3 ADMINISTRATIVE REGULATION #815-AR-2 - ESASD Student Laptop Use and Security Procedures As an East Stroudsburg Area School District student, I understand that the laptop loaned to me remains the property of the East Stroudsburg Area School District (ESASD). The Laptop Use and Security Procedures outlined below will guide my use of this productivity tool.

I. Security and Protection: I agree to: ● Read and be held subject to the terms of ESASD’s Acceptable Use Policy and all other district policies related to technology and information security. ● Read and be held subject to the terms of the Student Digital Device Handbook located on the front page of ESASD’s website. I agree to contact my ESASD school building for a copy of this handbook if I cannot access this document online. ● Secure the district laptop when not in use. ● Protect my laptop from the danger of leaving the laptop in a car since it can promote theft and damage from temperature extremes. ● Protect my laptop from misuse, damage and theft. ● Not share any passwords related to my laptop or district-owned software with anyone. ● Immediately notify ESASD and file a report with the police if my laptop is lost or stolen. ● Be responsible for payments related to lost, stolen or damaged district equipment. II. Connectivity at Home: I understand that: ● This laptop can be configured for use at home as well as at school. ● ESASD Technology Services Department personnel are not responsible for my home access or for setting up connections outside of ESASD. ● I am not to install any software on this computer. If I need software installed on this laptop, I will contact ESASD Technology Services Department personnel for installation. III. User Interface at Home or School I understand that: ● I may need to attend an orientation session (or complete an online course) to learn how to use my laptop. ● If any necessary district-approved add-ons and storage devices (e.g. additional battery pack, mouse, monitor, padded case) are purchased for the laptop, that such purchases are the property of ESASD. ● I am not to lend my laptop to anyone, including members of my family or other ESASD students, for any reason. ● I am responsible for the content on my laptop, including anything stored on the machine by anyone, for any length of time. ● I must return my laptop to ESASD upon end of use and no later than the end of the school year. ● ESASD policies related to technology & information security govern the operation of laptops

5 Things You Need To Know

Student email accounts ● Every student is assigned an email address. Your username is your six-digit student number (ex. [email protected]). All email is administered by Gmail, so you will have access to your student account at home through your Chromebook or personal device. Email South Faculty ● All staff emails are formatted as [email protected] and can also be found through your Sapphire account. When emailing your teachers, you may also find them while you are composing an email in your school email account by putting their last name into the To: menu and choosing the correct person’s email. Grades Online ● Your grades are available at any time through your Sapphire account. Your parents can also see your grades through their access to the Sapphire Community Portal. You need to know your login credentials to access the gradebook; see guidance to set up your Sapphire access. This is a great way for you to keep up with what work is assigned and due. Guidance Office ● If you have a question or problem and don’t know who to turn to, start with your Guidance Counselor ● Go to the Guidance Office if you: o Need to see your counselor o Have questions about your schedule o Have questions about colleges or careers o Need to set up or reset your Sapphire access o Need working papers; transcripts; The East Stroudsburg Area School District issues work permits to all minors who reside in the school district. To obtain a PA work permit from the school district: 1. The student must be planning to work in Pennsylvania. Other states, including New York and New Jersey, do not have reciprocal work arrangements and a work permit must be obtained from the school district where the employer is located in that state. 2. The student must be a resident of the East Stroudsburg Area School District. If the student is not a school district resident, he or she should obtain a work permit from the school district in which they reside. Note: If the student is living out of state and working within the East Stroudsburg Area School District, the school district can issue a work permit. 3. The student will need to come to the main office of the high school which they attend, or would attend, and obtain the proper forms. The student will need to produce the following documents before obtaining a work permit: a. Original or copy of birth certificate, baptismal certificate, passport or photo driver's license. 4. A parent or guardian must appear before the issuer of the work permit.

6 5. IMPORTANT! The student must be present when the work permit is issued and a signature of a parent or guardian must be executed at the high school main office at the time of issuance or the signature must be notarized on an attestation document. This is a state mandate. ● The best time to see your counselor is before or after school (by appointment, unless it’s an emergency) or by appointment during the day. Chromebooks ● South employs a one-to-one initiative with Chromebooks. They will be distributed to students on the first day of school and will be your responsibility for the year. Make sure you carry your Chromebook in a protective case; charge it each night; and have your charger with you in school, in case it loses its charge. You are responsible for making sure you have your Chromebook each and every day and that it is fully charged to avoid discipline issues. ● See the Student Device Handbook for more information ​ ​ o Some families may qualify for low-cost internet access. Visit www.everyoneon.org to ​ ​ see if you qualify for home Wi-Fi for as little as $10/month. Attendance ● If you are late to school or need to leave early, you will need to stop by the office with a note from your parent/guardian.

o In accordance with PA Truancy Law, notes must include the reason for absence in order to be excused.

