Telemedicine Quickstart

This quick start guide is a technology supplement for the Florida Distance Health Playbook for CC Florida Region. The App used to conduct the TeleVisit will depend on what App the patient has access to. Android ONLY supports Duo, and Apple supports both FaceTime and Duo. This document will guide you through steps for activates below. Providers with Android will skip the FaceTime steps.

Note: This document is broad and may need interpretation as it was written using iPhones, but Google app settings should be very similar if not in the same location for Androids.

AT&T: Make an anonymous phone call by using #31# then the number.

Verizon / All Others: Make an anonymous phone call by using *67 then the number.

On AT&T/Cricket iPhone:

1. Open Settings App 2. Open or search for Phone 3. Open Show my Caller Id 4. Toggle to Off. Note this disables caller ID outbound from your phone until changed back and may result in being sent to Spam when calling some Android models.

1. Go to www.gmail.com from a desktop computer. 2. Click Create Account – For Myself 3. Use a meaningful name like CCFL.First.Lastname @gmail.com and click Next Write down the new account and password and keep it in a safe place. 4. For the Recovery contacts, use your @martinhealth.org or @ccf.org email address and your personal cell phone number. This is important for password recovery! Click Next 5. Click Send code and then enter the validation code that was texted to you. 6. Select SKIP for adding service to your number. This can interfere with Google Duo. 7. Scroll through the Privacy Terms and Conditions and click I Agree.

1. Install the Google Voice app a. Apple https://apps.apple.com/app/id318698524 b. Android https://tinyurl.com/y9ocglc3 2. If you have GMAIL, continue as that account, a. If you needed to click add another account b. Enter the GMAIL account for email. Click Next c. Enter that accounts password, click Next d. Click Accept to terms and services. 3. Choose A Google Voice number – if you already had one with this Gmail account, you can skip to step 5. a. Click Search b. Put in your closest city, like Stuart, FL. c. Pick ANY number d. Write it down! You will need it for Google Duo. e. Click Next 4. Enter your cell phone number (required for registration) 5. Google will text a code for activation, enter that code to continue. 6. Allow Google Voice access to your microphone. 7. To stop incoming ringing a. Open the Menu (top left) and click Settings b. Find Make and Receive Calls – Prefer WiFi c. Find Do Not Disturb and activate it. d. Find Filter Spam and activate it. 8. Write down the number you selected. You can use this app to make outbound calls to patients as well as outbound Google Duo calls. SMS/TEXT messages will be in the app also.

Make a Google Voice Call 1. At the bottom, tap Calls . 2. If the person is in your recent calls list, next to their name, tap Call .

3. Or, Tap Dial and enter the number. 4. Tap Call . 5. If you see a pop-up to Call 1+ another number, this is how Google Voice relays through it’s own service using your cell phone, so tap the Call 1+(xxx) xxx-xxxx ballon.

Access Google Voice SMS/Text messages

1. At the bottom, tap Messages . 2. To read a message, Tap the message. 3. To send a message, tap the Pencil icon a. In the TO box, type the number of the person or select their name b. In the Message box, type your message and click the Send icon.

Google Duo requires a phone number with SMS/Test Messaging enabled unless using computer based . Use the Google Voice number here.

Install Duo 1. Install Google Duo a. Apple https://apps.apple.com/app/id1096918571 b. Android https://tinyurl.com/y7qdgbz6

(Re)Allowing Duo Calls 1. Open Google Duo 2. Enter your Google Voice phone number. You will be sent a text message with a validation code. Open the SMS/Text app to get the code. 3. Enter the 6 digit code texted to your cell phone or the voice app. You can now make and receive calls with Google Duo using the phone number you selected.

Stopping Duo Calls 1. Open Google Duo 2. Open the menu (…) in the upper right corner and select Settings 3. Select the Delete Duo Account option 4. Agree by clicking Delete

Changing Your Duo Phone Number 1. Open Google Duo 2. Open the menu (…) in the upper right corner and select Settings 3. Select the Account you want to delete 4. Select the Delete Duo Account option 5. On the Set Up screen, enter your Google Voice phone number 6. Select Agree. You will be sent a text message with a validation code. Open the SMS/Text app to get the code. 7. Enter the 6-digit code texted to your cell phone or the voice app. 8. You can now make and receive calls with Google Duo using the phone number you selected.

