Two-Hundred-Days-to-Go Celebration The 200-days-to-go milestone was celebrated in PyeongChang, Seoul and across Gangwon Province throughout the weekend leading up to 24 July 2017. PyeongChang 2018 promotional booths were operated along the Han River, the major river crossing Seoul from 21 July to 20 August 2017. A special G-200 fireworks festival was held in Chuncheon, the capital of Gangwon Province, on 22 July 2017 with more than 200,000 participants including dignitaries, athletes, media, local residents and

Ninth IOC Coordination Commission Meeting POCOG hosted the ninth and final IOC Coordination Commission meeting in PyeongChang from 29 to 31 August 2017. Representatives from four National Olympic Committees, all seven Olympic Winter International Sports Federations, TOP partners and the Korean government participated to provide their feedback to help ensure the PyeongChang 2018 Games offer spectators and athletes the best environment possible. During its visit, the Commission heard reports on areas such as 9th IOC Coordination Commission in PyeongChang athlete and National Olympic Committee services, sport and on 29-31 August 2017 International Federations, spectator experience, marketing, venues,

communications and engagement, legacy and preparations for the Paralympic Games. The Commission visited major venues and facilities such as the Olympic Park, Gangneung Olympic Village and the new high-speed train (KTX) station in Jinbu, etc.

PyeongChang 2018 Sustainability Website Launched The PyeongChang 2018 Sustainability website launched (http://www.pyeongchang2018.com/en/sustainability) on 3 July 2017 as a platform to showcase the importance of the Games’ social responsibility throughout all stages of Games preparations and operations. The website will act as a tool to help educate local residents, athletes, students, staff and anyone interested in the long-term plans of the host region. POCOG aims to help the host city area act as a new horizon for winter sports, and also to create a sustainable legacy for Gangwon province and the Republic of Korea as a whole. POCOG also announced the Coca-Cola Company (Coca-Cola) and KT Corporation (KT) as their first sustainability partners. Coca-Cola is undertaking a water quality project in the PyeongChang area while the local telecommunications partner KT is aiming to improve the telecommunications and tourism infrastructure readiness of the The PyeongChang 2018 Sustainability website, which launched on 3 July 2017 province.

New Marketing Partners POCOG has recently signed sponsorship agreements with the following corporations: Korea Electric Power Corporation (KEPCO) as an official partner; Hoengseong County as an official supporter of packaged raw beef; Maeil Dairies as an official supporter of packaged dairy products; Shinsegae Food as an official supporter; Somunsa as an official supporter providing printing and publishing services; and Kelly Services Ltd. as an official supporter to provide an outplacement programme for POCOG signs an official sponsorship with KEPCO permanent staff in addition to training programmes for temporary staff. on 23 August 2017.

New NOC Services Team Members The NOC Services department has grown to 24 people with the addition of four new staff members as of September 2017.

João Monteiro, NOC/NPC Services Centre Manager

João joined POCOG in September 2017 as an NOC/NPC Services Centre manager. With his passion for the Olympic and Paralympic Movement, João started his career as a volunteer for the 2008 IAAF World Half Marathon in Rio de Janeiro, Brazil. João also worked at the Brazil Modern Pentathlon Federation, where he organised international sports events and managed athlete entries. He also served as a Volunteer Programme Coordinator for the 2014 FIFA World Cup, FIFA Football for Hope and 2013 FIFA Confederations Cup. João worked as an NOC/NPC Assistants Programme coordinator at Rio 2016 Games and as an NOC Services manager at Ashgabat 2017. He has a degree in graphic design and speaks Portuguese, English and Spanish.

NAM Woohyun, NOC/NPC Services Centre Manager

Woohyun joined POCOG in September 2017 as an NOC/NPC Services Centre manager. He has been seconded from the central government after completing his training at the National Human Resources Development Institute (NHI), a government officer training centre. Woohyun has a bachelor’s degree in economics from Seoul National University in Korea. He enjoys playing soccer and tennis in his spare time.

LEE Jihyun, NOC/NPC Assistants Manager

Jihyun joined POCOG in September 2017 as an NOC/NPC Assistants manager. She has been seconded from the central government after completing her training at the National Human Resources Development Institute (NHI), a government officer training centre. Jihyun has a bachelor’s degree in public administration from Yonsei University in Korea. She enjoys playing tabletop role-playing games (RPG), reading science fiction and watching sports events in her spare time.

