Your Digta 410 is a digital portable dictation machine. It can be used with the software supplied as a single-user dictation system. In addition, you can connect it to your network (local network with several authors and transcribers) with the optional network license. The dictating machine offers functions such as inserting or deleting passages that allow you to easily edit your dictations. Dictations can be transferred from your PC onto a network:

Safety This digital portable dictation machine is designed to record and play-back spoken language, i.e. voice data. Protect your machine from exposure to moisture (rain, splashing liquids). Never lay your dictation machine down near a heater or directly into sunlight. Note! You must not open the dictation machine under any circum- stances. Opening the machine will invalidate the guarantee. Open only the lid to the battery compartment. Use a dry cloth to clean the machine. Do not use chemical clean- ing agents.

Environmental note The batteries must not be thrown away as household garbage. This also applies to batteries that do not contain heavy metals. Please dispose of the used batteries in an environmentally sound manner by bringing them to a public collecting point. Find out more about the legal regulations in effect in your area.

All messages with numbers over 10,000 and the display “UNKNOWN ERROR”: Turn the dictation machine off and then back on. If the machine does not turn on normally, take out the batteries and then reinsert them. Turn the machine then back on. If the error message still appears, please contact your dealer or customer service. 10 PREPARATION ______

Battery operation The dictation machine can be used for approximately 10 hours when the alkaline manganese batteries are fully charged. • Open the battery compartment. • Insert the appropriate batteries (2 x 1.5 V, Type Micro/ AAA, for example LR 03/AM-4). Please make sure the polarity is correct. • Close the battery compartment. – Display for battery operation » «. You can tell what the battery strength is by the number of bars that appear in the battery symbol (3 bars indicate that the batteries are fully charged). A beep will be omit- ted if the batteries are weak (but not during recording). The battery symbol flashes in the upper right corner of the display » «. You will only be able to dictate for a few minutes until the dictation machine turns itself off.

Warning: If you use rechargeable batteries that are low, you may lose longer dictation passages or even entire dictations (due to the technical differences between them and batteries). Rechargeable batteries are detected by the dictation machine and displayed with the symbol » «.

Note: The dictation machine’s operating system is “shut down” (similar to a PC) when it is turned off. There must still be sufficient power available for this purpose. If, after the dictation machine has automatically turned off, you turn it back on again without having plugged it into a power supply (e.g. via USB cable to a PC) or without having inserted new batteries, your saved dictations may be permanently lost. 11 PREPARATION ______

Mains operation You can connect your dictation machine to a PC using the USB cable (included in the scope of delivery). • Turn on your PC. • Connect your dictation machine to the PC via the USB cable and turn it on. In the »USB-MODE« menu the sym- bols » « for PC file transfer, » « for PC microphone operation and » « for power supply operation appear as well as » « at the top right to indicate that the PC is the power source. • With the navigation buttons, select the » « symbol for power supply operation and confirm by pressing the right selection button » «. The dictation machine will now draw its power from your PC (the batteries in the machine will not be discharged) and you can use your machine for recording and play- back just as in battery operation.

Turning the machine on and off Turning on the machine for the first time • Push the On/Off switch downward to »ON«.

• We recommend that you set the current data and time. Enter the year, month, day, hours and minutes with the navigation buttons » « and confirm by pressing the right selection button» «. • End your settings with » «. • The left selection button » « aborts the time setting without saving the changes. The data and time setting will re-appear each time you turn on the machine until you complete the hour setting by pressing the right selection button. – The machine is now ready for operation.

Turning on the machine after the first time • Push the On/Off switch downward to »ON«.

Turning off the machine • Push the On/Off switch upward to »OFF/HOLD«.

Keylock The keylock prevents you from accidentally turning off the machine while you are recording or playing back a dictation. • When making a recording or playing back a recording, push the On/Off switch upward to »OFF/HOLD«. The keys are now locked and the »HOLD « symbol appears in the display. If you wish to unlock the keys again, push the On/Off switch back to »ON«. You can stop your record- ing or play-back again. If you press the On/Off button in a different function, the device will turn off.

