[Peter Force Papers and Collection, Manuscript Division, Library of Congress] Appendix B: Peter Force Index The index to the Peter Force collection is a guide to correspondence and other documents in the collection. Originally created to index Series IX: Miscellaneous Manuscripts, which is arranged chronologically, the current index also includes the titles of some materials in other series. It is essentially a name index, listing alphabetically the names of both writers and recipients of letters and other documents. Although it is not a subject index, some articles and most memoranda are indexed with subject or title subheadings following the name of the author. Also, some miscellaneous items for which no name appears are listed under a subject title. The index includes the name of the writer/recipient, the document date, the former location in the division, and an “Addenda” column for supplementary information. The index is illustrated in the sample entries on p.202, and uncommon abbreviations used in the index are listed on pp. 203. The names of the writer/recipient are arranged alphabetically and their correspondence chronologically thereunder (see lines 1 and 2 of sample illustration). When there are three or more writers or recipients of the same document, the document is indexed under the name of the first writer or recipient and the phrase “et al.”, follows the names (line 3). When only the surname of the correspondent is known, three dashes are used to indicate the missing first name (line 4). Correspondence of a married woman is entered under her own name whenever it can be determined (line 5). When the writer or recipient bears a title of nobility, the entry is placed under the title with a cross reference from the common name to that of the title (line 6). Whenever there are spelling variations in a name and the correct spelling cannot be verified, the name is entered as it appears on the document. When a writer uses two different forms of his own name, he is entered under the form that appears on the document. Writers who deliberately withhold their identity are indexed under the word “anonymous” (line 10). If a document is unsigned or the signature is illegible, the entry is placed under the recipient’s name and the writer is termed “unknown” (line 11). Correspondence on behalf of an organization, public or private, is usually indexed under the name of the organization rather than under the name of the person (line 8). Some local, state, national and international organizations are indexed under geographical location (line 7), and there are sometimes cross references from personal names to organizations (lines 9). The addenda column of the index is used for supplementary information. Documents other than letters are identified in this column by form (lines 1 and 7). When an item is out of its normal order, for example, an enclosure filed with its covering letter rather than under its own date, the addenda column gives the item’s location. This reference usually consists of the name of the correspondent and the date of the document immediately preceding the out-of-sequence item (lines 11) . If the material is not in Series IX, the entry is not indented and the last column is used to enter the series and container wherein the material may be found (line 12).
