Southmoore High School Instrumental Arts Program 2018 Magic Kingdom Trip – Orlando, FL Student and Parent/Guardian Information Packet

Our trip is almost here! Please take the time to carefully read over this packet of information. Parents, make sure you fill out the forms located at the end of the packet; they both must be completely filled out and returned in order for the student to attend. The more you know about this trip, the more fun you will have so get to reading – there will be a test. Packing Tips and Suggestions

Regarding Instruments… We tested a huge slingshot – we could launch the woodwinds to about Alabama, but the drums were heavy and did not make it past Texas: Ø All instruments larger than a trumpet (we may take clarinets and flutes also, listen to announcements) will be loaded on an instrument truck and driven to Orlando. Instruments are scheduled to load after second hour on May 1 and will be waiting for us at our hotel upon arrival. Instruments are scheduled to arrive back May 8. Ø Smaller instruments (i.e. flutes clarinets) will be part of your luggage – we highly recommend you carry your instrument on the flight in your carry-on luggage. In the event your checked luggage is delayed – we want to make sure your instrument arrives with you (that horn is more important than cute shoes). Ø Many larger concert/jazz instruments are provided onsite.

Regarding Band Uniforms and Jazz Band Concert Attire… Follow these directions so you do not have to wear your uniform on the flight… Ø Uniforms will be loaded onto our truck and sent to Orlando. Listen for class announcements so you can take the opportunity to see your uniform on the rack before we load it on May 1 (you will have the final check to make sure it makes it to Florida). Ø By Friday April 27, students will bring up all attire worn with the band uniform in a small draw string . o We are not providing the . Students indicated in class that they own one available for use. o This bag MUST be clearly marked with the student’s name. o Please pack in your draw your band shoes, long black socks, Vegas Gold Shirt (or you can pack it in your and wear it on Saturday), and any other attire you wear with the band/guard uniform. o Please note, this draw string bag is vital as it allows students to simply show up at the specified location in the Magic Kingdom where the truck will be waiting with everything they need to wear the uniform. Students can then simply change into the uniform, march the parade, change back into their comfy clothes, and then immediately return to the park without having to travel to the hotel. o Using the drawstring bag also means you do not have to pack uniform attire in your suitcase, saving some space. o If you do NOT bring a drawstring bag, you must travel to the Magic Kingdom on Saturday already wearing the required “under the uniform” attire o Please note - you will not need uniform gloves or shakoes. Ø Students participating in the jazz band performance will need to pack your dress black in your suitcase (do not forget your dress shoes and black socks). Ladies and Gentlemen are to wear black slacks. Ladies are to wear a sleeved non-revealing top. Men are to wear a collared button down black dress shirt (the black formal jazz shirt is acceptable).

Regarding Spending Money… Quick thought – it is all overpriced…you do not really need that $99.99 Daffy Duck tail Ø You are provided many Disney Dining Cards which may be used at all Disney Restaurants to help cover most meals. However, as you may expect, restaurant prices are generally a bit higher than your average fast food joint since you have nowhere else to go. Think of a $10 voucher as more of a “$10 off card.” Check out the itinerary to plan for food money. Ø Other than a meal or two while traveling (check the itinerary) – there are no other required costs. You will have time to shop therefore, use your own discretion when planning on how much money to bring.

Luggage This following information is cut and pasted directly from the Southwest Airlines website and should be able to provide practical information to help you prepare. Though you can take two bags for free we strongly recommend that you only take one. We recommend you check out the Southwest airline websites at southwest.com for more information:

Ø Southwest will accept the first two checked bags for free provided that the bags do not exceed 50 lbs. and 62 inches (L+W+H). Overweight items from 51 to 100 pounds and oversized items in excess of 62 inches but not more than 80 inches will be accepted for a charge of $75.00 per item one-way. Only one $75.00 charge applies if the piece is both oversized and overweight, regardless of the weight as long as it does not exceed 100 lbs. Excess which is also overweight or oversized will be charged excess baggage plus the applicable oversize or overweight charge. Ø You may take one carry on and a personal item on the plane. o Carryon bag dimensions are limited to 10 x 16 x 24 inches. You must store your carryon in the overhead bin. Storing it wheels facing out helps us get wheels up faster! A friendly reminder: If your carryon does not fit the dimensions above, we will be forced to check it at the gate. It will be safely stowed below the aircraft for the duration of your flight, and you will pick it up at baggage claim, not the gate, upon arrival to your final destination. Assistive devices and strollers may be claimed at the gate/jetbridge. o Personal-type items include purses, , cameras, food , or laptops ( included). Your personal item must be stored under the seat in front of you, fitting within 18.5 x 8.5 x 13.5 inch dimensions. A friendly reminder: If your personal item does not fit under your seat, you will be asked to place it in an overhead bin. Ø Concerning liquids, aerosols, gels, creams and pastes: o Each passenger is permitted to bring one quart-sized bag of liquids aerosols, gels, creams and pastes in your carryon bag and through the TSA security checkpoint. These are limited to 3.4 ounces (100 milliliters) or less per item. During screening, you'll be required to place these items in the small bag separate from your carryon baggage unless you have been selected for TSA PreCheck expedited screening, in which case you may be exempt from removing your liquids during the screening process. Any liquid, aerosol, gel, cream or paste that alarms during screening will require additional screening. Southwest Airlines currently prohibits self-defense sprays on any flight regardless if it is checked or carried on. Please see the TSA's web site for a list of prohibited carryon items. (Honestly, just pack this stuff in your checked bag)

