CALL TO ORDER Lynda Dundas, President, occupied the chair and Brian Howe, Secretary, recorded the minutes. The Meeting was called to order at 2:05 p,m.

QUORUM A quorum of at least twenty Members being present, the Meeting was declared validly constituted.

PREVIOUS MINUTES The draft Minutes of the previous Annual Meeting of Members held on March 30, 2019 were reviewed by the Members, The Members considered, and adopted, the following resolution.

Upon Motion duly made (Marko Saban) and seconded (Ian Marshall), it was resolved that the Minutes of the Meeting of the Members held on March 30, 2019 be approved. Motion was approved unanimously.

PRESIDENT’S REPORT: Lynda Dundas presented the President's Report, as attached hereto.

TREASURER’S REPORT AND FINANCIAL STATEMENTS: Ms. Simms presented the Treasurer's Report together with the Financial Statements for the year ending December 31, 2019, as attached hereto.

Members considered, and adopted, the following resolution. Upon Motion duly made (Laura Heberle) and seconded (Leanne Larmondin), it was resolved that the Reports (as attached) and Financials be accepted with congratulations on a job well done. Motion was approved unanimously. 3

ELECTION OF DIRECTORS The candidates proposed for election to the position of Director of the DRC each for a 3- year term are Graciela Conde, Ingo Ensminger, Julie-Anne Fiore, Michael Neary, Vilma Faccani-Von Buren, and Walter Benko. An election was held electronically in advance of this meeting, the results of which are attached. As such, the Members considered, and adopted, the following resolution.

RATIFICATION The Members considered, and approved unanimously, the resolution that all the acts, proceedings, contracts, by-laws, appointments, elections and payments enacted, made, done or taken by the Board of Directors, the Officers, agents and employees of the Don Rowing Club since the last Annual Meeting of the Members of the Don Rowing Club as recorded in the minutes of the Meetings of the Board of Directors and the Members, or on the books or records of the Don Rowing Club, be, and the same are hereby ratified, approved and confirmed.

NEW BUSINESS

Special appreciation was expressed to Lynda Dundas for all her hard work over the past year leading the club as President.

Lynda Dundas announced the recipients of and Row Ontario Awards.

RCA Long Service Awards were bestowed upon Ernst Peters for 30+ years, Vaclav Honsa for 25 years, and Patrick Vincent for 30 years.

Special Recognition of Patrick Vincent for his years of service to the DRC- Board member, Treasurer, LTR instructor, Friend of the Dons founder and rower in both Masters and Rec over the years. He is 86 years old and still going strong!

NEXT MEETING The next Annual Meeting of the Members of DRC will be held on Saturday, March 20, 2021 in the Pogue Room, Don Rowing Club, 25 Front Street, Mississauga, Ontario. This Meeting will commence at 10 a.m.

TERMINATION Upon Motion duly made and seconded, it was resolved that the Meeting be terminated. Motion was approved unanimously. The Meeting terminated at 2:45 p.m.

PESIDENT’S REPORT

What a year this has been! It is difficult to think back to what transpired at the club through the summer and fall of 2019. We trained, we rowed, we raced, and we had fun socially with our rowing family. I will leave the highlights of our successes on the water to our Head Coach to report. Congratulations to all those who fought and won on the racecourse!

We applied for and received an Ontario Trillium Foundation grant for a new truck and trailer. Last week we took possession of the truck and for the first time - we have a blue vehicle! We await the opening of the border for delivery of the trailer. Once we start travelling to regattas again, we will be well equipped and safe!

You the members supported two food drives in 2019, at Thanksgiving and Christmas, with proceeds donated to the Compass in Port Credit. Last week you once again demonstrated the generosity and caring that the DRC is known for by donating 375 pounds of non-perishable food to Mayor Crombie’s Thanksgiving Food Drive. Thank you to all who helped to make this happen!

I would be remiss if I did not publicly thank Peter and Patrick Okens at this time, for the donation of their beautiful Hudson single. Peter, a life member of the club, has decided to hang up his oars after many years of service. Peter, we hope you will still come for breakfast and a visit once we are back to “normal”.

Our summer camp program of 2019 was a great success under the able direction of Matt Pamenter and Lexi Wright and their coaching team. From the camps twenty new juniors joined us last September.

In November under the able guidance of Vilma Von Buren and her Captains Dinner crew we celebrated not only the accomplishments of the year but also our 141st Anniversary! This fall unfortunately we will have to put the event on hold.

