Role: Executive Assistant (PA) to the Director Reports to: Director Location: Boomtown Fair HQ, Bristol

Headquartered in the heart of Bristol, Boomtown Fair is an annual four-day festival held at the Matterley Estate (Nr. Winchester, Hampshire) in the rolling hills of the South Down National Park. For more than a decade, the organisation has prided itself on offering its audience extraordinary experiences through the programming of visual arts, mind-bending set designs, a multitude of music styles and site-specific performances and events.

Charity, education and awareness is an integral part of the ethos of Boomtown Fair with the festival now viewed as a major influencer in sustainability and a driving force in changing ways that are run and operated. In 2019, the organisation took unprecedented steps by partnering with Tree Sisters, a global network of women passionate about achieving restoration of our tropical forests, to plant a tree for every attendee of its Festival that year (c.60,000 trees). This is just one example of the numerous charities and partnerships the festival and company engage with frequently to influence positive change in the world.

POST DESCRIPTION The Executive Assistant (PA) is a critical member of the Boomtown business. They are responsible for assisting the director with everything regarding the business and the organisation of the festival each year. They will also help manage all main communications by assisting with emails and be responsible for managing their calendar.

The role is head office based (Bristol), 40 hours per week over 5 days, however, as with all positions within Boomtown, the role is required to live and work on site at the festival in th th Winchester for 4/5 weeks (20 ​ July – 19 ​ August) where longer working hours are required. ​ ​

KEY SKILLS AND EXPERIENCE You will be a self-starting, responsible individual who is keen to help the director feel organised helping productivity. You will have a proven track record in executive or personal assistance to senior directors of an organisation. You will own your work, taking proactive

responsibility for developing this role into what is needed, assisting with making the organisation of this festival as smooth as possible.

Alongside exceptional organisational skills, this role requires you to be adept at mastering life inside an organisation that puts on a major UK-festival. You will have a natural skill for managing multiple tasks at once and for flexing what you are working on to meet the demands of the business and director.

Project management is a fundamental part of this role, requiring execution of projects delegated to you from the Director. You will be expected to be in regular communication about the progress of these projects whilst delivering them in a timely and well-coordinated manner. Exceptional time management skills are required to keep up with the many deadlines we face throughout the year.

RESPONSIBILITIES ● Acting as a first point of contact to the director: assisting with all correspondences via emails and phone calls ● Manage the inbox of the director, proactively reading and summarising emails so a timely response can be completed ● Managing diaries and organising meetings and appointments ● Preparing meeting agendas ● any research or administrative tasks to facilitate specific projects ● Booking and arranging travel, transport and accommodation ● Introducing and maintaining simple yet effective administrative processes ● Communicating and collaborating with all areas of the business ● Liaising with staff, clients and suppliers ● Executing specialist projects relating to the Boomtown business – this includes projects outside of the annual Boomtown festival ● Keeping the director alert to important tasks & deadlines ● Managing computer databases and files (note - current systems used are Google Drive and Dropbox) ● Assist with the processing of the Directors festival passes and guest list tickets REQUIREMENTS ● Proven experience as an executive or personal assistant ● Knowledge of office management systems and procedures ● Outstanding organisational and time management skills ● Up-to-date with latest office gadgets and applications ● Ability to multitask and prioritise daily workload ● Excellent verbal and written communications skills ● Discretion and confidentiality ● In depth knowledge of Word, Excel, and Microsoft Office