Packing Tips Ø Do not over pack! Ø Keep in mind that bags fly free on Southwest – UNLESS they are over 50 lbs. Also, consider that you may be taking home more stuff than you brought, so consider leaving pounds to spare when you pack just in case you buy a castle. Ø If possible, roll your clothes to help avoid wrinkles. The hotel in Orlando will have ironing boards in the rooms; however, consider bringing a small travel of wrinkle release spray. You might also want to bring a small bottle of Febreze and a stain eraser pen.

Do not forget items such as these: ü Jazz Students – GRAB YOUR MUSIC FOLDER!!!! ü Toiletries ü Raincoat/Jacket/Disposable Poncho ($2 or less at Wal-Mart) ü Your instrument (if it is not already on the truck) ü Swimsuit if you would like to swim at the hotel (keep it modest people) ü This list is not all-inclusive…make a packing list before the trip and follow it, but do not over pack!

What should I not bring? ü Anything that could get you into trouble!!! - If it is annoying, makes noise, or can be used to hurt others do not bring it. ü Do not bring unnecessary valuables. For the love, you are visiting the happiest place on earth, you do not need to bring extra stuff.

Travel Your government issued ID To fly domestically, all passengers 18 and over must show valid identification at the airport checkpoint to travel. The following government issued ID’s are valid: • Driver's licenses or other state photo identity cards issued by Department of Motor Vehicles (or equivalent) • U.S. passport • U.S. passport card • DHS trusted traveler cards (Global Entry, NEXUS, SENTRI, FAST) • U.S. Department of Defense ID, including IDs issued to dependents • Permanent resident card • Border crossing card • DHS-designated enhanced driver's license

• Federally recognized, tribal-issued photo ID • HSPD-12 PIV card • Foreign government-issued passport • Canadian provincial driver's license or Indian and Northern Affairs Canada card • Transportation worker identification credential • U.S. Citizenship and Immigration Services Employment Authorization Card (I-766) • U.S. Merchant Mariner Credential. Ø TSA does not require children under 18 to provide identification when traveling with a companion within the United States. Ø DO NOT LOSE YOUR ID You will NOT be able to board any plane without your ID. Ø DO NOT PACK YOUR ID IN YOUR CHECKED BAG. All 18+ travelers will need their ID from the time they arrive at the airport. Ø Students under 18 are recommended to bring their student ID or another photo ID. Though not required for travel, it could be useful in a pinch. If you have scraped off your ID picture and replaced it with a picture of a frog or another nonsensical item, please know this may cause a bit of embarrassment at the airport or hotel.

Flight Groups Due to the large number of travelers we will utilize four distinct flight groups. Flight group assignments are posted online (members page) and in the bandroom. A snack will be served on your flight, along with complimentary soft drinks.

Seating on the Plane Southwest airlines employ “open seating.” Essentially this means you may sit where you want on the plane. This obviously has its advantages and disadvantages. As we will be traveling as a group with many of us wearing Southmoore Band shirts, let’s keep in mind the following as we navigate through seating while keeping a good reputation and being kind to other travelers: • The plane seating is six per row with three seats on each side of the aisle. • If you board the plane early you have a better chance to sit where you want and with who you want. • If you board the plane later, you may sit in the middle seat with some new friends (i.e. strangers).

• If the thought of being separated from a friendly face during the flight keeps you up at night, plan now to check into your flight via southwest.com starting 24 hours prior to departure. You may pick up your plane ticket number at the Orlando trip meeting. Even so, this is only a step in the right direction, we still encourage you to get mentally prepared for the possibility of a new social situation on your flight. • We very much want to avoid the look of a large group of rude band students and chaperones. Actions such as attempting to save seats all over the plane will cause major annoyances for the other travelers (and may cause a further embarrassing rebuke from the flight attendants simply trying to get the flight off on time). Therefore, please plan now to be respectful and acknowledge the possibility that your flight might be spent with new people.

