Message from Property Manager, Areti Aloumanis

It is hard to believe how much time has passed and how much has changed since mid-March 2020. The changes and challenges that we have all experienced in our daily lives will stay with us forever. We are excited to welcome back all our retailers to Bayview Village. Over the past 10+ weeks, I’ve had the pleasure in speaking with many of you and answering all your questions. Our Team stands with all of you as we are “In This Together”. The Operations Team has been working diligently to ensure that we have a safe and welcoming return for all our Tenants, the staff, and our community. You will notice various changes throughout the centre, and we are all here to answer any questions that you may have. We continue to follow the guidance of our local Public Health Authorities, Health and the World Health Organization as we reopen and will continue to share the information with you. We hope this Playbook will be a tool to help you successfully reopen your doors and we are looking forward to seeing all our Tenants back.

Overview

Bayview Village Shopping Centre has remained opened throughout the Covid-19 crisis in order to provide access for essential retailers on a reduced operational schedule through various entrances. Non-essential retailers remained closed as directed by the Government of since March 24th, 2020.

Mid-May, the Government of Ontario issued a relaunch strategy to reopen businesses in stages commencing in May based on careful monitoring, strict guidelines and control measures (refer to the Government of Ontario website: www.ontario.ca. Stage 1 allowed some businesses and facilities to resume operations on May 19th, 2020 including retail businesses (clothing, furniture and bookstores) with storefront or dedicated street access. Stage 2 allowed additional businesses and facilities to resume operations on June 24, 2020 including retail shopping malls, restaurants and hair salons. As a result, Bayview Village Shopping Centre facilitated the opening of all our retailers on June 24, 2020 in line with Ontario’s relaunch strategy. To be successful, we must work together and exercise the utmost care and attention to continued social distancing parameters, enhanced sanitation, use of personal protective equipment (PPE), diligent hand-washing efforts, and staying home if you (or your staff) are not feeling well.

Bayview Village Operations

Our goal at Bayview Village Shopping Centre is to provide safety and comfort for weekly increases in traffic as we see mall employees, contractors and guests returning to the centre after a 10+ week hiatus. The following operational enhancements are currently under review and or in progress:

Interior Shopping Centre

Entranceways – We will be reducing the number of doors open at each entranceway in order to maintain physical distancing and utilizing signage and floor decals as required. o South Entrance (CIBC) – Automatic doors will be open. o Southeast Entrance (LCBO/Pusateris) – Automatic doors will be open. o Southwest Entrance (Scotiabank) – Automatic doors will be open o North Entrance (Shoppers Drug Mart) – Automatic doors will be open. o Northeast Entrance (Kings Crown) – Automatic doors will be open. o Northwest Entrance (Starbucks) – Every other set of doors will be open

Management Office – The administration office is open Monday to Friday 9:00 am to 5:00 pm (regular business hours); however, the management team will be reduced to 50% of staff on a rotational basis daily until further notice. In addition, there will be a limit of one (1) visitor at a time in the office noting appointments with key staff should be made in advance avoiding unanticipated drop-ins wherever possible.

Concierge – The concierge desk is open during shopping centre hours. There will be a guest service representative working at any given time with line up queues. Sneeze guards will be installed along with floor decals and applicable signage.

Public Washrooms – The public washrooms are open; however, we will be reducing the number of stalls available. The East washrooms are fully operational, however the West washrooms will have open every other stall, removing/shutting down the hand dryers and using paper products only for hand drying. The family washroom are limited to one family at a time and enhanced sanitation and frequency of cleaning all washrooms has been implemented immediately. Signage and floor decals have been installed accordingly.

Elevators– Signage has been installed at all the elevators to limit the number of passengers at any given time. Floor decals are also in place to manage queues.

Line-up Queues - Stanchions and floor decals are in place to manage customer queues for larger and higher demand tenants. Retailers will need to provide their own signage and manage their own customer queues accordingly.

Deliveries – Deliveries will need to be closely managed, scheduled and coordinated with the assistance of security and operations staff. Signage and oversight will be provided – details to follow. Waste and Recycling Management – Signage and floor decals are in place ensuring only one person in compactor facilities at any given time with floor decals and stanchions in place to queue accordingly. Security Staff– We continue to have security staff on site 7 days per week, 24 hours per day. Security can be reached at (647) 228-3367

Housekeeping Staff – We continue to have housekeeping staff on site and will ramp up coverage with opening as required.

After-Hours Forms – Any access to the mall outside of operating hours requires an approved ‘after-hours form’ (attached). A copy of this form can also be emailed. To request a form please email [email protected] or [email protected].

Personal Protective Equipment (PPE) – All mall personnel including tenant, guest services, security, janitorial, administration staff and other service contractors are encouraged to wear, (and in some cases, provided), PPE, including masks and gloves. - Updated July 2nd, 2020 – As per the City of By-Law 541-2020 – Beginning July 7, 2020, All staff, customers and visitors must wear a mask indoors, with some exceptions (children under the age of 2, people with certain health conditions, employees in designated areas or protected by a physical barrier). Exterior Shopping Centre

Employee Parking – Employee parking will be on the upper parking deck only. If you require a parking sticker, please contact the Management Office for a Parking Form.

*NEW* - Curbside Pick-up – Marked parking stalls are in place to accommodate curbside pick-up for Bayview Village retailers. Each entranceway will have numbered parking stalls with a unique identifier for ease of use. Retailers are to manage their own curbside pick up programs. Please advise Guest Services if you will utilize this service in order to keep our website up to date. A site plan has been included for your reference. When providing instructions to your customer for curbside pick-up, please strongly advise them to park at the entrance closest to your store and to provide you with the number they have parked at upon arrival. This will ensure a seamless transaction with no confusion as to which location your customer is waiting at.

Retailer Conditions for Opening

1. Bayview Village retailers will need to confirm whether they are included in the Stage 2 – approved retailers list prior to opening on June 24, 2020 (refer to Ontario’s relaunch strategy - attached).

2. If approved, please notify Bayview Village Property Manager by email [email protected]. Please indicate your approval and re-open plan including hours of operation, number of staff in your store, social distancing measures, signage plan, access requirements, and any other pertinent/relevant information including whether you plan on utilizing take-out and or curbside pick-up at the centre.

3. In addition, please communicate your plans regarding sick employees, employees diagnosed with COVID-19, prevention and screening initiatives, sanitation and disinfecting plans, personal protective equipment (PPE) plan, and any other relevant information.

4. For access to the mall outside of normal operating hours you will need to complete an after-hours form (as per normal procedures and noted above) and email to [email protected] or [email protected].

*Hours will be reviewed on a weekly basis and may be adjusted based on customer traffic and demand. *Retailers have the option of operating outside of these hours with notification to management.
