There is nothing more frustrating than when customers leave without paying. Missing out on anything from the odd meal here and there to a full night’s accommodation can impact your bottom line.

We know staying in the black when you own a is a delicate 1balance as it is, without customers doing a runner. But you can offer your customers convenient, non-obtrusive payment options that not only reduce your risk of theft or fraud, but also enhance your customer offering with frictionless payment options.

So what options do business operators have to combat theft and fraud?

For any business that offers their services based on 2consumption, or in advance of payment, there is a risk of theft by non-payment, or from fraudulent use of a credit card.

A Guide To Credit Card Pre-Authorisation 4 The problem with taking a deposit Bars and restaurants are hamstrung when it comes to walk-outs. Your customers would be appalled if you insisted on taking a deposit before they sat down to enjoy a few drinks and snacks, but it can be incredibly difficult to recover the lost revenue if they walk out without paying. As a bar or restaurant, you carry all the risk.

Even for moteliers and hoteliers, taking a deposit isn’t always feasible. The pressure is on to make booking as easy as possible thanks to high competition and the ease with which guests can shop around online. The issue is that if you use a third-party booking system, you can’t the credit card details used to make the booking indefinitely. If you choose to store credit card details you could be breaching PCI rules, but you can’t rely on online booking platforms to help recover lost revenue if your guests leave without paying.

“14% of restaurant owners surveyed have noticed an increase in the number of customers coming to their establishment and intentionally leaving (or attempting to leave) without paying” (1).

MOTO a no-go? Even if you do decide to take a deposit, doing so at the time of booking using a card-not-present MOTO solution will mean that you incur higher merchant service .

So how do you guarantee your customer can cover the cost of your service before you invest time, money and resources into providing your sought-after services – whatever they may be?

Did you know your humble EFTPOS terminal can do some serious heavy-lifting when it comes to protecting your business from fraud and theft?

3If you have a Verifone EFTPOS terminal, you have access to a feature with powerful benefits for your business. This feature is called ‘credit card pre-authorisation’.

A Guide To Credit Card Pre-Authorisation 6 SAFER PAYMENTS Processing a credit card pre-authorisation transaction in advance of supplying your or services helps secure the revenue you expect to receive, before you invest your time and resources into providing your services.

Credit card pre-auths allow you to check that your customer has enough credit available to pay the expected cost of your goods or services. The pre- auth also validates that the card isn’t blocked due to being stolen.

A pre-auth puts a temporary ‘hold’ on funds on your customer’s card. You can then complete the transaction, once the service is completed or goods exchanged.

The authorised funds will show as pending for a few days until the funds are released by the cardholders . You can still complete the pre-authorised transaction for up to 30 days after the initial pre-auth. After 30 days the pre- auth will expire and can no longer be completed.

Credit card pre-authorisation is free for Eftpos New Zealand customers.

A Guide To Credit Card Pre-Authorisation 7 Completing a credit card pre-auth is not much different from a regular purchase transaction, except you do not need your customer’s card. To complete the transaction, you simply recall the pre-auth and then complete the transaction according to your customer’s actual spend.

For example, if the pre-authorisation was for $200, but your customer only spent $180 you would complete the pre-authorisation for $180, their card would be charged $180 and the remaining $20 held on the card is released back to your customer’s card.

Terminals connected to the Verifone network need a pre-auth ID to recall the open pre- auth. This number is printed on the pre-auth approved receipt and can also be accessed via the Pre-Auth Report on your terminal.

A Guide To Credit Card Pre-Authorisation 9 TIPS FOR MANAGING PRE-AUTH NUMBERS

Without the pre-auth ID number you can’t recall and complete the transaction, so it’s critical you put record-keeping processes in place, so your team can track down the right pre-auth IDs.

Here’s some ideas for keeping a record of pre-auth IDs: • Record the pre-auth ID against the booking in your booking system or Point-of- Sale system. • Keep the pre-auth receipt in your tab book, instead of the customer’s credit card. • Keep a copy of the pre-auth receipt in a binder or folder for safekeeping.