● If you are absent from school, you have three days when you return in order to turn in your excuse note. Turn the note into your homeroom teacher and they will give you a receipt for the note. Keep the receipt in case there is any confusion. Bus Schedules ● Buses run before and after school. Don’t forget your school ID! ● Make sure you are at your bus stop on time! The bus will not wait for you because it has a schedule to keep. ● Your bus schedule is available to you through email or a letter mailed home. ● There are 2 activity buses after school: o 4:20 bus is for clubs and activities meeting after school. These buses leave from the front of the school at the main lobby. o 5:30 bus is for athletes where practice goes later than the first activity bus. These buses leave from the back of the school by the stadium.

Parking (Permit Only)

● Parking permits can be obtained in the Security Office on the first floor of the Maple Building. Permits cost $10. Parking is a privilege so please drive carefully and respectfully through the school’s parking lots. Student parking is in Lot D, by the tennis courts behind the red line and lots behind the stadium.

School Calendar ● A school calendar will be distributed to each student at the beginning of the school year. Any adjustments to the school calendar due to weather, emergencies, or other unforeseen issues can be found on the ESASD homepage by clicking on the calendar summary.

How Do I Find Out How My Child Is Doing In School?

Sapphire ● Student grades can be accessed from the district website, www.esasd.net. Click on Sapphire ​ in the site shortcuts list on the left. When Sapphire opens, click the “Community Portal” icon and log in using your username, password, and pin. Once you have completed the Sapphire Community Web Portal Application and it has been approved, you will be able to use Sapphire to access information on all of your students within the school district.

Student Report Cards ● Report cards are delivered electronically through Sapphire. While you have access to grades at all times, report cards are the final accounting of student grades in a marking period.

Parent/Teacher Conferences ● Parent/Teacher conferences are usually held twice a year, once in the fall semester and once in the spring semester, however you should check to school calendar to be sure. Staff members are available for conferences from noon to 8:30 PM. You can also schedule an appointment with your student’s teacher if you need to meet at another time. 1. To schedule an appointment with a teacher, call or email the teacher and express your concern and desire to meet. 2. If a phone conference is necessary, please remember that the teacher may not be able to meet any time of day, but before and/or after school is usually a good time for all teachers.

What if my child is absent?

What if my child is absent for an extended period of time?

● Sometimes students will be absent for extended periods due to hospitalization, serious illness, a death in the family, etc. ● If your child is absent from school for an extended period of time due to medical reasons, please provide the nurse’s office with a doctor’s note explaining the reason for the absence. ● If your child will be absent for an extended period of time, you may have your student’s teachers gather any work that your child will miss so they may work on it as they are able. Please call the guidance office or main office to plan to have homework sent to the office for pickup. Call 570-424-8471 to make the request or email the teachers directly.

14 Helpful Tips

● Memorize your schedule as soon as possible.

● It’s okay to use your backpack during the day.

● You will need to have your Chromebook every day. Make sure you bring it to school fully charged. o If you forget your Chromebook and need it for a class, you will be sent to the office for a disciplinary action then sent to the library for a loaner.

● You will be assigned a locker when you come to school. Your locker will be same your entire high school career, unless there is a need to change it.

● You may not carry your hoodie/jacket with you throughout the day. o You will need to use your locker for your coat/hoodie.

● Turn off your cell phones/iPods and keep them out of sight except for during lunch or as instructed by your teacher. o They can and will be confiscated.

● Carry your ID with you as you will need it to buy food in the cafeteria and will be required to show it to staff when asked. Failure to have your id will result in a disciplinary action.

● Dress appropriately – there is a dress code (see page 13) or the district website at http://bit.ly/esasd-dresscode

● Get involved in sports and/or clubs and attend school events. It will make your high school experience more fun and you will be able to show your Cavalier pride!

● Be polite and courteous to staff and schoolmates.

● All doors are locked. You may only enter and leave through the main office or the tunnel (if you drive to school). o Do not let people in other doors as it creates an unsafe environment for us all.

ACCEPTABLE SCHOOL ATTIRE

● TOPS/BLOUSES/SHIRTS must have sleeves and cover the wearer within 3 3/8” (long side of school district-issued photo ID card length) of the base of the collar bone. Tops may be tucked in or worn so that it meets or extends over the pant/jeggings/shorts/skorts/skirts with no gap in between.

● PANTS/JEANS/JEGGINGS/LEGGINGS must be worn at the waist. Length of pants shall not extend beyond the bottom of the shoe or drag on the floor. There shall be no gap between tops and pants.

● SHORTS/SKORTS/SKIRTS must be worn at the waist and cover the wearer within 2” (short side of school district-issued photo ID card) of the top of the knee. Leggings/tights may be worn under skirts that meet the length requirement.

● DRESSES must have sleeves and cover the wearer within 2” (short side of school district-issued photo ID card) of the top of the knee. Tank or spaghetti strap dresses may be worn; however, they must have a sleeved top beneath. Leggings/tights may be worn under dresses that meet the length requirement.

