2 INTRODUCTION

Thanks for your continued interest in living with us on-campus at Capital. Living on campus is an important part of the college experience. This document contains an incredible amount of detail about the upcoming housing selection process. Please read through it carefully.

The University has approved room and board rates for the upcoming academic year. Room and board rates for 2020-2021 have been posted on www.capital.edu. You’ll find room rates at this link and meal plan rates at this link. As part of the increase to room rates, the University has designated funds to be used for residential improvements. The specifics of those improvements will be determined this semester between Residential and Commuter Life and Facilities Management, with work to be completed during Summer 2020.

As announced last year, Theme Living Communities will look a little different this year than in past. Theme living application packets, as well as information about these exciting changes for the Fall of 2020, can be found online at: www.capital.edu/housing- process.

While there is some change, other things will remain the same. As was the case last year, housing selection participants will be able to setup roommate groups and preference spaces in advance of selection. Further information will be sent via email as we get closer to selection.

We will also host several information sessions (See timeline later in this document for more information) in the coming weeks that we encourage you to attend. As always, to be eligible for selection, students must complete the online housing intent form and pay the $100 housing deposit.

3 RESIDENCY POLICY

The Residential Life program is an integral part of the educational experience at Capital University. Undergraduate students who are officially enrolled full-time in classes at Capital University are required to live in university residence halls, apartments, or houses managed through the Residential and Commuter Life , unless they have received an approved release from the housing requirement. The Residential Life staff works collaboratively with students to create a living and learning environment that supports academic and personal development. Students are responsible for becoming familiar with the policies and procedures outlined in the Capital University Student Handbook.

For residency purposes, a Commuter is defined as any student who has an approved release from the housing requirement, per the criteria listed below. A Resident is defined as any student who is or will be living in the Capital University residence halls, apartments, or houses managed through the Residential and Commuter Life Office.

Capital University recognizes that some students may live within the area or have other circumstances that may make them eligible to apply to reside off-campus. The following is a list of those eligibility requirements:

• Age 22 or above • Completed 60 credit hours by the start of the next semester • Married (marriage certificate required) • Live with parents/court appointed guardians in permanent residency within 30 miles of the campus (verified by the Office of Admission/Registrar). • Special Accommodations • Diagnosis of an ongoing health-related issue requiring special living accommodations that University housing cannot reasonably provide (supporting documentation and registration with the Office of Disability Services required)

Extenuating Circumstances • Change in Financial Status which demonstrates a hardship if the student is required to live on campus (verified by the Office of Financial Aid).

HOUSING RELEASE PROCESS

Students who desire to live off-campus for the Fall semester must complete and submit an Online Housing Release Request on or before July 1. Students who desire to live off- campus for the Spring semester must complete and submit an Online Housing Release Request on or before December 1. If there is a change in residency status, students must request a Financial Aid Estimator through the Office of Financial Aid. Please note that applications from resident students requesting a Spring Release will only be considered for those students who have documented extenuating circumstances that demonstrate a possible risk or hardship if the student is required to live on campus.

4 Requests will be evaluated and students will receive written notification of their release status. Students are strongly cautioned against signing a lease before receiving official notification that they have been released from the Residency Requirement. Those who fail to meet University criteria for residing off-campus will be assigned to the University room and board plan and be billed accordingly, whether or not they select to reside or eat on campus.

Please note: Collegiate Fellows (or Capital Scholars) are required to live in University housing and maintain campus residency. If a student decides to move off campus, they will forfeit the Collegiate Fellowship (Capital Scholars), and their financial aid award will revert back to what it was before the CF (CS) award.

To ensure accuracy of contact information and to allow for changes in eligibility, students will be asked to complete the Release from Housing Request process annually. As long as none of the eligibility requirements are being changed, students will not need to reproduce documentation.

9 Cotterman Hall

Cotterman Hall houses 136 students. The plan is unique to Capital, with eight to twelve individual opening directly into a common living area.

Each living area contains a large lounge area with microwaves provided on each floor. Most are double occupancy and all are air conditioned (some singles are available), with community restrooms and shower facilities. All of residence hall rooms come fully furnished (What to Bring). Each floor has a community space, a microwave and wireless internet access.

Individual rooms have wireless internet access and data ports that include cable TV and Ethernet. There are coin-free washers and dryers located on the ground level and a computer lounge with a community printer.

10 Saylor-Ackermann Hall

Saylor-Ackermann Hall houses 250 upper class residents (sophomores, juniors, and seniors).

In Saylor-Ackermann Hall, most rooms are doubles, however some triple rooms are available, with community restrooms and shower facilities on each floor. All of residence hall rooms come fully furnished (What to Bring). Each floor has a community space, a microwave and wireless internet access.

