The village hall is very well used by a wide variety of community groups and other organisations, it’s the only community hall available in the village. They wish to put in a new kitchen with appliances and new storage. The work is needed and has been asked for by users and the local community. They have three quotes. All the rest of the money is coming from the village hall itself but they’re seeking small amounts of funding from the parish council and others to offset this contribution as it uses £1,100 of their emergency fund.

There is a community run village shop called Payhembury Provisions. This is profitable and successful venture and provides a difference service to the community compared to the village hall. We work closely with the shop Payhembury provisions and have a healthy relationship. They use the village hall for events and would welcome the new proposal the village hall is putting forward.

14 Please explain in detail how regularly is your community building used and who uses it? The village hall is used daily by Payhembury Primary school (FORT) for breakfast and after school clubs as well as daily, for school dinners, shows, PE and other school day activities. It is used weekly by toddler group apple pips. 3 times week by Pilates once a week by mat bowls. Weekly by badminton. Monthly by Cafe Church. Regualr bookings for funerals and birthday parties. Ad hoc bookings for dance lessons, bingo, community events and markets. Pop up restaurants like the Pickle Shack Most of these bookings use all of the hall facilities including the kitchen.

15 What is your project? Please check the rules to make sure your project is eligible. In particular we can't fund routine maintenance and repair costs. The village hall is in much need of a replacement kitchen. 16 Why do you want to carry out this project, why is it needed and what difference will it make? The is heavily used by all the community and bookings. It is over 10 years old and is showing a real need of replacement and updating. The appliances are failing and the storage is no longer adequate for all the muliple users. There needs to be better design in the space to enable less able bodied users full access. Health and safety as always is paramount as well, so the committee has decided to use funds in the bank and others raised through community events in 2019 like Party in the Park to pay for a replacement including removal of old and installation of the new. The replacement will offer a new functional kitchen fit for purpose and meeting all users needs including the school and clubs. It will also open up more opportunity for weddings and other catering functions which will help raise funds to run the hall and offer more to the community. We feel as a committee that the current state of the kitchen really limits this potential.

Please find all required documents attached plus pictures of the designs. I am still awaiting a third quotation from Wicks, they have let me down by not turning up on 2 occasions. I would there fore be reluctant to go with them when they do turn up to quote but with the intention of speed and not to miss the bid deadline, I have only currently submitted

Accounts for the financial year ending 31 March 2019

Treasurers Report

It has been another healthy financial year for Payhembury Village Hall, with an operating surplus of £915 generated . The Parish hall committee continued to invest in improvements to the hall during the year with updated signage and the introduction of a new approach to marketing the hall. In addition, Committee utilised some of the funding ring fenced for supporting the youth of the village in a new sound system for the hall. After the operating surplus and the purchase of the speakers cash balances were reduced by £1,034 giving a total of £20,523 of cash at bank and in hand at 31 March 2019.

The operating surplus decreased significantly from 2017/18 levels. Primarily this was due to the phasing of cash receipts from for the Schools use of the hall in 17/18 and the level of expenditure maintenance in the 18/19 year. However of concern is the 36% drop in income from ad-hoc usage of the hall on 17/18 levels to a level also significantly below 15/16 and 16/17 levels. Whilst the hall finances are currently healthy it is important that the community continues to utilise the facility we have available to us to ensure that they remain so.

Payments before investment on improvements were up £1,824, 15% from 2017/19. The increase arose primarily from updating the hall signage and expenditure on marketing to encourage greater use of the hall.

During the year, the Parish Hall committee decided not to increase fees for use of the hall and the committee reaffirmed Its commitment to keep the cash balance held to £10k as a minimum in order to cope with any urgent repairs.

I would like to take this opportunity to thank who does all of the hard work in keeping the finances of Payhembury Village Hall running smoothly.

and job with the hall and I admire your enthusiasm. Do you mind if I make a comment/suggestion about the kitchen?

I am sure you have had lots of ideas for refurbishment/new equipment etc. I hope it all goes to plan.

The point I want to make is that, however much money/expertise goes into a new kitchen, there needs to be a much better discipline on keeping it clean and tidy. I use it with others from the church on a fairly regular basis and it really hasn't been left in a suitable state by previous users. I also regularly use Kentisbeare hall kitchen, which is immaculate in comparison, each cupboard is spotless, all matching crockery stored neatly, cooker and dishwasher super clean and there is no junk around.

It may be worth asking other hall managers what regime they employ for ensuring the kitchen is kept properly. An idea might be to charge users for the time taken to clean up after them. You know, when you rent a holiday property, say, it is often checked before you leave or sometimes there is a cleaning fee.

I could go on but I won't. I don't want this to sound like a moan. I mean it in a positive way for the future.

re, the village hall committee is in the process of making plans for a new kitchen. After Party in the Park, I remember talking to you both about the state of the kitchen, which was really helpful and you made some very valid points. We would like to invite regular users of the hall to form a working party so that the committee, and kitchen planners, can better design a kitchen that meets the needs of the people who use it the most. There is no obligation for either of you to get heavily involved (unless you want to!) but we will be holding a meeting during which potential plans will be presented and discussed.
