In line with its global sustainable development programme “Tomorrow needs today”, Martin’s Hotels guarantees the carbon neutrality of all events organised in its 10 hotels for businesses keen to reduce their environmental impact.

Indeed, the hotel group has pinpointed four aspects as obvious targets for its sustainable development actions: clients, staff, fair & humanitarian actions and, finally, the planet. It is doing its bit for the planet by setting itself a line of conduct: calculating and reducing the carbon emissions of all the hotels, restaurants, of the spa and offices.

Clearly, certain emissions are inevitable.

This situation has prompted Martin’s Hotels to support carbon-offsetting schemes for those carbon emissions that cannot be reduced further at the current point in time, such as those of the residential seminars, banquets and other events organised in its hotels (772 rooms and 63 meeting rooms catering for between 10 and 1000 participants).

These carbon emissions are offset thanks to the funding of projects aimed at setting up self-generated clean energies in emerging and developing countries (e.g. waste collection and biogas production in Tanzania).

In short, for all businesses prepared to take part, Martin’s Hotels cancels out the carbon emissions that it is unable to reduce, despite its continuous environmental improvement efforts (Environmental Management System) and the measures it takes to limit the impact of its guests’ activities on the climate (Eco Voucher).

This carbon offsetting is carried out by CO2logic, a supervised Belgian agency duly recognised for its expertise and the quality of the projects in which the funds are invested.

This new approach allows companies to reduce their environmental footprint, to make a strong gesture and to trigger a debate among its staff.

The “Zero Emission” certificate gives the action an official seal of approval.

The Hotel:

Martin’s Klooster is just a stone’s throw from the magnificent city hall of Leuven, in a location that is quiet, yet very close to the bustling life of the city – and with direct connections to , Brussels Airport, Antwerp and . Until recently, Martin’s Klooster had 39 rooms. In 2012 there will be 103: unique for a 4-star location in Leuven. Each one of the rooms is unique and tastefully laid out with all the luxury and comfort you would expect.

Types of rooms:

The Conference Center:

Martin’s Klooster now has 3 conference rooms with surface areas of 50, 60 and 80 m2; all of them have large windows, which flood the rooms with daylight! Adjacent to each conference room is a terrace overlooking the Dijle. This terrace is accessible from the conference room and offers a range of possibilities. We have provided the conference centre with a foyer of 36 m2 looking out on to the beautifully laid out garden. Here you will also find a bar and a library.

3 The Wintergarden:

We now have a wintergarden adjoining our breakfast salon. A beautiful room looking out on to the delightful garden of the hotel. This room is ideal for all sorts of events like dinner, walking dinner, buffets, cocktails ...

The « Onze-Lieve– Vrouw—ten- Predikheren » Church:

The oldest gothic church in Leuven deconsecrated and converted in an event hall for exhibitions, product launches, conferences, etc. (1000m2) is located just opposite the hotel!

The « Klooster Bar »:

A new Lounge bar with access to the terraces and the garden of the hotel. A wide selection of all kinds of beers, hot drinks, cold drinks, whiskeys , strong drinks, ... which you can enjoy by the characterful open fireplace or on the peaceful terrace.

The Parking:

Parking is a piece of cake, as the hotel has underground parking with room for 50 cars.

CANCELLATION CONDITIONS 1. PARTIAL CANCELLATION 1.1. ACCOMMODATION 1.1.1 Between 90 days and up until 30 days before the date of arrival, 20% of the number of rooms booked per day can be cancelled without cost. 1.1.2 Between 29 days and 7 days before the date of arrival, 10% of the number of rooms booked per day can be cancelled without cost. 1.1.3 Between 6 days and 2 days before the date of arrival, 5% of the number of rooms booked per day can be cancelled without cost. 1.1.4 Between the day before arrival and the expected departure date, any cancelled booking will be charge in full. 1.1.5 Cancellations which exceed the percentages laid down in points 1.1.1 to 1.1.4 will be invoiced in full. 1.1.6 If the client arrives at the Hotel more than one hour after the agreed time of arrival without having given notice of his late arrival, the hotelier shall be entitled to cancel the contract without prior notice or compensation and to claim damages for the loss suffered. 1.2. CONFERENCES AND BANQUETS 1.2.1 Between 90 days and 30 days before the date of the event, the number of participants per day may be reduced by 20% without cost. 1.2.2 Between 29 days and 7 days before the date of the event, the number of participants per day may be reduced by 10% without cost. 1.2.3 Between 6 days and 3 days before the date of the event, the number of participants per day may be reduced by 5% without cost. 1.2.4 As from 2 days or less before the event, no reduction in the number of participants may be taken into account and the event shall be invoiced in full. 1.2.5 Any cancellation which exceeds the percentages set out under points 1.2.1 to 1.2.3 cannot be taken into account and will be invoiced in full. 2. FULL CANCELLATION 2.1 From the date of signing of the Booking contract and up until 90 days before the date of arrival, the Hotel will invoice 10% of the cost of the event to cover administrative costs. 2.2 Between 89 days and 60 days before the date of the event, the Hotel will invoice 25% of the cost of the event. 2.3 Between 59 days and 30 days before the date of the event, the Hotel will invoice 50% of the cost of the event. 2.4 Between 29 days and 7 days before the date of the event, the Hotel will invoice 75% of the cost of the event. 2.5 Seven days or less before the event, the Hotel will invoice the event in full.