Seating Information from Southwest Airlines The following is cut and pasted directly from southwest.com. Feel free to investigate at southwest.com for further information. How does the boarding process work? You will be assigned a boarding group (A, B, or C) and position (1-60+) upon check in. Your unique group and position combination (for example: A35) will be displayed on your boarding pass and represents a reserved spot in the boarding group at the gate. Numbered posts in each of our gate areas indicate where to line up. When your boarding group is called, find your designated place in line and board the aircraft in numerical order with your boarding group.

Do I have an assigned seat? Southwest-operated flights have open seating. Once onboard, simply choose any available seat and stow your carryon items in the overhead bin or under the seat in front of you.

When can I check in and receive my boarding pass? If you have an eligible reservation you may check in for your flight online at southwest.com beginning 24 hours prior to your flight's scheduled departure time. You may also check in and/or get a boarding pass upon arrival at the airport at a self-service kiosk (where available), the Skycap podium (in select locations), the Southwest Airlines Ticket Counter, or at your departure gate.

How do I get an "A" boarding pass? Available boarding positions will be distributed on a first-come, first-serve basis upon check in. The earlier you check in, beginning 24 hours before your departure, the lower your boarding group and position will be.

Can groups assigned to different boarding positions board together? Yes. However, in order to maintain the integrity of the boarding process, we ask that earlier boarding positions board with the later positions. For example, if a passenger is assigned position A16 and wants to board with a passenger assigned position A45, the passenger holding the A16 boarding pass should board with the A45 passenger.

Supervision & Medical General Supervision Ø Students will be under the direct supervision of the band director(s) in addition to the large party of adults that are making the trip to Orlando. The band directors and/or adult travelers will supervise all air travel, bus travel, and oversee trips to the parks. Each hotel room will be assigned an adult chaperone. In addition, adults will patrol hotel the outdoor corridors and grounds throughout the night to make sure students stay in their rooms. We will make every effort to ensure that adults will be in practically every conceivable location where students may roam. 4 | Page

Ø Please note that ultimately students are responsible for their own decisions and the consequences that may result from those decisions. Parents are encouraged to discuss and reinforce at home how their student should behave throughout the entire trip. Keep in mind that the band director(s) reserve the right to send home any student (at the parent’s expense) at any time for rule infractions.

Adult Travelers Ø Band staff members will serve as the supervisory role in chaperoning students. Adult travelers will be assigned duties throughout the trip. These exact duties will be coordinated through Mr. Mewhorter and the parent leadership. Ø Prior to departing the trip adult travelers will be provided information detailing the intricacies and procedures of chaperoning students. This information will help detail what we expect of our students and suggestions for encouraging appropriate decisions by our students.

Supervision while Traveling Please note that instead flying by issuing each traveler wings, we are simply going to get on a plane… Ø As noted earlier – the band is divided into four flight groups. Each flight group is assigned a band director to serve as the flight coordinator for the group. Additionally, each flight group has several adults who will assist the band director. Ø While at the airport – all students are to be with their assigned flight coordinator. The flight coordinator may assign “check-in” times periodically once through security to allow students to eat or use the restroom in the vicinity. The general rule is all students are to be in the same vicinity as the flight coordinator or wherever exact location the flight coordinator instructed them to be. Ø Adult travelers will assist the flight coordinator in the chaperoning of kids while in travel. Each individual flight coordinator will assign exact duties Ø Travelers are responsible for providing transportation to and from Oklahoma City’s Will Rogers World Airport.

Supervision while in Orlando We asked the President to help watch your kids since he has that cool resort in Mar-a-Lago, Florida – but He claims to have “something” that day… Ø Students have pre-selected a group that they will hang out with in the parks. Students are required to stay with their group at all times while visiting the parks. Each group will have an adult assigned to them to travel with the, as they “hop” through the parks. These adults will be asked to physically see each of their students in their group a minimum of every two to three hours, though we expect most adults will choose to travel with the kids throughout their time in the park. The first two “park days” all students will also check-in with a band director (TBD if needed on the last park day). Ø Students will have a curfew each night and an adult will check each room to ensure the students are where they are supposed to be. Ø Traveling adults should anticipate the following specific duties: o Room Checks and Medical/(Legal) Drug Disbursement for students in your assigned room o Overnight shifts monitoring student rooms o Traveling to the park with students, some that may not be a member of your immediate family o Patrolling areas where the band congregates o Helping a band director when asked Medical Prescription drug disbursement will be coordinated through the adult travelers. Each child will be assigned a parent who is responsible for ensuring that students receive their medicine. Guardians will have the option of using our adults or entrusting your student to administer their own (legal) drugs.