Chloe Eaton, DRM Coordination Assistant Chloe joined POCOG in September 2017 to support the DRM Coordination programme. She is currently studying sport development at Amsterdam University in the Netherlands. Chloe worked as an intern at the Alberta Freestyle Skiing Association from 2016-2017, where she supported event management for provincial and international competitions, development of a new athlete-training programme and management of social media. She was also a competitive middle distance runner competing at the national level in Switzerland. Chloe speaks English, Dutch and French.

Korean National Holiday Notice Please keep in mind that POCOG offices will be closed from 2-9 October 2017 due to Chuseok, the Korean Thanksgiving holiday, and the Hangeul (Korean alphabet) Proclamation Day.

ATO Accommodation Properties The balance of the payment for any NOC accommodation categories except for ATO beds in the Gangneung Olympic Village is due to POCOG by 30 September 2017. Payment for ATO beds in the Gangneung Olympic Village is due by 15 November 2017.

There will be four ATO accommodation available for those staying in the mountain cluster. Please note that the following ATO housing names have changed as follows:

- Heyden 700 (Easyum PyeongChang Residence) to AM Hotel; - Jeongseon Hyundai I Park to Park Roche; and - Bokwang Phoenix Park (Euro Villa) to Condo.

Accreditation will not be needed to access the ATO accommodations while all guests will be required to go through security screening. Please refer to the following table for more detailed information about the facilities.

Registration for the 24-25 October 2017 programme as well as for the Medical Services Information Day is now closed.

The NOC/NPC Security Workshop, Briefing on Dignitary Programme and the related venue tour are co- hosted by POCOG and relevant government agencies. NOCs may send up to four delegates per organisation and can forward the invitation to diplomatic missions in the Republic of Korea. NOCs that expect to have dignitaries present for the forthcoming Olympic Winter Games PyeongChang 2018 are strongly encouraged to attend the Briefing on Dignitary Programme.

Detailed information regarding the NOC/NPC Security Workshop and Briefing on Dignitary Programme was sent to NOCs in September 2017. NOCs interested in attending should submit an online form by 10 October 2017 at https://goo.gl/forms/bjqp1Ig02sZxsg5H2.

Opening an NOC Bank Account in Korea Details on how to open an NOC bank account in Korea with KEB Hana Bank, the official banking sponsor of the PyeongChang 2018 Olympic and Paralympic Winter Games, were sent to NOCs in September 2017.

For those NOCs planning to visit Korea in October for their visits to POCOG, it is highly recommended to open a bank account during their stay and prepare the necessary documents in advance.

Though NOC Relations representatives can provide support where possible, NOCs are strongly encouraged to contact KEB Hana Bank directly at [email protected] for any inquiries including the scheduling of a meeting. Please note that an appointment with the bank is required to open a bank account.

Ticketing Starting from 16 October 2017, additional tickets will go on sale to NOCs through the Client Ticket Portal (CTP), which will enable NOCs that signed a Ticket Sales Agreement (TSA) and their Authorised Ticket Resellers (ATRs) to purchase tickets in real time. Immediate payment will be required by a VISA card. Please note that tickets purchased from 16 October 2017 will only be provided as a thermal ticket, which is a ticket printed on thin receipt-like paper opposed to a souvenir type of ticket.

Redistribution services on the CTP such as ticket consignment resale and transfer functionalities, will also be available from 16 October 2017. Credit accumulated from transfers and successful resale may be used towards the purchase of new tickets.

POCOG Ticketing has started contacting NOCs and ATRs to schedule ticket pick-ups, which will start on 20 November 2017. All pick-ups must be made at the Ticketing Key Client Centre in Gangneung.

Athletes’ Friends and Family Ticketing Programme POCOG has set aside a number of tickets for sale to the friends and family of athletes who are participating in the Olympic Winter Games PyeongChang 2018. The Athletes’ Friends and Family (AFF) ticketing programme guarantees that two tickets are available for purchase by each athlete’s friend or family for each session in which the athlete competes. Opening and Closing Ceremony tickets are not included in the AFF ticketing programme.

NOCs may choose between the bulk purchase and individual purchase options. In the case of bulk purchases, NOCs are responsible for managing the purchase of tickets themselves. The individual purchase option will allow athletes’ friends and family to purchase the tickets directly on the AFF ticketing website or at any ticket box office using the athlete’s individual OIAC code.

Detailed information on the timelines and procedures for purchasing AFF tickets will be available to NOCs soon.