For terminals connected to the Verifone Network, pre-auth transactions are stored on the network rather than on the terminal.

This means a pre-auth can be started on one terminal and completed on a different terminal, if both terminals have the same Merchant ID loaded.

If your terminal is connected to the Paymark network, you will need to use the same terminal to open and complete the pre-auth.

You don’t need your customer’s card back to complete a pre- authorisation transaction. This gives you plenty of scope for creating convenient, frictionless payment experiences for your 4customers.

A Guide To Credit Card Pre-Authorisation 11 Don’t worry about extra fees either!

A pre-auth completion transaction is considered a card-present transaction if the original pre-auth was a card-present transaction. You can also process a pre-auth as a MOTO transaction, but this means the completion transaction will be subject to card-not-present transaction fees.

For example, imagine you’re with a mate heading out for a couple of drinks on a sunny afternoon. You head over to the bar and your bartender asks you if you want to open a tab.

Of course, you do!

Instead of swapping a tab card for your credit card and watching your credit card disappear behind the bar (gulp!), the bartender simply lets you know there’s a $100 tab minimum, but that any unspent funds will be returned to your card. You pull out your credit card and swipe it just like you would if you were making a purchase.

Your roaming server grabs you a couple of rounds of drinks while you stay comfortably at your table. When it’s time to leave you let the server know you’re heading off, they bring you’re your GST receipt, you finish your drink, and you’re off!

How to tell your customers about pre-auth holds When you’re explaining how pre-authorisations work to customers we recommend letting them know that they may notice two transactions listed on their credit card statement. A temporary authorisation hold and the final payment. The authorisation hold may show as ‘pending’ for a few days until the funds are released by their bank, but there’s no need to worry.

A Guide To Credit Card Pre-Authorisation 13 FIGHTING FRAUD ONE PRE-AUTH AT A TIME

A common practice is to charge a $1.00 pre-auth to confirm a card is valid. But since credit card pre-auths temporarily hold funds on your customers card, it’s not ideal if all you want to do is make sure the card isn’t stolen or that the credit card number is valid. 5That’s where ‘Status Check’ comes in!

A Guide To Credit Card Pre-Authorisation 14 Verifone terminals on both payment networks have a feature designed specifically for validating credit cards called 'status check'. This feature sends a $0.00 pre-auth to the card’s issuing bank to make sure the credit card is valid and that there are no blocks on the card i.e. the card is not stolen.

You don’t need the physical card to perform a status check, so this is particularly handy if you use an online booking platform. On terminals connected to the Verifone network you can find status check under the ‘Pre-Auth’ menu. On terminals connected to the Paymark network you can find card status check under the ‘Hospitality’ menu.

If you’re liking the sound of credit card pre-authorisations already, we’ve got great news for you… it gets better! We’ve built a range of pre-auth add-ons that make managing bills and accounts super easy. Let us introduce you to additional 6pre-auths, delayed charges and partial completion.

A Guide To Credit Card Pre-Authorisation 16 Increasing the value of an open pre-auth This functionality allows you to increase the value of an open pre-authorisation. Adding an additional charge extends the pre-auths expiry date by 30 days from the latest additional charge. On the Verifone network we call this ‘Additional’, on the Paymark network it is referred to as a ‘Top-up’.

Adding a charge to a completed pre-auth A delayed charge can be processed against a completed pre-authorisation transaction to ensure your customer covers the cost of all services received. On the Verifone network we call this a ‘delayed charge’, on the Paymark network it is referred to as ‘delayed completion’.

Partial Completion Terminals connected to the Paymark network can perform a partial completion. Once the cardholder has received an agreed portion of the goods or services a partial completion can be performed. This indicates that there will be more transactions to follow.

Pre-auth add-on functionality including additional pre-auths, top-ups, and delayed charges may incur a monthly . Talk to your terminal provider for more information.

There are plenty of ways accommodation businesses can use pre-auth functionality to both minimise risk and create 7frictionless payment experiences.

