JOB TITLE: Facilities Coordinator

RESPONSIBLE TO: The Operations Manager

SALARY: ​Annual: £25,000-27,000pa depending on experience

(paid pro rata: £7,500/pa)

WORK PATTERN: ​1.5dpw flexible part-time role (potential increase to 2.5DPW*)

HOURS​: 10.5hpw

RESPONSIBLE FOR: Supporting the Operations Manager with day-to-day maintenance & renovation projects of St Edmund the King, St Mary Woolnoth and St Clement Eastcheap.

Job Summary

The Bishop of Islington, one of the suffragan bishops of the London Diocese, supports the London Diocesan goal of creating 100 New Worshipping Communities and is available to the National Church to support church planting. His dynamic and creative team, based at St Edmund the King in London, provides a range of support to identify, develop and plant new worshipping communities as well as encourage church growth. Bishop Ric is Priest-in-Charge (Bishop-in-Residence) of St Edmund the King, St Mary Woolnoth and St Clement Eastcheap and the Facilities Coordinator would, together with the Operations Manager, primarily support the PCC of these historic city centre churches with the upkeep, smooth running and development of these buildings.

The Facilities Coordinator is expected to perform duties with independence, initiative and judgment while being a flexible team player.

Principal Duties of the role

Management of the church buildings

● coordinate and plan essential central services such as security, safety, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling (a few of these tasks to be undertaken directly by the postholder) ● ensure the buildings meet health and safety requirements and that facilities comply with legislation ● Assist the Operations Manager with drafting policies and procedures for safe and secure building use ● order supplies for two of the sites ● ensure compliance with First Aid, Health & Safety guidelines and legal requirements ● respond appropriately to emergencies or urgent issues as they arise, identify and execute solutions. ● along with other members of the staff teams on site, provide a welcome to visitors as and when required, making sure that all visitors are received in a friendly, tactful and helpful manner. When it is necessary, to be firm without giving offence.

Maintenance and redevelopment

● schedule and book regular servicing and inspections ● undertake or outsource maintenance work, both routine and unexpected, in a way which ensures minimum disruption to the ongoing work of the centre ● research, analyse and make effective recommendations on areas related to the facilities and aim to have a good understanding of the significant history of the sites. ● ensure the work identified as a priority in the quinquennial inspections is completed; o preparing documents to put out tenders for contractors; o supervising and coordinating the work of contractors; o ensuring agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies; ● support the Operations Manager with the delivery of the internal refurbishment project at St Edmund King and major internal and external renovation project at St Mary Woolnoth.

*Coordination of facilities hire ​(this aspect could increase time with 1 DPW)

● develop the opportunities around room hiring sensitively, making the most of the central location of the venues ● market the premises to new users ● act as point of contact for external event organisers prior to events, and when required, arrange site supervisors during events ● run the room booking system for the churches including liaison with primary users and external hirers (including the issuing of agreements and invoices) ● oversee access arrangements for users, maintaining list of door code holders, issuing temporary access codes/letters of authorisation as necessary ● contribute to reviews of best allocation and utilisation of space and resources and implementing any necessary reorganisation ● analyse potential building use opportunities including a) conduct due diligence, b) evaluate the net benefit of opportunities, and c) develop plans in partnership with senior management ● arrange rental valuations and ensure room rental charges are appropriate

● working with the bookkeeper, calculate and compare costs for required goods or services to achieve maximum value for money and produce invoices for room renters ● work with the Communications coordinator to keep website facilities pages up to date

● Liaise with the wider teams and increase awareness of the team facility needs ● The post holder may be required to undertake any other duties that are commensurate with the role.

This role would suit a friendly and flexible multi-tasker who enjoys a variety of duties, a completer/finisher who is able to plan, prioritise and execute their work and meet deadlines under changing conditions independently as well as part of a team.

Terms of Employment

Location​: St Edmund the King church, in the City (2mins walk from Bank station) with some scope for working from home.

Employer​: The PCC of St Edmund the King, St Mary Woolnoth and St Clement Eastcheap

Hours:​ 10.5 hours a week. Flexibility around working days, although Monday, Tuesday and Friday would be preferable, 10.00am to 13.30pm. Some occasional evenings required, for which time off in lieu is agreed with the Operations Manager.

The role, depending on experience and ability, could be increased with 1 day per week, if the successful candidate were able to manage and develop room bookings*.

Salary​: ​£7,500 per annum (FTE £25,000) + enrolment in pension scheme

Pension​: The successful candidate will be enrolled in a pension scheme

Probationary period​: 3 months.

Holiday​: 20DPY + Bank Holidays (allocated pro-rata)

Contract:​ This post is offered on an initial 2 year fixed term contract, subject to ongoing funding.