TA Transport Updates NOCs will be allocated the following vehicle types:

SUV – Hyundai Santa Fe (7 passengers including driver) NOC

Dedicated Vehicles Minivan – Kia Carnival (9 passengers including driver)

Wi-Fi service and an English GPS mobile application will be provided along with the NOC dedicated vehicles.

For curling, dedicated team vehicles and drivers will no longer be provided to NOCs. Athletes and team officials will instead be transferred using TA system buses between the Gangneung Olympic Village and the Gangneung Curling Centre. Please also note that a volunteer team host will no longer be assigned to curling teams.

NOC Transport Information Kit The NOC Transport Information Kit will be sent to NOCs in late October 2017. The kit will include detailed transport information such as transport routes between accommodations and venues, official distances and times between the venues, parking space locations and relevant transport maps.

Arrivals and Departures Updates Following the discussion at the ninth IOC Coordination Commission Meeting, POCOG has decided to use a direct bus service as the main arrivals and departures transport for NOCs. Buses from the Incheon International Airport (ICN) will be accompanied by a truck for baggage that does not fit onto the bus.

ATOs will also use a bus service to their official POCOG accommodations. Some buses going to Jeongseon may make a stop at the Phoenix PyeongChang Condo ATO housing. Buses going to the AM Hotel and Yongpyong Dragon Valley Hotel will make a stop at PyeongChang Olympic Village when ATOs share the bus with athletes.

POCOG will continue to use the KTX train as the main arrivals and departures transport for all Olympic Family clients including NOC Presidents and Secretaries General.

The NOC Arrivals and Departures Information Kit will be sent to NOCs in late October including a POCOG- provided Microsoft Excel template for NOCs to use to provide arrivals and departures data of their delegation members to POCOG.

NOCs will be able to use the Off-Airport Check-in Processing (OAP) service in the Olympic Villages from 25- 27 February 2018. They will be able to check in for their flight, receive their boarding pass and have their bags tagged and checked in. The OAP participating airlines are Korean Air, Asiana Airlines, United Airlines, Delta Airlines, Air France, Air China, Finnair, Lufthansa, Aeroflot and Air Canada.

Accreditation Submission Deadline - 9 October 2017 POCOG sent the Delegation Registration Package on 9 June 2017. The deadline to register all potential participants on the eAccreditation (eACR) is 9 October 2017. After the deadline, the eACR will be transferred into a read-only system.

Please refer to the eACR Technical Guide sent in July 2017 for step-by-step instructions on how to use the eACR for accreditation data submission. The guide and a tutorial video clip can be found on the PyeongChang 2018 Extranet at extranet.pyeongchang2018.com. POCOG Accreditation will work regular hours during the POCOG office closure from 2-9 October 2017 to support NOCs with their accreditation submissions.

Dignitary Accreditation Request Form NOCs were asked to submit the Dignitary Accreditation Request Forms (DARFs) to POCOG by 9 September 2017 along with the International Protection Personnel Request Form. POCOG Accreditation is now verifying the requests and DARFs’ information. POCOG Accreditation has started to inform NOCs of their DARF’s approval via email. Once the DARF is approved, NOCs can submit accreditation applications for their dignitaries, accompanying guests and entourage on the eACR.

Accreditation applications for dignitaries, accompanying guests and entourages as well as International Protection Personnel must be submitted by 9 October 2017 on the eACR.

Press Accreditation The accreditation application deadline on the eACR for all press participants was 8 September 2017. POCOG Press Operations has started the data verification process and began crosschecking the submitted data with each organisation.

POCOG will send pre-valid OIACs for press organisations to the NOCs and responsible organisations from late November 2017. NOCs and responsible organisations have the responsibility to distribute the pre-valid OIACs to their accredited individuals.

Customs and Freight Forwarding The updated version of the PyeongChang 2018 Customs and Freight Forwarding Guide was sent to NOCs in August 2017. The updated guide contains information regarding the customs clearance process for accompanied baggage.

The deadline for NOCs to submit the import applications for medicines, pharmaceutical products, medical equipment and veterinary medicine is 31 October 2017. If NOCs need to receive the import permission documents earlier to match their freight shipment timeline, they should notify Hanjin Transport and submit the applications earlier. The review process takes approximately one month.

The deadline to submit team applications for import permission of biathlon rifles and ammunition has been extended to 5 January 2018. NOCs were sent the revised import application form in September 2017.