A Guide To Credit Card Pre-Authorisation 18 Credit card pre-auths can help make the frantic check-out rush a little easier. If you process a credit card pre-auth when your guests check in, your guests do not have to present their card again to check-out. You can simply complete the pre-auth transaction made on check-in and send your guests on their way.

Here are some other ways you can use pre-auths in your accommodation business:

Confirm online bookings Use a pre-auth or status check to confirm a credit card number used to make an online booking. This is especially handy if you use a third-party booking platform such as booking.com since you do not need the physical card to perform a status check.

Manage your customer’s bills Validate your guests’ credit card when they check-in and check they have enough credit to cover the cost of their booking by processing a pre-authorisation transaction. If you need to increase the value of the pre-auth because your guest charged room service, ate a meal in the restaurant, or received a spa treatment you can use an additional pre-auth to ‘top-up’ the original pre-auth.

Express checkout Offer express checkout services where your guests simply drop their room key at reception and go. Since your guest does not need to present their card again, you can simply complete the pre-auth and check them out without them present. If it turns out they’ve used the mini bar that morning, you can process a delayed charge against the completed pre-auth to ensure all costs are covered.

The convenience of opening a tab and ordering drinks from the table incentivises customers to stay at your premises longer and increases average spend. But offering a tab service puts you at risk of losing a fair amount of revenue if your customers 'do a runner' without paying for the tab.

8Even if you keep a credit card on file, it may not have enough credit on it to cover the cost of the tab, or worse still it could be stolen. That’s where pre-auths come in!

Processing a pre-auth means your customer only has to present their card once and it means you don’t have to store their card behind the bar. This makes for a much better customer experience because:

• Customers only have to approach the once – less waiting, more socialising! • Your customer’s credit card stays safely in their , where there’s no chance of it getting lost behind the bar (or skimmed). • Customers don’t need to leave their seat to grab a round or navigate across a crowded bar with two (or three!) full pint glasses. • When it’s time to leave, customers don’t need to wait for the bartender to find their credit card in the tab book. They simply let the sever know they’re done, finish their drink and head out the door!

There’s more to pre-auth bar tabs than a better customer experience too. Using a credit card pre-auth to open tabs also benefits your business by making it easier for your staff to manage tabs, and by incentivising your customers to stay longer and spend more.

A Guide To Credit Card Pre-Authorisation 21 6 KEY REASONS WHY YOUR BAR SHOULD BE USING PRE-AUTHS TO MANAGE BAR TABS

1. By using a pre-authorisation to open a tab, you know the card is a valid card and you know it has enough available credit to cover the tab.

2. Your customer only needs to swipe their card once, so your staff aren’t tied up behind the bar taking payment every time your customer orders another round.

3. The ease with which your customers can order another round means they are more likely stay longer and spend more.

4. Your bartender isn’t tied up looking through the tab book for a credit card when it’s time to close the tab.

5. Your customers don’t have to queue at front of house to pay the tab, so they don’t block up thoroughfares or make it more difficult for your servers to get across the floor.

6. Since you can return the credit card straight back to your customer, there’s no risk of losing customer’s cards behind the bar.

Offering catering and event services is a great way to build a pipeline of forecastable revenue for your restaurant. It’s so satisfying watching your event bookings stack up, knowing that the catering is worked out in advance and your kitchen knows 9exactly how much product to order and you know how many staff members you need to roster on. Booking out your space for events can help tide you over during the slower winter months when walk-ins dwindle.

You’ve answered all their questions about the menu, lighting, capacity, dietary restrictions and yes they can hire a DJ. Next comes the big night! But then comes the worst part… ’The Chase’. Sending follow-up after follow-up to get your host to settle their account is not a great use of your time. You should be chasing your next event booking, not chasing invoices.

What if your host pays up for the overage on the food and beverage, but then refuses to pay for the taxis you booked for the group on their way out when you send them an invoice on Monday? What if they don’t recall asking for that bottle of wine that wasn’t listed in the beverage package? What if the credit card number you used for the deposit declines when you go to settle-up the final bill? Uh oh…

Chasing invoices and payments is no fun for anyone, but fortunately there is a better way.

