SEPTEMBER 2012 NEWSLETTER

SHSAA EXECUTIVE Executive Director’s Report 2012 - 2013 Welcome back to another school year. Along with a relaxing summer, I hope that all of you had a chance to spend some PRESIDENT: quality time with your family and re-energize for another exciting Roger Morgan, Kincaid and rewarding year of school sport. I know that the students are looking forward to another year of excitement of school sport that will further their growth as contributing citizens through their EXECUTIVE COUNCIL: involvement in the various activities. The office staff and the Val Gordon, Eastend Executive look forward to another great year and hope everyone Jody Kerr, Weyburn involved shares the same excitement. The Association ended last year with another successful AGM. It Cory Schmaltz, Carrot River was again a rewarding experience that proved to all in Kelly Schneider, Medstead attendance that the passion of school sport was alive and well. The discussion that takes place reinforces the philosophy and Barclay Patterson, Saskatoon mandate of this Association. It was great to see the turnout of Dale Reed, Regina delegates, some new as well as some veterans. I believe this ensures a good blend of ideas for the Association. The annual Kerri Archibald, Humboldt general meeting in Swift Current brought closure to the 2011- Miles Bennett, Rosetown 2012 school year. This served as a springboard to the 2012- 2013 school year and along with it, will introduce some exciting Larry Pavloff, Martensville new initiatives for our membership. This year will see the launch Kyle McIntyre, Chinook SD of the new organization, the SIAAA (Saskatchewan Interscholastic Athletic Administrators Association). This organization will become a professional development opportunity EXECUTIVE DIRECTOR: for our athletic directors in order to provide resources for the Kevin Vollet extra duty they provide to their schools. The Association will also join the other Canadian provinces in delivering an on-line ASSISTANT coaching program. SHSAA President Roger Morgan from EXECUTIVE DIRECTOR: Kincaid School chaired the three-day meeting which included the Lyle McKellar election of five positions to the SHSAA Executive Council. Cory Schmaltz, Carrot River High School, was elected as the new EXECUTIVE ASSISTANT: SHSAA Section 3 representative. Joining Cory and new to the Jessica Blair Executive Council will be Kyle McIntyre from Chinook School Stefanie Lewis Division, appointed by the LEADS association as their representative to the SHSAA Executive Council and elected as SHSAA OFFICE the Officials Commissioner is Miles Bennett, Rosetown Central #1 - 575 Park Street High School. Acclaimed to a second term on the Executive was REGINA SK S4N 5B2 Val Gordon, Eastend School, as Section 1 representative and Tel: (306) 721-2151 Dale Reed, Regina O'Neill High School, as the Regina Fax: (306) 721-2659 representative. Thank you is not enough to the members of the Executive Council leaving their position. The province was very fortunate to have Brian Grest, Horizon School Division, and Larry Bedel, Horizon School Division, serve on the Executive Council as Section 3 representative and the LEADS representative respectively. Brian has completed his four year commitment to the Association and he dedicated his time on the Council for the betterment of the province’s students. Brian will continue to serve the best interests of the students as the Student Activities Coordinator for the Horizon School Division and will be an advocate of school sport for the entire province. Larry has superannuated from the education sector, and therefore was required to step down. Larry was very involved in his time in education as a teacher, principal and superintendent. The students and Association were a beneficiary of his dedication to school sport bringing his knowledge and experience from all facets of the education.

The 2012 AGM was a great success. I would like to publicly thank District President Terry Ross, Athletic Commissioner Deb Reamer, conference chair Janna Walker, Superintendent Kyle McIntyre, Chinook School Division and the South West District for hosting our AGM in Swift Current. The meeting was very well planned and the many volunteers of the organizing committee are to be commended for their great hospitality. A brief summary of these changes are listed below.

