#WELCOMEBACK WHITE SULPHUR SPRINGS, WV Welcom Bac The FDCC is thrilled to welcome our members and their families back to The Greenbrier Resort. A favorite of so many and soon to become a favorite of our “newbies,” The Greenbrier was chosen not only for its reputation and amenities, but for the health and safety of our attendees. Almost all of the activities offered during the FDCC program will take place on the grounds of The Greenbrier. While we may employ some socially distanced shuttles (owned and serviced by The Greenbrier), we will be avoiding the big coach buses we have utilized in the past. The Greenbrier has instituted all necessary protocols as recommended by the CDC for COVID-19 and we will be staying in touch with the resort as we move closer to the event. As of this writing, checks are required as are masks for all hotel guests and their staff. Housekeeping protocols have been updated and little adjustments such as limiting the number of people in each elevator (1 person or 1 family unit!) have been instituted. Your Convention Team will be continually monitoring the protocols necessary to ensure that our attendees feel safe.

THE CARDINAL Did you notice our little cardinal on our Annual Meeting logo? While it is the state bird of West Virginia, the cardinal is also a symbol of coming together and of remembrance. It has been an extraordinary year and we thought it would be appropriate to celebrate “our reunion” after more than a year apart. FDCC President and First Lady Mike and Tricia Glascott have chosen the cardinal as our FDCC 2021 charm to celebrate our FDCC family and to honor those who are no longer with us.

CANCELLATION POLICIES

HOTEL CANCELLATIONS All reservations are guaranteed with a deposit of the first night’s reservation fee. Hotel cancellations received less than 14 days before arrival will forfeit the one-night deposit. The FDCC has no authority to modify the hotel’s cancellation and refund policies.

CONVENTION REGISTRATION CANCELLATION DEADLINE We realize that unforeseen emergencies and trial schedules may require cancellation. Please note the FDCC Board approved refund policy: A refund of registration fees, less $85 and the applicable credit card fees charged to FDCC by the bank, will be given if the FDCC office receives written request of cancellation on or before July 1, 2021. After this date, no refunds will be given. In the event of special circumstances, such as illness or unforeseen family or professional emergencies, this refund policy may be suspended or modified, only by action of the President upon recommendation of the Convention Chair. It is recommended that all registrants get trip cancellation insurance. Fees paid for FDCC tours/activities are based on the tour operator’s policies. The decision to refund those fees will be based on written notice of cancellation and the tour operator’s refund policies.

FDCC CHARITY

At each of our meetings, the FDCC partners with a local group or charity in an effort to support the local community and leave something of ourselves behind. This year the FDCC and the FedSERVES Committee are proud to announce our partnership with Communities In Schools of Greenbrier County during our Annual Meeting to provide much needed supplies for teachers and students in each of the 13 public schools in Greenbrier County, WV. Communities In Schools aims to forge community partnerships and bring resources into schools to help remove barriers to student learning with a goal of keeping all students in school and ultimately graduating.

With your help, we can supply backpacks full of supplies, snacks and other tools to each school to ease the financial burden on students and teachers throughout the school year. A refund of registration fees less $85 and applicable credit card fees will be made for written cancellations received by the FDCC office on or beforeJuly 1, 2021.

No refunds will be given if notice of cancellation is received by the FDCC office after July 1, 2021.

In the event of special circumstances such as illness or unforeseen family or professional emergencies, this refund policy may be suspended or modified in response to the member’s written request, but only with the approval of the President upon recommendation of the Convention Chair. Members seeking a refund must submit a written request to the Convention Chair Jennifer Johnsen: [email protected]. It is highly recommended that all registrants get trip cancellation insurance.

Please notify the FDCC office by email ([email protected]) once you have cancelled your hotel reservations. Neither the Convention Chair nor the FDCC office has authority to modify the hotel’s cancellation policy.

Charges paid to the FDCC for separate events/activities may or may not be refunded in whole or in part. The decision to refund these will be made on a case-by-case basis by the Convention Chair. Members seeking reimbursement for these payments must submit a written request to the Convention Chair.

The decision to refund fees will be based, in part, on the timing of the cancellation and whether there are available convention funds from which to make the refund. Please note that refunds of any payments to independent third parties for tours and other events and services are not the responsibility of the FDCC.
