Page 3 Compliance Corner: Importance of Accurate Documentation

It’s a fact of the healthcare world today that despite best intentions, a company that does not know how to correctly bill for the services it provides can run into problems. To be paid, we must reduce the complex art and science of hospice care into a form that conforms to a variety of state and federal statutes, regulations and administrative codes.

It is also generally suspected that claims for hospice services have high error rates. Therefore as Medicare and Medicaid hospice services consume an increasing amount of federal and state spending it’s no surprise that many would look to billing for ways to reduce fraud, waste and incorrect payments.

Sound documentation starts with providing the service, whether that employee is a hospice aide, nurse, physician, social worker or chaplain. Documentation of the services provided on behalf of Gentiva should leave an outside reviewer in no doubt that all standards are clearly met. It is up to us all to ensure bills are not submitted to Medicare or any other payor unless these standards are evident in the documentation contained in each patient’s medical record.

Excellent documentation is seminal to our future growth and development. It supports the professional and programmatic integrity of the services we provide and the professions we represent; it demonstrates and enhances patient safety; and it protects the individual and company from outside agencies (See Fig 1).

It is everyone’s responsibility, from the clinician providing the service to the program administrative staff that enters data to the hospice program leaders for ensuring that all bills submitted to our various payor sources meet all qualitative, statutory, regulatory and administrative codes. - Paddy Cunningham, Chief Compliance Officer

So far, 2012 has been a year focused around growth and excellent patient care. The Hospice Recruitment Team has been instrumental in the growth of the Hospice division. We have hired 600+ clinicians, more than 50 sales associates and 40+ leadership positions. Twenty-six percent of these hires were employee referrals, which is extraordinary. It is proven that employee referrals tend to stay with the company and are some of our best hires.

The foundation of Gentiva’s success is our employees. It’s your talent, dedication and compassion that make Gentiva America’s home health and hospice leader. As Gentiva continues to guide the industry in clinical excellence and customer satisfaction, we need more people like you! We will continue to hire several sales positions over the next year for growth opportunities so be sure to spread the word to people you know who fit the profile of a great Gentiva employee.

Recruitment has also been involved in compliance of the Corporate Integrity Agreement (CIA). You will notice there is now a CIA aspect of the online application all applicants must complete prior to their interview. This question asks,“Are you currently excluded, debarred, suspended or otherwise ineligible to participate in the Federal health care programs?” Your Recruiter or Regional HR Director can walk you through the process for this new question if you have any concerns.

Thanks to all that go out of their way to make recruitment a priority. It takes the whole hospice team to fill the 500+ positions we have open at any given time. It is imperative that hiring managers, AVPs and RVPs are proactively recruiting for their “bench” (pipeline of candidates.) The Hospice Recruitment Team strongly believes in the Hospice Division’s mission and is committed to helping achieve the top priorities and goals of our company in order to be number one in patient care and the industry’s growth leader! We plan to continue to support this mission by creating and implementing recruitment strategies that allow us to attract top talent. - Lisa Johns, Director of Recruitment, Hospice Division

WOW! An amazing experience was had by all the weekend of July 13-15 in Huntsville, Texas. Though intermittent rain and thunder steered us inside for activities consisting of sand art, making memory boxes and writing our names on each other’s t-shirts, each day was a symphony of joy, laughter, tears and hugs. Here are some of the highlights:

The “blob”, a large, inflated tube, brought forth screams of pure delight as the children were propelled up into the air and then splashed into the lake.

The older children teamed up to challenge the low ropes course, and even in the rain, became winners as they pushed forward.

The BB gun and archery stations helped inspire concentration as campers attempted to aim and hit the mark. A group shot of campers and staff At 6:30 a.m. on Sunday, 15 boys and girls awoke early to fish and each made a catch!

No one went hungry as we enjoyed hearty meals and lots of good snacks (especially the s’mores we ate around the bonfire!)

Great were formed between the children and the adult group leaders.

Small group breakouts in the cabins allowed for courageous expressions of sorrow and the sharing of each child’s story of loss.

After the balloon release, the campers took their grief tool kits, certificates, and memories, heading home safe and sound with their parents.

As the volunteers picked up the pieces of confetti left by small, busy fingers, we shared how Balloon release on the last day full our hearts were with the honor of these children sharing their lives with us.

Celebrating an Unsung Hero: Dr. Vayden Stanley Submitted by Alan Prest, Manager of Volunteer Services

San Angelo’s Odyssey Hospice staff turned out for Singing the Praises of Unsung Heroes, a special community event held to recognize 12 people who made an impact on people’s lives and a difference in their community. Medical Director Dr. Vayden Stanley went thinking Chaplain Ellen King was being honored, but would later be surprised.

The speaker extolled one recipient’s lifelong service in helping patients manage pain, treating HIV patients when other doctors closed their door, and dedicated care for hospice patients looking to fully live their time on earth. At that point, Dr. Stanley gave the Odyssey staff a “What have you done?” look. When the speaker finally announced Dr. Stanley as the recipient, everyone cheered.

Event organizer Rev. Tim Davenport-Herbst said of the recipients, “It’s important for us as a community to Hospice Medical Director Dr. recognize these people and the difference they make. Their example is something every single person can follow.