 The SHSAA Executive Council will be responsible with maintaining the policies and activities portion of the Association. The Council will formulate sport specific advisory groups for each activity and through these groups, the Provincial Council will provide feedback and submit suggestions for any changes to format.  Students with refugee status whose exact birth date is unknown will be considered for a maximum of two consecutive semesters for the purpose of participation in SHSAA activities. Schools will need to provide documentation that supports refugee status to the Executive Director who will determine the period of eligibility.  The student transfer policy has been refined whereby any student that transfers to a second school in their three year eligibility period, will be ineligible for school sport. There will be a process of appeal and the forms are on the web site. The receiving school is required to complete the E17 form and should provide the appeal forms to the parents of the student should the school wish to appeal.  The joint sponsorship policy for curling is limited to both schools required to have an enrolment of less than 20 students in the specific gender. This policy only applies to boys and girls teams, not the mixed category.  The student database must include the Sask Learning ID number assigned at the onset of Grade 10.  School Enrolment numbers must be submitted by Oct. 5th to the online form to avoid the late filing fee. Should a school fail to submit the enrolment prior to this date, the school will have up to the Friday preceding the regional playoff to complete the enrolment process to avoid the removal of their teams in soccer, volleyball or basketball.  Effective the 2013-2014 school year, there will be only three classifications of soccer..  Soccer official’s pay scale has been adjusted to $36.00 (carded referee) & $25.00 (non- carded referee). The two assistants/linesman pay scale remains the same.  Football officials pay for carded head official is now $42.00 and the carded support team is raised to $32.00.  Basketball official’s pay scale has been adjusted to $33.00 (carded referee).  An additional four sportsmanship banners may now be awarded in any of the sponsored activities based on submissions to the SHSAA Executive Council.

 Volleyball o The provincial ten-team draw has been edited to better distribute the matches.  Wrestling o The white paddle challenge has not been adopted for provincial play. o The boys top category of 110+ has been changed to under 130 kg.  Basketball o If at all possible, each section will be assigned one regional tournament.  Badminton o Coaching may only take place during the designated breaks between sets.  Track & Field o The SHSAA Executive Council will research the pros and cons of the Athletics Canada LTAD model and recommend adjustments to the current exceptions for the provincial meet. o The SHSAA will implement a School Team award in the categories similar to Cross- Country.

A complete listing of all approved and defeated resolutions is available on the SHSAA web site. Go to: http://www.shsaa.ca/pages/agm/2012/Resolutions_2012_FINAL_web.pdf

A reminder that each school will still be required to submit their current school enrolment as of September 30th, 2012 to the web site by October 7th, 2012. This is necessary to finalize classifications for the current year and set the framework for the following competitive year. Schools that experience a 25% or more increase or decrease resulting in a classification change, will be moved immediately to their new classification. Adjustments to the conference make-up due to this clause will be posted on the web site in early October.

All of us at the SHSAA office look forward to a great year. Our staff is here to serve the schools throughout the year. Please call on us if we can be of assistance.

Web Site As part of the Executive’s initiative to improve the operation of the Association, there will be a new look web site. Over the summer, the public web site was revamped with a fresher, more modern look including some added features to help the public navigate the pertinent information. As before, the web site allows for updates to be put up immediately and will be your communication link with regard to the activities of the Association. A brief newsletter like the enclosed one will be produced each September and January. The SHSAA web site, www.shsaa.ca, will provide information quickly and be the most accurate source for up-to-date information, results and forms.

Sanctioned Tournaments Complete, up-to-date listings of tournaments involving out-of-province teams or hosted by out-of-province schools that have been approved by the SHSAA are listed on the SHSAA Web Site. A reminder that the onus is on the teams attending the tournament to check that the tournament they are planning to attend is approved by the SHSAA. The onus is on the host school to apply for written sanction, if necessary. Tournaments conducted within the province, by a member school, with only Saskatchewan schools do not require written sanction. As members of the Association all schools are expected to be aware of and follow the rules as set forward by the SHSAA.

Tournament Listings You can now apply for sanction of your tournament on-line. The form is located on-line as a selection in your schools ExNet member services area (same place as your eligibility forms). In addition, a school may wish to list their tournament in this area even if it does not require written sanction. It is a good way to let people know about your tournament. Give it a try.

