1. Venue

Mexico City - March 01 The Mexico leg of the ICEF Mexico - Colombia Agent Roadshow will take place at the Hilton Reforma Hotel.

Bogotá - March 04 The Colombia leg of the ICEF Mexico - Colombia Agent Roadshow will take place at the Hilton Hotel Bogotá.

2. Hotel Accommodation

Hilton Mexico City Reforma Hotel Rate We are pleased to offer you the preferential rate of US$ 175 per night per single room and US$ 195 per double occupancy in the Hilton Mexico City Reforma Hotel, where the workshop will be taking place. The above rate is subject to 16% VAT and 3% Lodging Tax. Breakfast and internet are included. Foreign visitors are currently VAT exempt (subject to change). Bookings The preferential rate is available for bookings from February 27 to March 03, 2016. For bookings outside this period the regular room rates become applicable. Rooms can be booked subject to availability until February 10, 2016. They will be allocated on a first-come, first-served basis. Please use the hotel´s online booking system. Please note that an administration fee of US$ 3 will be added for online bookings. These charges will be deducted upon check-out.

Hilton Hotel Bogotá Rate We are pleased to offer you the preferential rate of US$ 189 per night per single and US$ 205 per double occupancy in the Hilton Hotel Bogotá, where the workshop will be taking place. The above rate is subject to 16% VAT and a daily service fee of US$ 4. Breakfast is included. Foreign visitors paying with a personal credit card are currently VAT exempt (subject to change). Bookings The preferential rate is available for bookings from March 02 to March 06, 2016. For bookings outside this period the regular room rates become applicable. 3. Visa Requirements Please check travel and visa regulations with your respective embassy well ahead before travelling. If you need a visa and require a letter of invitation, please contact Cornelia Wojcik for further assistance. Please note that ICEF can only provide you with a letter of invitation for the duration of the event from March 01 to 05, 2016. Deadline for invitation letter requests is February 01, 2016.

4. Airport Arrivals

Mexico From Aeropuerto Internacional Benito Juarez Taxis: The duration of the journey by taxi from the airport to the Hilton Mexico City Reforma is about 30 minutes. The fare costs approx. MXN 250 - 300 (approx. US$ 15 - 18) depending on . Further information can be found at ►www.aicm.com.mx Individual Airport pick-up / drop-off: An airport pick-up / drop-off service is available through “Business Transportation Services” (Elizabeth Bergmann) at a cost of US$ 70 for an airport pick-up and US$ 55 for an airport drop-off. To book this service, please refer to the ►airport transfer reservation form.

Colombia From Aeropuerto Internacional El Dorado Taxis: The duration of the journey from the airport to the Hilton Bogotá Hotel takes about 25 minutes. The fare costs approx. COP 30.000 (approx. US$ 10) depending on traffic. Individual Airport pick-up / drop-off: If you are staying at the Hilton Bogotá, an individual airport pick-up / drop-off service can be arranged at the following costs: Airport pick-up at COP 56.000 (approx. US$ 17 per , up to 3 people); Airport drop-off at COP 42.000 (approx. US$ 13 per car, up to 3 people ). Please refer to the ►Hilton Bogotá booking form to book your airport transfers.

5. Travel between Mexico City and Bogotá

Please note that flights between Mexico City and Bogotá are not included in your participation fees and must be booked at your own expense. There are 5 direct flights operating daily between Mexico City and Bogotá. ICEF will provide a complimentary group transfer for the below listed flight on March 03: AV45 6:52 am (Mexico City Aeropuerto Internacional Benito Juarez) - 12:24 pm (Bogotá Aeropuerto Internacional El Dorado)

If you would like to join the transfer to Benito Juarez Airport on March 03, please submit your ►booking until January 24, 2016.

6. City Tour on March 02 and Group Dinner on March 03

We are pleased to offer you an optional excursion City on March 02 including Coyoacan, the Kahlo and the Museum, and a boat tour through the canals of as well as a group dinner in a typical Colombian restaurant in Bogotá on March 03. Package Preparation When calculating the amount of promotional materials to send to Mexico City & Bogotá, please bear in mind that you will have a maximum of 30 pre-scheduled meetings (15 per location) of 30 minutes each plus other meetings outside workshop hours that may be arranged. Some agencies may prefer to receive your information by e-mail or mail either prior to or after the event (see also the paragraph “Follow Up” at ►ICEF Workshop Procedures: Guidelines for First-time Participants). If you are shipping materials to both locations please ensure to use the correct delivery label for each city.