Parents will be required to fill out and sign the medical release form provided at the end of this packet. Please take the time to completely and meticulously fill out the paperwork as this will help us ensure the complete safety of your student. Our staff will certainly attempt to immediately contact parents/guardians in any emergency regarding your student.

While in Orlando Ø Orlando is in the Eastern Time Zone and is 1 hour ahead of Moore, which is located in the Central Time Zone. Ø Orlando's weather in May is warm and humid so you may only need to pack light clothes. The average maximum daytime temperature in the month of May in Orlando is a steamy 88°F, while the average minimum temperature is still a pleasant 65°F. On average, there will be 10 hours of sunshine per day. Ø The average amount of rainfall expected for this month goes up to 4 inches. The rainy season generally starts in May, although this is not always the case. When it does, it usually begins towards the end of the month, so consider coming prepared with your umbrella just in case. A plastic poncho is best if you're going to the theme parks, and they have plenty for sale if you don't have one.

Ø The humidity is gradually rising through May, and you are likely to sweat if you are not used to the heat. Make sure you keep yourself hydrated at all times by drinking lots of water. This is particularly necessary if you are spending a lot of time queuing up for rides. Ø Mr. Mewhorter has called ahead to request good weather, though he has not received a call back on that one yet...

Orlando Trip Communications Keeping Up with the Trip from Home Facebook group: Mr. Mewhorter has begun an official Facebook group dedicated to the Orlando trip. This purpose of this page is for parents and patrons at home to easily keep up with our adventures while in Orlando. We welcome anyone on the trip to post pictures and talk about their adventures while in Orlando. This will be a “closed” group and our intention is to only allow members of our Moore Schools and Southmoore band family to join. It is not an additional place to ask trip questions. Just like Disney – this is supposed to be a “happy” place therefore posts deemed not in the spirit of “The Most Magical Place on Earth” will be deleted. Remind 101 Orlando Group: We anticipate frequent use of the Orlando text messaging service while in Orlando concerning the most boring of announcements. This will prove the most efficient way to send reminders and other information especially considering most will be park hoping throughout the property. If you are easily annoyed by your phone talking to you about things that do not concern you, those at home may wanna get prepared (i.e. “Meet in MAGIC KINGDOM by the FRONTIERLAND PARADE GATE, located to the left of “Splash Mountain in 10 minutes” …that would not apply to those in Oklahoma). Those attending the Trip We have created a system that ensures both proper supervision of students while maintaining the ability of groups to set much of their own itinerary and visit the parks of their choice. However, this system means we will not hold our traditional large group trip meetings onsite where information is usually disbursed. Instead, we will rely on relaying information as groups leave the hotel for the day, at room checks in the evening, and primarily through the Remind texting service. ALL humans traveling to Orlando with the band MUST subscribe to the Orlando group by texting @SHSFL18 to 81010.

Your Behavior, Decisions, and Attitude

As members of the Southmoore High School Band you reflect not only the values of the band but also of our school and community.

The Rules These rules are easy to follow and full of common sense. Read them over to make sure you understand what is further expected of you. This is only intended to be a basic list of rules. Any action that disregards the school and band handbooks will result in consequences as determined by the band director.

1. All Moore Public Schools Guidelines and Southmoore Band Member Expectations are in effect during the entire trip, twenty-four hours per day. 2. No use of alcohol, tobacco, or illicit drugs. Possession will result in immediate dismissal from the trip and from the Southmoore Instrumental Arts Program. 3. No abuse of any facilities or equipment. This includes school equipment, hotel rooms, busses, planes, etc. 4. No disrespect of authority. This includes all student leadership, teachers, staff, sponsors, or anyone else connected with the program. 5. No one is permitted to leave designated areas without permission. A director or chaperone must know where you are always. 6. No profanity will be tolerated. Challenge yourself to use appropriate words to diplomatically convey your message while maintaining our reputation. 7. Absolutely no hazing, bullying, or harassing of other students (or adults) will be tolerated. 8. Keep the bus and plane clean. Keep your hotel room clean. Keep everything clean. 9. No switching rooms, busses, or groups (without Mr. Mewhorter’s approval) at any time. 10. Do not steal anything or break any laws. Taking something without paying (such as a restaurant menu) is a crime. We will simply turn you over to the authorities. 11. Boys and girls are never allowed to be together in the same hotel room at the same time ever, ever….EVER. 12. Students are not allowed to travel anywhere alone. At times groups of students will be given limited freedom to walk around in controlled areas without an adult, however you must be with your assigned group always. Poor decisions made by students when given this freedom will be dealt with seriously.