How to manage your accounts with pre-auths Your host expects to pay a deposit for the event, so why not charge a credit card pre-authorisation instead? Open a pre-auth for the whole minimum spend to guarantee the credit card has enough funds. After bump-out you can simply complete the pre-authorisation to settle-up the bill.

If your guests spent more on the bar, ordered taxis or more food you can use an additional pre-auth to increase the value of your open pre-auth to make sure all costs are covered.

Since your host does not have to present the card again, there’s no trying to track them down in the chaos of the event to make sure they pay. Simply send them the final itemised invoice and let them know their account has been paid and that they’re good to go. Easy!

A Guide To Credit Card Pre-Authorisation 25 HOW TO GET SET-UP Verifone network If your terminal is a Verifone terminal connected to the Verifone network, simply call 0800 EFTPOS (option 4) and ask to activate credit card pre-auths, additional pre-aths and delayed charges on your terminal.

Our helpful customer services team can help you between 8am and 5pm Monday to Friday.

Paymark network Verifone terminals connected to the Paymark network come with credit card pre- auths and card status check activated as standard. You will need to get in contact with your to enable pre-auths on your terminal, however. If you need help, our customer services team can answer any queries you might have between 8am and 5pm Monday to Friday. Please note that additional pre-auth functionality including top-ups and delayed completions are only available in the 2017 version of Paymark software.

Pricing Credit card pre-authorisation is a standard feature on both networks.

This means it’s free for Eftpos NZ customers to enable and use credit card pre- authorisation.

Since pre-auth completion transactions are card-present transactions, they don’t incur card-not-present fees as long as the pre-auth was a card-present transaction. MOTO pre-auth completion transactions incur card-not-present merchant service fees charged by your acquiring bank.

Standard credit card transaction processing fees charged by your acquiring bank also apply.

A Guide To Credit Card Pre-Authorisation 28 Here is how to open a pre-auth on a customer’s card so you can hold funds to be either completed or cancelled at a later date.

1. Select Menu 2. Scroll down and select Pre-Auth 3. Select Pre-Auth 4. Type in the amount you would like to pre-authorise on the card and press Enter 5. Customer presents card and enters their PIN or presses Enter. To process a card-not-present pre-auth press the # key on the present card screen. 6. Customer signs the receipt if prompted 7. Check customer’s signature 8. Select Yes to approve the signature or No to decline it 9. Terminal will offer option of also printing a customer receipt Note: Pre-auths are stored on the Verifone network for 30 days at which point they expire and cannot be completed or cancelled from the eftpos terminal.

Once the pre-auth expires, you will need to obtain consent from the cardholder to process any new payment.

Card-not-present pre-auth completion transactions incur additional merchant services fees.

This is how to complete a pre-auth transaction. You can complete the transaction for more than was pre-authorised but note that credit card regulations stipulate the completion amount should be no more than 15% above the pre-authorised amount.

1. Select Menu 2. Scroll down and select Pre-Auth 3. Select Completion 4. Type in the Pre-Auth ID* and press Enter 5. Terminal will display Retrieving Data Please Wait

Terminal will print the transaction result 9. Terminal will offer option of also printing a customer receipt * The Pre-Auth ID is printed on the Pre-Auth receipt and can also be obtained from the Pre-Auth Report (see below)

Pre-Authorisation Cancellation

A Guide To Credit Card Pre-Authorisation 31 Cancelling an existing pre-authorisation transaction will release the entire pre-auth amount back to the card. 1. Select Menu 2. Scroll down and select Pre-Auth 3. Select Cancellation 4. Type in the Pre-Auth ID and press Enter 5. Terminal will display Retrieving Data 6. Select Yes to confirm the cancellation or No to return to the idle screen 7. Terminal will offer option of also printing a customer receipt

Status Check

A status check will confirm a card is valid without holding any funds on the card. This can be helpful for verifying credit card details are accurate and for checking there is no blocks on the card i.e. it is not stolen. On the Verifone network card status check is currently only available to ANZ acquired merchants and can only be used on Visa and MasterCard cards.