SHSAA On-line Coaching Program The Executive Council has embarked on a new program that will launch this fall. "SchoolCoach.ca" will be available in September. This program is designed to inform/refresh the goals/philosophy of educational sport and the principles/mandate/bylaws of the SHSAA. The Executive has instituted a three-year implementation phase for this program that will be utilized across the country. The first year will be a voluntary year for anyone at a cost of $55.00. The second year (2013-2014), the on-line coaching course will be mandatory for each non-faculty coach to be certified. In addition to the current form, the non- faculty coaches will be tracked to monitor their progress in their season of involvement. Of course, any educator that is also coaching a high school team, may take this course at any time. September 2012 Page 4

SHSAA Forms On-Line All School Team Entry Forms (E3), Eligibility Forms (E5), School Enrolment Forms (E10) and the Officials Registry (E15) must be submitted on-line. Your cooperation is much appreciated and the office staff is available by telephone to assist at any time. Remember all team fees are payable to the SHSAA office immediately following registration. The bill shown in the yellow box on the web site screen for School Team Entry is your invoice. Invoices are not sent from the SHSAA office unless your school’s payment is past due. Deadline for School Team Entry (E3 Forms) is Wednesday Sept. 12th and the School Enrolment (E10 Forms) is due September 30th. Remember that the E5 deadline for the fall activities (, cross country, soccer, football and volleyball) is September 12th and the team registration form must be completed before the E5 form is accessible.

Each school Principal was issued a User I.D. and Password to access the SHSAA Forms (ExNet member’s login) section. Click on SHSAA Forms and login to file your schools forms this season. The Principal is responsible for access to this area of the web site and the I.D. and Password will serve as the Principal’s signature on forms.

Deadline Dates Deadline dates for various forms are listed on-line, on the SHSAA calendar and in the SHSAA Handbook. Please avoid the late filing fee of $50.00 per late form by filing your forms before the deadline date or the first contest. The Association asks that all students that have tried out for an activity be listed on the eligibility form. Also, remember there are a minimum number of athletes required for a complete eligibility form to be accepted. Deadline dates for eligibility forms are intended to have forms completed prior to the first interschool contest in the activity. The filing of the eligibility form prior to the first contest enables the principal/coach/athletic director to be informed immediately if there is a transfer issue that requires attention or if the student is ineligible due to SHSAA policy. The classification of your teams is determined by the submission on the enrolment declaration from September 2011. These conferences are posted on the web site. It is imperative that each school file their enrolment declaration based on the students registered as of September 30th, 2012 by October 5th, 2012. This data is important to determine if a school needs to change classification immediately from where they have been placed based on the previous year’s enrolment figures. This is by policy whereby a school that experiences an increase or decrease of 25% and changes classification will be moved to the proper classification immediately. This was approved at the 2008 AGM as part of the classification resolution.

Coaches Symposium The SHSAA Coaches Symposium kicked off the 2012-2013 school sport season. The Symposium was held in Saskatoon on August 20th & 21st. One hundred and four delegates participated in this multi-sport conference. The Association would like to thank those coaches that took the time away from their summer holidays to attend. The Executive would also like to thank the presenters that shared their knowledge with our coaches. Thank you to the organizing committee and we look forward to next year’s symposium program.

School Sports Week School Sports Week will take place again this fall. During the week of October 14th to the 20th, every school is encouraged to celebrate school sport by drawing attention to the interschool athletic program. More information will be sent out to the schools in September.

District President’s and Fall Meetings It is critical to have at least one representative per high school attend the fall meeting for their District Association. Plans for the year are finalized for every activity and crucial information about upcoming events and competitions is made available at this meeting. SHSAA handbooks, yearbooks and calendars will also be distributed at these meetings. Make certain your school is well represented so that the communication lines are open and no school is not informed of competitions and planning.

School Logos For those schools that have not submitted their school logos, please do so at your earliest convenience. The purpose of the logos is to provide our members with logos of the teams that may be attending their tournament. The host then can use these logos that will be housed on the exnet system for tournament programs or gymnasium decorations. These will also be useful for the hosts of the various conference, regional and provincial championships.

