VELD 2018 Food Vendor Information Thank you for your interest in participating in VELD this year. The following information should help answer any preliminary questions you may have. VELD 2018 The seventh annual VELD Music Festival, presented by INK Entertainment, Canada’s leading lifestyle and entertainment company, will heat up the summer music lineup on August 4th and 5th at Downsview Park in Toronto. Spanning across two days with over 30 internationally acclaimed Dance Music and Hip-Hop acts, this year’s Festival showcases some of the most revered names in electronic music. Doors open at 12 noon on Saturday the 4th, and 1 PM on Sunday the 5th. The festival Vendor Allocations In order to assist you in reaching personal revenue goals, there will be a limited amount of Vendors allowed on site. As such, awareness of deadlines will be exceed- ingly important. This year, 60% of Vendor fees (including HST) must be paid by certi- fied cheque with a signed contract by July 4th, 2018. The remaining balance (including additional power costs) must be paid in full by 5 PM on July 20th. Once se- lected to participate, Vendors will have the opportunity to bid on specific locations within the festival grounds. Bidding is not mandatory. Please note that the truck lo- Cost and Inclusions/Exclusions The initial tier (first 50% of vendors) price per truck is $3500 +HST. Power will be priced at $15 per amp. Generators may not be used. Water will be made available from the water station, though no direct lines will be available. Use of POS unit is in- cluded, with 5% of gross to be paid to VELD Music Festival at the end of the festival. Please do not hesitate to contact me with any questions: Email: [email protected] VELD 2018 Important Vendor Dates July 4th All signed applications due, with 50% of all fees, by 5 PM All Vendor requirements/menu due in writing with application July 9th Successful applicants notified Bid sheet sent out for specific site location (optional) July 20th All remaining fees due by 5 PM Proof of insurance certificate due by 5 PM Proof of Propane Certification of AT LEAST 1 staff member who will be on-site for the duration of the Festival August 3rd Vendor Load-In (to take place between 12 PM and 8 PM). August 4th Vendor Load-In (to take place between 9 AM and 11 AM). Please note that load-in past 11 AM is not available, therefore Vendors who do not load-in in advance may forfeit entry. Vendor training for POS at 10 AM August 5th Gates open at 1 PM Festival closes at 11 PM Load-out AFTER park has been cleared. For the safety of our patrons, PLEASE DO NOT ATTEMPT TO EXIT OR START ENGINES BEFORE GIVEN THE GO-AHEAD BY VELD STAFF. Post Festival Settlements will take place within 15 business days provided all batch reads are provided to VELD Music Festival Inc within 48 hours post event. Failure to provide your batch reads within this time fame may delay your settlement time. VELD 2018 Food Vendor Application Event Name: VELD MUSIC FESTIVAL Event Date: AUGUST 4-5, 2018 Vendor Name: Fee: ($3,500 + HST) per truck As used in this agreement, the use of “Truck”, “you” and/or “your” shall mean:-------------- (your company name) together with all its parents, subsidiaries and affiliated companies, officers, direc- tors, employees, agents, transferees and assignees, and the food truck operated by it or them, as the context may require. 1. Truck location to be determined by VELD Music Festival Inc. 2. Load in will take place Friday August 3rd from 3pm – 8pm or Saturday August 4thth from 9am – 11am and Load out will take place after the show completes on August 5th. Times will be communicated at a later date. Please be aware that if you miss your scheduled load in time there is a chance that you will be denied entry. 3. Trucks must be ready for service one hour prior to gates opening. 4. Truck must use the footprint provided. No other booths / set-ups are allowed without prior approval of VELD Music Festival Inc. 5. No distribution, canvassing, flyers, nor vending of any kind may be done by roaming through the venue/festival grounds. Inflatables and/or signage outside or on top of your truck/tent is prohibited. 6. Prices must be posted in a legible manner and in a visible place within/on the Truck. VELD Music Festival Inc to have approval of signage prior to event. 7. Unless your Truck is an approved beverage provider, the sale of all non-alcoholic and alcoholic beverages of any kind is strictly prohibited. This includes but is not limited to; pop, juice, water, alcohol & other beverages. Consumption of alcoholic beverages by your Truck employees and/or volunteers is prohibited. Should you wish to sell water, you may purchase bottles from Veld Music Festival Inc. at the price of $3.50 per bottle and sell for a price of $5.00. Details to purchase pop & juice to follow. Details for purchase methods to follow. 8. You must provide trash & recycling receptacles for waste generated by your Truck. 