Instructions for Refinitiv Bill to Legal Entity Details Document

The Refinitiv Bill to Legal Entity file details up-to-date information relating to supplier invoice submission, such as Legal Entity name, Bill To/Registered Address, tax registration numbers, mailing addresses(only applicable where legal requirement mandate invoices to be submitted in original hard copy format ) and e-mail ids for electronic submission of invoices in PDF format only(applicable for most countries). The file also highlights the changes to the legal entity names(from Thomson Reuters To Refinitiv) and date on which the name change have been effective from hence we request you to please make changes to your billing systems accordingly to reflect these latest name changes in the billing entities so that your invoices can be processed without any issues.

Note: This is a dynamic document with changes made on frequent basis, wherever required, we request you to, therefore, continue to refer to this portal to confirm and check latest invoice submission protocols.

Guidelines to be followed while referring to the Document:

1. Bill to Registered addresses- The address which needs to be printed on the invoice along with the Legal Entity name on the face of the invoice. 2. Tax Registration/VAT numbers- This is mandatory information to be printed on the invoices for all VAT applicable countries. 3. Invoice mailing address- This is the physical mailing address and should be used only where hard copy requirement is mandatory for invoice submission. The vendors are requested not to send physical invoices where Soft Copy requirements apply- Refer column Invoice submission Requiremenr-Hard copy/Soft Copy for more details. 4. Invoice submission mail id- DRC e-mail id: This is the e-mail id to be used for submission of soft copy invoices for Refinitiv. The invoices should be submitted in PDF format only, other formats are not accepted. Multiple invoices must not be clubbed in one document and should be submitted as individual pdf documents. 5. The effective name change date: This is the date when the name changes for each legal entity will effectively take place so all invoices billed post that date should contain the new Refinitiv Legal Entity Name. 6. Note that the submission channels listed in the document don’t apply to e-invoicing-enabled countries wherein the vendor is supposed to PO invoices are to be submitted via the Ariba Network. This is only applicable for Non PO invoices and for the countries where hard copies are mandated by law.