Individual rooms have wireless internet access and data ports that include cable TV and Ethernet. There are coin-free washers and dryers located on the ground level and a computer lounge with community printer. Capital Grounds (a coffee shop operated by our food service provider, Aladdin) is a great community space also located in Saylor-Ackerman.

11 Lohman Complex

The Lohman Complex, houses first- year and upper-class. Rooms come in double, triple, and quad occupancy styles, with community and shower facilities on each floor. All of residence hall rooms come fully furnished (What to Bring). Each floor has a community space, a microwave and wireless internet access.

The ground level features a large furnished community room and houses our Commuter Student Lounge. Several recognized student organizations have rooms on the ground level.

Individual rooms have wireless internet access and data ports that include cable TV and Ethernet. There are coin-free washers and dryers located on the ground level and a computer lounge with community printer.

12 College Avenue Hall

College Avenue Residence Hall is a suite-style residence hall for sophomores, juniors, and seniors. The building houses 94 students with students living in a variety of room configurations, ranging from 4 to 6 residents.

Each suite consists of one or more bathrooms, depending upon the size of the suite, area with microwave, furnished with tile floor, and combinations of single and/or double rooms. Each is tiled and furnished with an extra-long mattress and bed frame, dresser, desk, and desk chair. Blinds are provided for all .

The suites also have wireless internet access, data ports with cable TV, Ethernet, and telephone jacks for local phone service. In addition, the hall has rooms, conference rooms, and community activity areas. The hall also has coin-free washers and dryers located on the ground level.

13 Capital Commons

The Capital Commons Apartments are a residential living area for juniors and seniors located less than one block from campus. Each of the 24 apartments can from 3 to 4 residents, with the option of either a furnished 2 bedroom (4 residents) or 3 bedrooms (3 residents). There are coin-free washers and dryers located on the of each unit. View a list of items you can bring.

There is also reserved parking for residents, a large lawn, and community beach volleyball court. Residents living in the Capital Commons Apartments are not required to be on the meal plan.

Residents of the Capital Commons Apartments must have an academic standing at or above 60 credit hours (academic juniors and seniors) at the time of occupancy. Residents must have no record of serious disciplinary violations and a cumulative GPA of at least 2.75.

14 Capital University Apartments

The Capital University Apartments are available to juniors and seniors and are located approximately two blocks from the campus, providing residents with a unique off-campus experience. The apartments are housed in one building, on three , with ten apartments per floor.

Each of the 30 apartments house three residents in two carpeted bedrooms with two bathrooms. All apartments come fully furnished. Full including refrigerator, range, microwave, and dishwasher. View a list of items you can bring. The building also features an and a large common room with a kitchenette, TV, recreational equipment, and coin free laundry. Residents living in the Capital University Apartments are not required to be on the meal plan.

Residents must have an academic standing at or above 60 credit hours (academic juniors and seniors) at the time of occupancy. Residents must have no record of serious disciplinary violations and a cumulative GPA of at least 2.75.

15 Sheridan and College Avenue Houses and Apartments

Located less than one block from campus, the houses and apartments are to between 4 and 5 residents. All houses/apartments come fully furnished and there are coin-free washers and dryers for resident use. View a list of items you can bring.

Wireless internet access is provided, but there are NOT direct ethernet connections. Access to Cable TV and all other utilities are included**.

Residents must have an academic standing at or above 60 credit hours (academic juniors and seniors) at the time of occupancy. Residents must have no record of serious disciplinary violations and a cumulative GPA of at least 2.750.

16 Trinity Suites

The Trinity Suites are located on the south side of Main Street on the corner of Sheridan Avenue and are home to approximately 50 students in single and double occupancy suites.

Each suite consists of a private , kitchenette area with microwave and mini- fridge, and a small sitting area. All of residence hall rooms come fully furnished View a list of items you can bring.

Individual rooms have wireless internet access and data ports that include cable TV and Ethernet. There are coin-free washers and dryers located on the ground level and a computer lounge with community printer.

17 Trinity Apartments and Townhouses

Located on the north side of Main Street between Bexley Square Plaza and the Rusty Bucket, the Trinity Apartments and Townhouses are home to approximately 151 students. Students live in a 1 to 3 bedroom units housing between 2 and 4 students each. All apartments come fully furnished. There are coin-free laundry facilities located in the lower level of the 2160 and 2184 . View a list of items you can bring.

There is also reserved parking for residents and a large and community area. Residents living in the Trinity Apartments and townhouses are not required to be on the meal plan.