9. Food trucks will be responsible for the removal of all waste including but not limited to garbage, recycling, organics and grease. 10. Refrigeration may be available on site for a fee based on square footage and prior arrangement. Bags of ice will be available for purchase. Prices to follow. 11. You are required to obtain and display all necessary permits and / or licenses. VELD 2018 Food Vendor Application 13. VELD Music Festival Inc assumes no responsibility for, and will not be liable for, any lost, stolen or mis- placed merchandise or equipment at the event. You hereby expressly relieve and discharge VELD Music Festi- val Inc from any and all liability for any loss, damage, injury or death to persons or property that may be sus- tained by reason of entry upon the venue and/or the occupancy of the booth space designated to you under this agreement. Security of you and your possessions is your responsibility and no security will be furnished by VELD Music Festival Inc. VELD Music Festival Inc shall not be liable for any damages or expenses you may incur should any concert or event be delayed or cancelled. 14. FEES: 60% of your site fee payment of ($3,500 + HST) is due and payable in full upon your delivery of this signed agreement. Acceptance of this application/agreement may not be assumed unless and until a copy hereof signed on behalf of VELD Music Festival Inc is delivered to you. The deadline to submit your payment will be July 4th, 2018. If you fail to submit payment by this date your vendor spot may be revoked. The Vendor agrees to pay VELD Music Festival Inc 5% of Gross sales, to be deducted from the Settlement. Set- tlements will take place within 15 business days provided all batch reads are provided to VELD Music Festival Inc within 48 hours post event. Failure to provide your batch reads within this time fame may delay your settlement time. 15. EMERGENCY PROCEDURES: In the event of an emergency, all vendors must cease operations and follow VELD Music Festival emergency protocols. All vendors and staff MUST follow all safety instructions from any and all agents of Veld Music Festival Inc. Not doing so may result in the shut-down of offending vendor’s site(s), the barricading of vehicle and all equipment until after the site has been cleared at the end of show-day, and the removal of the offender from site. In any instance, NO REFUNDS WILL BE MADE. 16. POS: VELD Music Festival is a cashless event. All vendors must use the provided POS system. Using a personal POS or accepting cash will result in termination of agreement, the shut-down of offending vendor’s site(s), the barricad- ing of vehicle and all equipment until after the site has been cleared at the end of show-day, and the removal of the of- fender from site. In any instance, the value of all cash and personal POS sales will become the property of VELD Music Festival, and NO REFUNDS WILL BE MADE. 17. REFUNDS: Your vendor fee is NON-REFUNDABLE, regardless of booth placement, sales, competing vendors, or if the event incurs delays or cancellation. 18. RESPONSIBILITY: You must meet and follow all applicable laws, including, but not limited to, all City of Toronto Health Department and Fire Department Guidelines. 19. QUALITY: All products to be sold shall be subject to the prior approval of VELD Music Festival Inc, and all items sold shall at all times be of first-class quality, wholesome, and pure. All food items must be stored inside the vehicle, covered and off the ground. 19. MENU: All menu items including pricing must be approved by VELD Music Festival Inc. Please submit menu options for approval no later than July 4th, 2018. 20. No preparation, serving or storage of food, supplies and/or equipment is allowed outside of the Truck. 21. USE OF GENERATORS IS PROHIBITED. Truck must keep a clean exterior at all times. You must return the desig- nated booth space at the conclusion of each event in the same condition in which you received it. VELD 2018 Food Vendor Application 24. You shall procure and maintain at all times all customary and prudent insurance naming VELD Music Festival Inc. (144 Bloor Street West, 7th Floor) and Ink Entertainment (144 Bloor Street West, 7th Floor) and its landlord or li- censors, if any, and their respective parents, members, partners, affiliates, divisions and subsidiaries and their respective officers, directors, and employees as additional insured on a primary basis for acts arising out of your negligence, includ- ing (i) Commercial General Liability insurance with limits of at least Five Million Dollars ($5,000,000) per occurrence, for any bodily injury and/or property damage claims, personal and advertising injury, and for products and completed opera- tions liability and (ii) Automobile Liability Insurance subject to a limit of not less than Three Million Dollars ($3,000,000.00), combined and covering all owned, non-owned and hired vehicles.