On March 14, 2020, two weeks before our originally scheduled AGM the world and rowing hit a big speed bump as COVID-19 took over our lives. We went from scrambling to get disinfectant and clean everything in sight to being totally shut down within two weeks! Our COVID-19 committee was formed. Steve Dmytrasz as chair along with Brant Ottnad, Julie Gentilcore, Paule Dion, Yara Ensminger, Karen Drysdale-Chung and the coaches took on RCA’s Risk Management Tool and Protocols and worked hard to allow us to get back to rowing in singles once the Province and the City allowed it. They continue to monitor and respond to Peel Public Health and the varying demands of the pandemic. We cannot thank them enough for their ongoing guidance and attention to safety. As we will not likely be able to train indoors over the winter months the committee is considering how best to keep our members engaged. Watch for updates on dock removal and virtual winter training.

We are living in a time of uncertainty when the health of our sport and all we love is at stake. It will be difficult to maintain quality programming with new and ever-changing regulations and restrictions. We have stayed safe until now and cannot risk doing anything to lose what we have.

As you vote for your directors please consider carefully who can best lead the DRC to excel both on and off the water. Management skills and a sound knowledge of the rowing world at all levels are important attributes to take us forward. The new Board will have many issues to deal with including By-Law revisions, Strategic Planning, Safe Sport direction, and COVID-19 mitigation. All these and more will require attention in the coming year.

After many years of service to the club I am stepping down as President. It is time for new energy, new ideas, and new initiatives. I would like to take this opportunity to thank all those Board members who have supported and led us forward to this point. I want to extend a special thank you to Ernst Peters who saw fit to get me involved so many years ago, to our great coaching teams-past and present and to all those members who help make the DRC a great club to belong to!

Stay focused, take one stroke at a time and together we will reach the finish line successful, happy, and healthy!

TREASURER’S REPORT

This year is no different from any of the past several years when I have had the honour of not only providing a financial summary for the past year, but also had the opportunity to thank our volunteers, coaches and members for all that they have done to contribute to the wellbeing of our rowing club.

The Don Rowing Club finished the 2019 year with a net income of $18,006 (total revenues minus total expenses), putting us in a strong position for 2020. This bottom line does not include the very generous grant we received from the Ontario Trillium Foundation of $127,300, and of which 90% was paid to us in December 2019 for the purchase of a new truck and trailer. Our operating bank account is healthy will provide the cash flow necessary to operate to the full degree we have become accustomed, barring any major catastrophes. In addition, our GICs which represent our short-term investments total approximately $160k.

Bingo has continued to contribute to our bottom line ($33,400) and remains our single most important fundraising activity where all rowing members are requested to participate. Unfortunately, participation of Bingo players has continued to decline, and this has negatively affected our revenue from this source by 12 % in comparison to 2018.

Membership revenue experienced the highest level of income in the last five years due to a successful focus of increasing our Junior membership category to full capacity. As well, slight increases in the Summer Competitive and Master programs were achieved. The Learn to Row programs again exceeded our targets, with particular emphasis in the youth LTR in spring and youth camps. Over $56k in total was raised from the LTR programs, and clearly a great deal of thanks must be extended to our volunteer coaches and our paid summer coaches.

Facility rentals were similar to 2018 ($33,400) and primarily consists of locker and boat storage fees. There were no film productions that took place during the year.

Expenses were controlled to the level required, and as a result, no new rowing shell purchases were made, and the budgeted funds were used for repairs and maintenance as well as needed upgrades to boats and cox box repairs. A much-appreciated focus regarding regatta fees occurred, and this translated to reduced regatta fees and less scratched entries. Coaching fees were similar to the previous year.

A review of the 2019 Financials with accompanied pie charts will be reviewed at the AGM on October 24th. In addition, a brief update on the club’s current financial state will be provided with more detail to be provided at a future town hall meeting. HEAD COACH REPORT

I have been part of the Don Rowing Club family for five seasons, and it has been a great journey full of learning and growing. 2019 has been the best year so far in all aspects: success in all programs, robust membership, constant improvements in equipment and facilities, and increasing our presence in the community.

