Constitution of Gamma Sigma Chapter

Article I: Name

Section 1: The official name of this organization shall be Gamma Sigma Sigma Zeta Chapter, hereafter referred to as GSS.

Article II: Purpose

Section 1: The object of the Zeta Chapter shall be to assemble students of Drexel University in the spirit of service to humanity and to develop friendships among students of all races and creeds. This chapter shall be conducted as a service organization under the provisions of the Bylaws of Gamma Sigma Sigma National Service Sorority and the regulations of Drexel University governing student organizations.

Article III: Affiliations

Section 1: This organization is affiliated with Drexel University as a recognized student organization and as such, agrees to abide by the rules, policies, and procedures of Drexel University. GSS Zeta is a member of the Gamma Sigma Sigma National Service Sorority. Article IV: Membership

Section 1: Membership of this organization shall consist of undergraduate and graduate students enrolled at Drexel University.

Section 2: Membership in this organization shall not discriminate against any individuals regardless of race, national origin, color, religion, sex, age, veteran status, sexual orientation, and/or ability.

Section 3: Membership in this group shall be open to all who are interested and are in good academic standing

Article V: Officers

Section 1. The officers of this chapter shall be a President, a Service Vice President (Vice President), a Membership Vice President, a Corresponding Secretary, a Recording Secretary, a Treasurer, a Financial Secretary, a Public Relations Coordinator (Event Coordinator), an Alumni Liaison, a National Representative,, and a Parliamentarian, all of whom, except the Parliamentarian, are elected by the membership. These officers shall perform the duties prescribed by these bylaws and by the parliamentary authority adopted by this chapter.

Section 2. The President shall preside at all meetings, appoint committees, enforce a due observation of these bylaws and perform other duties as directed by the chapter. The president will notify members of the time and place of meetings.

Section 3. The Service Vice President shall preside at meetings in the absence of the President, coordinate the service program of this chapter and maintain records of service hours.

Section 4. The Membership Vice President shall be responsible for the members of this chapter, for overseeing the new member training activities of the chapter, and maintain records of attendance including terms of inactivity.

Section 5. The Corresponding Secretary shall handle all correspondence for the chapter.

Section 6. The Alumnae Liaison shall maintain address files for all alumnae of this chapter, coordinate communications with alumnae and promote alumnae membership in Gamma Sigma Sigma National Service Sorority.

Section 7. The Recording Secretary shall record and distribute minutes of meetings and record the attendance of members at meetings. The Recording Secretary shall also be responsible for distributing minutes at least once a month to the District Director.

Section 8. The Treasurer shall be responsible for maintenance of the chapter’s financial records, the receipt and disbursement of chapter funds. At the end of each term, an independent person shall review the financial records of the chapter.

Section 9. The Financial Secretary shall be responsible for collection of all monies and providing receipts. After recording all income, forward monies to the Chapter Treasurer. The financial secretary shall host at least three fundraising events for approved causes, partners, and/or chapter funding. Section 10. The Public Relations Coordinator shall maintain a history of the chapter, coordinate its public relations program and serve as reporter for the chapter to Perspectives and National website.

Section 11. The National Representative is responsible for ensuring a communication link between the chapter and the National Board of Directors and Staff, and is a permanent member of the chapter Bylaws and/or Standing Rules Committee(s).

Section 12. The Parliamentarian shall advise on all parliamentary issues at meetings and as issues arise. The Parliamentarian shall be appointed by the President.

Section 13: The organization President and Treasurer must be full-time, enrolled undergraduate students of Drexel University.

Section 4: The term of each office shall be September – June, with a transition period between June and August.

Section 5: Should an officer position become vacant during his/her term, the following will take place through a special election

Article VI: Advisor

Section 1: The organization advisor must be a full-time member of the faculty, administration, or professional staff of Drexel University.

Section 2: The duties and responsibilities of the advisor shall be to: A. Have basic knowledge as to the history, structure, and purpose of the organization B. Be aware of the group’s finances and budget, as your approval may be needed for financial transactions . Provide useful guidance to help the student organization identify and attain its goals D. Be knowledgeable of University policies and regulations and civic ordinances, as well as state and federal laws that affect the activity of the organization E. Maintain ongoing contact with club officers Section 3: Should the advisor position become vacant during the year another advisor will be chose by the president

Article VII: Meetings

Section 1: Regular meetings of the organization shall be held once weekly, except on university holidays. Meeting times are determined at the beginning of each term based on majority availability.