Some agencies may prefer to receive your information either prior to or after the event (see also the paragraph “Follow Up” at ►ICEF Workshop Procedures: Guidelines for first-time Participants). You can now also upload documents into Marcom eSchedule PRO and make them available to agents prior to the event. You can upload up to five files with a maximum size of 5MB for all files; accepted formats are pdf, doc, docx, xls, xlsx, ppt, pptx, pps, ppsx.

8. Scheduling Meetings Scheduling Meetings Prior to the Event Approximately 6 weeks prior to the event you will receive access to the Marcom eSchedule PRO online meeting scheduling system. Marcom eSchedule PRO (►www.marcom-education.com) allows you to select potential partners according to geographical origin, programmes, or date of inclusion in the system, as well as to send personalised meeting requests. Please note that the deadline for confirming / requesting meetings is February 29, 9:00am Mexico City time. If you are using Marcom eSchedule PRO for the first time, we recommend to have a look at the►Getting Started Information as well as ►Scheduling Meetings – Useful Hints & Tips or have a look at our ►video tutorials. Scheduling Meetings During the Event In case your meeting schedule is not full at the beginning of the roadshow, you will still have the possibility to maximise the number of your meetings on the morning of each workshop day (March 01 and March 04) between 8:30 and 9:30 when additional meetings may be scheduled through personal contacts between participants.

9. Your Catalogue Entry Company Profile Once you have logged on to Marcom eSchedule PRO for the first time, you will be asked to edit your profile, which you may change at a later date. It is very important that you take the time to enter your company’s details, as agents will use this information before requesting or confirming meetings with you and it will also appear in the Mexico - Colombia Agent Roadshow 2016 catalogue. If you wish to add your logo and up to two representatives’ portrait-style pictures to your catalogue entry, please also upload them into your Marcom eSchedule PRO profile.

Photos and Logos should have the highest resolution possible (without exceeding the max. size of 4 MB). Logos should be uploaded in GIF format and photos in JPEG format (please make sure the representative’s name appears in the file name). If your files have a different format, please use the following ►image converter. Please complete the catalogue entry by February 08, 2016 to ensure that your up-to-date company profile is included in the printed catalogue.

10. Onsite Registration Procedures

Onsite registration will take place on Monday, February 29, 2016 from 18:30 to 20:00 and on Tuesday, March 01, 2016, from 08:30 onwards at the ICEF hospitality and registration desk located in front of the Don Alberto 1 / 2 room on the fourth floor of the Hilton Mexico City Reforma Hotel. There you will receive your registration package including your badge, a print-out of your meeting schedule as well as the workshop catalogues. You will receive one set of materials for the duration of the roadshow. Please ensure to bring your badge to Bogotá. The hospitality and information desk in Bogotá will be located in front of the Platinum Ballroom on level -2 and will open at 08:30 on March 04. As the event is a protected trading environment, anyone not wearing a badge may not be admitted. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall. 11. Meeting and Display Tables Educators will be able to access their meeting tables at 08:30 on Tuesday, March 01, 2016 in Mexico City and at 08:30 on Friday, March 04, 2016 in Bogotá.

Meeting tables Each meeting table will be covered with a table cloth and will have access to an electricity outlet. Table signage with name and logo of each institution will be provided. Refreshments and Lunches Refreshments will be served on March 01 & 04 from 08:30 to 09:30, 11:00 to 11:30 and 16:00 to 16:30. Coffee, tea and water will be available throughout the day. Lunch will be provided from 13:00 to 14:00 on March 01 in the Don Alberto 3 room and on March 04 at the Levels Restaurant and on the Pool Terrace.

13. Evening Networking Functions

Welcome reception February 29, 2016, 20:00 to 21:00 in room Doña Sol on the fourth floor of the Hilton Reforma Hotel in Mexico City. Dinner receptions March 01, 2016, 19:30 to 21:30 in the Terraza Restaurant on the third floor of the Hilton Reforma Hotel in Mexico City. March 04, 2016, 19:30 to 21:30 in the Levels Restaurant and on the Pool Terrace on the ground floor of the Hilton Hotel Bogotá.
