But there will be directional signs near and at the entrances of the City Hall. Octopus Card Apart from cash payments, you can also pay for your ride of public transport by the Octopus Card—a smart magnetic card that stores money value for easy payment processing. Most local riders use it because of its convenience and wide applicability. It can be used in supermarkets, convenience stores, fast-food outlets, etc. You can buy an Octopus Card at all MTR stations (customer service counter) at HK$150 each. HK$50 is the deposit, and the rest becomes value stored. When you are departing Hong Kong, simply return the card to an MTR customer service counter and get your deposit back minus a $9 administration fee.

*The official languages of the Congress are English and Chinese. Simultaneous interpretation from English to Chinese (Putonghua) and vice versa will be provided for the Technical Sessions.

Upon arriving at the Low block, City Hall on Monday morning, you should sign in at the registration desk at the Low Block foyer. Any outstanding payments for registrations will be taken on-site in cash in Hong Kong dollars. The registration desk will open from 8:30 to 17:30 throughout the 5-day event, except on Wednesday afternoon where cultural tours are scheduled.

To speed up the registration process, please bring your confirmation of booking (sent via email) with you. You will then collect your name badge (which is necessary to gain access to all sessions), tickets for social events, as well as a Congress bag containing the preprint, the programme, a special edition of Studies in Conservation, an information pack and souvenirs.

Social Programme

Receptions All delegates and their companions are welcome to join the evening receptions on Monday, Tuesday and Friday. No admission tickets are required. Shuttle bus service will be provided and set off from the City Hall at around 17:45.

Cultural Tours For delegates who have pre-registered for a tour on Wednesday afternoon, the selected tour will be displayed on their badges. Please gather at the assembly point outside the Low Block foyer at 13:30 on Wednesday.

Congress Dinner & Post-Congress Excursions These are optional events that require online registration and payment in advance. Admission tickets for these events will be issued at registration desks. Please remember to bring along your ticket when attending the event.

You may also join the Congress Dinner ($780) or the 1-day excursion to Lantau Island ($650) by making cash payment at the registration desks in Hong Kong dollars. Dinner Venue: Jumbo Floating Restaurant

Technical Programme

Please check out details of the paper sessions on the Congress website. The following reminders are intended only for paper and poster authors presenting at the Congress:

Page 5 of 9 Speaker’s Preparation Room Speakers are strongly advised to submit their PowerPoint files via email ([email protected]) before 14 September. If you could not make it, please proceed to the help desk located outside the Theatre (1/F, Low Block). Our staff will guide you to deposit your presentation files in the Speaker Preparation Room. Please be sure to complete this step at least 30 minutes before your presentation session begins.

Poster Display A selection of 45 posters and 20 student posters will be displayed in the Exhibition Hall (1/F, Low Block) adjacent to the Congress Theatre. After signing in at the foyer on 22 September, Monday before 10:00, poster presenters should then go upstairs to the Exhibition Hall to deposit your final poster. You do not need to bring in fixing material or tools as there will be Congress staff to assist in poster mounting.

Note: All presentation files and posters should be prepared according to the guidelines we have issued to you earlier by email. If you are uncertain about this, or should you have any technical requests or inquiries, please inform Casey Liu ([email protected]) as soon as possible.

Refreshment Breaks & Lunch

Light refreshments and coffee/tea will be served during the morning and afternoon breaks outside the Exhibition Hall (1/F, Low Block), where the trade fair and poster display will be held.

Meals are NOT included in the registration fee but a food kiosk selling light bites and snacks will operate from 12:15 till the end of lunchtime daily throughout the Congress week in the Exhibition Gallery (7/F, High Block).

At the Hong Kong City Hall Limited free Wi-Fi service will be available in the Exhibition Hall, the Low Block foyer and the High Block foyer. Free Internet Express Terminals are available at the City Hall Public Library on 6/F, High Block. Each session lasts for 15 minutes.

Outside the Congress venue If you have a smartphone and need 3G data during your stay in Hong Kong, you may consider buying a temporary pre-paid mobile SIM card with data roaming service from convenience stores upon arrival at the Airport.

Printing & Photocopying Facilities Printing facilities and self-service photocopiers are available at the City Hall Public Library on 6/F and 9-11/F High Block respectively. Service charges apply. Insurance The congress registration fee does not include insurance of any kind. It is strongly recommended that all participants take out appropriate travel and medical insurance before departure. General Enquiries A designated enquiry counter will be set up in the Foyer on Monday, 22 September. For the rest of the Congress week, please approach the registration desks for assistance.

Enquiries regarding items lost or found can be made at the registration desk. To minimise losses, please ensure that your belongings are not left unattended in any of the session venues. Banks & ATMs The Hong Kong dollar is pegged to the US dollar at about US$1 = HK$7.8. You may exchange Hong Kong dollars at the Airport, local banks and currency exchange shops. Automatic Teller Machines (ATMs) are common in Hong Kong and can be found in every MTR (metro) station, bank branches and most shopping centres. The two largest ATM networks in Hong Kong are provided by JETCO and HSBC / Hang Seng Bank Group. Most ATMs accept cards from around the world such as Visa, Master, Cirrus, PLUS and Unionpay, and allow you to withdraw Hong Kong dollars as cash. You may check with your bank the maximum amount of money you can withdraw from ATM each day and may need to activate the overseas ATM cash withdrawal function before travelling to Hong Kong. Fees may be charged on transactions, especially if withdrawing from overseas accounts. Smoke-free Policy

Smoking is prohibited in all indoor public places and selected outdoor areas in Hong Kong, including all areas inside the City Hall complex, and the venues of receptions and Congress Dinner.

Accessibility The Hong Kong City Hall provides a full range of barrier-free facilities for people with disabilities. Automatic doors, ramps, stair lifts and designated spaces inside the Theatre are available for wheelchair users. Please advise the organisers in advance should you require wheelchair access to the Theatre.

Weather and Clothing Hong Kong has a subtropical climate. In September, the average temperature is around 25-30 ̊C. As the City Hall and most indoor venues are air-conditioned, you may consider bringing along a thin jacket or sweater when attending meetings and social programmes.

Identification

It is always advisable to carry your passport or other forms of identification with you at all times. Language

English is widely spoken in Hong Kong and is one of the languages of preference in the government, business and tourism sectors. All official signs and public transport announcements, as well as most menus, are in both English and Chinese. As the Congress is welcoming an increasing number of delegates from China, you may be interested to learn some basic greetings in Putonghua (the official spoken language of China) at http://www.bbc.co.uk/languages/chinese/real_chinese/start/

Special Arrangements under Inclement Weather

Tropical cyclones (also known as typhoons) occasionally go through Hong Kong between May and November. Should a session / activity be affected due to inclement weather conditions, announcements will be made on the Congress website at www.iic2014hkcongress.org, Twitter and Weibo. E-mails will be issued in parallel to all delegates and exhibitors who have provided their emails at registration.