1. Select Menu 2. Scroll down and select Pre-Auth 3. Scroll down and select Status Check 4. Customer presents card and enters PIN or presses Enter 5. If the card is valid an ‘Approved’ receipt will print 6. Terminal will offer option of also printing a customer receipt

Use the pre-auth report to access a list of all your non- completed pre-authorisation transactions. This is great for finding your pre-auth IDs. 1. Select Menu 2. Scroll down and select Pre-Auth 3. Scroll down and select Pre-Auth Report 4. Select Terminal or Merchant 5. Terminal will display Retrieving Data Please Wait 6. Terminal will prompt to Print Pre-Auths? No / Yes

Note: The terminal option displays only pre-auths from the current terminal. The merchant option displays all pre-auths from terminals with the same merchant ID

Use an additional pre-auth to increase the value of an existing pre-auth so it can be completed at a higher value than the original amount. 1. Select Menu 2. Scroll down and select Pre-Auth 3. Select Additional 4. Type in the Pre-Auth ID and press Enter 5. Terminal will display Retrieving Data... 6. Select Yes to confirm the pre-auth details or No to return to the idle screen 7. Type in the additional amount and press Enter 8. Terminal will print the transaction result 9. Terminal will offer option of also printing a customer receipt

Note: You can use an additional pre-authorisation to increase the value of an open pre-auth transaction up to three times.

Use a delayed charge to process an additional charge against an already completed pre-authorisation. 1. Select Menu 2. Scroll down and select Pre-Auth 3. Select Delayed Charge 4. Type in the Pre-Auth ID and press Enter 5. Terminal will display Retrieving Data... 6. Select Yes to confirm the Pre-Auth completion details or No to return to the idle screen 7. Type in the delayed charge amount and press Enter 8. Terminal will print the transaction result 9. Terminal will offer option of also printing a customer receipt

Note: You can process up to three delayed charge transactions within 90 days of the pre-auth completion. We recommend contacting the cardholder if you intend on doing a delayed charge. If you need to do a delayed charge for a large amount, we recommend processing the transaction using MOTO instead.

Here is how to open a pre-auth on a customer’s card so you can hold funds to be either completed or cancelled at a later date. 1. Scroll down and select Hospitality 2. Select Auth 3. Type in the amount you would like to pre-authorise on the card and press Enter 4. Customer presents card and enters their PIN or presses Enter 6. Customer signs the receipt if prompted 7. Check customer’s signature 8. Select Yes to approve the signature 9. If approved an Accepted receipt will print

Note: Pre-auths are valid for 30 days at which point they expire and cannot be completed or cancelled from the eftpos terminal. Once the pre-auth expires, you will need to obtain consent from the cardholder to process any new payment.

If there are multiple matches, you can scroll through and press Enter on the correct Pre-auth 5. Type in the final amount you want to complete the authorisation for and press Enter 6. If approved an ‘Accepted with signature receipt’ will print. Your customer should sign this receipt

This is how to partially complete a pre-auth transaction. Once the cardholder has received an agreed portion of the goods or services a partial completion can be performed. This indicates that there will be more transactions to follow.

1. Scroll down and select Hospitality 2. Select Partial Completion 3. Select the method you want use to search for the stored authorisation 4. Enter in your search parameter and press Enter. If there are multiple matches, you can scroll through and press Enter on the correct Pre-auth 5. Type in the amount you want to partially complete the authorisation for and press Enter 6. If approved an ‘Accepted with signature receipt’ will print. Your customer should sign this receipt

Cancelling an existing pre-authorisation transaction will release the entire pre-auth amount back to the card.

Note: There is no limit to the number of top ups you can perform on an open pre-auth. The customer must present the same card the original pre-auth was made on. A Top Up will extend the period of the authorisation by 30 days from the Top Up date.

Note: A delayed completion may be processed up to 7 days after the final completion transaction. We recommend contacting the cardholder if you intend on doing a delayed charge. If you need to do a delayed charge for a large amount, we recommend processing the transaction using MOTO instead.

Please note that additional pre-auth functionality including top-ups and delayed completions are only available in the 2017 version of Paymark software.