Don Rowing Club members have a lot to be proud of:

• International Success o The DRC is the only club in Canada to put athletes on the Junior National team every year for the last 5 years! Three athletes participated in the 2019 World Rowing Junior Championships in Tokyo, Japan (August 7-11, 2019) ▪ Adam Kroll – JM4x / 4th in Final B ▪ Eric Seawright – JM4x / 4th in Final B ▪ Maya Meschkuleit – JW4x / 4th in Final A

• Junior Program o We had one of the largest participation levels in our junior learn-to-row programs. In 2019, over 125 youth were introduced to rowing through either the spring LTR program or through the summer camp program. o 69 members where part of the 2019 junior program (49 full year members, and 20 fall- winter members who continued from the summer camp). o A big thank you to all the coaching staff who have committed countless hours to making this program what it is today. Thank you to Gina Bin, Emmanuel Azarcon, Lynda Dundas & David Gilmore. o Notable results: o 2019 CSSRA ▪ Gold for the Women 59Kg Sr 4x ▪ Silver for the Men Sr 4x ▪ We also put seven scullers in the singles finals! • Three scullers in the Sr Men 1x, two in the Jr Men 1x, one in Sr Women 1x, and one in the Jr Women 1x. o 2019 Ontario Rowing Championships ▪ 4 gold, 1 silver and 2 bronze

o Four rowers from DRC were named to Team Ontario and competed at 2019 National Rowing Championships (Emma Seawright, Kyle Nummi, John-Wes Appleton and Christian Goff). I was also named as Ontario Coach for the U19 Men’s team.

• U23 & Senior Program o Many thanks again to Manny Azarcon and David Gilmore for their tireless help with the U23 & Senior program. Their technical approach and patience have created a strong and dynamic group. o The U23 group has doubled in size from 2017, in 2019 we had 20 athletes back to DRC to train in the summertime. o Notable results: ▪ 2019 Ontario Rowing Championships • 4 gold and 2 silver. ▪ 2019 Royal Canadian Henley • A record 3 gold medals for the U23 program (Lwt M1x, W2-, W4x).

▪ Head of the Charles • Belen Mercado won the Head of the Charles in the Women Club 1X, with the 2nd best time of the event!

• Recreational & Fitness Program o Lynda Dundas continues to be the lead coach of the Recreational & Fitness program group. This year she got the help of many guess coaches, including David Gilmore, Manny Azarcon, Walter Benko, and Lorne Thomas. o The main objective of the group was to keep everyone active, engaged, and enjoying their time on the Credit river. In the summer there were often close to 30 rowers on the water in both sweep and boats. o In the winter, the Rec & Fitness program made a group for the DRC Cross Canada Erg Challenge and had some of best numbers! o Year after year, the members of DRC Recreational & Fitness program are some of the most committed to the club, always providing support to all aspects of the club: rowing, fund raising, social events, gardening, and more.

To conclude, 2019 was an incredibly successful year and I feel honoured to be the head coach at this vibrant club. It is our members that make our club one of a kind; without their commitment to their program, to each other and to the club none of this would be possible. Thank you all for your support and involvement in the club, we should each feel proud of our club’s success.

2020 has been an incredibly challenging year for all us on so many levels. We could not have faced these difficult times without the drive and dedication of our members. I would like to thank the DRC Board and the COVID-19 Committee members for their prudent leadership in getting the club operational this year. I was so pleased to see over 120 members back on the water this summer and fall season. I do not know what will happen in the next few months and into the next rowing season, but I am certain that our DRC family can face any challenge.

