Welcome Note by the Organizer

Defense Export Promotion Organization “DEPO” feels proud in holding the 9th International Defence

Exhibition and Seminar “IDEAS 2016” and welcomes all its participants to this eminent defence show.

DEPO assures the exhibitors & visitors alike a very safe and sound commercially viable participation coupled with unmatchable hospitality, better than the previous IDEAS events.

DEPO takes the privilege to present this Exhibitors’ Manual to facilitate their impeccable participation in

IDEAS 2016. Exhibitors are requested to read the Manual thoroughly in order to acquaint themselves about the services and facilities available for them and to familiarize with the Rules & Regulations / Terms

& Conditions of Participation in the Event. This Manual would answer almost all the Pre-Event, during

Event and Post-Event queries of the exhibitors.

To ensure smooth operation, exhibitors must adhere to the deadlines for submitting relevant information to the Event Manager, M/s Badar Expo Solutions. Should any further information or assistance be required, the General Manager (Operations), Badar Expo Solutions be contacted at the venue in Show

Management Office located within the Karachi Expo Centre 15 days prior to the event and thereafter until

27th November 2016.

About IDEAS 2016

The International Defense Exhibition and Seminar “IDEAS” is biennial defense & defence related products technology show being organized since 2000 by Defence Export Promotion

Organization “DEPO”, Ministry of Defence Production, at the Karachi

Expo Centre as its main venue. The objective of holding the event is to provide the leading armaments manufacturers of the world and, opportunity to showcase their latest products & technology to offer & display, also the marketing opportunities to the domestic manufacturers of armaments and products catering to the needs of the defence industry worldwide.

The show is co-located with the most prestigious & very high profile defence SEMINAR, recognized in international academic and military circles as a major forum on defence strategies, security dynamics and technology outlooks.

1.1 KARACHI EXPO CENTRE: SALIENT FEATURES

Karachi Expo Centre is centrally located opposite Civic Centre in full secured surroundings and equipped with adequate facilities to hold international exhibitions. It comprises the Congress Centre and Six Exhibition Halls interlinked through an atrium and corridors. The Congress Centre houses the main reception on ground floor.

The VIP offices shall be located on 1st and 2nd floor of Congress Centre. The Organizer’s camp offices shall be located on Mezzanine Floor of hall 2 to serve the Exhibitors.

The Exhibition Hall-2 is directly linked with the Congress Centre through an Atrium while Halls 1,3,4, & 5 are connected through inter-linking corridors. A large Foyer Area lies in between Hall 5 & 6 where the Media Centre, Business Centre, Reception, Press Briefing Area & MOU Signing Area shall be located. Expo Centre Management Offices, Utility Buildings, Security Offices and a mosque adjacent Gate #2, facing Sir Shah Suleiman Road, VVIP and VIP cars’ parking are all encompassed within the Expo Centre compound.

Temporary Offices for Registration, Show Management, Outdoor Exhibit Paved Areas 1 & 2, Custom Bonded Warehouse (exclusively created to facilitate IDEAS’ Overseas Exhibitors) etc. shall also be established prior to the Show within the Expo Centre to cater to the requirements of the Show.

Notes:

1.4 ACTIVITIES DURING THE SHOW

1.4.1 Inauguration Ceremony

The inauguration Ceremony shall be held at Karachi Expo Centre on 22ndNovember, 2016 at am 09:30 hrs.

1.4.2 Seminar

IDEAS in addition to being a celebrated event attended by a large number of delegates, dignitaries and trade visitors, also plays host to one of the most prestigious Seminars in the region.

IDEAS SEMINAR is regarded in international academic and military circles as a major forum on defense strategies, security dynamics and technologies outlook. The Seminar will bring together senior strategists and eminent speakers from all over the globe. The International Defense Seminar serves as a widely

Attended interactive platform in the Asian region that presents a unique international outlook for the defense industry. Moreover, the Seminar programme is designed to be special relevance to altering security paradigm of Asia in general, and Middle East and South West Asia in particular. Special focus is given on the strategic impact and regional significance of defense collaborations in light of the security threats faced by countries in this part of the world.

1.5 OUTDOOR EXHIBIT SPACE

Outdoor Exhibit Areas-1, 2, & 3 have been established over tarmac within the Expo Centre to facilitate Display of Heavy Exhibits, Machineries & Equipment’s.