****Please note that the band director reserves the right to dismiss and send home, AT THE EXPENSE OF THE OFFENDING STUDENT/STUDENT’S FAMILY, any student who disobeys the rules or whose general conduct and attitude toward the trip and its participants is determined to be a detriment to the individual and/or the rest of the group. Infraction of any rules may result in the suspension and termination from participating in extra-curricular activities and travel with the Southmoore Bands.

All Groups Upon Arrival: Welcome to Orlando! Head to the baggage claim where you will meet your Gateway Tour Manager, Angie Voll, and Disney’s Magical Express (the cool name for the Disney bus to our Hotel). You will grab your luggage, travel to the hotel and get settled in for the evening.

Land-only Group Members Please note: Land only passengers are physically and financially responsible for arranging their own transportation to meet up with the group, wherever the group may be in their itinerary, as well as their transportation to the airport on their return.

If you packed your uniform with all needed attire (shoes, etc.) you will be good to go. v Students will change backstage and line up for the performance. Please do not take pictures backstage – Disney very much frowns on all of that. v Friends and family of group performers, leaders or chaperones are not permitted in Walt Disney World "backstage" service areas or Disney Performing Arts facilities. Some parents will be selected to help kids get in the uniforms. We will also pre-select one adult chaperone to remain with the band until step-off. This chaperone will remain backstage with any band member who is unable to step-off with the band. v No selfies! Cell phones, cameras, radios or megaphones cannot be used, and bags or personal items cannot be carried on the march route. 2:30 pm The Southmoore High School Marching Band will march in a Disney’s Festival of Fantasy pre-parade at Disney’s Magic Kingdom. v You got me…this is my first “pre-parade” too. I have been a part of many “parades.” 3:15ish PM Disney’s Festival of Fantasy pre-parade ends v Students will travel backstage, change clothes and load equipment. v You will be released back into Magic Kingdom to continue your fun. Disney Parks Spend the remainder of the day touring and exploring one of the Disney Theme Parks. The bus is specifically chartered to the Southmoore Jazz Band. v As of print time, we are unsure how many extra seats may be on the charted bus, however we anticipate filling remaining seats with families and friends of the jazz band students (first come first serve). v Other trip attendees wishing to attend the Jazz Band performance may take Disney Transportation from the hotel to Disney Springs. It is important to note that you CANNOT take Disney transportation directly from a park to Disney Springs (that service does not begin until 4:00 PM). You will need to first transfer back to our hotel and then catch a bus to Disney Springs. v Though other students and guests are not required to attend the jazz performance due to the travel logistics we very much hope many of you will attend. If your group has a jazz member, you will need to arrange to “pick them back up” after the performance at the hotel, so you should consider simply attending the jazz gig to help your bros (or lady bros) out.

12:30ish PM The Jazz Band Chartered Bus Arrives at Disney Springs. v Disney personnel will meet with our group already in uniform or costume at the DISNEY PERFORMING ARTS facility for DISNEY SPRINGS. We will remain in the bus until met by our Guest Talent Coordinator. v Friends and family of group performers, leaders or chaperones are not permitted in Walt Disney World "backstage" service areas or Disney Performing Arts facilities. v Performers – per Disney (they wish to “preserve the magic”) our Jazz “Dress Black” attire is not to be worn when visiting Disney Springs or our parks, or when meeting anyone inside a park (not that you wanted to wear all black in the sun anyway) v Group warm-up will likely take place outside. Disney does not provide rehearsal facilities, piano, chairs, stands or percussion for warm-up use. 1:30 pm The Southmoore High School Jazz Band will perform on the “Marketplace Stage” in Disney Springs. v Our show will last between 15 and 25 minutes, including introductions, transitions and tags. v For our safety and security, group members are to remain together as they return to our group transportation after the performance. Disney has asked us to advise friends and family, they should not stop them as they exit. 2:00ish PM The Jazz Performance Concludes v We will quickly load the equipment truck after the performance so it can head off to Oklahoma. v After the performance, our chartered bus will return to our hotel. Jazz students will change clothes and then meet back with their groups. v Jazz students will need to arrange to meet back up with their groups to go back in the parks. Again, the best case scenario is simply for your group to support you at the concert. Disney Parks Spend the remainder of the day touring and exploring one of the Disney Theme Parks.
