CARMEL CLAY PUBLIC LIBRARY 2020 ANNUAL REPORT DIRECTOR’S MESSAGE BOARD OF

2020 was a year of extraordinary challenges. TRUSTEES The global pandemic affected all of us in so many ways. By mid-March however, the library was forced to close Casey Wilson, SECRETARY in response to COVID-19. James Hehner This report chronicles how the library adjusted to the new reality of operating during the Stephanie Kim pandemic. The library continued to push Ranjit Puthran boundaries and find new ways to deliver service, in part by increasing e-resources John Williams and launching a new website, a new search catalog, and a new YouTube channel for programming. Curbside services were added as a regular feature. We also continued to pursue our community vision of a bold new library. We even managed to successfully move the main library to our temporary location at Merchants’ Square while construction began in the fall of 2020. Great things are on the horizon for our library, but in the meantime, we hope you enjoy the experience in Merchants’ Square as well as at our West Branch and Digital Media Lab. On a sunny winter morning, the doors of the Joyce Winner West Branch opened to the public for the first time. Once home to a deli, the bright and airy building in the heart of the Village of WestClay now houses 16,000 books and movies and features creative touches like book-inspired light fixtures and alphabet-themed upholstery. Designed by Rowland Design and renovated by Stenz Construction, the 5000-square-foot branch was recognized with the OneZone Best Renovation Award for 2020.

The branch also features two mezzanine-level study areas, a conference room, and a conservatory complete with fireplace. An automated materials handling system and drive-up return slot help staff process the high flow of materials quickly.

While providing improved access to library services for the west side of Carmel, the branch also serves as a fitting memorial to Joyce Winner, the beloved local philanthropist and passionate library advocate for whom it is named.

“Joyce’s love for reading and the library were an important part of her life,” said CCPL Foundation Director Elizabeth Hamilton. “She would be so pleased to see how families are discovering books together in the branch that bears her name.” With a move to a temporary library location already planned for the autumn, CCPL staff MARCH 15 knew the library would be closed for part of 2020. The COVID-19 pandemic was something CCPL Shifts to altogether different.

Virtual Services After making the decision to close the library on March 15, library staff immediately began ramping up communication efforts. Social media became a vital way of sharing library information while also providing fun ways for patrons to continue to engage with their library. Social media reach and engagement rose 25 percent while the library was closed, and many of those users continue to follow the library. Twenty-three thousand people see CCPL’s Facebook posts each month.

APRIL 6 New Website, Catalog, and Branding are Unveiled

Within a month of the library’s closure, CCPL unveiled a new website, catalog, and logo. The enhanced design, functionality, and visual appeal made the timing of the rollout unexpectedly advantageous. The website’s responsive design allows the site to resize to fit a user’s screen. New catalog features were beneficial to patrons who found themselves going online to connect with the library like never before.

As the pandemic continued, online resources saw an increase in usage. As families faced the challenges of virtual learning, the free online homework help provided by Tutor.com was a boon to library cardholders. Ancestry.com opened its resources to home use for library cardholders, and library staff created video tutorials to assist new users. Demand for digital formats of books, movies, and music has been on the rise for years. Suddenly, for several months in 2020, they became the primary means for all patrons to check out library titles. The library shifted resources toward these collections, purchasing twice as many digital titles as the previous year. Checkout limits were increased for the Kanopy and Hoopla digital services. Digital checkouts rose by 46 percent. Even after the library reopened, downloading and streaming have continued to provide a safe and convenient way for patrons to use library books, movies, music, and magazines.

Library staff also shifted their programming efforts from in-person events to online offerings. Staff created storytime and book talk videos for YouTube so patrons could continue to connect with their librarians at times that were convenient for them. The library also began offering live Zoom events on topics such as voting history and citizen science. The Foundation’s popular author visits transitioned to Facebook Live, reaching new audiences.

The library continues to offer an array of virtual programming. While the Main Library is under construction, space at library locations for programming is limited. Virtual programs offer a chance for the library to continue to provide informative, educational, and entertaining events even in uncertain times. When the Digital Media Lab closed to in-person visits, staff looked for new ways to continue serving the community. Using the library’s 3D printers, they created face shields and mask extenders for area healthcare workers.

To stay connected to their community, staff also organized several Capture Carmel photography challenges through Facebook and accepted 3D print projects from the public online for curbside pickup.

During the shift to curbside-only service, staff at the Joyce Winner West Branch extended service to the community by installing a StoryWalk® along the path that encircles WestClay’s Harrison Park. These walk-and-read activities became a hit with families looking for safe, outdoor things to do.

While digital collections and virtual programming filled important needs, patrons were missing their physical checkouts. In May the library began offering curbside holds pickup at the Main Library, with the West Branch following a few weeks later. While hold pickup times were initially scheduled by JUNE 15 phone, the West Branch tested an online curbside holds management system that CCPL Reopens for eventually became the solution still in place at both library locations today. These take-home craft kits proved so popular that staff continued to create them even after the library reopened. Activity kits continue to play a key role in library programming for all ages while in-person programming isn’t possible.

Staff also developed new ways of connecting readers with titles. Shelf Service allows patrons to fill out an online form and receive a personalized list of suggested titles via email. Express Bundles go a step further; staff gather a batch of titles based on the patron’s preferences and have the bundle waiting at holds pickup. These services allow patrons to engage with staff about great books, movies, and more in a safe, easy, and personalized way. SEPTEMBER 15 Main Library Move Begins

For months, staff prepared for the move to the temporary location in the Merchants’ Square shopping center by assessing the library’s collection, preparing items for storage, and packing the vast amount of behind-the-scenes goods and equipment that are vital to library service. Working with Planes Moving & Storage in conjunction with the Veridus Group and Lucette Consulting, the move went like clockwork. Throughout the process, staff working out of the West Branch took over handling holds pickup, processing returns, and fielding patron questions by phone and chat.

OCTOBER 12 Merchants’ Square Main Library Opens

The new library’s unusual location in an empty grocery store proved irresistible not only to patrons but to the media as well. Library social media posts played on the fun and quirky location, and engagement counts skyrocketed. The library was featured on local news broadcasts and highlighted in national blogs. Visitors enjoyed exploring the new space, TOTAL CHECKOUTS IN 2020 1,416,938 checking out materials, and shopping at the Foundation Friends Bookstore, AVERAGE DAILY CHECKOUTS 6,822 whose proceeds continue to provide on days the library was open to the public valuable support to the library. (up 10% from last year) OCTOBER 21 Groundbreaking at Main Library

With Main Library service relocated to Merchants’ Square for two years, work could commence on the renovation and expansion of 55 4th Avenue SE. Fine-tuning of the design by RATIO Architects continued during 2020.

Highlights of the project will include a parking structure connected to the library by a skybridge, an event lawn facing 4th Avenue, greatly expanded space for programs and events, a larger Teens department with dedicated study and programming space, and a large, onsite Digital Media Lab.

Groundbreaking ceremonies took place on October 21. Skillman Construction is executing the project while the Veridus Group serves as the library’s owner’s representative.
