Terrace between B & C block (floor 7) The music rooms, study rooms and multifaith rooms can be booked for events. The Laundry Room is located in the basement, near the garage. There you can find washing machines, dryers, as well as irons and iron boards. The washing machines/dryers are card operated and run by Circuit Laundry. See instructions in the Laundry Room for more details

21 There’s no doubt that starting university can be stressful and disorientating. For many, this will be the first time away from home and from friends, or the first time to deal with truly

Of course some of you will settle quite quickly, make friends, enjoy your studies and feel relatively at home. But it’s possible that others will take longer to settle. Processing all the new experiences and sometimes dealing with feelings of home sickness and anxiety can be overwhelming. This can be even more worrying if you have concerns about your course or Imperial in general. This is absolutely normal! Take the necessary time to settle in. You will quickly become familiar with all the procedures: how life at uni functions, how best to study, how to find your way around, how to look after yourselves. Those of you who find the first few weeks more difficult will have settled by mid-term as you make friends and develop a sense of connection to your fellow residents and classmates. Making friends is important!

A specific source of concern that some of you encounter to start with is that you don’t get on with the people you are living with or living close to. However, our experience is that the vast majority of people get along well with each other. The initial awkwardness is soon replaced by friendship: The new face you meet at the start of the year often ends up being a friend for life!

As your university lives progress, your social contacts will widen. You will make friends with classmates or meet people you can connect with through one of the many clubs and societies. If you continue to find it difficult to settle, however, your anxiety is acute, or you face some other practical or emotional difficulty, please approach your subwardens.

If you are having trouble with a noisy neighbour, talk to them about it – if you just ask them politely most people will turn down their stereos, talk more quietly etc. Try to understand the other’s point of view and remember that compromise is often the mature and effective way to solve a problem. If you are unable to resolve the situation, then you should ask one of the subwardens for advice.

For SEXUAL HEALTH advice and services, the nearest sexual health clinic is at Central Middlesex Hospital (for STI testing and treatment, including HIV) for both walk-in and pre-made appointments. For free contraception, emergency contraception, pregnancy testing, advice on pregnancy termination and sexual health advice, there is a family planning clinic at Acton Health Centre (35 / 61 Church Road, London, W3 8QE, 020 8383 8700)

24 There is a National Health Service (NHS) health centre in Princes Gardens, adjacent to the South Kensington campus, with a doctors’ surgery, a baby clinic, a dentist, a physiotherapist and a psychotherapy counselling service. Students at Imperial may use this centre free of charge. It has male and female practitioners.

The College and Hall requires that you register as a patient with a doctors’ surgery as quickly as possible. This requirement ensures that if you fall ill you can get a medical appointment as soon as possible. For that purpose, you need to provide evidence that you have done so by getting a form stamped by your GP and returning this to your warden or to reception within the first two weeks of term. The form can be found in the NHS Health Pack in your room.

You will be required to register at Cloister Road Surgery as soon as you move in: Cloister Road Surgery, 41-43 Cloister Road, London, W3 0DF, 020 8992 4331

The normal opening hours of the surgery are 8am to 5.30pm weekdays and appointments should be made in advance, however if you feel you need an emergency appointment contact the surgery when they open and they may be able to accommodate you on the date. Should you require out of hours medical care, please ring NHS 111 by simply dialling 111. You will be assessed immediately to determine if you need an ambulance. If not, a nurse or doctor will usually call you back in an hour or two to discuss your case further. 25 If you need immediate help, call the Duty Warden or Concierge-Security, who will coordinate an ambulance. All the wardens have received basic first aid training and have a supply of bandages, eyewash, wipes etc.

The British Government and Imperial College recommend that University students, particularly those under 24, are vaccinated against Meningitis C. Vaccinations are available from the Imperial College Health Centre. They cover one strand of meningitis, so even when you have been inoculated, you will not be entirely immune from the disease. University students are a high- risk group, especially early on in term when being in close contact with others, sharing food and drink, kissing, etc., mean that this serious infection can spread very quickly. Be aware of the possible symptoms. They include vomiting, fever, headache, stiff neck, light aversion, drowsiness, joint pain, fits and a rash. These symptoms might not all appear at the same time. Meningitis develops very quickly and can be deadly, so it is important to be vigilant. If you think you or someone you know might have meningitis, contact the Duty Warden, the health centre or go to the A&E.

While this may seem further away, it offers excellent transport links to Central London that are often faster compared to other Imperial Halls of Residence. Below is a selection of places you can check out.

Your swipe card will give you access to your room. Remember to keep it with you at all times to not be locked out. However, if you are locked out, go to the Reception Desk and they should be able to help.

Thieves will particularly target students at the start of term while most residents can’t tell an intruder from a resident. So, DO NOT LET ANY NON-RESIDENT THROUGH THE FRONT DOOR! If in doubt, close the door and let them swipe themselves in. If you feel threatened, or otherwise unable to challenge someone, call Concierge-Security or the Duty Warden immediately. If and when guests are allowed, you will need to meet and let them in personally.

Never leave anyone whom you don’t know very well alone in your room. London is relatively safe but, as in any big city, keep valuables concealed and avoid dark/unknown areas (especially when alone or under the influence of alcohol). Report suspicious people to Concierge-Security/the Warden Team; detailed descriptions and number plates are very helpful for taking further action, especially if reported immediately.

We have a fire alarm system with smoke detectors in every room, which will be triggered by fire or cigarette smoke. In the event of an alarm, exit the building immediately, assembling at the relevant point (check floor plan on your room door). Please familiarise yourself with the available escape routes.

It is essential that fire equipment remains in working order and that fire doors are kept shut. Disciplinary action is taken against anyone who compromises safety by misusing fire equipment or leaves fire doors open (including kitchen doors).

REMEMBER: Keep your room locked whenever you leave, and at night when you are asleep. Some of the main cover points and exclusions are: COVERED: Against fire, theft and flood in your room only, laptops & portable electrical items (up to £2,000), desktop PC’s, musical instruments, sports equipment – in your room only. NOT COVERED: Accidental Damage, anything taken outside the room, bicycles.

In line with Imperial College regulations; no smoking is allowed anywhere in halls, or within 5 metres of any entrance. You may not smoke leaning out of the window. If you are caught smoking, you will be subject to a substantial fine. Any subsequent offence will attract a formal disciplinary hearing. Please note that the BBQ and Roof Terrace are non-smoking areas. Smoking is only permitted outside of the front of Woodward Buildings in the designated areas.

The Misuse of Drugs Act 1971 makes it an offence for the production, possession or supply of controlled drugs or illegal substances in ANY College property. Possession of illegal substances will be reported to the police and will lead to expulsion from the Hall and possibly College. Substance abuse of ANY KIND (controlled drugs INCLUDING LEGAL HIGHS) will not be tolerated within halls.

To make the best of this year, you are expected to behave responsibly and with due care and consideration for others at all times, particularly given the range of cultural backgrounds in Hall.