● SWEATPANTS/SWEATSHIRTS/TRACKSUITS/LEGGINGS may be worn provided they meet the requirements of tops and pants as noted above.

● HOODED SWEATSHIRTS/SWEATERS may be worn; however, shall not cover the head while indoors on school district property or while riding on school buses.

● SHOES must have back straps and/or be secured at the heel. Heel Height: Elementary students are encouraged to wear flat, comfortable shoes that allow them to safety transition throughout their day as well as participate in recess activities. Should a heel be worn, heel height:shall not exceed 1 inch. Intermediate and high school students are encouraged to wear flat, comfortable shoes that allow them to safely transition throughout their day. Should a heel be worn, heel height shall not exceed 2.5 inches.

● OUTERWEAR (i.e.: coats, jackets, parkas, gloves, hats, hoods) shall not be worn indoors during the school day, excluding when traveling to or from one’s locker (intermediate/high school level) or homeroom (elementary level) when entering or exiting the building.

● SCHOOL DISTRICT ISSUED PHOTO ID shall be on one’s person, or on a lanyard, at all times and shall be produced when requested by district staff upon entrance into school activities or at any time when a student’s identity is in question.

UNACCEPTABLE/OFFENSIVE SCHOOL ATTIRE

The following are considered UNACCEPTABLE school attire and shall NOT be worn: 1. Torn, ripped, frayed edges, or holes in the clothing fabric.

2. Excessively baggy pants or clothing that can conceal items and/or pose a safety hazard to the student or others. 3. Exposed undergarments, including but not limited to bra straps, underwear shall not be exposed in any way. 4. Spaghetti strap, halter, mesh, tube, crop, tank, or muscle tops. 5. See-through blouses or shirts. 6. Pajamas or slippers (unless approved as part of a classroom activity or school spirit day/week). 7. Wallets with waist chains. 8. Spiked jewelry that could cause injury or present a safety hazard to the student or others. 9. Headwear including but not limited to caps, hats, hoods, scarves, bandanas, hair nets, sweatbands and/or do-rags indoors while on school district property. 10. Sunglasses indoors while on school district property.

The following clothing, tattoos*, patches, buttons, pins, jewelry, and/or backpacks will be considered OFFENSIVE and shall not be permitted if they: 1. Contain writing, pictures, or symbols that could be considered pornographic, obscene, vulgar and/or sexually suggestive. 2. Advocate violence, hate, intolerance or racism. 3. Advertise and/or promote the use of tobacco, alcohol and/or drugs. 4. Contain double-meaning messages and/or obscene language. 5. Suggest gang affiliation or activities.

*Students with offensive tattoos will be required to cover the tattoo at all times when on school district property.

School district officials will not make school-wide policies limiting the length or style of hair, but they may require changes in either style or length on an individual basis if they can demonstrate that a student's hairstyle is a health and/or safety hazard and/or disruptive to the educational process.

Exceptions/Exclusions to Approved Selections

1. As required by an eligible student's Individualized Education Plan; 2. As required by a Chapter 15 - Section 504 Service Agreement; 3. As required by one’s religious order as evidenced in writing by an official thereof; 4. As required for participation in school sponsored activities/athletics and/or physical education classes as set forth in the Code of Student Conduct; Exceptions/Exclusions remain subject to Standard Requirements. Transfer Students

Upon enrollment in the East Stroudsburg Area School District, new students will be granted a grace period of one week before being required to conform to the dress policy, but dress must comply with the spirit and intent of this Policy.

Disciplinary Consequences Pol. 218.3 Students violating this policy shall be subject to ​ disciplinary consequences as outlined in the Code of Student Conduct, and/or Policy 218.3, as applicable. A student may change from non-compliant clothing to compliant clothing provided by 19 the school, when available. A dress code is a dynamic document. Administrative discretion may be used to determine appropriate attire in the school setting. Students and parents/guardians shall be notified of any change in policy. Solutions to situations not specifically covered herein are the responsibility of building-level administrators. Appropriate decisions will be made based on the Board policy. Students and parents/guardians are expected to exercise careful judgment in the selection of appropriate attire for school.

● Aevidum Aevidum is a student organization that empowers youth to shatter the silence surrounding depression, suicide, and other issues facing teens. The word Aevidum, which means “I’ve got your back,” was created by students after a classmate died by suicide. ● Mock Trial One of the largest in the nation, the PBA/YLD Mock Trial Competition gives more than 300 high school student teams from across the state the opportunity to act as lawyers and witnesses in simulated civil and criminal trials before actual judges and panels of juries. ● Model UN At Model UN, students step into the shoes of ambassadors of countries that are members of the UN, from Argentina to Zimbabwe. The students, better known as “delegates”, debate current issues on the organization’s vast agenda.
