COVID-19 BEST PRACTICES FOR WEDDINGS

I have worked in several counties and states during the Covid-19 pandemic, planning wedding celebrations and events. Here are a few of the suggestions I would recommend.

1. Know the state and county requirements related to your event with updated Covid re- quirements and restrictions. They may change weekly. At a recent event, I discovered the host- ing venue had no idea of their own county’s restrictions and regulations and they were clearly making decisions that could put attendees at risk.

2. I found building a comparison between various counties and between several states made for a useful tool to plan event, working through the details and safety protocols of each event. The requirements differed between states and counties. I found myself using requirements for COVID-19 from several jurisdictions to add a little layer of protection, and sometimes, com- mon sense. Staying on top of recommendations and expert advice from across the country was helpful working in one state to the other.

3. I worked closely with my couples to inform them of all the important information they needed to know about the regulations to have a safe event. Getting my couples to approve my suggestions was not difficult. They appreciated me doing all the heavy lifting by keeping up on the information and providing guidance to their family and guests.

4. Getting COVID 19 information out to all attendees was easy once the couple agreed with baseline regulations. It was helpful to provide updates on the couple’s wedding website, and on arrival of guests.

5. What’s the plan? If you learn someone attending the event has previously been ex- posed to a person or persons testing positive for COVID-19, you need a plan to deal with that. What do you do if a guest arrives to the event showing symptoms of the illness, such as fever, cough, or feeling ill? Discuss with your venue and clients.

6. I maintained a contact list of all the guests in the event contact tracing became neces- sary. Who and how will the guests and staff be informed in the event of positive contact? This one step will save you valuable time if contacting attendees is needed.

7. Make masks for indoor events a requirement. Handing out masks at the door, or put- ting masks in wedding welcome bags, are convenient, and necessary. I keep extra masks on hand for those who “forget” to bring one. It may take a few friendly reminders for guests to keep wearing it.

8. Hand sanitizer in welcome bags and stationed around the various event rooms are a must. I also like having disinfecting wipes stationed around the event so staff can wipe down surfaces to keep things as germ-free as possible. Continued on page 29...

9. Staff precautions include wearing masks, gloves, clean clothing that had been washed after their last event (aprons, chef jackets).

10. Delivery and other vendor personnel need to use the same precautions and distance themselves from other vendors as they set up.

11. Provide the information to all vendors so everyone is on the same page. They should come prepared with masks and understand the distancing protocols.

12. During an indoor event, keep doors open to lessen handling of doors knobs from ven- dors and guests. This also allows for fresh air and better ventilation in a crowded room.

13. I would not permit non-covered food and beverages to prevent exposure. This includ- ed pre-placing prefilled water glasses and bread baskets on tables. I recommend anything to be preplaced on tables to be covered including, bread and butter on plates-covered with plastic wrap; water glasses with water poured once guests are seated, salads served after guests are seated; cake placed behind a clear-plexiglass protecting the cake and barrier to keep guests six feet away from the cake display.

14. To prevent contamination of silverware, I suggest rolling it in the napkin, although many of my clients did not like the look. I remind the couple it would only take one sneeze with droplets landing on a place setting to cause an outbreak.

15. Some venues may have installed special filters in their HVAC systems. Find out if that is the case.

16. Have elderly guests or those at risk be seated at tables with fewer guests and at a location closer to a door leading to the outside to maximize fresh air and ventilation.

17. Tables should have fewer guests seated per table and use larger tables for distancing. A six-foot table that seats ten comfortably should have only 4-6 guests per table.

18. Ceremony seating can be spaced out in wider rows with fewer guests in each row. Wearing masks should be required, even for outdoor ceremonies.

19. Blocking off rows at indoor venues for a ceremony is equally important to ensure prop- er distancing between guests.

20. Avoid handling and handing out ceremony programs to each guest. Use a large chalkboard or have a lovely wooden sign made that lists the ceremony order.

21. Speeches during the ceremony and reception need attention. The microphones should be wiped down after each speaker/speech is especially important. Band and DJ’s mi- crophone should NOT be used by guests.

22. Hand out any favors at the end of the evening, with one person wearing gloves as- signed to hand out these favors to minimize contact and handling of the favors.

23. Know the permitted number of guests for gatherings. Some venues are restricted by number of people, others by percentage of guests based on a room’s occupancy number. Example: a graduation I planned allowed me to have 50% of room capacity. A room with an occupancy of 180, I was permitted to have 90 attendees. I chose to lower that number as well, holding the number strong at 70 attendees.

24. Know if your guests/attendee number includes vendors. A fifty-person event might mean 42 guests and 8 vendors.

25. DOCUMENT EVERYTHING! In the event of a problem after the event, document everything you did should an outbreak be traced back to your event. Keep the documentation regarding the steps you took to secure the venue and keep safe the attendees. Take photos of the event including examples of these steps; wiping doorhandles, masks required, any signage, and staff wearing masks and gloves. Document reminders given to guests and vendors as to social distancing and wearing a mask requirement. Include a list of guests and their contact information should an attendee test positive after the event.

ISSUES that may/have occurred: 1. As the alcohol pours, guests let down their guard. Dancing close to each other without masks. Laughing and singing without precautions tends to be a frequent occurrence during celebrations. Remember, as the music becomes louder so do the attendees voices. Without masks, social distancing should be a priority. A DJ or bands reminders did not seem to help. 2. Challenge guests who smoke or gather outside without masks. This is challenging to control, but the effort should be made. 3. One issue I have encountered is working with venues and vendors who do not take the regu- lations as serious business. You can expect some vendor push-back. 4. Some towns, cities and counties want to have the wedding planner held responsible for an outbreak of COVID-19 during one of their events. They seem to think planners are the careless ones. Again, documentation of what I did, and knowing the regulations and restrictions are extremely import- ant. 5. Planners and vendors may end up with clients who do not agree with the requirements and safety measures. I recommend to my vendors they add a COVID-19 clause to their contracts, making it clear to clients they need to take the recommended precautions.