1.6 ACCESS TO THE EXHIBITION

1.6.1 ENTRY BADGES

Exhibitors are required to provide the names of the stall attendees on the relevant Order Form before 18 October 2016. Local exhibitors’ badges may be collected from the Show Managements Office at the Expo Centre from 10th Nov. 2016 and onwards.

1.6.2 CAR PARKING

Vehicles other than with VVIP & VIP car stickers shall not be allowed inside Expo Center during the exhibition. All vehicles shall be parked at designated places National Sports Coaching Center. Which has 900 cars parking space. Car parking stickers shall be issued 15 days prior to the event for various categories of visitors/ delegates & exhibitors. There will be complimentary Coaster Service running exclusively for the exhibitors, visitors, service providers and organizer’s / Badar Expo Solution Staff at regular intervals from parking areas to the Expo Center entrance gate # 2, opposite Sui Gas Building on Sir Shah Suleman Road.

The exhibitors’ staff and workforce shall be allowed to take their vehicles inside Expo Center during stall build up period up to 18thNov. 2016 till 17:00 hrs.

2.1 EXHIBITION HALLS: SPECIFICATIONS

 Hall 1, 2 & 3 are R.C.C structured 60m X 36m X 6m high each  Hall 4 is steel structured 90m X 36m X 8m high  Hall 5 and Hall 6 are steel structured 90m X 36m X 9m high  All the halls except Hall-2 have single Mezzanine Floor @ 12m X 36m each by 2.4m  Hall-2 has Mezzanine Floor all around; 12m X 36m each on left and right sides, interconnected by 4.5m wide mezzanine floor at front entrance and 3m wide at rear  Typical clearance under the mezzanine floors is 2.5m  Mezzanine floors have access through stairs from the ground floor of exhibition hall.  Spiral stair-cases connect the mezzanine floor from outside (fast food/drinks stocks are replenished from outside without hindering the exhibition arena)

2.1 POSSESSION OF SHELL STALLS / BARE SPACES

2.1.1 Indoor Shell Stalls

Exhibitors, who have booked the Exhibit Space for the Indoor Shell Scheme Stall (size 3m x 4m) and settled their accounts, will be handed over the stalls with the following items:

2.1.2 Possession of Indoor Bare Spaces

Exhibitors, who have booked the Exhibit Space in the Indoor Space Scheme and settled their accounts, will be handed over possession of their stalls/spaces immediately after the completion of hall marking, mentioned in the stall build up schedule.

Standard Indoor Bare Space Scheme contains the following item only:

2.2 STAND FITTING REGULATIONS

2.2.1 Indoor Shell Scheme Stalls

Shell Scheme Stall/Booths are all uniform designed including the fascia with exhibitor’s names. No Alteration or addition is allowed to be made in the standard fascia and lettering by Exhibitors (use Order Form I-2 for Shell Scheme Fascia Name).

All standard shells are framed with high quality material and the exhibitors are forbidden to apply any poster, wall paper, paint, drilling, nail or screw on the panels; however, the exhibitors may apply single or double-sided tapes on the existing panels. No glue, scotch tape, self-adhesive paper, screw, nail spoke, pin or paint shall be used on floors, walls, pillars or any part of the exhibition halls permanent structure.

2.2.2 Indoor Bare Scheme Stalls

Only the Official Supporting Stall Building Contractors shall construct Bare Scheme stalls/Booths. Indoor Bare Spaces are to be constructed by Official Stall Building Contractors only. The list of official contractors is available atwww.ideaspakistan.gov.pk.

In case an exhibitor intends to deploy its own Stall Building Contractor other than the official contractor then the exhibitor shall pay the coordination fee to the Organizer @ 17% of the cost of constructing the stall. Such contractor shall submit copy of the Agreement/Work Order with the Exhibitor showing the contracted cost of constructing the stand. Exhibitors must strictly follow the Terms & Conditions of Participation and cooperate with the Organizer’s Official Contractor before commencement of any work at their stalls.

Height of the Bare Space Stalls shall not exceed from 2.4m at edge. In case it is higher, it may be taken rising up to maximum of 4.5m beyond 1.0m from the edge inside the booked space. If required, exhibitor of Bare Space Scheme shall erect his own wall at edge and shall in no case use the partition wall of adjacent exhibitor for any purpose.