Saving dictations Dictations are stored in the internal memory of the dictation machine. There are six folders available for this purpose: one main folder and five subfolders labeled A, B, C, D, and E. This allows you to sort your dictations (for example to assign them beforehand to different transcribers).

Selecting a folder • Activate the menu with the right selection button » «. • With the navigation buttons, select the Folder menu com- mand» « and confirm by pressing the right selection button » «. • You can now select the folder of your choice with the navi- gation buttons. Confirm with » «. Your dictations will now be saved in this folder. When you turn the machine back on, the last selected folder and last edited dictation will be displayed.

Dictate • Speak in a direction just over the dictation machine. The figure illustrates the optimum position. The high-preci- sion microphone also allows you to record conversations from greater distances.

New dictation • Push the slide switch to »STOP «. • Press the »new« button. – A new dictation with the next highest number available is created, display: » 8 for example. – The time and date are saved together with each new dictation with (displayed on the PC).

– The red recording indicator starts blinking, the black Disc symbol » « appears and the Pause symbol »«. • Push the slide switch to » START«. – The recording indicator lights up, the Disc symbol »« starts to spin in the display and the Pause symbol turns into a recording symbol » «. – The machine starts recording.

Recording pause • Push the slide switch to »STOP «. – The recording indicator blinks, the Disc symbol » « stops spinning and the Pause symbol » « appears in the display.

End recording • Press the red recording button » DICT«. The Disc symbol turns white » «, the Pause symbol turns into a Stop symbol » «. Fast forward or rewind during a recording also ends the recording. – Each time a recording is ended, the time and data are saved along with it (displayed only on the PC).

Changing the dictation During play-back you can record over the previously record- ed text at the current position or append a recording to the current dictation. Note the time you have left in memory; this is displayed in hours and minutes. • Push the slide switch to »STOP «. • Select the desired dictation with the navigation buttons »« (see “Select dictation and listen”). • Push the slide switch to » START« (play-back). • During play-back push the slide switch to »STOP « at the desired dictation position.

•Press the red recording button » DICT«, the red record- ing indicator starts blinking, the black Disc symbol » « and the Pause symbol » « appear in the display. • Push the slide switch to » START« and dictate the new text. The red recording indicator lights up, the black Disc symbol » « starts to spin in the display and the Pause symbol turns into the recording symbol » «. Caution: This will overwrite your old dictation starting at this point. • Push the slidewitch at the end of the dictation to »«.STOP •Press the red recording button » DICT«. The recording is turned off.

Note: If you press the recording button immediately after select- ing the dictation, your dictation will be appended.

Inserting a part of a dictation You can insert a new recording at the current dictation posi- tion during play-back. Please also note the available storage space. • Push the slide switch to »STOP «. • Select the desired dictation with the navigation buttons »« (see “Select dictation and listen”). • Push the slide switch to » START«, to listen to the dictation. • During play-back, push the slide switch to »STOP «, once you have reached the dictation position at which you wish to insert the text. •Press the red Record button » DICT«, the red re- cording indicator starts blinking, the black Disc symbol » « and the Pause symbol » « appear in the display. • Confirm the function » « (Insert recording) with the right selection button.

• Push the slide switch to » START« and dictate the text to be inserted. • Push the slide switch to »STOP « once you have finished inserting the text. •To stop, press the red record button » DICT«.

19 PLAY-BACK ______

Select dictation and listen • Push the slide switch to »STOP «. • Select the folder in which your dictation is located (see “Select folder”).

• Select a dictation with the navigation buttons » «. The » « symbol appears in the display and the number of the selected dictation after it. If a dictation was renamed on the PC, or if it originates from another dictation machine, the dictation name is dis- played as text, possibly abbreviated. • Push the slide switch to » START«.

– The white disc symbol » « starts to spin in the display, the play-back symbol » « appears on the left in the display and status bar starts to move. Play-back starts at the beginning of the dictation.

