HarperCollins Agent Portal - Frequently Asked Questions

Q: What is my Payee ID? A: Your Payee ID is the 5-digit number listed on the top left of your royalty statements.

Q: I’m an author without an agent. Can I still get access to the portal? A: Absolutely. You would be set up in the same way an agency is set up. Please email APSupport@.com to receive an invite.

Q: Why are some of my authors missing in the Agent Portal? A: There could be several reasons you’re not seeing your authors. If you are the administrator on the account, you should have access to every author for your agency. If an author is missing, it could be because the author does not yet have any royalty statements (the book has not been published yet or the book was recently published but is not part of this statement cycle). If you are an agent that has been set up by the administrator, one of the possibilities is that you are not seeing all your authors is because your administrator has not yet designated those authors to you in the portal. Otherwise, e-mail [email protected] to resolve your missing author issue.

Q: As the admin for the portal, how do I assign authors to an agent? A: Please refer to this brief video tutorial, or follow the steps below: 1. Sign into your portal. 2. Select “Create Agent.” 3. Type in the agent’s name and e-mail address, then select “Create Agent.” This will automatically send the agent an e-mail. 4. Click on the agent’s name in the left pane. 5. Click on the author names to assign them.

Helpful notes: • If you clicked on an author’s name by mistake, simply click the author’s name to un-assign them. • If you have many authors assigned to your agency, you can use the filter field to narrow them down. • The number to the author’s name indicates the number of authors assigned to that agent. If there are no authors assigned to that agent, they will not be able to view any of their authors.

Q: How do I give authors access to the portal? A: If you wish to give your authors access to the portal, you can create an “agent” account for them using the steps above. Then assign that author’s work to their “agent” account.

Q: Will I still receive paper statements if I sign up for the portal? A: Yes. However, if you would prefer to no longer receive paper statements, you can e-mail us to make your request.

Q: What HarperCollins divisions does the portal include? A: At this time, the portal only includes authors and titles published under HarperCollins – US. This does not include Harlequin titles or HarperCollins Christian (Thomas Nelson, ).

Q: What if I have multiple Payee IDs over the course of my relationship with HarperCollins? A: If you have multiple Payee IDs, we can get you set up with an account for each Payee ID. However, since each Payee ID is tied to an e-mail account, you will need to provide us with an additional e-mail to set up your additional account.

Q: Why do some of the titles have a publication date of 12/31/2075? A: The 2075 date is used as a placeholder for future publications.

Q: Our agency needs to switch portal administrators. How can we do so? A: No problem, e-mail us at [email protected] and we will make that change for you.

Q: Where are the royalty statements for the last statement period? A: Royalty statements are loaded into the portal four months after the period ends. If the statement ended in June this year, it will not appear in the portal until early October.

Q: Where can I submit my suggestions or questions regarding the portal? A: On the top right of the portal page, please select the “?” icon to submit your feedback.