The exhibitor shall be responsible for removal of all packaging waste and garbage materials resulting from erection or dismantling in the exhibition halls. All containers, packing items and articles not for display must be removed from the exhibition halls 24 hours before the day of opening.

No storage facilities shall be provided for packaging cases, surplus materials or other belongings of the exhibitor at the venue. No pressurized container shall be used in the exhibition halls without the prior written approval of the organizers.

2.3 STALLS/BOOTHS OPERATIONS:

No stall/booth shall be left unattended at any time during the opening hours of the exhibition. The exhibitors’ staff must be present at the relevant stall/booth at least 1 hour before the opening hour and leave the exhibition hall not later than 30minutes after the closing time. The exhibitor shall be responsible for the good conduct of his stall attendants.

The exhibitor shall be responsible for damage to the structure or any part of the exhibition halls or other exhibitor’s exhibits resulting from loading/unloading his exhibits will bear the entire cost and consequences of the same.

No exhibit is allowed to be taken into the stall/booth once the exhibition has been officially opened unless special permission is given by the Organizer.

If an exhibit is displayed in working, safety and precaution must be taken for the protection of the visitors through legible signs of "DANGER - DO NOT TOUCH" in English, displayed on a prominent place to explicitly warn the public.

All exhibits shall be confined to the area of the exhibition space allocated to the exhibitor. Any exhibit displayed outside the allocated booth shall be confiscated. 2.4 Outdoor Space Exhibitors can book Outdoor Bare Spaces on Hard Standing Tarmac in following units:

 Outdoor Area 1: 16m x 6.25m = 100 sqm. units each  Outdoor Area 2: 10m x 10m = 100 sqm. units each - Spaces marked out to the required dimensions (without any fixtures/walls) on hard standing paved areas shall be provided as Outdoor Exhibit Spaces. - Exhibitors shall be provided one 10A 220V single phase power outlet at their stands. - The surface of paved/asphalt areas must not be penetrated by anchors or fixing pins without the Organizer's written permission. - Flags, banners and flagpoles must not exceed 6 meters above the surface.

3.1 IDEAS-SHOW CATALOGUE

The official Show Catalogue for IDEAS 2016 will be published by Badar Expo Solutions. All exhibitors are entitled to a FREE entry up to 150 words. For Exhibitors’ entries please complete Order Form No. I-5. This can be sent via e- mail at [email protected] Completed entries must be timely received to ensure inclusion in the Show Guide.

3.1.1 CD-ROMVERSION OF SHOW CATALOGUE

CD-ROM version of SHOW CATALOGUE shall also be distributed free of cost with each hard copy of the Show Catalogue, containing all the information in the catalogue. 3.2 IDEAS-SHOW DAILIES

Asian Military Review “AMR” is the official publisher who shall be publishing there issues of the IDEAS 2016 Show Dailies in English. These will be the official and exclusive Show Dailies and distributed free of cost to all exhibitors, visitors and VIPs attending the Show. Exhibitors intending to advertise in the Show Dailies may contact “Badar Expo Solutions” as per the given advertisement rates on Form No. I-6.

3.3 PRESS AND MEDIA

It is expected that over 300 journalists and television reporters from all over the globe shall attend the show.

3.3.1 PRESS AND MEDIA CENTER

A Press & Media Center managed by Badar Expo Solutions will be established at Karachi Expo Centre, which shall be fully operational throughout the exhibition period.

3.3.2 THE PRESS RELEASES

The Press will welcome regular updates concerning the build-up of IDEAS 2016 and the participating companies. Press releases shall be acceptable in English language only.

3.4 IDEAS WEBSITE

The IDEAS website: www.ideaspakistan.gov.pk provides detailed information about the exhibition, including sections on IDEAS Seminar, exhibitors, visitors, venues, latest news sections etc. The IDEAS website can also be browsed by exhibitors who wish to participate in the exhibition. On-line registration facilities are available for the visitors to the exhibition and the delegates for the SEMINAR.

4.1 ON-SITE SECURITY

Although the organizers shall exercise utmost care / caution and depute adequate security personnel on duty at the exhibition site and within the entire city of Karachi to ensure safety and security of the exhibitors & visitors, yet they are not responsible for any loss or damage that may occur to an individual exhibitor or his exhibits. Exhibitors are responsible for the security of their own stand and exhibits including their belongings. It is therefore, strongly recommended that exhibitors should arrange their own insurance to cover all points of the exhibition.