Martin’s Hotels offers you the possibility of taking out cancellation insurance to cover you in the event of cancellation for reasons beyond your control. It can be further extended by an additional premium covering the unavailability of 1 or several of your speakers. This insurance will cover all of the cancellation costs (see conditions of cancellation for details of the insurance policy). The premium amounts to 1% of the total amount of your event.

18 Miscellaneous The City: The historic university city of Leuven has a fantastic trump-card: eternal youth. The capital city of is and will remain forever young. The oldest university city in the country has more than 30,000 students: the city is always bustling with activity. Guaranteed. You arrive in an original ambience in and around fabulous historical and architectural surroundings. If you set off from the Sint-Pieterskerk, in the heart of the city, you can discover all its riches on foot. On the opposite side of the Grote Markt you can admire the City Hall, undoubtedly the most costly and most artistically designed gothic building in Belgium. Now take a walk along the Naamsestraat. The gables of the houses along this street recount the illustrious history of the city as you walk down to the Groot Begijnhof, a little town within the city, nestling in a park of six hectares. After a walk along the banks of the Dijle it’s time to immerse yourself once more in the joyful atmosphere of cafés and terraces in the city centre. Ready for an unforgettable evening? In Leuven you can also enjoy the chimes of the clocks. Every Saturday afternoon there is a bell-chime concert from the Sint-Pieterskerk. The 63 clocks of the University Library have more for students: they chime on Tuesdays and Fridays, but not during school holidays, except in August: that’s when important concerts are organised. What’s more, August is the music month of the year: Marktrock, the great open-air festival, draws fans of the genre to the podiums where the greatest national and international groups of the day make their appearance. During ‘Beleuvenissen’ things are usually a bit quieter: every Friday in July come the fans of jazz, classical music or exotic music from other parts of the world. The history of the hotel: The Kloosterhotel is also known as the “Huis Morillon” after its former owner, “Guy Morillon”, secretary of Charles V. The “Huis Morillon” is a typical patrician residence of the 16th century, situated in a narrow street with old gables of wealthy burgers’ houses. During the 18th century it became the property of the Augustinian nuns and was a stopping-place for travellers and pilgrims. In the 1870s, it existed under the name “Sœurs Augustines Hospitalières de Louvain,” a private clinic. During the war years, the house suffered badly from the various bombardments, the outer walls remained standing but there was a great deal of damage and collapse within. In 1946 the nuns requested permission to demolish the damaged house tower. Canon “Lemaire” insisted that the little tower be preserved. After submission to the Monuments and Landscapes Commission, the tower, gables of the two side wings and the gateway of the “Herenhuis van Guy Morillon” were classified as listed buildings. In 1962 the clinic became part of the Sint-Pietersziekenhuis [Saint Peter’s Hospital] and the nuns decided to rearrange the Huis Morillon as a convent. During the years 1967-69 the build- ings were thoroughly restored and renovated. The original House Morillon with its tower was reinstated. Operating theatres disappeared and a chapel was built on. The nuns remained in their new convent until the end of 1999, when they earned an income from renting out rooms to students. When the building was declared unsuitable for use as student lodgings, the nuns lost an important source of income, which meant they were barely able to maintain the building. In 1999, the Augustinian nuns sold the house to a private individual, who in turn sold it to the Martin family. The building was respectfully renovated and restored. So now, when you walk into Reception, you are still walking on the original wooden floor and you can admire the centuries-old wooden arches in some of the rooms
