The donors submitted the file in a tab-delimited format. NARA staff preserved the records as a tab-delimited, variable-length ASCll file. The first record in the file contains the column heading. or layout, for that file. Verification: The World War II Prisoners ofthe Japanese File was processed using the Archival Electronic Records Inspection and Control (AERIC) utility. The AERIC reports revealed some minor discrepancies between the data and the documentation provided by the donors. On the AERIC reports, some of the abbreviations (codes) for some of the fields are listed twice with one entry having a carriage return, and in some ofthe records, the "Parent Unit" and '"Assigned Unit" fields contain only a carriage return, not a null value or data. Staff viewed the data file in VEDIT and detennined these carriage returns listed on the AERJC reports are instances where the records do not contain data or null values in all eleven fields according to the layout and instead have a carriage return in the last field with data in the record. In other words, these records are variable-length with tab-delimited fields and a carriage return and line feed at the end of each record. Many of the records have one or more blank fields: - II records have no data in the "Rank" field -58 records have no data in the "Service Number" field - 279 records have no data in the "Arm" field - 8103 records have no data in the "Source 1" field* - 26209 records have no data in the "Source 2" field* - 29725 records have no data in the ''Source 3" field* - 13820 records have no data in the "Subordinate Unit" field -8149 records have no data in the "Assigned Unit" field - 15501 records have no data in the "Parent Unit" field -24710 records have no data in the "POW Camp Notes" field •Although the documentation from the first donation (NN3-ADBC-06-00 1) indicates that all the records in the tile show the source of the data, nothing in the documentation explains what a blank in the "Source" field may mean. AERIC detected two exact duplicate records and four other instances where the name and serial number are the same, although the data in the other fields differed. NARA 's web site is http://www.archives.gov NARA Reference Copy There are a few discrepancies in the ..Assigned Unit" field in some of the records: ~There is one record with the value "Inshore patrol," however the value on the code list (and in 12 records) is "Inshore Patrol" with a capital P. - There is one record with the value "V Inctp Cmd," however the value on the code lists (and in 187 records) is "V Intcp Cmd." ~There is one record with the value ''USS Finch" and trailing spaces. ~Some of the records contain the values "See Notes." "Unknown," or "unknown." which are not listed on the code lists provided by the donors but are self-explanatory. Documentation: Since this file is an update ofthe 2006 donated World War II Prisoners ofthe Japanese Data File (NN3-ADBC-06-001), users may wish to refer to the documentation for the 2006 donation for information on the compilation of the records. In particular, the documentation for the 2006 donation mentions that much of the data in the '"Name," ''Rank," ""Service Number," and "Arm" fields was obtained from the NARA series Records of World War II Prisoners of War so users may also wish to refer to the documentation for the Records of World War II Prisoners of War for additional information. Goodsell Archivist Electronic and Special Media Records Services Division March 25, 2008 NARA 's web sile is http:llwww.archives.gQV NARA Reference Copy NARA prepared printout ofNarrative.doc, printed 10/19/2007 October I, 2007 Narrative to accompany the revised ADBC Database of World War II POWs of the Japanese: This revision to the ADBC Database of World War II Prisoners of War is being submitted to provide information gained from rosters of the 803rd Engineer Batta1ion (Aviation) and nwnerous individual records that became available to us after the April4, 2006 submission ofthe original database. A few individual records have been added to the database when the information became available and that information was verified by the American Battle Monuments Commission database. In most cases. those individuals died soon after becoming POWs and the information did not get into the War Department files maintained on IBM punched cards. During the preparation of this revision, it became apparent that displaying the Source Codes would be simplified by dividing the Source Field into three fields. In the revised database, whenever more that one source of information was used for a record, up to three source codes are provided. The sources are displayed alphabetically with the first code in the Source 1 field, the next code in the Source2 field and (if there is a third code) the next code in the Source3 field. The original database submission contained some instances of more than one code in the Arm and Rank fields that had the same meaning. These duplications have been resolved and the database can now be more effectively used to search for all POWs with the same entries in a field or combination of fields. There were also some typographical errors in various fields. We have worked diligently to eliminate such errors. Since entries in the Code Lists must be brief and most punctuation characters are not permitted, references to publications are not complete. The following additional information on publications cited in the Sources Code List is offered to persons that desire a more complete description ofthe source.