4.2 COMMUNICATION - TELEPHONE, FAX & INTERNET

Badar Expo Solutions in coordination with local telecommunication company shall provide the exhibitors a telephone, fax and ISDN line connections. Exhibitors are requested to fill in their requirements in Order Form No. I-11 and timely return the form to Badar Expo Solutions.

4.3 ELECTRICAL SERVICES AND SUPPLY

The official contractor appointed for electrical services shall provide all exhibitors’ electrical services as mentioned in Order Forms No. I-12. All order forms must be accompanied by full payment of the requested items/services to avoid delays in execution.

4.4 COMPRESSED AIR SUPPLY

The official contractor will provide compressed air connection to the stands. The compressed air is of one piston compressor, without a dryer. In order to receive the quotation exhibitors must complete Order Form No. I-13 for their requirements.

4.5 RENTAL AUDIO VISUAL EQUIPMENT

The Official audio-visual equipment contractor will provide the services which include:

4.10 EXHIBITORS' SERVICES / SHOW MANAGEMENT OFFICE

Located close to the main entrance of Expo Centre, this office is responsible for ensuring that the exhibitors' badges are ready before the exhibitors arrive on-site. Any specific information about the Show can also be obtained from this office.

4.11 BUSINESS CENTER

A Business Center is established in the Foyer Area between Halls 5 & 6 where facsimile, Internet Scratch Cards, Mobile Scratch Cards, Mobile charging facilities, Secretarial services and Photo copying facilities are available during the event.

4.12 Food and Beverages

An Executive Food Court will be established within the Expo Center boundary for exhibitors, delegates and corporate visitors. Refreshment areas shall also be established at the mezzanine floors in each exhibition hall except Hall-2. The main Food Court will provide the services between 1000-1600 hrs. daily.

4.13 Prayer Area

A Mosque is located adjacent the entrance gate - 2 within the Expo Centre boundary to facilitate the exhibitors, delegates and corporate visitors to offer prayers.

5.1 CLIMATE

The exhibition is scheduled at a time of the year when the weather in Karachi is most pleasant. The day temperature is expected to be around 25 C to 30 C dropping at night to below 20 C.

5.2 CURRENCY

The currency prevailing in the country is Pakistani Rupees “PKR” 1 US$ is approximately equal to PKR 104.69 as on 18 April, 2016.

5.3 LANGUAGES

The Official language is Urdu, however, all official correspondence is done in English, which is very well spoken and understood in business circles throughout Pakistan.

5.4 PHOTOGRAPHY

There is no restriction on private photography.

5.5 VISA FORMALITIES

All foreign nationals entering Pakistan are advised to obtain pre-arranged visa from Pakistani embassies / consulates in their respective country to stay. Visas are required for nationals of the countries listed above. 5.6 CUSTOMS

A non-Muslim can buy liquor in hotels authorized to sell alcohol to hotel guests and also from Government liquor shops in the main cities. Alcohol is not allowed to be imported in Pakistan. Any alcohol found in the accompanied or un-accompanied baggage of passengers will be impounded. Official import limits for other items are 200 cigarettes, half a pint of perfume, a camera, watch, hair dryer, laptop computer and portable Walkman/ CD player.

6.1 PAYMENT/CANCELLATION OF BOOKINGS

All actions taken by the event manager regarding booking and allocation of stalls/spaces/venue management shall be deemed to have been taken on behalf of the Organizer. Exhibitors are required to leisure with the event manager in this respect.

The organizer reserves the rights to accept or refuse any applicant to take part in the exhibition Or regarding displaying any exhibit without assigning any reason whatsoever. All decisions of the organizer/event manager to such effect shall be final. No reason for any such decision shall be given and no claim or objection from any exhibitor in relation with shall be entertained. The organizer reserves the right to cancel the exhibition and in such case shall refund all the payments (without interest) made by the exhibitor to the organizer in relation to the exhibition and the exhibitor hereby waives all rights, actions and claims whatsoever for compensation under this contract.

Full payment for the stalls has to be made by the exhibitors at least three months prior to the Event. In case of not receiving the full amount 3 months prior to the event, the organizer reserves the right to cancel the exhibitor’s booking, forfeiting the entire rental pay by the exhibitor till that time allows to give the reserved space to any other exhibitor with no claim. Any payment does not necessarily guarantee the allocation until the stall / booth location has been approved by the event manager & communicated to the exhibitor.