Sport Specific Advisory Groups One the resolutions passed at the 2012 AGM, was the formation of sport specific advisory groups in order to assist the Executive Council in creating, maintaining or adjusting the SHSAA policies and activity formats. Each Executive Council member will be assigned to one of the ten activities. The members will then solicit volunteers to form these groups. These groups will be listed on the web site and they will accept suggestions for changes to the rules, playoff format , etc. Should the sport advisory group suggest a change, these will then go to the Executive Council to consider the change and in turn be submitted as a resolution. No longer will district associations be able to put forth a resolution directly to the floor, but they may make suggestions to the sport advisory groups for consideration. If you are interested in submitting your name for consideration to a sport advisory group, please contact the office or once the Executive has determined the activity leader, submit your name to them directly.

Schedule Star For those of you who attended the 2012 AGM in Swift Current, you may have taken the opportunity to visit one of the booths at the Wednesday night trade show. One of the booths in attendance was a company called Schedule Star. This is a US web based company that sells a software package. The school is able to then publicize the school's entire athletic schedule including practice times (gymnasium schedule for the school), league and tournament schedules. The attractive feature of this program is that any contact (parents) that have been input into the program would be notified by either text or email of any changes that may occur at the last minute on any given day. This allows the coach, supervisor or athletic director to send one text message or email and have the program distribute the notification saving the coach or athletic director many phone calls. Should your school be interested, please call the office and further information can be provided.

Hotel Room booking The SHSAA has an agreement with two hotel management groups in the province. Each activity has information posted on the SHSAA web site that lists the hotels that have been blocked for provincial championships. These room blocks have established rates negotiated on behalf of the schools by the SHSAA. It is important that when schools are booking through these hotels, that the SHSAA is mentioned so as to access the room rate as well as track the number of rooms that are picked up by SHSAA member schools. These numbers are vital to the hoteliers of the province and the Association so that when negotiations with these hotels occur, the Association is able to achieve the best competitive rate for our teams. For the hotels owned by Silver Birch Hotels, please book the rooms through the sales and catering office and indicate that the rooms are for the SHSAA.  Saskatoon Inn – (306) 668-9633  Saskatoon Radisson – (306) 667-2365  Regina Inn – (306) 525-7574

For the hotels owned and operated by Westmount Hospitality (Comfort Inns of Saskatoon, Regina, Swift Current, Prince Albert Comfort Inn; Prince Albert Marlboro Inn; Regina Quality Hotel), please inform the front desk when booking that the rooms are for SHSAA events.

Concussion Management Protocol The SHSAA will be participating in a province-wide symposium involving all sport partners to create a comprehensive concussion management protocol designed specifically for high school athletes and schools. The symposium will be headed by "ThinkFirst" (www.thinkfirst.ca). In the meantime, an educational brochure is included in each school's fall package as well as on the web site for schools to review and become familiar. It involves four simple areas of awareness: Educate, Identify, Treat, Return.

"A Proactive Approach to Mentoring the Non-Teaching Coach" By Briant Kelly, CAA and Ted D’Alessio, CMAA High School Today, May 2012

Mentoring is a formal process where a more experienced person helps and guides a less-experienced person in an organization. This effort is an important responsibility that is often overlooked by an athletic director. The need to establish a well-structured mentoring program becomes even more essential as high schools continue to increase their sport offerings, and as their faculties age and leave coaching. As a result, schools may have to employ an increased number of non-teaching coaches.

These non-teaching coaches come from a variety of backgrounds and professions. Many may not have a background in education nor have the knowledge pertaining to the school’s culture and procedures. Implementing a well structured mentoring program will help the non-teaching coach learn about coaching behavior, departmental policies, school regulations and state associations mandates.

There are several strategies an athletic director can implement that will enhance the mentoring process. The first is to produce and distribute a Coaches Handbook, which should prove to be an invaluable resource of information for all coaches but in particular for the non- teaching coach. The handbook should contain information covering how, what, why, where and when everything pertaining to coaching and athletics is handled in the school district.

An excellent method of providing each coach with a copy of the coach’s handbook is to save it on a thumb drive. This will prove to be a most practical and convenient way for coaches to access the information when needed. The thumb drive can also contain additional departmental forms, e.g., Contest Report Forms, End-of-the-Season Report, Roster Forms, etc., that can be easily accessed when needed.

