September 2011 board meeting minutes
Date: Sept 25, 2011 Time: 1:45 pm – 3:00 pm Location: SCSU Engleman B306
Attendance: Meng Liu, Yan Huang, Jinhua Sun, Hong Wang, Ning Wei, Min Wu, Bintao Feng, Guangzhi Zhai, Anna Zhang, Henan Li, Qintong
Election of 2011 board chair was held, led by PTA president Guangzhi Zhai. Ning Wei was elected as new board chair, Bintao Feng as vice chair, both by majority of the board directors 6/7 votes. Votes were counted and witnessed by Henan Li, Qintong and Anna Zhang.
The meeting was then led by the newly elected chair Ning Wei and following issues were discussed.
A brief was given by SCCS principal Mr. Jin-Hua Sun. The school administrative structure outline was explained to the new board members. Emphasis was given on the need of the administrative team so the principal can have more time to focus on the long term strategy and directions for SCCS, including how to further enhance our relationship with SCSU.
Following the principal’s briefing, Ning Wei brought up possible ways to fund “Chinese Culture & Travel Program Fund”. The board discussed the need to establish a new “Chinese cultural exchange” program under which we can carry out activities such as collaborating with SCSU Foundation and hosting Chinese families who are touring universities and schools.
Wei Ning listed board responsibilities and they are shared by each of the board directors.
Min Wu will oversee financial related policies.
Hong Wang will be the board liaison to the school Newsletter editorial board, and will work on the Newsletter policy that has been in discussion in previous meetings.
Yan Huang will be responsible for taking notes of the board meeting and drafting minutes after each meeting.
Bintao Feng will take the lead of PR working closely with Ning Wei and SCCS principal.
Bintao Feng and Meng Liu will oversee IT policies and develop fundraising strategies.
Guangzhi Zhai will compile ideas from the discussion and draft a guideline on PTA seminars. The draft policy will be considered by the board directors. The consensus during the preliminary guideline is that seminar requesters may need to share the room usage fees with SCCS.
The board also discussed PTA recruiting procedures. PTA can recruit vice presidents as needed without board approval.
Two days after the board meeting, Ning Wei made a motion to vote on the 8-25-2011 board meeting minute (previous board meeting) by an anonymous online voting method. On Oct 1st, 2011, the votes (of 6 total votes) were counted, and the minute was passed based on simple majority.