Residents must have an academic standing at or above 60 credit hours (academic juniors and seniors) at the time of occupancy. Residents must have no record of serious disciplinary violations and a cumulative GPA of at least 2.750.

19 Apartment/House Living Who is eligible? To be eligible for housing in an apartment or house, students must: • Be a rising Junior (60 or more credits) • Maintain a cumulative GPA of 2.75 or higher • Be in good student conduct standing with the University. • Apartment and House Options include: Capital Commons, Trinity Apartments, CU Apartments, Sheridan Ave. Housing, and College Avenue Houses. (College Ave. Residence Hall and Trinity Suites are suite style buildings).

Can I appeal my eligibility? Any appeals to eligibility must be submitted in writing to [email protected]. Students who submit an appeal may also be required to meet with a member of the Residential Life staff to determine eligibility.

If I add Summer Housing, will I have to vacate my current housing assignment before moving into my 2020-2021 assignment? No. If you plan to be with us through the summer, you will be able to move directly from your current housing assignment into summer housing. Typically, this move would occur no more than 2 weeks after graduation. Further instructions regarding moving to summer housing will be distributed later in the semester.

If I selected the same unit for next year that I am in currently, do I have to move out? If you are planning to stay for the summer, no you would not need to move out. The only exception to this would be units that are offline for the summer for renovation or repair. Please see the list of apartments and houses that are offline for the summer. If you are not staying for the summer, then you would need to vacate at the end of the semester.

Can I remain in my housing during breaks? Yes. Apartment and house residents are eligible to remain in housing over the breaks for no charge (this excludes summer housing, which is a different process). Residents MUST still complete the Break Housing Request online so that we have an accurate record of who is on campus during each break period. (Please note that College Ave. Residence Hall and Trinity Suites are not apartments and thusly students would be required to pay for break periods.)

What furniture is provided in my house or apartment? All apartments and houses are fully furnished. Each bedroom is furnished with a bed, mattress, dresser, or . Apartments and houses also include desks and desk chairs for each resident. Common room furniture includes soft seating in the and dining table and chairs. All provided University furniture must remain in unit.

20 Off-Campus Eligibility Who is eligible to live off campus? Any student wishing to live off campus must apply and be released from housing by completing the Housing Release form. Students must meet one of the following eligibility requirements: • Age 22 or above • Completed 60 credit hours by the start of the next semester • Married • Live with parents/guardians in permanent residency within 30 miles of Campus. • Special Accommodations o Diagnosis of an ongoing health-related issue requiring special living accommodations that University housing cannot reasonably provide (supporting documentation and registration with the Office of Disability Services required). • Extenuating Circumstances o Change in financial status which demonstrates a hardship if the student is required to live on campus. What will happen if I am not eligible to live off campus, but I don’t sign up for on campus housing? Per University policy, students who violate the housing policy can be billed housing and meal charges for the next semester.

After I get my housing placement, can I still get out of the campus housing agreement? Yes. Students have until July 1, 2020 to cancel their housing without penalty. After July 1, 2020 students who apply for, and are released from housing will be charged a $300 housing cancellation fee. Students who are not released from housing, but choose to live off campus can still be held accountable to housing and meal charges selected during the housing selection process.

Selection Process How are selection times determined? Selection order is determined randomly within class rank. Selection times are as follows: • Rising Seniors (90 or more earned credits)—Monday, March 23, 2020 • Rising Juniors (60 or more earned credits)—Tuesday, March 24, 2020 • Rising Sophomores (30 or more earned credits)—Wednesday, March 25, 2020 • Less than 30 earned credits—Thursday, March 26, 2020

What do I have to do to be eligible for selection? To be eligible to participate in selection, you must: • Complete online housing Intent form: www.capital.edu/housing-process • Pay $100 online housing Deposit: https://epay.capital.edu/C20501_tsa/web/login.jsp

21 Where can I find the forms I need to complete for selection? All selection information can be found online at www.capital.edu/housing-process

How will I know when to select my room? All students who have completed the online housing intent form and paid the $100 housing deposit will be issued a selection time. Selection times will be sent to your Capital University email on March 16, 2020. Thorough instructions will be provided at that time.

What happens if I have a conflict during my selection time? If you are not available to participate in selection at your assigned time, you are welcome to pick a proxy to select in your place. Proxys will need to report to the Office of Residential and Commuter Life at your assigned selection time to select housing for you. To setup a proxy, please contact the Residential and Commuter Life staff at [email protected].

Can I select a single room? If a single room is available at time of selection, yes you can select it. Please be aware that very few singles are available each year, and it is likely that no singles will be available at the time of selection.