A second strategy is to schedule one-on-one meetings each year with any non-teaching coaches. This is a post-interview session and is conducted after the coach has attained Board of Education approval. This meeting will prove beneficial for several reasons:  Establish a working relationship.  Discuss the mentoring Process.  Introduce the mentor to the mentee.  Emphasize the department’s philosophy.  Share expectations.

In addition, several meetings during the season should be scheduled to discuss personal and team goals. Set specific dates and do not leave the meeting to chance. However, these meetings do not have to be held in a formal office setting. Sometimes, it is better just to meet for a cup of coffee, in the weight room before school or for lunch since these times may be more conducive to the non-teaching coach’s schedule. A sample timeline for these meetings”:  Two days prior to when cuts will be posted.  Two days prior to opening contest.  Two weeks into the season.  Two weeks prior to the last scheduled contest.  Within two weeks after the last contest.

September 2012 Page 10

www.shsaa.ca SASKATCHEWAN HIGH SCHOOLS ATHLETIC ASSOCIATION

Athletic directors should also schedule a meeting with all coaches prior to each season to review and reinforce general information that may be unique to the upcoming season. General reminders, important dates and deadlines should be announced at this time. During this meeting, new coaches and their mentors, who have already met, are introduced to the overall coaching staff.

One pitfall a non-teaching coach can easily fall into is often caused by his or her lack of communication skills. This would include the content and methods, as well as the style in which a coach chooses to provide information to their athletes and their parents. Good communication skills are often identified as one of the top three characteristics a coach must possess in order to succeed. Therefore, the mentors must provide the non-teaching coach with information covering the schools communication policy.

As an example, it is important for coaches to understand the schools phone, e-mail and internet policies. A good general rule is to always return phone calls. Also, coaches should reply to emails and letters as promptly as possible. The school district should already have an “Acceptable Use Policy” and all coaches should sign this form.

Regardless of the coach’s level of experience, communication skills, like any other skill, can be improved with practice. For the first time in their careers, non-teaching coaches may be exposed to a higher degree of parental involvement. The consistent implementation of the athletic department’s communication policy will help to ease the tension between the coach and this important group of shareholders. In today’s educational environment, coaches and parents need to work together in order to provide a safe, rewarding and enjoyable athletic experience for everyone.

An athletic director should try to involve the non-teaching coach into the mainstream of the school community. If done correctly, this will prove to be a win-win for the coach and the athletes. It will allow the coach to meet the general student body and begin to become acquainted with the culture of the school.

One strategy to get non-teacher coaches integrated is to hire them prior to their season as a ticket-taker or supervisor at athletic events. This will also give the athletes the opportunity to get to know their future coach in a stress-free environment.

Also consider forwarding school-wide e-mail memos and information to the non-teacher coaches. In this manner, they can get a better feel for what the students have or will encounter such as standardized testing, an assembly, or newly implemented procedures.

The mentoring process for head coaches usually falls onto the shoulders of the athletic director, but there are others who can be helpful in this process. There could be other head coaches in the athletic program who can help mentor. Also, new assistant coaches can be matched with more veteran coaches at the various levels in sports.

The proactive effort of helping and guiding non-teacher coaches can provide pertinent information so that they will develop better as educators and progress beyond being just an X and O’s coach. The goal is for these coaches to create a better learning environment that will aid in the success of the student-athletes.

REGIONAL CHAMPIONSHIPS – playoffs will take place on October 19th and 20th.

The tentative regions for soccer are listed below and posted on the website. The lists will be subject to change based on registration of teams this year. The district designated to host will need to declare a host school and notify the SHSAA office. After September 30th enrolment declarations, schools that have a change of 25% or more in enrolment that causes the school to change classification from the previous year will be reclassified and placed in an appropriate region. In 7v7, 1A, and 2A classifications there will be 2 or 4 regional tournaments depending on the number of entries into the playoffs. If there are more than 15 entries then four regional tournaments will be created each advancing two teams to an eight team provincial championship. If 15 or fewer teams are entered in the playoffs then there will be two regional tournaments created each advancing two teams to a four team provincial championship. In each instance the region with the team hosting the provincial championship will only advance one team in addition to the provincial host.