Section 2: Special meetings of the organization shall be held twice in fall term and twice in spring for induction of new members.

Section 3: For the transaction of business and voting, a quorum must be obtained. Quorum is defined as the minimum percentage of members required to be present. The organization requires 2/3 majority

Article VIII: Finances

Section 1: All dues will be collected in the second week of every term, unless on an approved payment plan Section 2: The Treasurer is responsible for all dues Section 3: Failure to pay with no communication by Week 5 results in probation.

Article IX: Hazing Statement

Section 1: Membership should be a valuable and beneficial experience for all students. Leadership of this organization shall provide its new and current members with an experience that is positive, informative and consistent with federal, state, and local laws, and the policies and procedures of Drexel University. Activities which detract from the goal of fostering personal and intellectual development have no place in this organization. Hazing will not be tolerated by or of any member. It is the responsibility of the organization, its leadership and members to report hazing of any kind by members to the proper authority.

Section 2: All incidences of hazing will be reported to the Gamma Sigma Sigma National Service Sorority and probation and/or expulsion from the chapter will be considered.

Bylaws of Gamma Sigma Sigma Zeta Chapter

ARTICLE I. Name

The official name of this organization shall be the Zeta Chapter of Gamma Sigma Sigma National Service Sorority.

ARTICLE II. Object

The object of the Zeta Chapter shall be to assemble students of Drexel University in the spirit of service to humanity and to develop friendships among students of all races and creeds. This chapter shall be conducted as a service organization under the provisions of the Bylaws of Gamma Sigma Sigma National Service Sorority and the regulations of Drexel University governing student organizations.

ARTICLE III. Members

Section 1. Membership in this chapter shall be open to students of all genders, races, religions, national origins, abilities, sexual orientation and creeds who attend Drexel University. Membership shall be accepted by the chapter solely on the basis of the student’s commitment to service.

Section 2. Any student in academic good standing as defined by college or university regulations shall be eligible for membership, provided that such student meets campus regulations governing participation in student organizations, performs a minimum of 15 hours of service per quarter and pays chapter dues and National membership fees. A person meeting the criteria set forth in this section shall be inducted into this chapter according to its official ceremony.

Section 3. Active members of this chapter shall have the right to vote and be entitled to hold office. An active member must perform a minimum of 15 hours per quarter; attend all meetings of this chapter with the exception of 2 unexcused absence per quarter permitted and pay chapter dues and National membership fees. Any absences must be reported to the President and Membership VP and excused by the Executive Committee.

Section 4. Chapters dues shall be $40 per quarter, plus additional $70 in fall for National dues, payable within the first two weeks of each quarter; deadline end of week 2. If a member cannot make payment in full by due date, that member must notify the Treasurer and set up a payment plan. The Treasurer shall notify members within 7 days of the due date of late payment, and those whose dues are not paid or have not claimed need for a payment plan will be placed on probation.

Section 5. Inactive membership status may be granted to a member by a majority vote of the Executive Committee to those who are unable to fulfill the requirements for an active member. An inactive member must pay chapter dues and National membership fees. An inactive member shall have none of the obligations of membership in the chapter but shall be entitled to all privileges except those of making motions, voting, and holding office.

Section 6. A member will be placed on probation from this chapter automatically for non- completion of prescribed service hours, or lack of attendance at chapter or committee meetings or nonpayment of chapter dues, or violation of the policy of Gamma Sigma Sigma National Service Sorority regarding hazing. A member on probation may initiate a written appeal to the Executive Committee within thirty days of the notice of probation. A member on probation, after opportunity to cure the cause(s) for probation over the course of one quarter, may be suspended from membership by a two-thirds vote of the executive committee. A suspended member, after opportunity to cure the cause(s) for suspension over the course of one quarter, may be expelled from membership by a two-thirds vote of the chapter. Any violation of the sorority’s policy regarding hazing or violation of college or university rules or policies that might endanger the recognized organizational status for the chapter on campus will result in immediate expulsion from the sorority, and bar reapplication for membership in any chapter.

Section 7. Any member desiring to resign from the chapter shall submit a resignation in writing to the Membership Vice President, who shall present it to the Executive Committee for action. Resigning from the chapter also removes a member from national membership.

Section 8. Upon a three-fourths vote of membership of this chapter, the title of affiliate (honorary member as defined by the national organization) may be conferred on persons the chapter wishes to distinguish with such an honor. An affiliate shall have none of the obligations of membership in this chapter, but shall be invited to all functions. An affiliate may not make motions, vote, or hold office.