In case of cancellation of the booking by the exhibitor 60 or more days prior to the event 50% of the total payable amount would be forfeited. An exhibitor cancelling or reducing his reserved space less than 60 days prior to the event shall not receive any refund.

SETTLEMENT OF ACCOUNTS- All outstanding accounts must be settled before taking over the possession of the space for stall build-up. Possession Form/Gate Passes shall be issued only after all accounts are settled and clearance obtained from the event manager.

6.2 SPACE ALLOCATION & USE

The event manager would do its utmost to allocate stalls/booths of the exhibitor's choice. However, in case these choices are already booked, alternate space shall be allocated in a manner that event manager deems fit and all decisions to such effect taken by the event manager shall be final and binding upon the exhibitor.

The event manager is entitled in its absolute discretion to change, or otherwise, deal with exhibition space allocated to an exhibitor or alter the size and dimension of the exhibition space or change/close entrances, exits and accesses to the exhibition space, even if such matters have been confirmed, and in such circumstances, the contract between the organizer and the exhibitor shall continue to bind the parties, as appropriate. Any commitment in a correspondence which does not conform to or is in addition to these rules and regulations shall not bind the event manager unless such variation is expressly agreed in writing by it.

Exhibition space is let strictly to the exhibitor, sub-letting, assigning or parting with possession of any space in favor of other party is not allowed. The event manager reserves the right to cancel the participation of the exhibitor in case of stall/booth’s sub- letting is noticed.

The event manager reserves the right to close any machine or device of the exhibitor and remove it at any time before or during the exhibition, if in opinion of the event manager, such machine or device is dangerous or causing inconvenience for other stall/booth holders or visitors. In case of resistance, the event manager may remove such exhibitor or his representatives from the exhibition hall with reasonable force, at the expense of the exhibitor, without the event manager being liable for any loss or damage which may occur by or through such removal.

6.3 STALLS / BOOTHS / BARE SPACE & EXHIBITS

Shell scheme stalls are all uniform design including the fascia with exhibitor's name. No alteration or addition is allowed to be made to the standard fascia and lettering by exhibitors. Exhibitor must strictly follow the rules and regulations of participation and cooperate with the official stall building contractor before the commencement of any work at the stall. All standard shells are framed with high quality materials.

The exhibitors are forbidden to apply any poster, wallpaper, paint, drilling, nail or screw on the panels; the exhibitors however, may apply single or double-sided tapes on the existing panels. No glue, scotch tape, self-adhesive paper, screw, nail, spike, pin or paint shall be used on floors, Walls, pillars or any part of the exhibition hall’s permanent structure.

Bare scheme stalls shall be constructed only by the official stall building contractor. However, if Bare Scheme Stall exhibitor intends to deploy any other Non-Official Stall Building Contractor, he shall have to pay a coordination fee to the organizer @ 30% of the cost of his contract for stall building.

Height of the bare space stalls shall not exceed 2.4m at edge. In case it is intended to be higher, it may be taken up to a maximum of 4.5m, beyond 1.0m from the edge inside the booked space. In case of non-compliance with the rules and regulations, event manager reserves the right to modify stall layout during or after erection at the cost of the exhibitor.

The exhibitor shall be responsible for removal of all packaging waste and rubbish materials resulting from erection or dismantling from the exhibition hall. No storage facilities shall be provided for packaging cases, surplus materials or other belongings of the exhibitor. All containers, packing and any items or articles not for display, must be removed from the exhibition hall 24 hours before the day of opening. No pressurized container shall be used in the exhibition hall without the prior written approval of the event manager.

6.4 OPERATION OF STALL/BOOTH

No stall/booth shall be left unattended at any time during the opening hours of the exhibition. The exhibitor's staff must be present at the relevant stall/booth at least 1 hour before the opening and leave the exhibition hall not later than 30 minutes after the closing of the exhibition. The exhibitor shall be responsible for the good conduct of his stall attendants.

No direct advertising by exhibitor is allowed outside his allocated stall space in the entire Expo Center premises including boundary grills, unless contracted for in written. No activity, particularly loud noise which in the opinion of the event manager causes nuisance or annoyance to others shall be undertaken by the exhibitor in particular, by the audiovisual equipment. The event manager reserves the right to confiscate any such equipment which in its opinion, is creating loud noise and is offensive to others. The event manager also reserves the right to disconnect power supply to such exhibitors.

