Infoview 4.1 Input Controls Slide Title Slide Text Introduction This on-demand training module is provided by the MN Department of Health WIC Program. It provides an overview of the Input Control function in Infoview.

Input Controls Definition Definition: An optional method for filtering and analyzing report outputs utilizing spin number fields, checkboxes, radio buttons, drop-down lists, etc. Input controls allow the user to narrow down the results that are displayed on a report by limiting a report column to certain specified values. They provide subsets of the data that display in the report output.

Example #1 FirstStep Let’s take a look at the 2016 Participation by Unduplicated Race/Ethnicity by Agency report template. It provides the calendar year unduplicated count by Race/Ethnicity and WIC Category for all MN WIC Agencies. We’ve already copied and pasted it into our MY FAVORITES folder and opened the report. The first step is to run the report with the desired PROMPTS in order to get our initial data set so that we can narrow down our results, or create a subset, using our input controls. However, this report doesn’t have any PROMPTS. So we simply have to click the Refresh to run the report and refresh the data. Go ahead and do that. Run

Since agency is one of the report outputs, we’ve added an Input controls function so that we can narrow the results down to a specific agency. Click the Input control icon. Input1 This Input control uses multi-select checkboxes. Its default is Select (All), which means it automatically runs for all agencies. If we want to run it for a specific agency, we must first de-select this checkbox. Go ahead and do that. Input2 To run it for Itasca, we need to select its checkbox from the list. Go ahead and do that. Click the vertical scroll bar twice to move down to where Itasca is listed then click on the checkbox. Input3 Input4 Input5 Now let’s run the report for Itasca. Click the OK . Input6 The last page of the report displays because we were previously on page 84 of 85. We are now on page 3 of 3. Let’s click the Go to Previous Page icon. Input7 On page 2, we can see the data for Itasca. Notice our total for Itasca is 1516. Now let’s click the Go to Previous Page icon again. Input8 And on page 1, we can see the Minnesota Totals no longer reflect the entire state but only Itasca’s count of 1516 because remember, the MN Total in this report is the sum of the data in the report. If we’ve filtered that data to only include one agency, the total will reflect only that one agency. What if we wanted to see information for Aitkin and Koochiching, the other agencies in the grantee that includes Itasca, as well as the grantee total? Go ahead and select the checkboxes for Koochiching and Aitkin, clicking the vertical scroll bar to move the list to the top again. Input9 Input10 Input11 Input12 Now click the OK button. Input13 So, now our MN total is 2202.

Let’s take a look at the rest of our report. Click the Go to Next Page icon and we’ll add the totals as we go. Input14 Input15 Input16 Input17 And we are on page 5 of 5. Let’s see what happens if we save our report with these agencies selected for the Input controls. Click the Save icon. Save1 Click the Close this icon. Save1A Since we just ran this report, it should be at the top of the list on our Home tab. Click the Home tab. Save1B Click V1 Input – MN WIC PARTICIPATION BY UNDUPLICATED RACE/ETHNICITY BY AGENCY FOR CY 2016 to re-open the report. Save1C Go ahead and refresh the report. Save1D We can easily tell it kept our Input control selections because the total didn’t change after refreshing the report; it’s still 2202.  Save1E However, let’s click the Go to Next Page icon until we reach the end of the report anyway. Save1F Save1G Save1H Save1I Lastly, let’s click the Input controls icon to open that panel. Save1J Save1K In general, reports saved with currently selected input controls will run with these same selections the next time it is opened. This allows us to immediately, and easily, filter our report the next time we open it. Saving does not lock the functionality so we can still choose to run the report for other input control values.

Example #2 Input18 Let’s take a look at another report with an Input control. This report is the Note Audit report that was revised in January 2017. This report does have PROMPTS and we have already run it with the desired values in order to get our initial data set. Do you remember where to find the Input controls? Go ahead and click the icon.

Input19 The other report’s input controls were self-explanatory. However, in this report, the input controls affect specific information and to know what that is we should first… GD1 …Read the Guidance Document! GD2 Click the Next button when ready to move on… Input20 Along with the Guidance Document, Input controls that aren’t self-explanatory will provide a descriptive title, like this one: Days between Cert & Note Date along with the operator used, which is greater than or equal to. If we hover over the Input control, it tells us what kind of control it is: Increase or decrease a number in increments and provides a more detailed description: Number of days between the date of the certs/recerts and the date the note was written (the number of days is greater than or equal to the Input control value). This is telling us that the Days b/n Cert and Note column will be affected by a change in the Input control value. For reports that have multiple report tabs, such as this one, the Input control is specific to the information on the report tab that is currently displayed. Let’s see what all this means. Right now, the Certs or Recerts tab lists all SOAP notes that have 1 or more days between the date of the cert and the date the note was written by the staff person. DOEJ07 has two notes written 1 day after the cert and two written 13 days after the cert. What if we change the input control to 2? Click the Increase arrow. Input21 The report data now only shows those records where there are two or more days between the cert date and the date the note was written. Now let’s click on the Counts-Appts report tab. Input22 This tab is a total count of notes by Staff ID and the number of days a note was written after the Cert/Recert or MCAs. We can see that this report tab also has an Input control. Since the value is still 1 the change we just made to the Input control in the Certs or Recerts tab did not change the data on this tab. Remember, the Input Controls are specific to the tab that is currently displayed. So let’s get total counts for those with notes written 3 or more days after their appointment. Using the Input Control increase arrow, increase the number to 2. Input23 Since the data has already been computed, Infoview can very quickly filter by our Input control value. Now increase it to 3.

Input24 Save2 In some instances, the Input control values save but the report does not refresh based on the input controls. This occurs when there are upper or lower limits written directly into the query language of the report and will always be documented in the Guidance Document for reference. Click the Next button when ready to continue.

Example #3 Input25 Let’s take a look at one more example. This is the Peer Contact Summary Form report. We’ve already run it with the desired PROMPTS. Input26 Click the Go to Last Page icon. Input26A And it is currently 17 pages long. Go ahead and click the Input Controls icon. Input27 It has two input controls for the client contact summary tab, which work the same as our first example; simply select the checkboxes for the agency and Peer Counselor we want data for. At this point, we should feel pretty comfortable with input controls so let’s see how we do. Let’s run the report by first selecting Agency 241 and then selecting peer counselor AMINA. If you need a little guidance, click hints are provided after 5 seconds. Input28 Input29 Input30 Input31 Input32 Input33 Our report is now 1 page long and lists only those peers assigned to our specified peer counselor for agency 241. Points1 Just a couple of important points to keep in mind. We should run the report with the desired PROMPTS, or refresh the data if there aren’t any PROMPTS, before specifying values for Input controls. Input controls filter, or narrow the results, of the data that display in our report output providing a subset of data.

Points Input controls cannot be used to include or add information that isn’t available in the initial report output. For example, an input control that filters by clinic can only be added to an existing report, without making modifications to its design, if clinic is already included in the report output. AddingInputs Input controls can be added to existing reports relatively easily. If you would like to see an input control added to one of your favorite Infoview reports, please submit a Change Request Form, selecting the Type of Query/Report and specifying both the name of the template and the input control(s) you would like to have added.
