The first stop is Seattle for the West Coast Regional Roundtable April 30 – May 4. After that we are back to Louisville Kentucky for the second annual Educational Summit. There are some exciting guests joining us. The RFN Educational Summit is for all of us regardless of experience, level of knowledge and talent. It is a place for us to not only learn more but to make connections. Step by Step focuses on a single aspect of the reunion planning process. Refer to past issues for additional topics. step by step Our two cents about budgets Budgets are a chicken – egg paradox. Do you need to have a budget to find the right reunion package or do you have to have all the expenses to create the budget? Yes is the answer. Prior to starting the hunt for your next reunion destination, a preliminary budget should be created. Use the reunion history from the previous year to generate the list of expenses. It is another reason to keep detailed records especially if the planning responsibility changes year to year. Begin with a general list of income and expenses. Fill in as many line items as possible. It may look something like this. Using the previous year’s actual figures, as a placeholder in each line item. This becomes your estimated income and expense until you confirm hotel, banquet and transportation costs. It would be a good idea to determine the overall cost per person for the event as well. Take your total estimated expenses and divide that by the number of anticipated guests. When determining the per person cost, be sure only to include the expenses the reunion association is paying for on everyone’s behalf. In the example listed above the total cost per person is $179.30, if 100 attendees are to be expected. It is critical to understand potential costs when before you begin negotiating with hotel, transportation and attraction organizations. The two budgets you need to protect are the reunion association AND the reunion attendee. Set your budget and stick to it. Doing so will reduce financial risks down the road. 