What happens if I don’t have a roommate? You will still be able to select housing at your assigned time. Please note that all apartments, houses, and suites must be filled to capacity at time of selection. Rooms in traditional residence halls with an open space must be filled. If you do not have a roommate and there is another student who already selected an open space, you will automatically be placed into that open spot. Please also keep your eyes open for upcoming roommate mixers that RAs may be hosting throughout the halls.

If I am on internship, or studying abroad this semester, can I still participate in housing selection? Yes. As our process is entirely online, it is actually quite easy to participate. As long as you have access to internet and are eligible for selection (have completed the housing intent form and paid the $100 deposit) you will be able to select. What if I will only be here for one semester due to graduation, internship, or studying abroad? Away during Fall Semester: • Complete the SPRING 21 housing intent form. This will allow us to ensure you are packaged as a resident through financial aid. We will then reach out to discuss housing placement during the second half of the fall semester. Away for the Spring Semester: • Complete the housing intent form, pay the $100 deposit and participate in the housing selection process.

Can I request to live with an incoming first year student? Yes. Please contact our office ([email protected]) in advance of selection so that we can work with you on placement. Requests must be mutual to be honored.

How do I apply for theme living community housing? Theme housing application packets are available online at www.capital.edu/housing- process. Applications are due to the Office of Residential and Commuter Life no later than January 31, 2020.

What housing options will I be able to select from? Do I get to select my apartment, house, or suite mates? Yes. Moreover, when selecting an apartment, house or suite you must fill each unit to capacity. If you do not will your space to capacity, the system will not allow you to select that unit.

Forms/Rates/Other Questions What are the room and board rates for next year? Room and board rates for 2020-2021 are available and posted online here: http://www.capital.edu/Room-and-Board-Rates/

What are the terms of my housing agreement? This Campus Housing Agreement must be completed and submitted by each individual requesting student housing prior to being placed in a Capital University residential facility. It applies to all residence halls, apartments, and houses operated through the Residential and Commuter Life Office. The Agreement to reside in University facilities is between Capital University and the individual student. The Agreement is not a lease.

FINANCIAL RESPONSIBILITY: Students are held responsible for the payment of room and board charges for the entire academic year upon entering into a Campus Housing Agreement. Students who agree to the terms of the Agreement and

23 are registered for classes but fail to occupy the assigned housing will be responsible for the payment of room and board charges FOR THE ENTIRE ACADEMIC YEAR.

TERM: A standard 9-month Agreement applies to all residence halls, apartments, and houses operated through the Residential and Commuter Life Office. Residence hall rooms are only available during fall and spring semesters, and not during periods between semesters or during scheduled university breaks. The Agreement will be from August 2020 to May 2021. Please note: Summer housing has a separate housing agreement and application process.

REQUEST FOR A RELEASE: A student requesting a release from the Agreement and the University Residency Policy must complete the Housing Intent Form (please select commuter) before July 1 for the fall semester and December 1 for the spring semester. Those students who apply for release from the Agreement but who are denied a release will be responsible for payment of room charges for the entire academic year. A mid-year request for a residency release from the Agreement will only be considered for students with extenuating circumstances supported by the appropriate documentation. Students who are approved for release from the Agreement will be responsible for payment of the $300 Cancellation Fee and prorated room and meal plan charges based on the date of key return and check-out from the residence halls.

CANCELLATION: In the event that a student leaves his/her housing assignment due to an official Withdrawal, the student will be responsible for a $300 Cancellation Fee. Students may qualify for prorated room and meal plan charges based on the date of check-out and key return. Students who are graduating, studying abroad in a university- sponsored program, or called for active military duty are exempt from the Cancellation fee.

ELIGIBILITY: Only full-time undergraduate students enrolled for 12 or more credit hours at Capital University are eligible for housing. Students who are not registered for classes will not be permitted to move-in or remain in campus housing. Changing from full-time status does not terminate the Agreement. Students falling below full-time academic status during a semester will be responsible for the payment of all room and board fees. Capital University reserves the right to deny housing or cancel housing for students who: are not in good conduct or financial standing with the University, violate the Student Code of Conduct, have a criminal record, or falsify information on a housing application or Agreement. Capital University reserves the right to deny housing to individuals who may have been convicted of violent crimes and other felonies. Capital University will consider each application on a case-by-case basis. Students are required to disclose criminal record information to the Student Affairs office, prior to completion of the Housing Intent Form.

RESIDENTIAL POLICIES: Students who enter into this Agreement understand that they agree to abide by the Student Code of Conduct

24 and the residential policies and procedures established by Capital University. Failure to follow these rules may impact eligibility for housing.