The exhibitor shall be responsible for damage to the structure or any part of the exhibition hall or other exhibitor or exhibits resulting from loading/unloading his exhibits & bear its entire costs & consequences. No exhibit is allowed to be taken into the stall/booth once the exhibition has been officially opened unless special permission is given by the event manager in writing.

If an exhibit is displayed in working, safety and precaution must be taken for the protection of the visitors through legible signs of “DANGER - DO NOT TOUCH” in English, displayed on a prominent place to warn the public. Exhibitor intending to demonstrate working equipment in his stall/booth must provide the event manager in writing with full details of the working machinery concerned at least one month in advance and obtain the event manager's written approval to this effect.

All exhibits shall be confined to the area of the exhibition space allocated to the exhibitor. Any exhibit displayed outside his allocated booth shall be confiscated.

The organizer reserves the right to determine whether the character and/or attire of the exhibitor's personnel at its exhibit is acceptable and in keeping with the best interests of exhibitors and the exhibition.

6.5 MOVING IN & OUT OF THE EXHIBITION HALLS

6.5.1 STALL SET UP/TEARDOWN SCHEDULE

The halls will remain open during the setup/teardown periods. All exhibits/ component materials shall be removed soon after closure of the exhibition and accomplished within 48 hours; materials left behind shall be deemed forsaken. The costs incurred for the removal of any such item shall be borne by the exhibitor.

6.5.2 STALL POSSESSION/TAKE-OVER FORM

To take possession of their allocated exhibit space, the exhibitors, as a prerequisite, must sign the Stall Possession Form available at the help desk of their halls. Without the submission of the duly filled in Stall Possession Form, space will not be handed over to the exhibitors or their contractors for stall construction or setup. Stall Possession/Take-over Form shall not be issued unless the accounts are settled.

6.5.3 SAFEGUARDING EXHIBITION FLOOR DURING MOVING IN & OUT

All goods must be moved by rubber-tired trolleys over protective boarding, safeguarding the hall floor. The exhibitor shall strictly follow the schedule for moving its exhibits and other articles into/out of its stall/booth as per the exhibitor manual, also available on the event website.

6.6 ELECTRICAL, TELEPHONE & INTERNET INSTALLATIONS

All electrical works for the Bare Space stalls/booths shall be carried out by the official contractor appointed by the event manager and all charges thereof shall be borne by the exhibitor. No other contractor is allowed to carry out electrical, telephone, internet installations except the official contractor appointed by the event manager. Details of electrical installation shall be submitted to the event manager at least 30 days before the commencement of on-site works for approval.

One single phase, 220 volts (50 Hz), 10 amp connection will be provided to each exhibitor with 4 (100 watt) spotlights in 3m x 4m Shell Stalls. Please refer to Order Form No. I-12 for details of charges and ordering procedures of “Additional Electrical Services Supply”.

A limited number of telephone lines Fax and DSL connectivity for internet will be available on payment on first-come-first-served basis, refer to Order Form No. I-11also available at event’s website for details of charges and ordering procedures.

6.7 INSURANCE, INDEMNITY BY THE EXHIBITORS

The exhibitor must have valid and adequate insurance cover against theft, fire, public liability, damage to property, personal injury, third party loss, accidents and such other risks normally or as required by the event manager, in connection with its activities during the exhibition (including the moving in and moving out periods). The exhibitor's articles brought into the stall and taken out shall be entirely up to the exhibitor's own risk, who shall be responsible for the safety of its belongings at all the times.

The exhibitor agrees to indemnify the organizer/event manager against all and any action, claims, demands, losses (including consequential losses), proceedings, damages, liabilities, costs and expenses incurred by or made against the organizer/event manager in connection with (a) breach of any of these terms and conditions/rules and regulations, by the exhibitor or (b) any

Act, omission, default or negligence, loss or damage caused by the exhibitor in connection with any other person, property, the exhibition and the exhibition halls.

The organizer/event manager shall not be liable for any loss (including consequential losses), damages, demands, costs, claims, charges or other expenses of any kind suffered or incurred by the exhibitor in connection with the exhibition including, but not limited to, any theft, fire, defect in the exhibition halls how-so-ever caused, cancellation or early closure of, or delay in the opening or closing of the exhibition for whatever reason of any kind arising in respect thereof.