Note: If, after you switch on the dictation machine, no new dictation is selected, the last edited dictation will be played back at the position it was before the machine was turned off. • If you wish to interrupt the play-back, push the slide switch to »STOP «. – The white Disc symbol » « will stop spinning in the display. The Play-back symbol turns into the stop symbol » «, the status bar stops moving.

20 PLAY-BACK ______

Setting the volume • During play-back, press the left navigation button to lower the volume or the right button to increase the volume.

– The loudspeaker symbol » « turns into the symbol for adjusting the volume » «.

Jump quickly to the start or end of a dictation • Push the slide switch to » START«. • By tapping the left selection button you can alternatively jump to the start and end of a dictation.

Fast play-back •Press the right selection button during play-back »1,5x«. – The dictation will be played back at about 1.5 times faster than normal. •To return to normal play-back, press the right selection button again during fast play-back »1,0x«.

Fast forward and rewind • Push the slide switch to » FFWD« or » REW «. – The status bar in the display will now move quickly for- ward or backward.

21 DELETE DICTATION ______

Deleting an entire dictation • Push the slide switch to »STOP «. • Select the folder in which your dictation is located (see “Selecting a folder”).

• Select a dictation with the navigation buttons » «. The »« symbol appears in the display and the number of the selected dictation after it. •Press the left selection button » «. • In the submenu that now appears, select the left symbol »«. •Press the right selection key » «. The dictation has now been deleted. •Press the left selection button » «, if you decide not to delete the dictation.

Deleting the contents of a folder Not only can you delete individual dictations but also the con- tents of a selected folder or the contents of all folders. • Push the slide switch to »STOP «. • Select the » « symbol with the right selection button. • Select the menu command » « and confirm by pressing the right selection button » «. • The following symbols will then appear in the display – Delete selected dictation – Delete selected folder – Delete all folders • Using the navigation buttons » «, select the icon for desired function and confirm by pressing the right selec- tion button » «.

Deleting a part of the dictation • Push the slide switch to »STOP «. • Select the folder in which your dictation is located (see “Selecting a folder”).

• Select a dictation with the navigation buttons » «. The »« symbol appears in the display and the number of the selected dictation after it.

• Push the slide switch to » START« and to »STOP « at the desired position in the dictation. •Press the left selection button » «.

• Select the right symbol » «in the submenu that now appears and confirm by pressing » «. •Press the right selection button » « to set the starting position of the text to be deleted. • Using the slide switch, search for the desired end position of the text to be deleted. •Press the right selection button » « to set the end position. •Press the right selection button » « again. The selected part is deleted. • If you do not want to delete a part of the dictation, press the left selection button » « to abort the procedure.

Overview of the menu functions •Press the right selection key » «. You can select the following functions with the navigation buttons » « and confirm by pressing » «. – Selecting a folder (main folder and subfolder A, B, C, D or E); for sorting new dictations and playing back the dictations stored in the vari- ous folders. – Delete; delete the current dictation, delete all dictations in the current folder, delete all dicta- tions in all folders. – Settings (see the following page).

Functions available if the device is connected to a PC: – PC file transfer (the PC detects the device as a USB removable disk); for dictation/transferring files to and from the PC. – Power supply operation (USB power supply, the PC does not detect the device) for recording/ play-back as in battery operation. – PC microphone operation (USB audio); dicta- tion device as a PC microphone (without re- cording) if it is connected to a PC, for example for a dictation directly into a voice recognition system. Note: The microphone sensitivity and the play- back volume are set in the machine in PC micro- phone operation and can only be changed in the PC software.

Overview of the menu settings •Press the right selection button » « and the menu command » « there. • With the navigation buttons » « you can make the following settings: – Microphone sensitivity Adjusts the sensitivity of the microphone. – Voice activation The recording is automati- cally interrupted if there is a pause in the dictation. – Illumination Turns the display illumination on and off. – Time, date Set the time and date (time stamp for dictations). – Dictation counter Resets the dictation counter to ”001”. –Version Displays the version of the machine software. – Formatting Reformat the internal memory. Caution: All stored data will be lost. – Default settings Restores the settings to those set at the factory. Caution: All data and set- tings will be lost.

