Duchy of Cornwall Estate Nansledan Executive Assistant Job Description Main purpose of role The Executive Assistant role involves providing secretarial and administrative support to the Duchy of Cornwall’s Estate Director, and the wider Nansledan team, responsible for the management of the Duchy’s development projects across the South West, including Nansledan, Newquay Position The post reports to the Estates Director and has no direct reports. Scope of role o Supporting the Estates Director in the day to day administration of development projects through regular monitoring of email traffic in his or her absence, close liaison with all team members, in addition to liaising with key partner organisations, tenants, and external agencies. o Working alongside the Nansledan Team Administrator to assist the project team in the efficient and effective operation of the Nansledan office o Diary Management for the Estate Director including booking travel, and co-ordination with other administrators and parties as appropriate o Filing and accessing of information within both the paper and electronic archives to ensure easy access of historic data as and when necessary. o Minute taking, typing and filing on a day to day basis. o Compilation of reports from raw data including finance matters, presentations and tenancy matters. o Helping draft Board reports, committee papers and briefing notes o Supporting the teams on Duchy development projects where necessary, dealing with day to day queries and issues to ensure a satisfactory outcome. o Assisting the Estate Director in managing communications with and correspondence from the Royal Household, key partners, the local community, public agencies and the Media. o Helping prepare press lines and content for the Nansledan website and social media o Organising hospitality whether internal meetings or external events, and providing more general support in the preparation and coordination of visits by VIP guests including HRH o Liaising with visitors to the office on a variety of issues and ensuring a warm welcome and projection of a positive image of the Duchy of Cornwall. o Managing projects relating to (community) events and activities o Organising site tours for a broad range of visitors to Nansledan and other sustainable developments Person Specifications, Education and Qualifications Strong administrative skills and attention to detail is non-negotiable. You will have previous experience working as an Executive Assistant or similar Excellent communication and diary management skills. Excellent knowledge and experience of Microsoft Office applications Knowledge of property, estate management and sustainable development and a passion for the environment is desirable. Good knowledge of the work of the Duchy of Cornwall is also desirable to enable appropriate dealings with all internal and external parties. Strong organisational skills, with a systematic approach to problems solving. Capacity to work under pressure and manage a busy workload with high productivity. Experience, understanding and respect for dealing with confidential issues. You are very tactful and totally discrete; organised and systematic; able to build positive working relationships at all levels and across the Duchy. You are able to deal professionally with VIP’s, members of the public, consultants, tenants and contractors; precise and accurate in your work, with good self-checking; open to discussion, change and development; easy-going yet professional, self- directed and productive.