Please note that NOC freight forwarders are recommended to email POCOG Logistics at [email protected] of inbound freight at least two months before freight arrival at the venue in order for POCOG to support the efficient tracking and customs clearance of Games-related freight.

NOC Health Care Personnel Registration Package The NOC Health Care Personnel Registration Package was sent to NOCs in July 2017 and included the following documents:

 NOC Health Care Personnel Registration Instructions;  NOC Physicians Registration Form;  NOC Non-Physician Health Care Personnel Registration Form; and  NOC Health Care Personnel Sharing Agreement.

NOCs are asked to submit the signed registration forms, appendices and other relevant documents to POCOG Medical Services at [email protected] and their NOC Relations representative by 31 October 2017. NOCs are encouraged to submit the forms any time from now as the forms will be processed on submission.

Competition Schedule Version 9 The PyeongChang 2018 Competition Schedule Version 9 was sent to NOCs in September 2017. It is also available on the PyeongChang 2018 Extranet at extranet.pyeongchang2018.com.

Venue Names Changes The following competition venue names have been changed as follows:

- Bokwang Snow Park to Phoenix Snow Park (freestyle skiing and snowboard); and - to Olympic Sliding Centre (bobsleigh, luge and skeleton).

Training Access Pass (TAP) The Training Access Pass (TAP) is a guest pass that provides access for operational non-accredited NOC staff (such as personal coaches, physiotherapists, etc.) to support athletes at the Olympic training and competition venues during training sessions.

Please note the following TAP principles:

 TAPs are applicable to non-accredited personal coaches, massage therapists and other essential staff.  TAPs are nominative and non-transferable.  TAPs do not act as accreditation and do not grant additional entitlements to the holder.  TAPs do not act as a visa waiver.  TAPs do not give access to food and beverage services at the venues and athlete lounges.  TAPs cannot be used in conjunction with Upgrade Cards.  TAP holders can only enter the Olympic Villages using a Village guest pass, which can be issued as a part of the respective NOC’s guest pass quota.  TAPs need to be requested in advance for each specific training session.  TAPs will not be provided for training sessions deemed too close to competition sessions.

Each NOC will be provided with a small quota (1-2) of TAPs for each sport discipline in which their athletes participate. The quota per NOC will be determined by the number of athletes per discipline and by venue.

The detailed TAP quotas, schedules and method of application will be shared with NOCs in October 2017.

Games-time Language Services - Genie Talk NOCs are encouraged to use an automatic translator called Genie Talk, which is available to download from mobile application stores for language assistance during Games time. Genie Talk provides speech, text and image translation between Korean and English, French, Chinese, Japanese and Spanish. Genie Talk can only be used with an internet connection.

Opening Ceremony Athletes’ Parade Order The marching order for the athletes’ parade at the Opening Ceremony has been confirmed. The delegation marching order will be determined by the Korean alphabet and IOC protocol, starting with Greece and proceeding alphabetically with the host nation Korea marching last. The marching order is available on the PyeongChang 2018 Extranet at extranet.pyeongchang2018.com.

Olympic Torches for Sale to NOCs

Each NOC will have an opportunity to buy their own PyeongChang 2018 Olympic Torch. This torch will be identical to the torches used during the Torch Relay except they will not have the lighting function. Each torch is 74.3 cm high and weighs 1.32 kg.

Torches cost USD 450 including tax and will come with a soft cloth bag and a protective tube case. NOCs are invited to contact their NOC Relations representative before 10 November 2017 if they wish to purchase a torch. POCOG will send an invoice and the payment will be due by 30 November 2017. NOCs will be able to pick up their torches from NOC Services Centre in the Olympic Villages.

NOC Houses The PyeongChang 2018 NOC House Guidelines were sent in August 2017 to those NOCs that expressed interest to operate their House. Please refer to the guidelines for NOC House planning and operations. The document is also available on the PyeongChang 2018 Extranet at extranet.pyeongchang2018.com.

Inspiration Club POCOG will operate the Inspiration Club, which will offer the members of the Olympic Family and their guests an exclusive clubhouse environment with premium hospitality at the Gangneung Olympic Park. As an option for NOC hospitality needs inside the Gangneung Olympic Park, the Inspiration Club will offer a warm and convenient environment where guests can watch the broadcasts of events and relax in a comfortable interior with premium international cuisine.

Access to the Inspiration Club will be by guest pass only. Guest passes should be ordered by 30 October 2017 and will be processed on a first-come, first-served basis. Please note that Games-time requests may be difficult to accommodate.