Menu navigation Select the desired menu command with the navigation buttons »«. Activate the menu command with the button » «. The cur- rent function/setting now appears on a dark background. Select a function/setting with the navigation buttons » «. To confirm the function/setting, press the button » «. You can cancel the function/setting by pressing » «. Any changes made will not be saved.

Microphone sensitivity Here you can select one of three levels of noise sensitivity for your microphone. • Go to the menu command » « (see “Menu navigation”) and confirm with » «. • Using the navigation buttons » «, set the sensitivity of you microphone. The selected function turns black. – Recommended for loud speakers. Prevents over- modulation for dictations to be processed by a voice recognition system. – Normal setting for dictations. – Conferencing. The machine can still record accu- rately if it is positioned on a conference table. • Confirm with » «.

Voice activation If the function “Voice Activation” is active, the recording will be interrupted if there is a pause in speaking in a quiet environment. If the dictation machine does not turn off, select a lower microphone sensitivity, for example for normal dictation or persons who speak loudly. As soon as the speaker starts to speak again, the recording will continue. • Go to the menu command » « (see “Menu navigation”) and confirm with » «. • Select » « (Voice Activation ON) or » « (Voice Acti- vation OFF). The selected function is displayed inversely (white on a black background). • Confirm with » «.

Illumination In this function you can turn the display illumination on or off. •To do so, go to the menu command » « (see “Menu navigation”) and confirm with » «. • Select » « (Backlight ON) or » « (Backlight OFF). The selected function is displayed inversely. Even if the back- light is activated, the illumination will go out after a few seconds to conserve battery power. • Confirm with » «.

Time, date The time and date a dictation is recorded are indicated for each dictation (PC display only). • Go to the menu command » « (see “Menu navigation”) and confirm with » «. •You can now enter or change the year, month, day, hours and minutes successively using the navigation buttons »«. The current function is shown on black back- ground. • Confirm your each of your settings with » «. The setting is saved, and the next point is activated. • End your settings with » «. •To change your settings, go back to the menu command »«.

Dictation counter In this function you can reset the dictation counter. The high- est number possible for the dictation counter is 999. You should refrain from resetting the counter too often to avoid conflicts with dictations of the same name that are stored on your PC. • Go to the menu command » « (see “Menu navigation”) and confirm with » «. • The symbols » « and » « will then appear in the dis- play. • Confirm with » «. – The next dictation will then be give the next available number (for example: » 5«).

Version In this function you can display the version of the machine software (firmware). • Go to the menu command » « (see “Menu navigation”) and confirm with » «. – The serial number of your machine along with the ver- sion number of the firmware (software built in to the machine) will now appear in the display.

Formatting With this function you can reformat the internal memory in your dictation machine. Caution data loss! This function will delete all files on your dictation machine. • Go to the menu command » « (see “Menu navigation”) and confirm with » «. • The symbols » « und » « will then appear in the dis- play. • Confirm with » «.

Default settings With this function you can restore the settings of your dicta- tion machine to the default settings. Caution data loss! This function will delete all files and set- tings that on your dictation machine. • Go to the menu command » « (see “Menu naviga- tion”) and confirm with » «. • The symbols » « und » « will then appear in the dis- play. • Confirm with » «. Your machine will be reset to the following settings: Folder – Main folder; Voice Activation – off; Microphone sensitivity – Dictation (medium sensitivity); Illumination – automatic; Date, Time of Day – 01-01-2005, 0:00 a.m.; Dictation counter – 1; All dictations are deleted; Default settings for the accompanying note the dictation that were made with the PC software will be reset to »NONE«. The author’s name will be set to »DICTATION«.

35 COMMUNICATION WITH THE PC ______

The Grundig PC software The Grundig PC software allows you to transfer your dictations to your PC. You immediately have an overview of all your work and can also listen to the dictations on your notebook. Send your dic- tations to a system – or send voice mail through a connected mail system.