*You should have completed the Setup instructions for Google Voice and Google Duo prior to using this section. By default, Google Duo will show your webcam to the person you are calling, so once you dial, smile!

1. On your iPhone or iPad, open the Duo app. 2. Tap the number pad and enter a number. 3. Choose Video call or Voice call . 4. When done, tap End call .

Setup an iCloud Alias Note: NOT for-CCF Issued iPhones – Only for personal iPhones

1. Go to iCloud.com and sign in with your Apple ID. 2. Click Mail. 3. Click the gear icon on the bottom left of the window. 4. Click Preferences. 5. Click Accounts. 6. Click Add an alias… 7. Enter an alias for your iCloud email address. [email protected]. 8. Click OK.

Setting email as FaceTime CallerID 1. On your iPhone, open the Settings app 2. Select the First item (Your initials, Name -- Apple ID, iCloud, iTunes & Apple Store) 3. Select "Name, Phone Numbers, Email" 4. Next to "Reachable" select the Edit option 5. Select "Add Email or Phone Number" 6. Select "Add an Email Address" 7. Enter your new Alias email address – CCFL.lastame.firstname@ (gmail.com for CCF issued iPhones, @iCloud.com alias email for all others) Note: If this step fails or you get a message that “This email address is not available”, you will need to follow the steps in Creating an iCloud Account then return here. 8. You will get a prompt asking if it is okay to use this ID for FaceTime. Select Yes.

Note: Patients and ANY FaceTime calls will be able to call you back at this address until these settings are changed.

Created 2020-03-22 – Updated 2020-03-24 2:00pm 9 Starting Anonymized FaceTime Calls Setting the CallerID in FaceTime –

1. Go to Home Screen 2. Open the Settings app 3. Search for or Scroll to and open FaceTime 4. Tap to check the CCFL.lastame.firstname@ in both the “YOU CAN BE REACHED BY FACETIME AT” and the “CALLER ID” sections. NOTE: The CALLER ID setting is making your outbound caller id show as this address and masking your cell phone number.

Stopping Anonymized FaceTime Calls Unsetting the CALLERID in FaceTime

1. Go to Home Screen 2. Open the Settings app 3. Search for or Scroll to and open FaceTime 4. Tap to un-check the CCFL.lastame.firstname@ in the “YOU CAN BE REACHED BY FACETIME AT” and the “CALLER ID” entry should be removed completely.

*You should have completed the Setup instructions for iCloud Alias prior to using this section.

1. In the FaceTime app, tap the plus button 2. Type the person's phone number or email address. 3. Tap the number or address, then tap Audio or Video .

Created 2020-03-22 – Updated 2020-03-24 2:00pm 10 Creating an iCloud account In the rare instance that you do not have an iCloud Account, use these steps to create one.

1. On a Desktop computer go to www.icloud.com 2. At the bottom of the web page, click Create Apple ID 3. Fill in all the information using your real identity and the NEW GMAIL account and click Continue 4. Follow all the prompts until completed. Write down the new account and password and keep it in a safe place. You will need them repeatedly.

Login with your New Apple ID Note: Works for CCF issued OR personal iPhones if you Created a New iCloud Account, or need to sign in as a different iCloud account.

1. Open Settings 2. Open the first tile with your name on it. 3. Open iTunes & App Store 4. If there is an account present, you will need to know that password. You can tap the Apple ID and sign out, Otherwise tap Sign In 5. Login with the account and password created in the Creating an iCloud account section. 6. Go back one screen to Apple ID and tap or search for iTunes & App Store. Verify the new account is listed there, if not sign-in there also. 7. Go back up to Settings and search for FaceTime 8. If you see the text “Use your apple ID for FaceTime”, tap that tile. You can now make and receive calls with this new Apple ID.

These are all OPTIONAL, but this is the only way to mask your cell phone number from patients.

Burner Anonymizer (Optional) $4.99 monthly fee Only use this if Google Voice fails.

Write down the number you selected. You will use this to make outbound calls to patients as well as outbound Google Duo calls.
