Finance & Administration Manager

Salary: £28,000-£33,000 (subject to experience) Accountable to: Chief Executive Accountable for: Administrator; Admin volunteers Hours: 35 hours per week, some unsociable hours

We are the only Jewish museum in the UK outside London. Our collection has been described as one of the most outstanding Jewish collections in Europe, with over 30,000 objects, documents, photographs and oral histories charting the growth of Manchester’s diverse Jewish communities, a city with the second largest Jewish population in the UK.

We will be re-opening in Summer 2021 following a major capital development with a new gallery, learning studio, café/bar, learning kitchen, shop and our newly refurbished Grade II* listed , originally built in 1874.

This year’s re-opening will mark a bold and ambitious new chapter for the museum and centres around making connections and finding common ground to make positive change. ROLE This is a new role and an exciting time for us in our development. The fundamental aim of this post is to manage all finances and administrative duties, placing the mission and values of the museum at the heart of the role. As a member of the senior management team, you will share responsibility for developing and delivering strategic plans, collaborating closely with colleagues on marketing, fundraising, programming and commercial activities.

What we need you to do As a small team, we all lead on certain areas and support on others – planning and budgeting, press & PR, audience research, evaluation, social media, database management, etc. This role will take lead responsibility for financial management and administration with the following core responsibilities:

• Financial management and planning - setting budgets, providing financial information and narrative to ensure strategic, financial and organisational issues are prioritised, appropriate actions are taken and risk is effectively monitored and mitigated • Supporting fundraising – providing accurate financial information for funding applications, activities, claims and reports • Developing all financial management and administrative systems - creating integrated office-based systems to improve efficiency and effectiveness across the organisation

Specific duties: To manage day to day finances with key tasks including:

• Setting and advising on annual budgets with senior management team

• Weekly banking duties and reconciliations on QuickBooks Desktop

• Producing monthly and quarterly management accounts showing income, expenditure, cashflow and forecast to year end

• Managing all income and expenditure transactions with responsibility for complex book-keeping systems

• Managing payroll and staff expenses

• Making claims to HMRC for VAT, Gift Aid, job retention scheme and others as applicable

• Managing annual audits/independent examinations with support from accountants

To provide financial support with fundraising initiatives including:

• Developing and managing financial activities on CRM system, PatronBase

• Supplying financial information and budgets for grant applications, sponsorship and other fundraising activity

• Providing financial information for grant claims and reports

• Advising on ticketing and commercial strategies

To develop and manage all administrative systems with key tasks including:

• Maintaining and developing office systems and procedures using a variety of software packages including CRM system, PatronBase

• Ensuring the smooth running of the office, including co-ordinating IT issues, office supplies and filing

• Managing a range of supplier contracts and procurement and maintaining a schedule of renewal dates

• Ensuring insurance policies are in place and regularly reviewed

• Overseeing compliance requirements for Companies House and Charity Commission

• Managing new starter inductions, DBS checks, annual leave and absence recording

• Act as the contact point for all general museum communications, including managing general email accounts, post and telephone enquiries

Other duties

• Support all staff and volunteers to maximise their fundraising potential to embed a culture of fundraising within the organisation • Play an active role on the senior management team, contributing to the development and delivery of strategic plans • To perform all tasks in line with the museum’s policies, including Equal Opportunities, Data Protection and GDPR Regulations

WHO WE ARE LOOKING FOR Experience

• Experience of organisational budget setting and financial management, ideally in a charity or related field

• Experience of income and expenditure recording with Quickbooks Desktop or similar software

• Experience in the compilation and presentation of financial reports to Trustees, Directors or similar

• Experience of claiming and reporting for funds for projects funded by bodies such as National Lottery Heritage Fund (NLHF), Arts Council

• Experience of CRM systems or similar

Knowledge and Understanding

• Accountancy qualification covering the drawing up of accounts for audit or willingness to work towards a qualification if you can demonstrate equivalent experience

• Knowledge of Charity VAT and Gift Aid submissions

• Knowledge of Company’s house and Charity commission regulations and requirements

• Understanding of health & safety, risk management, and legislative compliance within a similar context

Skills and Abilities

• Excellent interpersonal skills including the ability to communicate effectively both written and verbally to a range of people internally and externally

• Outstanding organisational skills with close attention to detail

• Ability to work well under pressure and manage and prioritise workload

• Ability to work flexibly within a small team and to develop a team culture across the organisation