If your office organization uses the Grundig digital dictation sys- tem, the Digta 410 and the Grundig PC software will make you a mobile member on the dictation network. You have all author and transcriber addresses at your fingertips for sending dictations. Your typing pool is perfectly organized with dictations identified by dic- tation type, deadline, and priority. If all of your dictations have the same priority, simply connect the USB cable to your Digta 410. At the press of a button, all dictations will be sent to the preset tran- scriber. Your Digta 410 will then be immediately available for fur- ther dictations.

Connecting and separating the dictation machine to and from the PC • Connect your dictation machine to the PC via the USB interface. •With the »ON/OFF« button, turn the dictation machine on or to PC file transfer.

Warning: Disconnect the USB interface from the task bar, since you may otherwise lose data if you simply pull out the USB cable.

Note: The Grundig PC software can only be connected to one dictation machine at a time. If you connect a second dicta- tion machine to the USB interface, the PC will not detect it, i.e. Windows will only display a removable disk.

PC file transfer • Use the USB interface to connect your dictation machine to the PC. • If the dictation machine is already turned on, select PC File Transfer » « with the navigation buttons » «. The selected function turns black, the computer detects the device as a removable disk. You can now exchange data between PC and dictation machine. Note: If a dictation located on the PC is locked and is transferred to the dictation machine, it cannot be edited nor deleted there.

37 COMMUNICATION WITH THE PC ______

PC microphone operation, USB audio • Use the USB interface to connect your dictation machine to the PC. •Turn the dictation machine on with the »ON/OFF« button and select USB microphone operation » « with the navigation buttons » «. The selected function turns black. • Select a sound program on your computer, for example, the Windows Sound Audio Recorder. You can use the dictation machine for making dictations directly into a voice recognition system. • Once your sound program or voice recognition system is ready to record, push the slide switch to » START« and dictate the text. You can mute the sound on the machine by pushing the slide switch to »STOP «, i.e. the voice recognition system will no longer detect noises. If your sound program or voice recogni- tion system has started play-back, push the slide switch to »START«. The LED lights up green and you will hear the recording from the loudspeaker.

38 COMMUNICATION WITH THE PC ______

Configuration of the accompanying note the dictation The accompanying note the dictation, as it is called, contains various information such as the author’s name, the tran- scriber’s name, the type of dictation which are included with each DSS dictation. You can enter such information into the completed dictation using the PC software. If you want to send all your dictations with the same information, you can con- figure your dictation machine accordingly.

If you are a member of a pre-installed dictation network, you will find all available settings in the PC software under »Configuration«. If you are a single user without connection to a local network, you can create users, dictation types and groups in the PC software in the »Settings« menu with the function »General Settings«. You will then be able to send your name as author, a transcriber, a dictation type and a group designation to your dictation machine under »Configuration«. When you turn on your dictation machine, your name as author will be briefly displayed instead of »DICTATION«.

39 FIRMWARE UPDATE ______

The firmware update may be used to keep your dictation machine up-to-date (firmware = software built in to the machine). You will find the current firmware version in the Internet. The enclosed CD includes the latest firmware available at the time of delivery.

Carrying out a firmware update •Turn on the PC and start Windows. • Use the USB cable to connect the dictation machine to the PC. •Turn on the dictation machine. • The PC symbol appears in the machine’s display » « and the machine is detected by your PC as a removable disk. •You will find the file »gh0410.hex« at our Website »www. grundig-gbs.com« under Service/Download/Firmware/ fw0410.zip and on the enclosed CD in the folder »Firmware\Digta0410«. Copy this file into the folder »System« of the dictation machine drive (removable disk). • The dictation machine’s recording LED flashes during the transfer. Wait until the data transfer is complete. • Then, from the task bar, select the function for detaching removable storage media. Do not pull out the USB cable as you may otherwise lose data.

40 FIRMWARE UPDATE ______

• Disconnect the USB cable from the dictation machine. • Confirm »LOAD UPDATE« with the » « button. Do not interrupt the loading process for any reason. You may no longer be able to use the dictation machine.