The organizer/event manager shall not be responsible for the loss or damage to any property of the exhibitor or any other person caused by storm, tempest, lightning, national emergency, civil unrest, war, labor disputes, defect in the Karachi Expo Centre exhibition halls, lockouts, explosions or any cause not within the event manager's control or for any loss or damage sustained in case that the opening or holding of the event is prevented, postponed or abandoned or if any hall becomes totally or partially unavailable for the holding of the event due to any of the foregoing causes.

The exhibitors shall take out insurance policy cover at their own costs for indemnifying the organizer/event manager, visitors, themselves & their staff against all risks in this respect.

The exhibitor shall indemnify and hold the organizer/event manager safe and harmless from all losses and damages to person or property and all claims arising out of the exhibitor's stand fittings on account of the causes stated above.

6.8 HALL MANAGERS

Every exhibition hall will have a dedicated hall manager with a team to advise the exhibitors regarding services available to them, regulatory issues and other operational issues before, during and after the event. Exhibitors are requested to contact their respective hall managers if they require any assistance.

6.9 GENERAL TERMS AND CONDITIONS

Any work carried out by the exhibitor in Pakistan must be in accordance with the current local laws and regulations in Pakistan. Any contravention of these terms and conditions/rules and regulations will be entirely at exhibitor's risk, costs or consequences in this respect. Failure of the exhibitor at any time before or during the exhibition to comply with any of the exhibition rules and regulations shall automatically deprive the exhibitor of his right to participate any further in the exhibition and no claim for refund shall be entertained by the event manager.

The event manager reserves the right to alter and amend any of the rules and regulations and issue additional rules if necessary for the orderly conduct of the exhibition. Any dispute or difference arising out of the interpretation of these rules and regulations regarding the rights, duties and obligations of the exhibitor shall be decided by the event manager whose decision shall be final and binding upon the exhibitor.

For the purposes of these rules and regulations, the expressions organizer, event manager, exhibitor, exhibition & exhibition hall mean the respective parties, event and venue. Exhibitor includes any of its employees, agents, contractors, sub-contractors, sub- licensees, assignees, who shall not deploy persons under 18 years for any assignment. Organizer includes the organizer's and event manager's employees, directors, officers, official contractors, sub-contractors and authorized agents/assignees.

EXHIBITOR SHALL BE LIABLE FORALL LOSSES, DAMAGES AND COSTS RESULTING FROM A BREACH OF THESE RULES AND REGULATIONS.

6.10 MEETING DEAD-LINES

The exhibitors hereby agree to accomplish all the requisite formalities including provision of information in the prescribed time limit as solicited by the event manager. The information received will be treated as final and authentic. Any information received after the deadline may not be entertained.

Any notice or document requiring to be served on either of the parties in relation to the provisions of this agreement may be served at the respective addresses of the parties specified on the Participation Contract Form. Any such notice shall be delivered by hand or fax or sent by registered post, postage prepaid and if sent by hand, shall be deemed to have been received on the date of transmission with confirmed answer back or if sent by registered post shall be deemed to have been received within seven (7) days after the date of posting. The notice served through e-mail shall be deemed to have been received by the exhibitor within next three (3) working days.

The official freight-forwarders shall contact the exhibitor directly or through exhibitors’ agents regarding documentation and the procedure for shipping their exhibits. They shall also provide the exhibitors with comprehensive freight instructions and information about their appointed agents in their country.

The official freight forwarders will receive the exhibitor’s freight from air/sea ports in Karachi and deliver it to their stands at the exhibition site. Only the official freight- forwarders will be allowed to operate with-in the exhibition site, who shall also provide handling equipment and labor for freight handling to the exhibitors during build-up and dismantling periods.

Storage of transit cases and packing materials in the exhibition area is not allowed. The official freight-forwarders shall store all packing materials on exhibitors’ behalf during the show and deliver it to his stand when the show closes.

Note: 1. All materials and equipment coming from abroad for IDEAS 2016 shall be subject to customs inspection by the customs authorities but are exempt from duty and taxes.

2. Films and video cassettes must be censored by the Ministry of Information and Culture, a process that normally takes 7-10 days to clear each item. Exhibitors must pass their material to the official freight-forwarders ahead of time to arrange clearance on their behalf.