ROWING & HOUSE COMMITTEE REPORT

Looking Back on 2019 • The DRC continued to update our erg inventory. As per the last few years, we sold off three of the older ergs and replaced them with three new Concept2 Model 5 ergs from the Canadian Indoor Rowing Championships. The DRC currently has 28 ergs available in the Pogue room. • A few more acquisitions were made for the weight room, notably a series of dumbbells and another weight rack. • In 2019 we wanted to really focus on water safety and proactively avoiding collisions. Traffic on the Credit river is becoming more crowded every year – this is not something we can necessarily control, though we can manage our own behaviour on the water. In 2019 we implemented a mandatory safety class at the start of the rowing season and a new “Damage to Equipment” policy. The results were positive, and we want to continue along those lines in the future. • The DRC had 23 Incident Reports filed. Eighteen of those involved damaged shells and/or oars, and 6 involved collisions between two boats. The damage to equipment includes: o 3 broken riggers o 4 boats crashing into the rocks o 4 damaged/ broken oars o 3 lost fins • One area where we can improve in the future is streamlining how Incident Reports are submitted and disseminated to various coaches/captains. We launched a new, improved “Incident Report” that gives better info about where and how an incident took place. Thank you to everyone who submitted one, and a special thank you to everyone who wrote legibly. We do read each of these reports. • In terms of repairs and parts for the damage: o Two boats (2- & 1x) were sent out to Hudson for repair at cost of $2,275 & $1,400 o Another single was sent out to Fluid for repair at a cost of $550 o Nine sculling riggers were purchased at a cost of $4,455 ($495/ea) o One sweep rigger was purchased at a cost of $315 o Over $6,000 was invested in parts to be on hand in the boathouse for day-to-day repairs and upgrades (nuts, bolts, slides, shoes, oarlocks, speed washers, seats, wheels, slides, shoes, footplates, etc.). o An enormous thank you to Tibor Kovacs, Cliff Scott & Horacio Tendilla for their time effort in maintaining and repairing the fleet, and to Vaclav Honsa for continuing to coordinate tank rentals.

• In June, Goca Lebl launched her book “Don Rowing Club – The First 140 Years” with a wonderful reception attended by both current members and alumni. Thanks to everyone who came out, and thanks to Peter McKenna for the donation of a vintage DRC artifacts. Goca is continuing to serve as the club’s historian and we’ll be looking to have more such exhibitions in the future.

• June also saw the dedication for the bench to honour the memory of long-time DRC coach Fred Loek. The bench was placed between the DRC and the Mississauga Canoe Club (MCC) and will also be in memory of MCC coach John Wood.

• Another Ontario Trillium Foundation grant application was submitted at the beginning of 2019 for the purchase of a new truck and trailer for the DRC, valued at $127,300.00. This is a major capital investment that happens every ten years or so. We received news that the grant was approved in mid-November, with the purchases to happen in the 2020 rowing year. • On the coaching side we continued to have regular coaching meetings to coordinate between the Board and various program coaches, and ensure we were all on the same page.

• The end of the year saw Katrina and Taylor Pluzak spearhead the refurbishment to the men’s and women’s washrooms with a new epoxy flooring going down, putting a fresh coat of paint of the walls and other smaller upgrades. Thanks to Katrina and Taylor!

• Priorities for 2020: o Re-tiering our fleet to make sure that all programs have access to good equipment and feel that their needs are being met. o Replacing our motorboat fleet, which is showing its age. Buying 1-2 new hulls and replacing the motors as needed. We want to fully replace our fleet within the next few years.

The 2020 Season • For obvious reasons, the 2020 rowing season has been challenging for everyone. A global pandemic is not something that most organizations actively plan for. However, we responded quickly and managed to make the best of a bad situation. The club is in a good place. • We were able to start rowing beginning in June, mostly in singles and doubles, and continued well into the fall. We tried hard to ensure that everyone who wanted to be on the water was able to get out at least a few times per week, while ensuring that we meet safety standards. • A huge thanks to the COVID-19 committee for working hard to ensure a safe and speedy re- opening. This includes Steve Dmytrasz, Brant Ottnad, Yara Ensminger, Paule Dion, Karen Drysdale-Chung and Julie Gentilcore. Thanks also to the entire coaching staff for making the summer/fall rowing season possible, even in difficult circumstances. Re-opening the club required a ton of work by many, many people who volunteered their time. • The club is in remarkably good shape financially. This is not the norm at other rowing clubs across the GTA, and it did not just happen on its own. We owe the current situation to a decade of great work by Cori Simms and Elene Brett-Evans, who have managed the club’s finances with Swiss-like precision and grace. • Under normal circumstances we would have continued to acquire boats and equipment as needed. These plans were delayed by the COVID-19 pandemic, and we will be revisiting them in the 2021 season.

MEMBERSHIP COMMITTEE REPORT

Thank you to all the members of the Don Rowing Club for another great membership year.

The numbers presented today includes Recreational, Competitive, Masters, Junior, and members. In the 2019 membership year, we saw a slight increase to the Master and Summer Competitive (U23) programs.

We had another successful LTR program this year with a great attendance in the junior LTR programs. We held 4 adult LTR sessions over the season with a total of 48 participants. For the junior LTR, we had 13 participants in the spring session, and we had 115 participants in 6 summer camp sessions.

Many, many thanks to all the volunteers, the LTR sessions would not be possible without your help.
