Please speak to your event coordinator regarding options that are available to you. Due to BC Liquor Laws, homemade wines or U-brew alcohol are NOT permitted to be served on the premises. All alcohol must be ordered through the TRU Conference Centre.

15 Bar Options Cash Bar Your guests are responsible for the purchase of their own beverages. Host Bar The client is financially responsible for all beverages served and will be invoiced based on the total consumption of all beverages. Client is to set value. Deposit of $10.00 per person is required.

For all cash and host bars, a guaranteed minimum revenue of $400.00 must be generated. If the minimum is not reached a bartender fee of $125.00 will be charged OR the difference between the minimum and actual sales – whichever is less. Wine served at dinner is not calculated in bar revenue.

Under the terms of the BC Liquor License Act, the Thompson Rivers University Conference Centre is prohibited from allowing any individual or group to provide their own alcohol at catered events. Tickets The client is financially responsible for all of the tickets re-deemed at the bar. Client is to set value of tickets and pre-order tickets from the catering department. A 75% deposit is required.

Last call is at 12:45am, bar closes by 1:00am; all alcohol must be cleared away by 1:30am and the premises must be vacated by 2:00am.

Dietary Concerns Ask us about our substitute menu options for dietary concerns! We are happy to accommodate religious, social, and allergy restrictions. Common dietary concerns that we are used to accommodating are gluten free, dairy free, vegetarian, vegan, and halal approved proteins. Substitutes can be made for breakfast, breaks and snacks, lunch and dinner. Pricing may vary, please speak to your event coordinator for further details.

16 Policies

MINIMUMS AND LABOUR CHARGES •Breakfast Selections are designed and priced for a minimum of 10 persons. •Lunch Selections are designed and priced for a minimum of 10 persons. •Dinner Buffets and Luncheons are designed and priced for a minimum of 25 persons. •Plated Service Dinner Menus are designed and priced for a minimum of 50 persons. •Additional charges apply if these minimums are not met.

An offsite delivery charge of $50.00 per one round trip for one vehicle will apply within a 20 km distance from Thompson Rivers University. In the event additional trips and/or additional vehicles are required to complete a delivery, additional charges will apply. Deliveries over 20km away from Thompson Rivers University will be charged mileage at $0.50 per kilometer. A 15% gratuity applies to all offsite deliveries. Please refer to the offsite catering policy for further details.

Any delivery outside the CAC, but inside the TRU campus, under $100 will be subject to a $10.00 delivery fee.

GUARANTEED NUMBERS A guaranteed number is required 5 business days prior to the event. All service charges will be based on ACTUAL numbers of guests served if more than the guaranteed guests are served. Prices can change without notice, but will be guaranteed 60 days prior to the function. Minimum number of meals is required on ALL orders. Pricing is subject to change if the minimum is not met.

INVOICING DEPOSITS & PRICING For all groups a non-refundable $600 deposit is required at time of booking. 75% food and beverage payment is required 10 business days before the event. For TRU Departments an account code is required prior to all catering and events.

CANCELLATION POLICY A non-refundable deposit is required at time of booking. All cancellations must be made in writing to the Conference Centre thirty (30) days prior to the event or the following charges will apply:

Catering: •25% of total estimated event cost at four (4) to thirty (30) days •90% of total estimated event cost at three (3) business days or less Room Rental: •100% of room rental at thirty (30) business days or less

FOOD & BEVERAGE POLICY The Thompson Rivers University Conference Centre will be the sole supplier of all food and beverages items, the only exception will be wedding and special event cakes when full catering is provided by the TRU Conference Centre. If cake cutting is required a fee will be charged. Please refer to the cake cutting policies for charges and options. No food will be packaged for take home from any event.

The CAC will discard all perishable food items in compliance with established Food Safe practices. Non perishable items can be removed, however, we do not supply take out containers for this purpose.

Food and beverage selection is required 2 weeks prior to event. All food and beverage charges are subject to gratuity and to 5% GST. Alcohol charges are subject to 5% GST and 10% PST. Children 2-12 years of age are half price. Toddlers 2 17 and under are no charge. All tables for meal functions are dressed with standard house linen and napkins. This includes all packaged meals, buffets and plated dinners. Events that require tablecloths for non-food functions may be clothed for $6.00 per standard house tablecloth $6.50 for a cocktail tables and $25.00 for skirting. Aramark will provide up to two standard tables dressed with standard house linen and skirting for the use of any non food service component of the event.

LIQUOR SERVICE For all cash and host bars, a guaranteed minimum revenue of $400.00 must be generated. If the minimum is not reached a bartender fee of $125.00 will be charged OR the difference between the minimum and actual sales – whichever is less. Wine served at dinner is not calculated in bar revenue. If total bar sales exceed $400.00 there will be no bartender fee.

Under the terms of the BC Liquor License Act, the TRU Conference Centre Management is prohibited from allowing any individual or group to provide outside alcohol at catered events.

OTHER RENTALS China is included for all events held in the Campus Activity Centre. All areas outside the Campus Activity Centre and all off site catering will include disposable service.

FACILITY POLICIES We request that no confetti be used on the premises. A $100 clean up charge will apply. AV Equipment can be arranged through our in house supplier or clients are permitted to arrange their own. To ensure all requirements are agreed upon a confirmation contract is required to be signed by the client. All events must be completed by 1:30am and vacated by 2:00am. A minimum of $50 per hour for each hour a function is late will be levied plus additional $16 per staff member. An additional fee per staff member will be changed for events hosted on Statutory Holidays. Fees depend on the staff required for the event. In the case of unforeseen circumstances we reserve the right to substitute a comparable function room. We reserve the right to inspect and regulate all private parties, meetings and receptions. Liability or damage to the premises will be charged accordingly and is the responsibility of the person(s) booking the event. Space for the event is booked only for the times indicated. Set up and dismantle times, if required, are not included and should be specified at the time of booking. If displays, exhibits or products are used, arrangements for their arrival, unloading and departure must be made through the catering office. Such displays, exhibits, or products are the responsibility of the exhibitor and we accept no liability whatsoever for the loss or damage of these displays. TRU Conference Centre is not responsible for damages to or loss of any articles left prior to, during or following any function by the customer or their guests. We reserve the right to require security should situations warrant for either or both parties contracting said functions. Additional costs will be assessed for electrical requirements above and beyond the normal usage. Depending on room set up requirements and catering, room set up costs/fees may vary.