In the 3A classification each of the four regions will advance two teams to an eight team provincial championship. 2012 PROVINCIAL VOLLEYBALL CHAMPIONSHIPS

This information will include all preliminary material that teams need for the volleyball playoffs leading to the provincial championship. Schedules and information are found in the SHSAA handbook. The SHSAA office will seed each tournament. Please notify the SHSAA office of the conference and/or regional champions and runners-up immediately following the tournament.

 Seeding conference, regional and provincial tournaments is important to the success of the events. All teams MUST submit the results of their season to the SHSAA office before October 26th. Include results of all matches played up to that date.

 All provincial tournaments (1A – 5A) will follow the ten-team 2 pools – 2 courts schedule found in the SHSAA handbook. Some modification of the draw times may be necessary to accommodate host plans. The SHSAA office must approve changes to the draw.

 Accommodations in some locations may be limited. If your championship is near a city with a Comfort Inn, blocks of rooms have been set aside for the playoff. You may also want to consider the Saskatoon Inn, Regina Inn and Quality Hotels. Check the Accommodations link on our webpage, http://www.shsaa.ca/pages/prov_champ_accommodations.php.

 Results for conference, regional and provincial events will be posted on the SHSAA web site (visit http://www.shsaa.ca/pages/ets/pub_standings.php?p_district_id=14) as the events occur.

PLAYOFFS LEADING TO THE PROVINCIAL CHAMPIONSHIP:

CONFERENCE CHAMPIONSHIP All teams registered for volleyball will be placed in one of four regions which are then divided into conferences. Each conference playoff will determine representatives advancing to the regional competition. Regions with seven or fewer teams will advance directly to a regional playoff with no conference playoff conducted. Regions with eight to ten teams will be divided into two conference tournaments each advancing three teams to the regional tournament. Regions with eleven or more teams will be divided into three conference tournaments each advancing two teams to the regional tournament.

The projected conferences and regions have been listed below. The lists are according to last year’s entries in the playoffs and will be subject to change based on registration of teams this year. The District designated to host will need to declare a host school and notify the SHSAA office. After September 30th enrolment declarations are completed, schools that have a change of 25% or more in enrolment that would cause the school to change classification from the previous year's enrolment will be reclassified and placed in an appropriate conference or region.

Conference playoffs may consist of the following draws: less than six teams – the conference tournament will consist of a full round-robin tournament with no playoff round. The 6-team conference tournament will consist of two pools of 3, with the top two teams advancing to the playoff round. All of these conference tournaments will be played as one-day events. A seven or eight team conference tournament will consist of two pools, with the top 2 teams in each pool advancing to the playoff round. These conference tournaments will be played as 1.5 day events. Details for the various draws will be listed on the SHSAA web site.

In the 1A – 4A classifications, conference playoff for girls will be held on November 3rd. Conference playoffs for boys will be held on November 10th. Districts/Schools wanting to host on a different date must first contact the SHSAA office. In the 5A classification no conference playoffs will be held and all teams will advance to either the city league playoff or the north/south regional tournament to determine the provincial representatives.

September 2012 Page 17

www.shsaa.ca SASKATCHEWAN HIGH SCHOOLS ATHLETIC ASSOCIATION

REGIONAL CHAMPIONSHIP Conferences will advance two or three teams as noted above to the regional level of playoffs. Regional tournaments, in most instances, will be six-team tournaments played as two pools of 3 teams, with the top two teams from each pool advancing to a playoff round that will determine the two teams to advance to the provincial championship tournament. In some instances, when a conference playoff is not necessary, the regional will be conducted as designed by the SHSAA office in order to determine two representatives to advance to the provincial championship tournament.

REGIONAL DATES: 5A Boys and Girls November 9 & 10, 2012 1A, 2A, 3A, 4A Girls November 9 & 10, 2012 1A, 2A, 3A, 4A Boys November 16 & 17, 2012

The following districts have been designated to host the regional tournament. There is no provision for a host team in any of the regional tournaments; therefore, the host locations will be determined once the conference championships have been completed. Each District is responsible to ensure a host for the regional event with a suitable venue and tournament committee. The District should designate a host school from the teams that advance to the regional playoffs. In the event that a District designated to host a regional does not have any teams that qualify from the conference playoffs, the SHSAA office will select the regional site from the qualified teams.