ARTICLE V. Nomination and Election of Officers

Section 1. Week 7 of winter term, a Nominating Committee of three active members, comprised of a general body member, an executive board member, and a graduating senior shall be elected by the active membership. Members on the Nominating Committee must not be running for an Executive Board position. If these requirements cannot be fulfilled, the President will appoint a member they see fit to fulfill the requirements of a corresponding position on the Nominating Committee.

Section 2. The Nominating Committee shall report at the first regular meeting of the membership of spring term.

Section 3. Only members who have been active members of the chapter for one quarter shall be eligible for election to office.

Section 4. Officers shall serve for three (3) quarters or until their successors are elected and their term of office shall begin in the successive fall term following election in Spring.

Section 5. No members shall hold more than one office at a time (including Vice President and Presidential positions) except for the combinations of office stated in the Zeta standing rules, and no members shall be eligible to serve more than three (3) consecutive terms in the same office unless no qualified successor is elected or unless otherwise voted upon and approved by the executive board.

Section 6. Election of officers shall be by ballot, except when there is a single nominee for an office; the vote may be conducted by voice.

Section 7. The Service Vice President shall fill a vacancy in the office of President. A vacancy in all other offices shall be filled by a vote of the membership.

ARTICLE VI. Removal from Office

Section 1. Officers may be removed from office for misconduct or non-performance of duties. Charges must be submitted in writing to the Executive Committee.

Section 2. All charges shall be investigated by the Executive Committee and following the investigation, the Executive Committee shall present the charges to the membership. A two-thirds vote of the active, obligated membership shall remove an officer from office.

Section 3. Members of the Executive Committee shall have no more than one (2) unexcused absence. If an officer does miss more than two meeting, the situation will be reviewed by the Executive Committee and following the review, the Executive Committee shall present the situation to the membership. A two-thirds vote by ballot of the membership shall remove an officer from office.

Section 4. The executive board will vote on putting an officer that leaves office on probation .

ARTICLE VII. Meetings

Section 1. Regular meetings of this chapter shall be voted on and decided by the entire membership prior to the beginning of each term.

Section 2. Special meetings may be called by the President or by the Executive Committee and shall be called upon by the written request of one-third (1/3) of the members of the chapter. The purpose of the meetings shall be stated in the call. Except in cases of emergency at least two (2) days notice shall be given.

Section 3. Two-thirds (2/3) of the active, obligated members of the chapter shall constitute a quorum.

ARTICLE VIII. Executive Committee

Section 1. The officers of the chapter shall constitute the Executive Committee.

Section 2. The Executive Committee shall have general supervision of the affairs of the chapter between its business meetings, fix the hour and place of meetings, make recommendations to the chapter, and shall perform such other duties as are prescribed in these bylaws.

Section 3. Unless otherwise ordered by the Executive Committee, regular meetings of the Executive Committee shall be held weekly. Special meetings of the Executive Committee may be called by the President as well as may be called upon the written request of one members of the Executive Committee.

ARTICLE IX. Committees

Section 1. At the beginning of each term, members will sign up for a committee they wish to participate in. Committees will consist of PR, membership, service, treasury, parliamentarian, finance, unity, banquet, historian, as needed.

ARTICLE X. Advisors

Section 1. One or more persons shall be elected as advisor to the chapter in accordance with applicable campus regulations for student organizations.

Section 2. An advisor shall serve for a term of one year or until a successor is elected.

ARTICLE . Parliamentary Authority

The rules contained in the current edition of Robert's Rules of Order, Newly Revised shall govern the chapter in all cases to which they are applicable and in which they are not inconsistent with these bylaws and any special rules or order the chapter may adopt.

Section 1. After an issue arises, the parliamentarian can authorize whatever action necessary at the next meeting.

ARTICLE XII. Amendment of Bylaws

Section 1. These bylaws may be amended at any regular meeting of the chapter by a two- thirds vote, provided that the amendment has been submitted in writing at the previous regular meeting.

Section 2. Any amendments to the Bylaws of Gamma Sigma Sigma National Service Sorority affecting these bylaws shall be recorded automatically as amendments hereto.

Section 3. A copy of the current chapter/colony bylaws, standing rules, and pledge policies will be forwarded to the National Parliamentarian for approval by January 31 of each year.
